Problem Solving

What is it?

The problem solving process is a logical sequence for solving problems and improving the quality of
decisions. It is also a guide to identifying which tools and techniques to apply. Problem solving as a
structured process that identifies, analyses, and eliminates the discrepancy between the current
situation and an existing standard or expectation, and prevent recurrence of the root cause.

When to use it?

The problem solving process can be applied to any problem or deviation from requirements but can
also be used to tackle an opportunity.

What does it achieve?

Problems, no matter their size or complexity, can best be solved by proceeding through a sequence
of steps. This ensures that everything possible will be done to apply the available resources in the
most effective manner, to consider a number of options, and to select the best solution.

The problem solving process can be used for:

 Producing a clear statement of the identified problem/opportunity


 Gathering all necessary information associated with a problem/opportunity
 Analysing collected data and providing a clear statement of the root causes of a problem or
the benefits of an opportunity
 Producing a list of all potential solutions to a problem/opportunity
 Selecting the best solution of fit the problem/opportunity
 Implementing and testing a plan
 Establishing a process for continuous improvement and holding the gains
The procedure and the tools of structured problem solving:

Step 1: Identifying and selecting problem. Firstly, it is necessary to define a problem as the difference
between the target and the actual. A problem report should be written base on measurements.

Step 2: Analysing the problem cause. In this step, only spend time on finding the cause(s) and not to
go to think about the solutions.

Step 3: Identify the root cause. It is the most crucial step that discovers the root cause which create
the problem.

Step 4: Generating potential solutions. It is necessary to explore alternatives because only one
solution is not good enough.

Step 5: Selecting and planning the best solution. Makes sure the right person do the right things at
the right time and planning the best solution results in low cost.

Step 6: Implementing the solution. Seeing the job through to conclusion is necessary, with
appropriate contingency planning in case some of the new ideas do not quite work out.

Step 7: Evaluating the solution. Reviewing the results is very important, that will be sure the problem
really has been solved.

Conclusion:

By study, I found that the structured problem solving play important role in total quality
management, Management should setup the common structured problem solving process for the
organization to solve the problem.
