ABSTRACT:

The project entitles “Digital India Website or Web based grievance” is a planned for providing a
complete automation on handling citizen’s needs and complaints on the government. Flaw
tracking methods are used by companies in order to interact with citizens. The complaints are not
properly maintained. Complaints rely on shared lists and email to monitor the complaints. Proper
maintainence of complaints and resolution of the complaints has to be taken care. In this type of
system it becomes difficult to track a complaint if a complaint is over looked then it may cause
tremendous error in the next phase and can improve the cost of project whatever necessary effort
spent on the complaint maintenance may not be worthy.

This system maintains the complaints and complaint tracking. It has advantage of maintaining
complaint history it stores all the details from complaint origin to complaint resolution. Each
Complaint can have version for easy maintenance of the complaint and all the complaints are
stored in the database. It provides the advantage of maintaning users to the complaint and
resolutions provided for the complaints our system provides the searching based on status,
priority, and complaint type.

COMPLAINT REGISTRATION MODULE

The system has a process of registration. Every user need to submit the complete details
in the form of registration. Whenever a complaint registration completed administrator need to
approve the registration. Then only admin can log into the system by using their user id and
password. Digital India Website has 2 users. They are admin and employee. User can vist the
website and can get inforamtion about avaliable careeers in district, and can also know the
contact details.
ADMINISTRATOR MODULE

Admin should also have rights to accept the registration of the users based on their
profile(unless users should not be able to login to the website). Admin manages the entire
website. This link open to the administrator module which is open to web administrator only.
Here site administrator can add maintain entire system.

Admin will be able to view the employee details and complaint details. Based on the
complaint category, complaints can be alloted to corresponding employee by th administrator.
Admin can login to the system through the first page of the applicantion. After login admin can
change the own profile as well as other employee profile. Help details about software usage will
be maintained by the administrator .Admin can also view the messages send by the particular
citizens.

CITIZEN MODULE

The site opens up door to phpiring web users through the Home page. The Home page is
designed in such way layout is a user firendly as possible. There is a navigational menu at the
top of the page which links to various inner pages. There is a category drop down on the left side
for easy manipulation. The center area is for displaying latest categories in the chorological
order. Users can select the desired board for posing their complaints. Citizen will have options
like own profile details maintenance, viewing replies, popsting complaints and monitoring
complaint status. The module can generate the unique id for complaints, because one complaint
is different the other complaint. By using unique entries, it is possible to identify the particular
board’s compalints seperately which will be usefule while monitoring status.

EMPLOYEE MODULE

Munical authorities can log-in to their accounts as created by administrator. Authorities


can access all the complaints, suggestions from users. Invoke proper activity in response to vaild
complaints, or redirect in appropriate complaints to the administrator. Give response to the
complaints with activity reports. The complaint handling team can access complaints regarding
to the particular board at which are working. Admin can view the complaint and forward to the
corresponding team members.
REPORTS MODULE

The module is used for generating the entire citizen, news, complaints, suggestion and
complaint status reports. Reports can be generated can date wise or through citizen code etc.
based on the select choice. Various reports that can be generated area as follows:

 Employee report
 Citizen report
 Complaint report
 Complaint status report

EXISTING SYSTEM

In existing system, Digital India Website is used for mainitaing e-governance, swachh
mobile app as well as discussion forums. But in case of complaints in government services,
citizen have to visit the office whenever they any complaints regarding the services, which is
time consuming. Whenever a citizen requires form the government office, citizens required to go
the government office and then citizen is required to submit the complaint to the specified
officer. The complaint is written in paper and will be submitted at the government office.

The complaint will be registered or updated by the employee who is handling computer.
The manager will look after it and then will take about the citizens complaints. After that the
manager will enquire and allocate the complaint to the specified peerson in that department. The
person will enquire the complaint and then rectifies it. In some software, complaints are being
recorded by visiting the office but complaint registring takes times.
DISADVANTAGES

 Even though website maintains discussion forums, they are used only for
creating threads based on preferred topics and innovations in IT and
electronicsside
 website maintains only officer details in IT & electronics department
 It takes time for providing service and for maintaining citizens
 Inventory maintanence is more complexity
 Separate books maintained for all transactions
 Here in the existing system the citizens need to visit the government office
 The current system is very slow in access
 Complaint registration, enquiry and complaint accessing is slow
 Communication with the complaint handling team is not possible

PROPOSED SYSTEM:

Any number of teams can be formed for handling problem. the complaints can be assigne
to different persons and will get tracked to closure. The person handling the complaint will have
the facility to communicate with the citizens via emails through the system. The proposed system
is automated process of sending request through the web based system. The complaints can be
sent easily by the citizens from anywhere. The services are given through the system.

 To get water connection easily by registering for water connection through the

 To place EB connection request easily
 In same website entire district grievances and customers connection request
should be managed
