RE: UNIT 2 - TASK 3 – MANAGING WAREHOUSE OPERATIONS

One of the main issues in managing the warehouse in Mugla has been the control of deliveries coming into the
warehouse.

1. Can you please write a process document to show how you would control the incoming deliveries
in the new warehouse at Jumna, including the information needed, and who you would work with
to ensure the process works?
The following process will be helpful for the incoming delivery at Jumna Warehouse:
 Unload the trucks as efficiently and in a short time as much as possible
 Receive the material from supplier
 Check the quantity and condition of receive goods and so on
 Work with transport department about this to ensure the process work.
The following tasks include while receiving deliveries to the warehouse.
 Inspection of the goods during unloading: All the consignment must have the PO# and the
organization’s logo, bags machine sewed or hand sewed, torn or having hole, weight problems,
any discrepancies, weight problems.
 Truck inspection before unloading: Cleanliness of the truck, make sure that during transport the
driver used good tarpaulins, see how the goods was loaded in term of overloading of the truck,
sealing of truck if it’s a container.
 Inspection after unloading: Check, the presence of alive insects randomly moths in blankets or
clothing, fungus, rotten grain, impurities the smell and taste and sign documents for receipt.
If there is any missing or discrepancies, we have to inform immediately to sender, or even if
there is no any discrepancies, we have to inform transport to acknowledge its receipt because
the sender will need a receipt confirmation from our side to clear the transporter invoice if they
use commercial truck.

2. Can you present a diagram of the new warehouse and include the flow of goods plus identify
where the different items are to be stored?

After estimating space required for bulk storage area and other activities, the next step is to

determine the best way to use the space. The main issues to consider are the layout of the space
for all the activities, the physical location of the products in the bulk storage area, how the
products will flow in to and out of the warehouse facility.
The objective of defining the flow and layout in the warehouse facility is to optimize the efficiency
of the flow of goods through the different operations. The stages involve the following
movements:
 The receipt of goods and sortation
 Storage of goods in the bulk storage area
 Movement of the goods from the bulk area to the picking area
 Selection and reassembly of the goods into loads
 Dispatch of goods

3. You should also describe the resources needed and the working methods that you would use in
each of the working areas, including appropriate precautions for safety.

1. For food and non-food warehouse, the wooden pallets are mandatory. Without pallets
storing of food and non-food items are impossible.
2. Sack Truck,
This can be used for movement of non-food items from truck until its assigned storage place and
as well as from storage place to truck for loading.
3. Hand Pallet Trucks (HPTS)
HPT is needed in Warehouse for the same purpose as Sack Truck, for example we can move big
quantity of till 1000 kgs from storage place till truck (dispatch area) and as well as from receive
area till assigned storage place in warehouse.
Furthermore, we need to design a ladder which is required for the loading of food items on the
truck and as well as it’s off-loading from truck. For example in Kabul we have designed a ladder
which helps daily worker during loading and off-loading.
4. In food and non-food warehouse we have to use mouse stick always to protect food and non-food
items to be not damaged by mice.

How would you modify planned activity to cope with contingencies that may arise?

To cope with any contingencies may arise we can modify the stock as:
1- For food items, if they are in plastic bags we can rise the stacks up to 3M high. If they are in
jute bags we can rise the stacks up to 4M high to have more space for storage of the goods.
2- For non-food items we can put some wooden boards after some rows to protect them from
falling. For example we can use them for Jerry cans and Kitchen sets.
3- For the bales of Blankets we can stack one row in width and length to not fall down and then
we can rise the stack, it will enable us to rise as much as possible. This will create more space for
upcoming goods.
