STUDY OF INFORMATION SYSTEMS OF COMPANIES

Introduction: Study of Information Systems of Companies INFOSYS and DELL.

A management information system can be considered as a computer system that acts as a

backbone of the operations of an organization. It gathers data from different online systems,
analyses the information accordingly reports data to aid in management decision making. It can
also be considered as the study of how the system works. The major purpose of information
systems is to contribute to a company’s decision making by contributing or providing accurate
and up to date data on a wide variety of organizational assets that includes financials, inventory,
project timelines, manufacturing, marketing, real estate, R&D, raw materials, etc. The whole
system works or performs by collecting data, storing it, and making it available or accessible to
the managers who wish to run reports and analyze data. These information systems need to be
flexible to absorb the inevitable changes in the information needs of the business. It should be
proactive and should anticipate changes in the information needs of different users.

The companies chosen for analyzing the information system are Infosys and DELL. Infosys
Ltd is an Indian multinational corporation that provides, information technology, business
consulting, and outsourcing services. The company headquarters is located in Bangalore
Karnataka India. It was founded on 7th July 1981 by N. R Narayana Moorthy and his colleagues.
Whereas Dell is an American multinational computer technology company that deals with
developing, repairing, selling, computers laptops, and other related product and services. The
company was founded by Michael Dell after whom the company is named after is one of the
largest technological corporations in the world, which employs more than 16500 people in the
United States and other large countries around the world.

At Infosys, all organizational learning is leveraged in delivering the business advantage to

different customers. The whole department of an information system at Infosys is responsible for
strategic planning and coordination of information system technology for all departments under
the board of county commissioners which includes managing of multiparticipant Geographic
Information Management Systems, County’s project work management software, and Oracle-
based business suite and establishment of upgraded and progressive tech standards in an open
system environment. In the case of Dell, the company ensures that the various ideas are shared
across the boundaries of the organization by making appropriate usage and adaptation of the
developed information technology. Dell ha extensively used management information systems,
EDP, different information processing tools to make its operations more efficient. MIS is the
major perspective behind the whole process. The information system as a whole is a value
addition for the company DELL. It provides them with a competitive advantage among its major
competitors like HP, Lenovo, etc. Adding a bottom line, the whole information system provides
improved efficiencies in the functioning if both the companies and helps them to stay active and
updated in the market.

Managing Information Systems in DELL:

Dell Computer Corporation manufactures mainly personal computers, computer peripherals, and

software. Dell sells its products directly to customers through the internet and mail-orders
catalogs rather than through retail outlets.

The information processing tools that Dell uses include computers, the internet, models,
spreadsheets, databases, and maps. Of all the tools used, Maps are the most effective ones. With
the help of maps, one can find the place from which materials are coming in and going out,
which helps in the determination of the demographic data of a place and the people. Databases
and the internet are used extensively, which helps them to analyze the strength and weaknesses
of their competitors. Even their strategies and trends can be analyzed, and an appropriate strategy
can be made to stand the competition.
Dell employs a direct to consumer sales technique, which accounts for ninety percent of its
operations. Dell’s direct customer sales are the heart of the company’s business model.

DIRECT SUPPLY:

The value chain of other companies are as follows:

Suppliers  PC Maker  Distributors  Retailers, Resellers, and integrators final customer.

But the value chain of Dell is SuppliersDell Final customer.

As they have this policy, they have a direct relationship with customers, and they need to
become more efficient in managing the information systems in order to cater to customer needs.

SUPPLIER INTEGRATION:

They integrate with the suppliers on a daily basis and have a long-term forecast od
demand. They have an integrated system with i2 technologies that they use for better forecasting
and reduce the supplier’s risk. They also have a real-time information sharing policy which leads
to faster and effective information flows

CUSTOMER INTEGRATION:

Dell configurator is an application that is used to inform customers about buying patterns,
order placing, service, and support. This real-time activity helps in the retention of relationships
with the customers.

REACHING NEW GEOGRAPHIC MARKETS AND CUSTOMER SEGMENTS:

Dell uses Dell online, Dell Configurator, Premier pages, and the internet to expand their
business. This helps their market share to increase and, in turn, increase revenues.

VIRTUAL INTEGRATION:

There is real-time information sharing within Dell, which forwards the

information back to customers and back to the suppliers on a global basis. The entire company’s
IT systems are integrated. This improves efficiency across the value chains globally.
DELL’S VALUE WEB MODEL:

The lines represent the information flow within the organization.

When customers place orders, the list of the required parts is automatically generated,
and it is forwarded to the suppliers (Hardware and software suppliers) to deliver them to the
factory. The distributors are informed when the product is ready to be delivered.

This requires instant information sharing to function effectively.

The management information system is very important for an organization. In the case of
Dell, they have put it to good use in creating a reliable IT system for both customers and
suppliers. Management Information Systems also helps a company to create or update its
inventory control system. They also help the company to create strategies that will help the
company conquer any problems and threats from competitors. The system also assists the
company in processing the needed information.

At Infosys, MIS started in 1992, when it became a body of information through growing
prominence.

The following overview shows the outline of IS systems implemented over the years:

1992: Body of Knowledge

1995: Technical bulletin, online learning

1996: Companywide Intranet (Sparsh)

1997: Marketing system, process assets

1998: Project leader’s toolkit

1999: People Knowledge Map, organization-wide KM initiative.

2000: Integrated K shop portal.

In INFOSYS to apply IS, the management classifies the information as follows

Internal Information Assets

• Industry-specific Information Assets

• Internal FAQs etc.

External Information Assets

completely driven by the power of information; which genuinely believes in using technology
for innovation; where every employee is motivated by each other's information.
