SYSTEM ANALYSIS AND DESIGN

3.1 SYSTEM ANALYSIS

A system is “an orderly grouping of interdependent components linked together according to a

plan to achieve a specific goal” (Hitesh, 2016). Also, a system is a harmonious arrangement of

component hardware and software that interact to achieve a common goal.

System analysis is the act, process or profession of studying an activity (as procedure, a business,

or a physiological function) in order to define its goals or purposes and to discover operations

and procedures for accomplishing them most efficiently (Hitesh, 2016). It is problem solving

technique that decomposes a system into its component pieces for the purpose of the studying

how well those component parts work and interact to accomplish their purpose. Basically,

system analysis is a process of collecting and interpreting facts, identifying the problems, and

decomposition of a system into its components. The analysis of the current system is to support

conceptualizing and the development of process models for the actualization of the new system.

3.2 ANALYSIS OF EXISTING SYSTEM

In the existing system, registration and profile management facilities for visitors. Regular

updates of the visitor‘s details is sent to both administrator and specified employees. Database of

regular visitors details are maintained. Visitors can check the availability of the particular

employee when they are inside the campus. Prior booking of employee is possible only in

working hours and booking task sometimes becomes very tedious. Immediate check out facility

is available for employees.


Drawbacks Of The Existing System

 The main drawback of this system is that, availability of employee cannot be determined.

 It is a time consuming process and less secure.

3.3 THE PROPOSED SYSTEM

The proposed system is a web based visitors’ management system, where the security officers

will be using a computer system as the major tool for registering visitors. The system have both

the ADMIN Module and the USER Module: The Admin module is where the systems are being

controlled, granting access to the users which is the security personnel in the duty post to control

and manage visitors for proper management of data and information flow of any visitors.

At the User Module, this is where direct interaction with the visitors occur. The registration is

done by the security personnel on duty post by telling the visitor to give him/ her the required

information to be filled on the system.
