Identifying Organizational Messages 2

Organizational messaging is a key competent to corporate communication in any

organization. It allows for important information to be received to stakeholders and ensures that everyone

is informed on the direction that the organization is moving in. It is also a great vehicle to create space for

internal and external stakeholders to be heard and contribute opinion or information to the heads of the

organization. In this paper, we will explore the aspects of organizational messaging by creating 5 to 7

messages for an organization, specifying the medium in which the messages are given and explain any

consequences that could arise from the way the messaging is communicated.

Organizational Messages:

1. “In recent months, our country has been faced with the unforeseen events due to the COVID-19

outbreak. There has been an official city shut down of business in order to slow down the spread of the

virus. Even though, there has been a mandated shut down of all businesses; there is the expectation for

businesses that are considered essential. We, Planned Parenthood, have been classified as an essential

business and therefore will remain open during the pandemic. This order does mean that we need all

employees to report to work as regular and we will ensure we follow all CDC guidelines in practice”.

2. “We would like to say, as an organization that faces an abundance of discrimination, we stand in

solidary with the Black Lives Matter movement.”

3. “Amidst of a pandemic, we would like to report that we have reached this quarter’s donation goal for

services at our rural locations. We are projecting to be ahead of our previous fiscal year projections by

12%.”

4. “Hello PPFA Family! We want to invite you to an organization wide virtual Christmas party. Be sure

to dress to impress as you grab your cocktail at home and let’s celebrate the holiday together. Hope to see

you all there!”

5. “As an organization, we would like to thank all of our essential workers for all the services you have

provided while the country faces the turmoil of coronavirus. You are appreciated for the efforts and

sacrifices you have made to be able to continue to provide care to our communities. You are a valuable

piece to the organization and to our country”.

The organization in which the messages are made for is Planned Parenthood. Planned Parenthood

Federation of America is a nonprofit organization that provides services for reproductive health, sexual

education and fights for reproductive rights for all. The facilities in which the service is given are often

time medical environments, which allows them to give patients who couldn’t usually afford care, a

chance to be helped.

The first and fifth above listed messages have to do with the country wide health pandemic

COVID-19. The first message would be sent in order to inform employees of the status in which the

organization is in during the pandemic. The message would appropriately sent through email to all

internal stakeholders of Planned Parenthood. The consequence of sending out a message as such could

bring relief and a sense of concerns for stakeholders. There would be relief because jobs would be

sustained for all workers but there would be concern because there’s the risk of coming into contact with

an infected individual. If this message was not communicated to stakeholders then there would be the risk

of employees feeling that they were in jeopardy of being unemployed.

The fifth message is in reference to thanking essential workers for their efforts during a

pandemic. If I were in charge of communication at an organization, this message would most definitely

be issued to all those who are under the umbrella of Planned Parenthood. This message could be passed

through numerous mediums like phone, text message, email, newsletter, tv commercial etc. The

messaging is simple but would go a long way for those who worked diligently while the rest of the

country was shut down. It is always a great idea to show appreciate to those in the organization especially

if they are putting their lives at risk. Also, this message would provide appreciation to those workers who

are working remotely for Planned Parenthood and may be feeling burn out from being confined to their

house. The idea of the message is to keep up morale for everyone especially in uncertain times. The

organization not issuing such a message could come off as if they do not appreciate those who are

working for them; no one wants to feel unappreciated during difficult times.

The second message is a message of Planned Parenthood’s association and support of the Black

Lives Matter movement. Planned Parenthood has showed its alliance standing with the BLM recently

during a times when there was a great deal of protest of the shooting of unarmed Black individuals. The

messaging, if communicated correctly, can provide relief and a conversation for those stakeholders who

identify as minorities. The other possible consequence is that some stakeholders take offense and feel as

though the organization is forgetting to acknowledge “other” groups. The good that can come from this

consequence is that leaders can be may aware of individuals within their organizations that may have a

bias when it comes to diversity. This would hopefully open up a deal of conversation on diversity and

equality within the organization.

The third message is a message reporting on the organization’s financial standing as far as

receiving donations. This type of messaging could be done by a face-to-face meeting or zoom call,

newsletter and/or email. The importance of this type of messaging is that allows for the employees to

understand where the organization resides financial. Because Planned Parenthood is a nonprofit and

provides medical services, it is important that donation goals are met in order to keep everything running

smoothly. When the leaderships give current updates of the financial standings, it allows employees to see

where they have to pick up at in order for the quarterly goals to be met in a timely fashion. The

consequence of communicating this message is that employees will feel more knowledgeable and

involved with the organization; this often gives a sense of importance and will often lead to productivity

increasing. If this messaging is not communicating correctly, it can lead to productivity decreasing

because employees will think that they are farther ahead then they are or employees could feel pressured

to make numbers happen by any means necessary.

The fourth message is a simple message invite for an organization virtual holiday party. The

messaging could be best passed along through e-invite or email. The message is simple and just to bring

some type of joy to the morale of employees. This message has to be communicated well because there

could be consequences if there are not rules established. With everyone being virtual zoom meetings can

be tricky with background of people’s homes, people having a wardrobe mishap or a number of technical

difficulties. If the messaging is delivered correctly though, it can bring unity and something fun to

everyone.
