Lab 1: Creating a Fixed Asset and Asset transfer across


financial dimensions
During this lab, users will perform a historical asset transfer across financial dimensions in
Microsoft Dynamics AX® 2012.

What You Will Learn


After completing this lab, users will be able to:
 Create a new asset.
 Create an acquisition journal for the new asset.
 Process depreciation for a fixed asset.
 Transfer fixed assets between dimension values.

Scenario
A new vehicle has been purchased for the OU_1Department. The vehicle needs to be recorded
as an asset in Microsoft Dynamics AX 2012. After the vehicle acquisition has been recorded as
an asset, the asset has been depreciated. The asset has been depreciated for a period of time.
It has been determined the asset needs to be redeployed to a different department. This lab
provides a walk-through of this scenario. Complete the following steps:
1. Create a new asset to record the vehicle purchase:
a. Click Fixed assets, click Common, click Fixed assets and then click Fixed
assets to open the Fixed asset list page.
b. In the Fixed assets list page, click New fixed asset to open the Fixed assets form.
In the Fixed assets form, create a new asset in the VEHC fixed asset group. Enter
the following on the General fast tab for the new asset:

c. Users will see the following asset:

d. Click Value models to open the Value models form.


e. Click the VEHC value model, and then click the Financial dimensions tab.
f. In the Department-system field, type OU_1.
g. In the Value models form click the Overview tab.
h. Click the VEHC-TAX value model, and then click the Financial dimensions tab.
i. In the Department-system field, type OU_1.
j. Close the Value models and Fixed assets forms.
2. Record an acquisition journal for the new asset:
a. Click Fixed Assets, click Journals, and then click Fixed assets to open the Fixed
assets form.
b. In the Fixed assets form, click New to create a new Fixed assets journal.
c. In the Name field, select the FAA journal name.
d. Click the Lines button to open the Journal voucher form.
e. In the Journal voucher form, enter the following:

o The OU_1 dimension defaults into the second segment of the Offset
account because the OU_1 dimension is mapped to the VEHC value
model.

f. After a user enters this information to the acquisition journal for the new asset,
the Journal Voucher form should appear as seen below.

g. Click Post, and then click Post to post the acquisition journal.
h. Close the Journal voucher and Journal forms.
3. Process depreciation through 12/31/2011 for the new asset:
a. Click Fixed assets, click Journals, and then click Fixed assets to open the Fixed
assets form.
b. In the Fixed assets form, click New to create a new Fixed assets journal.
c. In the Name field, select the FAD journal name.
d. Click Lines to open the Journal voucher form.
e. In the Journal voucher form, click Proposals, and then click Depreciation
proposal from the Menu bar to open the Depreciation proposal form.
f. In the Depreciation proposal form, type a To Date of 12/31/2011.
g. In the Fixed asset number field, enter your new asset by using the Select
button.

h. Your depreciation proposal should appear as seen in Figure 3.

i. Click OK. Users should see lines created in the FAD journal, as seen in Figure 4.

j. Click Post, and then click Post to post the depreciation journal.
k. Close the Journal voucher and Fixed assets form.
4. Review the fixed asset transactions created for the new asset:

a. Click Fixed assets, click Common, click Fixed assets, and then click Fixed
assets to open the Fixed assets list page.
b. In the Fixed assets list page, double click on your new asset to open the Fixed
assets form.
c. In the Fixed assets form, click on the Value models button to open the Value
models form.
d. In the Value models form, click the VEHC value model, and then click
Transactions.
e. Users should see transactions assigned to the new asset as seen in Figure 5.

f. Click the first line in the Fixed asset transactions form, and then click Financial
dimensions tab. The OU_1 financial dimension is assigned to the acquisition
transaction line.
g. Click the second line and subsequent lines in the Fixed asset transactions form,
and then click the Financial dimension tab. The OU_1 financial dimension is
assigned to the depreciation transaction lines.
5. Perform an asset transfer to redeploy the new asset to the OU_115 department:
a. Click Fixed assets, click Common, click Common, and then click Fixed assets
to open the Fixed assets list page.
b. In the Fixed assets list page, double click on your new asset to open the Fixed
assets form.

c. In the Fixed assets form, click Transfer fixed asset to open the Fixed asset
transfer form.
d. In the Fixed asset transfer form, mark the checkbox next to the VEHC value
model. In the Transfer date field, enter 04/20/2011.
e. In the Department-System field, select OU_115.
f. In the Transfer comments field, type Transfer to Main sales department.
g. After a user enters this information in the Fixed assets transfer form, it will
appear as seen in Figure 6.

h. Click OK. The user will receive the following pop-up message.

i. Click Transfer.
6. View the asset transfer information:
a. Click Fixed assets, click Common, click Fixed assets, and then click Fixed
assets to open the Fixed assets list page.
b. In the Fixed assets list page, double click on the new asset to open the Fixed
assets form.
c. In the Fixed assets form, click Transfer history to open the Fixed asset transfer
history form.
d. You will then see the transfer information in the Transfer history form as seen in
Figure 8.
