THE PROBLEM AND ITS SETTING

Introduction

People nowadays are living in information age reliant on digital information. Digital
information is an electronic information; the result of computer processing. Every type of job
relies upon getting data, using it, managing it and relaying information to others. Computers
enable the efficient processing and storage information.
The common problems associated with distributing, collecting, grading, and the
difficulties in ensuring fairness and consistency in grading tend to increase non-linearly with the
number of students. Students Grade Portal is designed to provide to view their grades and
information. Students’ grades are vital information needed in advancing to the next grade/year
level and its accuracy is very important.
Students Grade Portal helps the students to view their grades using the given username
and password to access in Portal. Many public and private School are adopting continuous
improvements program to improve operational work. Furthermore, it is not easy for a teacher to
manage hundreds of records in an accurate way without using automation. It is necessary that
students should have grades at the end of the semester.
Norzagaray College currently using the manual process to inform the students of their
grades which is time consuming. Manual process of retrieving and releasing of records is very
slow. Security and organization of records is also a problem in the manual process of operation
and lastly the faculty and students are forced or required to visit the registrar’s office to submit
and request for grades which entails transportation expense to both the faculty members and the
students as well.
This research is all about students viewing their grade through online, in this platform
student have a freedom access and check their grades without any hassle.
The researchers are students under the Computer Science, the course cultivates us to
equip with knowledge relating to computer system, technological skills, and critical thinking. It
is in the nature of the course that current events are habitually discussed and understand, through
different methods to enhance our critical thinking. The objective of this research is to make a
safe portal for students in getting their grades online and to develop a system that will lessen the
paper works of school registrar when printing the grades.

The researcher would like to show emphasis in each and every detailed effort to the
system which is all Student Grade Portal since it is one of the needs today and to analyze,
evaluate and rationally understand it, also the researcher intends to gather reliable information
about this topic.

Background of the Study

This study will develop a system to help registrar to lessen their works and to help
students to view their grades online. This will provide an easier and faster access to the data of
every student in their grade.

Norzagaray College Student Grade Portal is an engaging student experience. This system
is a gateway where students can log into a website to access the Norzagaray College information,
Course info and Curriculum, Developers and their respective Grades. Grade portal are
commonly used in Colleges, Universities and Private Schools where prompt of information on
their Grades are must be readily available to a large number of students, Expectations regarding
what services a college or university offers and how they are delivered are growing as more and
more of our lives are conducted online. A portal is a cornerstone technology for giving the
material, apps, and services needed to achieve what we want, whether you're enrolling a new
student or maintaining an existing one.

The Student Grade portal aims to help Registrar’s Office and improve the system to
provide fast and easy ways for the students to manage their own grades.

System has two users which is Admin and the Students. The Administrator can manage
the school year, Semester, Course, Section, Subject, Faculty information, Faculty Subjects,
Student information and Student Subjects. In Student can only view their grades and Details of
grade.
Statement of the Problem

The main problem of this study is to know and understand the purpose of Student
Grade Portal website system. Through understanding the basic concept of this system and
foundation, the researcher hopes to contribute in the development of effective and lifelong
solutions that authorities can formulate to address this kind of system.

Specific Problem

1. What are the Requirements in creating the Grade portal?


2. What are the evaluations users’ requirements of the website terms?
a) Reliability
b) integrity
c) usability
d) Maintainability
e) Flexibility
3. What are the features of the Grade Portal?
4. What can be recommended for the improvement of the proposed system?

Objectives of the Study

This study aims to improve the manual submission of grades by developing and
designing Student Grade Portal that will be secured and reliable in keeping the records.

Specific Objectives

a. To convert the manual process into Student Grade Portal


b. To provide computerized record keeping of grades.
c. Provide an automated system that will let the students easily access their grades
online.
Significance of the Study

The study will be significant to the following:

a) Students. With the grade viewing feature of the study, the students can now view their
grades online.
b) Registrar. Would be able to record grades of students faster thereby lessening their
workload.
c) Faculty. would be able to record and compute for the grades of their students faster
thereby lessening their workload.

d) Future Researcher. This Grade Portal System may serve as a reference for the future
researchers for the improvement of the system in the near future. This study will serve
as training for the proponents, to enhance their skills in web development.

e) Norzagaray College. The Grade Portal System would benefit the institution for Giving
an easy and reliable way for giving the grades of the student.

Scope and Limitations of the Study

Scope

The design and platform of the project is a web-based system that manages the student
and administration and provides the functionality of viewing the individual records of the
students.

The system can monitor and view the student’s grade and information from the school
record. Students must login using the given username and password.
The Administrators have total access to the system, confirming the students who are
currently registering and/or enrolling, generating records, sectioning the students in every year
level. The system is capable of archiving data for record keeping and also has a text file that
will last for years.

The cloud-based grade portal type that covers the major processes in the viewing the
grade of freshmen, old, transferee and dropout students, and files maintenance such as viewing
grade of enrolled students in different year levels.

Delimitation

• The system requires internet to use.

• Only Norzagaray College students can only use in the system.

• The Data of students cannot be given outside the school premises.

• Grade portal system will not work if the signal strength is poor or not available.

• Only the administrator can manage the system so far, can only add and make changes.

• The system cannot cater to transferred, dropouts, and irregular students


Definition of Terms

Platform. It is the basic hardware (computer) and software (operating system) on which
software applications can be run.

Data. It’s the collection of facts or a piece of information. The Researcher used Data of the
student to used for their Log in form the data base.

Cloud Based. It is the ability to host a software platform or service from a remote location that
can be freely accessed and used anywhere via Internet access. The Researcher wants to give an
access to all the students who are far from the institution.

Website. Is a group of interconnected, publicly accessible Web pages with a same domain name.

Web Portal. A web portal is a specially built website that collects data from a variety of sources,
such as emails, online forums, and search engines, and presents it in a unified fashion. The
Researcher wants to give an information in a uniform way.
Theoretical / Conceptual Framework

The Theoretical and Conceptual Framework establishes the development of the research.
This thesis will be using the Input-Process-Output (IPO) to describe the process of the system.

The researchers used the Input-Process-Output (IPO) framework as the paradigm of the

study.

The input phase consists of the software, and hardware requirements of the system. The

process phase consists of analysis and evaluation of the website. The result of this under the

output phase will be proposed development of Grade Portal system.

Input

The proponents used different software to develop “Norzagaray College Student Grade
Portal”. There are PHP for coding and MYSQL for data base. By using the different software,
the proponents can have the necessary materials for the device designing development.
Process

The proponents used different software to develop “Norzagaray College Student Grade
Portal”. The stages are planning, design, development, testing, and implementation. This
approach is known to its flexibility and efficiency which enables the proponents to adapt the
different changes in the process. This method performs is ongoing sprints of planning and
execution, enabling the proponents to continuously adapt and develop plan, scope, and design
throughout the project.

Output

Using the materials needed the proponent are able to proceed to the process using the
Agile Method. After series of continuous adapting and working, the proponents came up with the
device, “Norzagaray College Grade Portal”.
Chapter II

REVIEW OF RELATED LITERATURE AND STUDIES

This chapter presents the related works of a number of local and foreign authors, other
researchers, developers and studies derived from the books, article, and other references such as
internet which are all necessary in framing of the concept of the study. And the theories and its
compatibility issue to the software that is needed in the development of the software project. To
attain a deeper and better understanding of the present study, various literature and related to the
study was extensively read and analyzed.

Review Of Related Literature and Studies

Online Grade Portal

According to the study of entitled “Online Grade Encoding and Inquiry System via SMS
Technology” (2012), stated that through this system it lessens the task of registrar in encoding
the grades of the students. Additionally, the system can also send grades automatically. The
system can inquire their grades using SMS Technology. The instructor can encode grades
through online and submit automatically to the Administrator or Registrar. Based on the result of
the researcher’s survey, most of respondents agreed the used of Online Grade Encoding and
Inquiry System via SMS Technology.

The utilization of an online grade encoding and enquiry system via SMS Technology is
extremely beneficial to school registrar and their students since it reduces the amount of time and
effort needed to encode students' grades. It is portable for them since they can use the internet to
encode grades at any time. It is more convenient for students because they may check their
grades using their own mobile devices.

Online Student Portal and Manual system

According to The University of the Philippines Open University (2019). Based on their
studies Approximately 90% of the participants thought OSP was more convenient, cost-effective,
and time-efficient than travelling to the learning center to complete various non-academic tasks.
Only 10% of those polled said they disagreed. Student support services may assist alleviate a
learner's anxiety by providing convenience, accuracy, time-saving, and cost-saving features,
allowing the learner to dedicate more time and attention to more important tasks, such as
studying.

According to the poll results, the portal is superior to the University's old manual system.
Students can avoid the inconveniences of lining up for enrollment and payment of matriculation
fees by using the online portal. Furthermore, it provides greater convenience to students because
the system is accessible 24 hours a day, seven days a week, from anywhere, even offshore
students with different time zones than those situated in the Philippines. When asked to compare
OSP with the manual system, learners' comments reflect on the chart. The online gateway was
rated by more than 70% of respondents as being more convenient than the manual system. In
addition, respondents saved money by not going to the learning facility. Learners incurred two
types of expenses in the manual enrollment system: transportation and opportunity costs of time
wasted when they left their jobs. It should be mentioned that the majority of UPOU students are
employed. They had to leave their jobs to attend to their learning centers because of the manual
enrolling system. When their job locations are far from the learning facility, the fees can be
significant. Though there appears to be a scarcity of data on the benefits of cost-cutting on
students' learning, the avoidance of costs by learners through OSP may boost learners'
motivation and, as a result, learning results. According to Baker (2012), aggregate metrics of per-
pupil spending are related with favorable learning results. Additional financing appears to matter
for some students in some instances (Baker, 2012). This could explain why, according to the
poll, more people thought the portal was much better than the manual system in terms of time
and cost efficiency.

Web Portal

Based on the study written by Dionicio D. Gante (2010) entitled “A Proposed Web Portal
for the College of Computing and Information Technology of Isabela State University Cauayan
Campus, Cauayan City, Isabela” A web portal is a single web interface that provides
personalized access to information, applications, business processes and much more. As the
result of their research, they discovered that (1) they ranked history as rank number 1 while the
faculty ranked VMGO as their rank number 1 and that there is no significant difference on the
response of the two groups of respondents with regards to the needed contents or features to be
included in the web portal according to the students. (2) The possible advantages that could
derive by the faculty, students and college were considered a very much advantage by the two
groups of respondents. There is significant difference on the response of the faculty and students
with regards to the possible advantages that could derive by the students and college except for
the possible advantages that could derive for the faculty as considered not significant in the t-test.
(3) The criteria for evaluating the web portal in terms of authority, accuracy, content and design
garnered descriptive interpretation of very great extent. There is no significant difference on the
response of the two groups of respondents with regards to the criteria for evaluating the web
portal in terms of authority, accuracy, content and design as a result of the t-test.

Benefits of Student Management System

According on openeducat.org (2021), Schools are the cradle of learning and the source of
nourishment for children. It is necessary to have the finest in place in order for it to perform well
and pass on vital information to students. A proper management system is one of the most
fundamental yet important elements that should be in place for it to function properly. And,
owing to the advancement of technology, a management program known as a student
management system has been put in place to make things easier. Student management system (1)
Improves the General performance of students, The ability to focus is essential for students to
achieve good marks. Students can spend their valuable time studying instead of keeping track of
their records to ensure everything is in order thanks to this school administration software. (2)
It’s Improved the Communication because It's difficult for every student in a class to understand
every lesson while the teacher is lecturing. This could be due to the pupils' timidity or reluctance
at the time, or an insufficient amount of time to ask inquiries. That has been resolved with the
assistance of this software. The majority of online school administration software now includes a
discussion panel where students may quickly engage with their teachers and ask pertinent
questions. (3) Student information system helps to Improves the General Comfort of Staffs,
Work comfort is another factor that determines the performance of staff and this student
management system have successfully put that in place. Teachers are able to manage their
students in a smart way.

Synthesis

The review of related literature and studies is very important procedure in making a thesis
study. It provides the information and ideas which researchers can be used to the current study.
By comparing and reviewing the literatures, it will be helpful to create new ideas that can be
implemented in the study. The reviews provide concept and ideas for the system: Students Grade
Portal which are focus on student’s grade viewing. The development of a system that will
monitor the students’ grades is expected to contribute to the school. The awareness of the
students to their grades will serve as a reliable reference to them to improve their studies to attain
high grades. The existing studies as stated in the above literatures prove that monitoring
student’s performances contributes to the student’s education.
Chapter 3

Methodology

This chapter shows the methodology used in this proposal. The main purpose of
methodology of research is to contemplate all the factors associated with the project and verify
the investment of time and other resources that all gave a desirable result. This chapter discussed
all the data gathering tools, and the design of the study used in the development of the system.

Design of the Study

The proponents had utilized the Agile Model as the design study of the proposed
system. Agile model is capable of delivering fast, reliable and accurate output.

Planning - Multiple planning meetings where the researchers came together and layout the
components. The researchers started to gather information about the proposed system. The
researchers conducted brainstorming with members. It discussed what features and functions of
the system can be applied. The researchers elaborated all the ideas and gather it all and plan for
the system.
Designing - To obtain more knowledge, the researchers relied on previous study on
documentary source. The Dataflow diagram, System Flowchart and the IPO were used to
present the logical design of the system.

Developing – This refers to software development, involves coding of the system and
provides the information acquired during the planning phase.

Testing - The system was tested to know its capability and flexibility. This ensures that the
system is working well.

Releasing – Software release, presented the system on the users. The researchers keep the
system running and show the users how to use it.

Feedback – The researchers conducted a system evaluation to assess how well the system is
working. By the users’ feedback, the researchers were able to know if the system needs to
improve and if there are any recommendations.

Requirement Analysis - The proponents used the data flow diagram to graphically show the
process and the flow of the game.

Requirement Document

Documents prepared for the purpose of collecting information were obtained and
gathered. All the necessary details related are captured using documents provided.

XAMPP Apache - an abbreviation for cross-platform, Apache, MySQL, PHP, and Perl, and it
allows you to build WordPress site offline, on a local web server on your computer.

MySQL- is an open-source relational database management system (RDBMS).

PHP - is a widely used open-source general-purpose scripting language that is especially suited
for web development and can be embedded into HTML.

Sampling and Sampling Technique

The study used Quota Sampling in determining the samples of the study. It is a
sampling method of gathering representative data from a group. The respondents of the study
are the students from Norzagaray College in different department.

The study also used Random Sampling. It is a method of choosing sample in which all
the members of the population are given an equal chance to be selected as respondents. The
questionnaire is given to the selected respondents from among the students of Norzagaray
College.

Research Instrument
The research instruments utilized for collecting data are questionnaires, observation,
online interviews, group discussion and experiment. Questionnaires are considered as the most
common types of research instrument. It composes of numerous questions that seek responses
from respondent as the source of research data. In observation, the proponents required minimal
interference to avoid modified respondent behavior and enhance the collection of accurate
information.

Development and Testing

Testing task is conducted by performing a validation of the implementation. System


testing is performed when the student grade portal development process of the system is
complete. It contains recovery testing, security testing, and performance testing.

Statistical Treatment

After collecting the data needed, the researchers arranged, and analyzed the gathered data
with the help of statistical tools. The following are the statistical treatment used in this study
together with the corresponding formulas.
a. Percentage- it is the part of a whole which takes the values of 0 (none of the whole) and
100 (all of the whole). It uses the symbol “%”.
