CHAPTER I

INTRODUCTION

Situation Analysis

         The Northern Mindanao Colleges Inc. is using a manual system in terms

of grades inquiry. The institution released the final grades to the students

manually; manually means that the students’ needs to go to the AVR and fall in

line to inquire for their grades.

Waiting is one of the important issues to the school due to its impact

towards the enrollment and students’ satisfaction of the school. The

determination of how long a student should wait for their grade has been a major

concern; the school needs to have an innovative way of their grade inquiry

system to minimize the waiting time of the student.

During the releasing of grades, some of the students will get incomplete

subjects grades due to the reason that the submission of student’s grades by the

instructors is sometimes delayed because the instructors are on their vacation

and because of this said issue, the students have to keep on coming back to the

institution to inquire for their complete grades for them to be able to enroll.

Purpose and Description of the Project      

         Northern Mindanao Colleges Inc. Online Grades Inquiry System with

Kiosk Viewing can help the students view and print its grade as soon as the

grades are already in the database. The registrar can add, edit, delete, save,

search and print student’s grade. The registrar, authorized staffs are provided

with their own username and password, and the students are provided with their

ID number in order to access the Northern Mindanao Colleges Inc. Online

Grades Inquiry System with Kiosk Viewing.

  This system would reduce the time of the students and the school staffs

for the grades inquiry. It would help the students who don’t have lots of time to

inquire personally to the person in-charge of the grade inquiry, especially the

working students and would also take the job of the school staff in finding and

presenting the grade of every student.

Northern Mindanao Colleges Inc. Online Grades Inquiry System with

Kiosk Viewing is a system that will publish the students’ grades online and is also

available for viewing via Kiosk which will be installed in the institution, with this

system; there will be fairness with inquiring the grades. It will also help the

students to get their grades in an easier and efficient way.

Project Framework

The registrar will encode the students information, students subject

enrolled, school year, year level, and grade with the use of the add, edit, delete

and save of grades and subjects to database.

The registrar, authorized staff, and students will then login with their own

username and password in order to access the system. The students can only

view and print the summary of their grades that are already in the database and

use it upon enrolling for the next semester.

Statement of Objectives

The main goal of the researchers is to develop a system that will make

work easier, faster, and more convenient in terms of grade inquiry of Northern

Mindanao Colleges Inc.

The system aims to:

 provide a webpage that allows students to view and print their grades on a

kiosk.

 create an organized storage of grades for efficient access/inquiry.

Scope and Limitations

The Northern Mindanao Colleges Inc. Online Grades Inquiry System with

Kiosk Viewing can add, edit, delete and save students information and subjects.

It can also store student’s grades in every school year. It is exclusive only for the

registrar, college students, and authorized staff of the said school. For the

registrar and staff to access the system, they need to encode their username and

password, and for the students, he or she needs to encode his or her ID number

as username and set his or her password by confirming his or her account. The

registrar can manage subjects and student’s records. The system can print the

student’s grades.

The system does not cover the computation of grades and cannot

generate ID number of students. The Northern Mindanao Colleges Inc. Online

Grades Inquiry System with Kiosk Viewing is available only if there is an internet

connection.

Significance of the Study

The result of this study is beneficial to the following:

Students. This would benefit the students wishing to access their grade because

they can now do it anywhere online in a more efficient way.

School Registrar. The school registrar will have an easier way of searching and

updating the student’s information.

Administration. The study will provide on improved method of grades inquiry

and will have a positive impact to the level of satisfaction of the students towards

the school services.

Future Researchers. This Online Grades Inquiry System may serve as a

reference for the future researchers allowing for the improvement of the system

in the near future.

Definition of Terms

Database - A database is an organized collection of data.


Kiosk - An electronic kiosk houses a computer terminal that often

employs custom kiosk software designed to function while

preventing users from accessing system functions. Computerized

kiosks may store data locally, or retrieve it from a computer

network. Some computer kiosks provide a free, informational

public service, while others serve a commercial purpose.


Password - A secret word or phrase that must be used to gain admission to

something. A string of characters that allows access to a

computer or system.
Printout - Output produced by a printer, generally on continuous sheets of

paper.

Usernam - An identification used by a person with access to a computer,

e network, or online service.


Webpage - A web page is a document that is suitable for the World Wide

Web and web browsers. A web browser displays a web page on

a monitor or mobile device.

REVIEW OF RELATED LITERATURE

The Online Grades Inquiry system is vital because it will make work

easier, faster, and more convenient in terms of inquiring for grades. A study done

by Desousa (2008), “Web based application have four core benefits. These are

the following: 1) Compatibility. Web based applications are far more compatible

across platforms than traditional installed software like web browsers. 2)

Efficiency. Everyone hates to deal with piles of paper unless they do not have

any other alternatives. The benefit of web based solution makes services and

information available from any web facilitated Personal Computer (PC). 3)

Security of live data. Normally in more complex systems data is moved about

separate systems and data sources.”1 Marrero (2009) in his research entitled

“Student Information System for the University of the Cordilleras stressed that the

concept of Information Systems (IS) emerged in the early 1960s. More often,

when information system is defined, the field Information Science is always

associated, IS is an academic field that deals with the generation, collection,

organization, storage, retrieval, and dissemination of recorded knowledge.

Generally, IS is supposed to inform people. Information System supports people

or users in making intelligent decisions based upon the information derived from

reliable data.”2 MIT (2009) gave emphasis that “Student Information System

(SIS) provides students with access to their academic and biographic records as

well as the ability to update their address information and preregister for classes;

it provides instructors and departmental administrators with class list information;

and provides advisors and departments with access to the individual academic

records of their students. Therefore, SIS is an integrated approach in acquiring,

storing, analyzing and controlling the flow of student data throughout the

institution. Highly developed SIS can be useful in nearly all institutional.”3

AISIS Online (2006) posted a precise definition of Ateneo Integrated Student

Information System (AISIS) serves as the portal for Ateneo students, faculty and

staff. “Through the AISIS Online officially enrolled Ateneo students may view

pertinent school information including their Individual Program of Study (IPS),

grades, class schedules and the like.”4

According to Evangelista (2008) “the university’s Student Information

System (SIS) of Nueva Vizcaya State University is a secure, web accessible

interactive computer system that allows user access to grade reports, transcripts,

schedule of classes, and remaining balance for the semester and register for

classes online. Through the system, students would be assigned a unique

identification number. All data to and from the university would use that unique

identifier.”5

Richard (2004) emphasized that “information about students is vital, but

time‐consuming to manage and it is essential that the most effective tools be

used to aid both staff and students go about their work and studies. The

Cambridge Student Information System (CAMSIS) replaced various student

records system used by the colleges, departments and universities. CAMSIS

provides comprehensive and accurate information about student body and also

improves data quality, reduce the administrative burden dramatically and

provides better services to both academic staff and students.”6

Randall (1996) an English professor at the University of Waterloo Canada

stated that “thousands upon thousands of companies, organization, and

individuals are looking to the web as an important means disseminating

information. When you put your page in the web, you’re inviting the world

become take a look”.7

The school records that computers have been building for us are part of

the foundation upon which the future will be built. Pick (2001) “The increasing

uses of computers in the last decade gave way to a new technological

advancement that had assisted a certain establishment to make the work easier

and lessen the tasks. The main advantage is speed, since no manual operations

are needed. With the advancement of technology, the internet suddenly became

an important aspect for local and global connectivity to facilitate sharing of

information, thus, improving productivity of the users involved.”8

Several education-related Web-based applications that provides a web-

based educational environment have been developed. These applications

include MAX, WET, and WEX. Hearn, J. (1999) “The Message and

Announcement Exchange (MAX) is a messaging system that allows

asynchronous communication between instructors and students via the Internet”9

same study done by Jeffers, J. (1999) “The Web Education Toolkit (WET) is an

annotation system that allows instructors and students to communicate through

the sharing of annotations via the Internet”10 another study done by Fatimah, Y.

(1999) “WEX, the Web-based Examination System, is an on-line examination

system that can generate tests. It also allows students to take tests via the

Internet and evaluates the tests automatically. It uses web browsers as the

interface and was implemented using Java Servlets and Java Database

Connectivity (JDBC)”11

Sander (2002) “computers are an intelligence amplifier that can free

human to use their time effectively. Because a computer is a fast and accurate

electronic symbol or data manipulating system that design automatically accept

and store input data process and procedure output results under the direction of

the stored program or instruction.”12

Database plays an important role when it comes to storing data. Towsand

(2005) stated that “database is structed collection of data. The data may be

about people, product events in short, any type of information is to manage the

collection of data for reporting and making decision.”13Adamski(2007) stated

some advantages of database processing “first economy of scale getting more

information from some amount of data, sharing data balancing conflicting

requirement, enforcement of standard, controlled redundancy consisting integrity

security, flexibility and responsiveness, increase programmers productivity,

improve program maintenance and data independence.”14 Swartz (2007) gave

emphasis that “almost all institutions depend on data. Consequently, we are

witnessing a profound change in the way in which institutions perceive,

understand, and manage their information. There is now a clear recognition of

the value of information, the creation of new information, the retrieval of existing

information, the storage of important information, and the disposal of redundant

information. There is also greater awareness of the cost of acquiring bad,

incomplete, or inaccurate information.”15

CHAPTER III
METHODOLOGY

Stakeholder’s Identification

The registrar of Northern Mindanao Colleges, Inc. is who receives and

store the information of each student such names, courses and of course grades

in every subject to the computer where they store all the information they need in

six (6) designated departments such as College of Teachers Education, College

of Business Administration, College of Information Technology, College of

Criminology, College of Hotel and Restaurant Management, and AB Political

Science. And they implement the Post Mail; the Post Mail is the way of delivering

their grades to their parent in their designated address. This helps to the parents

so they will be notify of their students’ performance. And also helpful especially in

far places.

Requirement List

We have two (2) strengths of this current grading system. First, the

process of the current system is computerize, this is the fast way of collecting

data such personal information, course, and their grades. And they store the

grades by saving them in the hard drive. And lastly, the Post Mail is the way of

delivering their grades of the students to their respective parents or guardians.

The weakness of the current grading system is time consuming because it

takes time to entertain all the students in the different departments like for

example, there are some departments with huge population. And also a

disadvantage for the students who seek for grades for renewing their scholarship

as a requirement.

The Fig. 4 is the proposed diagram level 0 that shows the details of

inputting and inquiring of student’s grade.

The registrar is the only authorized person to input students and staff’s

data, the registrar and authorized staff input the grade of student to the system

and viewed every data that has been recorded to the system. For inquiring of

student’s grade, the registrar, staff and student will login using their username

and password. The system will then display the student’s grade.

Upon inputting of students and staff’s data, the registrar will login to the

system for security purpose. The registrar will input the student and staff’s data

and view the data that have been save to the system. The registrar can view,

add, edit, update and print the student’s grade.

Upon inputting of student’s grades, the staff will login to the system for

security purpose. The staff will input the student’s grades to the system. The staff

For inquiring of student’s grade, the registrar, staff and student will login

using their username and password. The registrar, staff and student can inquire

for student’s grade. The registrar and staff can search specific student by typing

the name or ID no. of the student.

Design of Software

The design serves as the user’s interface of the system where users done

their specific task. It was design to have a user-friendly interface that helps the

user perform their job in an efficient way considering the functionalities of the

system. It also serves as guidance on how the system is used.

To use the system, the user must link to Northern Mindanao Colleges Inc.

Online Grades Inquiry first before he or she can login first, Fig. 12 shows the

Login Screen. To login, the user will have to enter his or her username and

password, by clicking on the “Login” button, the data entered by the user will be

matched against the data stored in the database. If the value do not match, an

Access Denied Screen is displayed, shown in Fig. 13.

If a user is denied, an access denied page is shown (Fig.13), he or she

can re-enter his or her username and password and click the Login button. There

are two access levels for this login: registrar and staff. The purpose of having an

access levels is to separate the different functionality of each access levels and

hide confidential data from the users who need not to see it.

Registrar

The registrar has all access to the entire system. The task of the registrar

is to perform registrar activities such as adding a new user and setting up this

user’s user type.

The registrar screen is the next screen displayed when a registrar login is

successful (Fig. 14). This screen shows five (5) menu that a registrar can

perform. The following are the menu: Staff, Course, Subject, Student, and

Logout.

menu. It shows a staff table that contains the list of staff authorized to input

student’s grade. It has two (3) buttons; the Add Staff button, Delete and the Edit

When a student links to Northern Mindanao Colleges Inc. Online Grades

Inquiry, the Student Main Screen will display where the user has the option to

Confirm or Login to his or her account. Fig. 31 shows the Main Screen.

The student must confirm his or her account before he or she will be

officially registered, (Fig. 32) shows the Confirm Account Screen. The student will

have to enter his or her ID number and set his or her password, by clicking on

the “Confirm” button, the data entered by the user will be matched against the

data stored in the database. If the value do not match, the account confirmation

will be failed and the student will have to enter again his ID number and set his or

her password and then click the confirm button.

confirmation is successful, if the student is registered successfully, he or she can

login to her account to view his or her grades.

To use the system, the student must link to Northern Mindanao Colleges

Inc. Online Grades Inquiry first before he or she can login, Fig. 34shows the

Login Screen. To login, the student will have to enter his or her ID Number and

password, by clicking on the “Login” button, the data entered by the user will be

matched against the data stored in the database. If the value do not match, an

Access Denied Screen is displayed, shown in Fig. 35.

If a student is denied, an access denied screen is shown (Fig. 35), he or

she can re-enter his or her ID Number and password and click the Login button.

The student dashboard is the next screen displayed when a student login

is successful (Fig. 36). This screen shows the print button if the student want to

print their grades, and the submit button if the student wanted to sort their grade.

Development and Testing

The system was developed to innovate a new grades inquiry system, it

has three access levels, the registrar, staff and the student. Each access levels

has its own functionalities and limitations. The database of the system is

designed to store data inputs by the student and registrar such as ID number,

username, passwords and other required details.

After the system was developed, it was tests to check its functionalities

and limitations such as inputs of staffs, students, courses, subjects and student’s

grades into the database. The page is not responsive so it is not advisable to use

mobile when inquiring for grades online. The result of the tests being conducted

was found to be satisfactory as the system is fully functional.

Implementation Plan

The NMCI Online Grades Inquiry system can be setup and implemented

inside the Northern Mindanao College Inc. At the beginning of the semester, the

registrar can add or edit the course, subject, staff, and student to the system. At

the end of the semester, the registrar or staff can add student’s grades to the

system. In order for the students to view their grade, the students must confirm

their accounts to the system to be successfully registered and login to view their

grades. The system requires internet connection in order to function.

CONCLUSION AND RECOMMENDATION

Conclusion

Therefore I conclude that the Northern Mindanao Colleges, Inc. Grade

Inquiry System is a web-based with printing kiosk grading system with

connectivity to the registrar, deans, instructors and students to the database.

This system that will make work easier, faster, and more convenient way in terms

of grade inquiry and that way the students can go to the website and print all their

grades with their personal information. And also our system have two entities,

registrar, deans, instructors and the students. The registrar will encode all the

students’ personal information, subjects enrolled, school year, section, year level

and grades, and also they can add, edit, delete, and save of grades and subject

to database. Deans, instructors, students, and registrar also will login with their

own username and password in order to access the system.

Recommendation

Our system will be recommended to the registrar of the Northern Mindanao

Colleges, Inc. Our system need to implement our system to the registrar to make

their work easier, faster, more convenient, more efficient and more secure in

terms of grade inquiry.
