Activity 1
As discussed in Overview of Accounting Information System, answer the following: 50pts
1. Discuss the differences between internal and external users of information and their
needs and demands on an information system.
The internal users of information are those in the operations management, middle
management, and top management level. Their need and demands on the information system is
to have sources of data that they can use in decision – making for the organization. The
Operations management is directly responsible for controlling day-to-day operations. Middle
management is accountable for the short-term planning and coordination of activities necessary
to accomplish organizational objectives. Top management is responsible for longer-term
planning and setting organizational objectives. Every individual in the organization, from
business operations to top management, needs information to accomplish his or her tasks.
While external users are the customers, suppliers, and stakeholders who have an interest
in the firm. External users fall into two groups: trading partners and stakeholders. Exchanges
with trading partners include customer sales and billing information, purchase information for
suppliers, and inventory receipts information. Stakeholders are entities outside (or inside) the
organization with a direct or indirect interest in the firm. Stockholders, financial institutions, and
government agencies are examples of external stakeholders. Information exchanges with these
groups include financial statements, tax returns, and stock transaction information. Inside
stakeholders include accountants and internal auditors.
2. Distinguish between financial and nonfinancial transactions. Give three examples of
each.
Financial transaction is an economic event that affects the assets and equities of the
organization, is reflected in its accounts, and is measured in monetary terms. The examples are
sales of products to customers, purchases of inventory from vendors, and cash disbursements and
receipts. While the non - financial transaction are events that do not meet the narrow definition
of a financial transaction. The examples are adding a new supplier of raw materials to the list of
valid suppliers is an event that may be processed by the enterprise’s information system as a
transaction, an inquiry of prospective customer and a 0 deposit to initiate an automated clearing
house.
3. Discuss the importance of accounting independence in accounting information systems.
Give an example of where this concept is important (use an example other than inventory
control).
The accounting independence means accounting activities must be separate and
independent of the functional areas. It is important because it maintain custody of physical
resources. For example, accounting monitors and records the movement of raw materials into
production and the sale of finished goods to customers. Accounting authorizes purchases of raw
materials and the disbursement of cash payments to vendors and employees. Accounting
supports these functions with information but does not actively participate in the physical
activities
4. Discuss why it is crucial that internal auditors report solely to the upper most level of
management (either to the chief executive officer or the audit committee of the board of
directors) and answer to no other group.
It is crucial that internal auditors report solely to the upper most level of management
because it is the scope of work decided by these uppermost level of management such as CEO or
the audit committee of board of directors.
