Payroll System for Septimus Trucking Company

Introduction

Payroll is an imperative process in an organization, involving many tasks to ensure accurate and

timely payments of the workforces’ services, as well as to protect the organization's reputation

through effective record-keeping in compliance with the government authorities’ employment

legislation. (Rusly, et. al.; 2017). Thus, a payroll is necessary when dealing with employees well

over the hundreds.

The benefits of having a payroll is to avoid committing errors with employee data lessen effort

by removing the need to double-check guidelines on how it's done, and is more efficient by being

computerized, allowing for accurate computations of employee wages.

The type of information system commonly used for payroll is called a Transaction Processing

System (TPS). This information system can help lessen the effort and time consumed. By having

this kind of system, an organization can compute the employee’s payments and deduction

instantly, and avoid making mistakes with the user’s data. These features are the same as in our

study “Payroll System for Septimus Trucking Company”.

Our study can help the company minimize their efforts in handling their employees’ payroll. It

will make it easier for them to calculate and avoid committing mistakes with their employee’s

payment. It is important to have this payroll system as they’re still using the traditional method

of manually writing their payrolls on a record book; making it possible for them to lose all that

employee data and computations.

1.1 BACKGROUND OF THE STUDY

History

Septimus Trucking Co. (STC) is a Marikina-based rental service that provides trucks for both

individual clients and other companies. Established by Vitellius Logistic Co. (VLC) on January

2018, it was created to primarily service their trucking needs.

With the owner of STC and the CEO of VLC being married prior to the company’s

establishment, the couple used to rent trucks from other services before the wife ultimately

decided to start her own trucking company to rent out to her husband, as well as others.

All about the Client


The name of the company “Septimus” is derived from a Latin praenomen (personal

name) meaning “seventh”. An uncommon name at Rome, it gave rise to the patronymic gens

“Septimia” and was apparently popular in Italy.

Despite the fact that Septimus Trucking Co. is owned by a female — Doris Rivera, a

college graduate — and that the feminine form of “Septimus” is “Septima”, the name was

chosen simply because it was one of the first results that came up in a Google search. 

Policies: the employees must have SSS, PHIC, HDMF.

The store’s existing flow of transactions with SSS, PHIC, HDMF:

1. Government agencies have websites where Client has signed up and has User ID;
2. Their employees, once hired and added to the company roster, will be registered

to these websites.

3. Clients will then validate with these websites if their employees are registered.

4. Client will run the website to update how much Client will pay, then Client prints

the result and pays the government agencies through Client’s bank.

The Cut-off and Pay-off

Payroll Disbursement

The current disbursement method of their payroll is to put their employees’ payroll in an

envelope with cash in it, already deducting the fees required by government agencies.

Problem and Solution

1. Problem:

The current procedure of their wages is being manually written — they put
all of the names of their employees in a Record Book, they would even count the
total wages manually and would also count the total deducted tax fees.
Solution: To create a program where it stores and computes the wages of the
employee's automatically.

2. Problem: 
Security
The information of the employees is manually inputted in a book and is
vulnerable to tampering. It can be easily doctored, and the book itself can be
prone to damage or degradation.

Solution: Create a system and database, then set a passcode so that only the
person authorized can access, edit, or open this file. 

Objective of the study

Our objectives are to create a program that can automatically compute, store, display, edit

and delete the transactions of the employees and solve the company’s current problem.

Our system is able:


 To automatically compute, store, display, edit and delete employee transactions;

 To automatically organize the employee’s information; and

 To minimize Human Resources’ effort of handling other employees’ wages.

Scope and Limitation

Scope
This study aims to have the following features: (1) Payroll Management, which

calculates wages on standard guidelines and schedules; (2) Income Tax and Deductions,

which automatically does pre- and post-income tax deductions such as SSS, PHIC, and

HDMM fees; (3) Records, which centrally maintains all employee records and documents.

Limitations

This study is not capable of computing the work days of the employee, depositing funds

directly into their accounts, calculating wages based on approved leaves and additional

benefits, sending real-time and scheduled messages to the employees, distinguishing

employees based on their pay scale and position and does not have a mobile version.

In the world of commerce, the buying and selling of goods is the most common practice

one would expect to encounter when dealing with transactions in the daily, such as in markets or

street fairs. However, there is another practice just as common, though not as prevalent, and it is

the renting of goods.

Renting is the process of hiring or letting, or in other words, an agreement where the

goods or services are temporary but the process of payment is fulfilled. Though the goods are not

purchased and the time you can use it is limited, it has the benefit of not having to pay for extra

fees, such as a down payment, maintenance costs or repair bills. And because the goods are only

being rented, it has the added benefit of being inexpensive. By not actually owning the product,

renting also takes out the time and effort used in having to maintain it. Typically, the renting

process has the renter fill up their basic information in a rental application — to ensure that they

are eligible to rent the product or service — and has them pay the computed amount based on the

period the renter will be using it for. This is where an information system, specifically a

Transaction Processing System (TPS), comes into play.

The TPS becomes involved in renting when the Client’s transactions are also involved,

which includes the collection, modification and retrieval of all transaction data. TPS can help

avoid the common mistakes and confusion that occur during the transaction of the Client; it

handles detailed data showing the transaction in a much more straightforward process, ensuring

that people can easily comprehend the information presented. An example of a TPS is a Rental

System with Text Message Notification.

The main purpose of developing SMS-based content alerts for a rental system is to reduce

the cost and time used in the rental process. (Osman, , et al.; 2017). Our study will not only have

the benefits that a typical TPS entails, but also has the added feature of easily computing the data
of the Client instantly and sending a text notification to the Client when said transaction is

completed and confirmed.

The client will call for them to set the date and declare what cargo will be transported and

other relevant information needed.

Process of payment/renting

The company will find a driver first, and the grand total the client will need to pay will

vary depending on the weight of the product, the type of truck to be used, and the distance the

shipment will cover.

Rental Procedure
The employees always struggle whenever someone comes to rent, having
to put the name of the available driver and type of truck to be used, time of
renting, and the computation of kilometer-coverage; which is overall tedious and
time-consuming.
 
Solution: 
To create a program where it automatically computes the transaction and stores
client-information.

2. Problem:
Transaction History
If any problem occurs during the transaction, the employees must retrieve
the information from the Record Book, taking a tremendous amount of time to
search for and find the information needed by the employees.

Solution: 
Create a searchable database so that the employees can easily search for and
find the client’s information, which is already organized in the organization’s
database.

Objective of the study

Our objective is to create a program that computes the billing and stores the transaction data

of the rental trucking company.

Our system is able:


 To compute the billing of the renting;

 To minimize the employee’s effort in handling the renting system; and

 To automatically organize the information of the renting transaction.

Scope and Limitation

Scope

This study aims to have the following features: (1) Load Planning and Dispatching,

where once the load is dispatched, the employee will automatically send a text notifying the

client; (2) Billing and Invoice, which comes after the truck is dispatched; (3) Vehicle

Management, which informs the employee of the available trucks left and what type they are;

and (4) Document Management, which automatically manages the documents easily.
Limitations

The study is not capable of sending the employees their wages directly, tracking the

distance the trucks covered and the fuel consumed, keeping truck and employee records,

handling Less Than Load (LTL) orders, and providing reports and analytics about the

business.

Life is not without its hardships; there will always be days where you would have to work

especially hard just to get by, and sadly, most Filipinos’ days are often like that — and with the

current rise of unemployment and the demands of the day-to-day, some will inevitably resort to

borrowing money from their neighbors.

Willing creditors will then lend the amount the debtor needs with the expected condition

that they return the exact amount with added interest. The benefits that come with these kinds of

transactions mostly go to the lender as their return on investment is very favorable. As such,

creditors, or money lenders, will keep records through a log book and compute their transactions

manually. This is where a recording system comes in.

An average recording system is only meant to record and store the data of the clients

(debtors); it helps creditors by making the process of finding their clients’ data simpler and

trouble-free. They then manually encode their client’s data in the system after computing the

data then store it afterwards. There is, however, an example of an application that can both

record and compute the debtor’s data, and it is the “Recording System with Automatic

Computation of Loan and Interest for Creditors”.

The “Recording System with Automatic Computation of Loan and Interest for Creditors”

can help make the recording and computation straightforward. It will automatically store the data

of the debtors and instantly solve for its computation, making it crucial for creditors, as well as

businesses that offer loans, to have a system such as this to avoid confusion, miscomputations

and lessen the time spent on the management of such data. As this is likely to occur, with this

much data but without much experience in managing any formal loan, it is unavoidable for the

BACKGROUND OF THE STUDY

With the emergence of technological involvement in banks and financial institutions

since the 1950s, the modern lending system has arisen. The government has set up organizations

such as RBI in India, the Monetary Authority of Singapore (MAS) in Singapore, and the US
Federal Reserve System to monitor and regulate their countries' banking system. Banks began

providing loans to their customers, an example of which are the following:

1. Secured loans, which are provided as collateral when the asset is submitted. The

amount given in this loan will be assigned on the basis of the value of the property

submitted.

2. Unsecured loans, which are only issued by looking at the borrower's creditworthiness.

For these types of loans, no collateral is needed. They were usually acquired for a

higher interest rate.

3. Demand loans, which are short-term loans with no fixed repayment time and have

floating interest as well. In this type of loan, at any time, the lender can ask the

borrower to repay the loan.

4. Subsidized loans, which are awarded to the borrower with certain benefits, such as a

reduction in the interest rate or a partial reduction in the amount and period of

payment. These are primarily initiated by the government to provide loans for

education and agriculture, etc. In the United States, the government provides students

with educational loans without interest.

5. Concessional loans, also called “Soft Loans”, are provided with zero interest rate or

with the interest rate lower than the market rate.

The lending system began in the 21st century, introducing transformed banking and

financial services into the digital world, which consequently paved the way for the digital

lending system. In order to reduce the manual work and the traditional process involved in the

Project Context

There will be a problem in lending money, as these require data storing and

management. The problem revolves around the creditors using a record book to manually store

all the debtor’s information and transactions, as it is possible for that book to be misplaced,

doctored, or damaged. It is possible for the creditor to dedicate one page per person, but the

debtor’s information can either exceed a page or space will be wasted when there’s little

information inputted.

By taking this research, the proponents ensure that accurate information is

met; avoiding the occurrence of mistakes and ensuring that there are no hidden transactions or

deductions created by the debtors — making sure that the information and transactions of the

debtors are secure and protected and impossible to misplace or rearrange. This will ensure time

management and efficiency for the creditors.

The answer to this problem is our proposed project, Recording System with

Automatic Computation of Loan and Interest for Creditors. The feature of our study is that it can
store and make the client capable of adding, updating and deleting a debtor’s information and

transaction.

1.2 Purpose and Description

The function of the project is to store and compute the transaction data of the

debtors. It can help make the creditors to do their task efficiently, lessening the effort and time

usually spent on accomplishing this task by simply inputting the information and transaction of

the debtors in the system’s database.

Objective of the Study

Our objective is to create a program that records all the debtor’s information and transactions

in a database, so that the creditors can easily access them.

Our system is able:

 To record and store all debtor information;

 To minimize the creditor’s effort of the debtor's transaction and information; and

 To automatically compute the transaction of the debtors.

It has a feature where you can add, update, and delete debtor information;

innovating the current systems typically done by creditors by computerizing the storing of debtor

data, thereby modernizing the time-old act of loaning money in the process.

Scope
This study aims to compute transactions of  debtors, store debtor information, search for

and organize debtor data, with the debtor with the latest due date being first and longer dates

being last.

Limitation

This study is not capable of connecting to the Internet, notifying the creditors of due

dates, being mobile, and automatically deducting debt paid for with credit cards.
