USING the Commissioning Fire Protection Systems Forms PDF file

PLEASE NOTE: Adobe®Acrobat®Reader 6.0 is included on this CD and can be installed by double-
clicking on AdbeRdr60_enu_full.exe. If you have problems viewing the forms or searching this CD
using an earlier version of Acrobat, install version 6.0. If the items on your command bar differ from
those described below, or if more detailed instructions are needed, please select Help in the Acrobat
application you are using.
Acrobat Reader provides limited functionality for this product. Acrobat Reader allows for electronic
population of the form fields followed by printing, but completed forms cannot be saved. There are no
available tools for extraction of form pages or ranges of pages. In order to take advantage of these
features and functionalities, full Acrobat will have to be purchased from Adobe Systems, Inc.

VIEWING THE Commissioning Fire Protection Systems Forms


When the forms PDF document is opened, a Table of Contents is displayed on the left of the screen, and
the opening screen is displayed on the right. The Commissioning Fire Protection Systems TOC is divided
by form type. Clicking on the plus sign next to the main form title expands the TOC, showing the nested
forms beneath. Selecting and clicking the desired form title will take you to that form.
There are also links from the ‘‘Cross References to Commissioning Fire Protection Systems Forms’’
document (Cdintro.pdf), which will also take you to the selected form.
The blue button located on the top left of each form navigates back to the Cross-References document.

Using the Form Fields


The forms can be populated electronically allowing information to be typed, saved* and printed. Place the
cursor in the desired field and type in the information. Use the tab key to toggle through the form fields.
*This feature is only available on systems where full Acrobat® (not Reader) has been installed.
Each form page carries a “Reset Form Page” button and a “Reset All Pages” button. Reset Form Page
clears all electronically filled-in fields from the current form page in the active document. Reset All Pages
clears all electronically filled-in fields on all pages in the open document.

NAVIGATING WITHIN THE PDF


You can navigate within PDF documents on the CD by paging through them once you have selected the
document/form of interest.
You may click the Magnification button in the status bar (at the bottom of the screen), and choose a
different magnification level if you wish.
Selecting a document
Using the Table of Contents
From the bookmark pane, click on the title of a form to display it.
A plus sign to the left of a form title indicates there are more forms nested underneath. Click on any plus
sign to expand the level; click on a minus sign to collapse the heading to the level above it.

Paging through documents


Acrobat provides buttons, keyboard shortcuts, and menu commands for paging through a document.
Note: The navigation toolbar can be activated by selecting View > Toolbars > Navigation. The navigation
toolbar can be dragged and moved to the top menu bar. Also, if you use the number keys on your
keyboard’s number pad, make sure Num Lock is off.
To go to the next page:
Click the Next Page button in the status bar (right arrow in the navigation tool bar)
Click the right arrow from the status window (at bottom of the screen)
Press the Right Arrow → key on the keyboard
Select View > Go To Next from the top menu bar
Use the vertical scroll bar located on the right side of the page
To go to the previous page:
Click the Previous Page button in the command bar or status bar (left arrow in the navigation tool
bar)
Click the left arrow from the status window (at the bottom of the screen)
Press the Left Arrow ← key on the keyboard
Select View > Go To Previous from the top menu bar
Use the vertical scroll bar located on the right side of the page
To move down one line, press the Down Arrow ↓ key.

To move up one line, press the Up Arrow ↑ key.

To go to the first page:


Click the First Page button in the command bar or status bar
Press the Home key on the keyboard
Choose View > Go To > First Page.
To go to the last page:
Click the Last Page button in the command bar or the status bar
Press the End key on the keyboard
Choose View > Go To > Last Page

To go directly to a page: Shift + Control + N, fill in the page number and select OK.

USING THE SEARCH COMMAND


The Search command allows you to perform a search in the opened document. Form fields that are
electronically populated can also be searched. You can search for a simple word or phrase, or you can
expand your search query by using wild-card characters and operators. You can use the available search
options to further refine your search.
To perform a full-text search:
1. Open “Search PDF” dialog box:
Click the Search icon (binoculars)
Choose Edit > Search
Press Control + F
Note: By default, the dialog box is set to “Basic Search.” Selecting “Advanced Search Options”
expands the search criteria.

2. Type the word/text you want to search for in the “What word or phrase would you like to search
for?” box. The text that is entered can be a single word, a number, a term, or a phrase. The search can also
contain wildcard characters (*, ?), or any combination of letters, numbers, and symbols. Because you can
use Boolean operators* in the text box, you must enclose any search term that includes and, or, or not in
quotes “ ”. You can also use the operators =, ~, and ! = with the text string, but only to perform exact
matches, contains, and does not contain searches, respectively. (For related information visit:

3. The next window, “Where would you like to search?,” defaults to “In the Current PDF document.”
“All PDF documents in” requires a location. To search all the PDF documents on the CD, select the
computer’s Compact Disc drive.
4. Put a check mark next to any other options you wish to activate for this particular search.
5. When the Search button is activated, any search hits will show in the results box. The searches are
listed in the order in which they appear in the document. The search hits are also highlighted in the
document. Selecting a hit from the results list will go to that occurrence in the document. The phrase or
word is underlined in the results dialog box. Passing the cursor over the underlined word/phrase also
displays the page number where the hit appears in the document.
6. Click the next hit or type Control + G to go to the next search. To go to the previous hit, click the
previous hit from the results dialog box or type Control + Shift + G.
7. To perform a new search or redefine the search, select New Search.
Refining Searches
If your search returns too many hits, you can pare down the search results by confining the search to hits
returned by a previous search, or you can more narrowly define your search term. Alternatively, if your
search did not provide the information you were looking for, you can broaden your search query using the
search options, for example:
1. To further refine your search query, select “Advanced Search Options” along with one or more of
the listed additional criteria: “Use Whole Words Only”, “Case Sensitive”, “Proximity”, “Stemming”,
“Search in Bookmarks” or “Search in Comments”.
2. The search results are still active if the Search dialog box is hidden (Hide button). Results can still
be searched using the short cuts Control + G/Control + Shift + G. The search words and phrases remain
highlighted as well until a new search is activated or the application is closed.
3. If you want to narrow a search further, you can refine or confine your search to documents listed
in a prior search.
4. From the Search PDF window, select the back/forward arrow to show the results of any activated
searches.
5. To refine or replace the query that produced the list of documents, click the back/forward arrow
until the search query dialog box appears. If a simple text string was used for the search query, you might
consider refining the search query by using the search options.

Saving/Page Extraction/Printing the Forms


Full Acrobat users that have prepared the forms electronically can save the completed form file by
selecting File > Save As. Rename the file and save it to a preferred location.
Full Acrobat users can also extract pages. Under Document > Pages > Extract, specify the pages to be
extracted. The extracted pages file can then be renamed and saved.
Printing:
1. Use File > Print Setup to set general printing options. The available options will vary with
different printers and drivers. See your printer driver documentation for details.
2. Click the Print button, or choose File > Print. Specify the printer, page range, number of
copies, and other options, and click OK. Most of the options are the same as they are for other
applications, but note the following:

Under Print Range:


All, Current View, or Current Page

Pages From/To prints a range of pages. Under normal print conditions, the page numbering starts at 1
and sequences.

Subset
Choose Odd/Even pages only
Or all pages in Range specified under Print Range
Activating “Reverse Pages” prints from last page in range to first page.
Under Page Handling:

Page Scaling has choices of “None” “Fit Paper” and “Shrink Large Pages”. Selecting “Auto Rotate and
Center” rotates pages to fit the paper size currently installed in your printer.

“Choose paper source by PDF page size” allows the printer to choose a different paper size (if available)
and only if necessary.
The Advanced button can be changed to specify which level of PostScript to generate for the pages. Choose
the level of PostScript appropriate for your printer.
