Toastmaster of the Evening Tip Sheet

Arrive early at the meeting – check agenda and see if all role holders are present
and if there are any changes to the programme at late notice
Shake hands with President. Deep breath, smile, then the Greeting, “Fellow
toastmasters and honoured guests” Introduction of Role, Housekeeping - toilets,
fire escape and mobile phones, Apologies Run through format of evening less/more
detail if guests.(TT, prep speeches, break, evaluations) and any program changes
Explain role of audience, importance of support and applause, voting and feedback
slips and time after speeches to give feedback Explain that when someone comes
to speak at the lectern they shake hands with the person already there, to accept
responsibility for the next part of the meeting.

Total time = around 5 minutes


Introduce grammarian (optional word of the day)

needed and then the TTM by name and shake hands.
After TT session, thank TTM and ask for names, times and lights from timekeeper
if not already requested by TTM and short reminder of what subjects were. Thank
TTM and all participants. Ask audience to vote using their ballot papers.
Introduce evaluator of prepared speech – they give timing and lights to
timekeeper (speech usually five to seven minutes but timing varies – see agenda).

ASK FOR 1 MIN FOR FEEDBACK Repeat steps 6. and 7. for all prepared
speeches

Ask timekeeper for times of all speeches and EXPLAIN VOTING OR NO VOTING (2
or less speakers = TM tradition of no losers)
Introduce VPE to discuss the roles and opportunities at the next few meetings

Break 15-20 minutes (Confirm with President before the meeting – it all
depends on the number and length of speeches)
Recall meeting to order after the break
Briefly explain role of evaluators and why we have the evaluation session
