ABSTRACT

Alumni Tracking System is an online-based application that helps to tracking of


college graduates. The project aims to improve current tracking procedure of
college graduate and providing alumni data to college faculties. It aims to
developing a web portal which will be useful for the college to monitor the
alumni and for the alumni to update their current status about the college
activities. The proposed of this system is to provide an optimized solution for
collecting and managing the alumni data. The system will be an all-in-one place
to handle alumni data, to enable communication between alumni and the
institution and provides great flexible features to keep track of the data. The user
can update their information by simply filling the forms and uploading their file.
One more advantage of the proposed system is that, generally alumni forum will
be managed by group of alumni which would be an overhead to them, this
system is automated hence does not require maintenance effort from the alumni
side. The system will automatically list all Alumni information (name, passing
year, company currently working in, ) and their status will be transferred from
the student module to the alumni module. This is an online website that allows
former students to take advantage of the benefits and services that an institution
offers after graduation. There are many benefits for being an alumni member of a
college or institution . Some of these benefits are : keeping a person informed on
the events that are organized by the institution, and when some important events
are going to be held in the institution.

INTRODUCTION

1.1 ABOUT THE DOMAIN

1.1.1 WEB DEVELOPMENT

Web development is the work involved in developing a Web site for


the Internet (World Wide Web) or an intranet (a private network). Web
development can range from developing a simple single static page of
plain text to complex web applications, electronic businesses, and social
network services. A more comprehensive list of tasks to which Web
development commonly refers, may include Web engineering, Web
design, Web content development, client liaison, client-side/server-side
scripting, Web server and network security configuration, and e-commerce
development.
1.1.2 ABOUT THE PROJECT

As alumni are the people who represent the institute in the real world.
Numerous institutes around the globe offer administrations and
advantages to the graduated class understudies. This is the primary job of
graduated class workplaces. To make the administrations accessible for
the graduated understudies, numerous universities have graduated class
site. As this administration is an electronic application for graduated class
can exploit the administrations offers by the college after they drop.
College offers numerous focal points and advantages for their graduated
class understudies. For instance, it keeps an individual in track with the
occasion which are sorted out by the college. Graduated class entrance
additionally contains significant news about graduated class' field of
study. With the assistance of the graduated class entry, an individual can
without much of a stretch locate the most recent data, occasions which

are going on in the school and some more. A. What is the use of this
portal?
1) Provide a platform where alumni can interact with the institute.
2) Follow current events.

3) Former student can easily contact to alumni officer.


4) Enquire message sent to the admin.

1.1.3 ALUMNI

Web Based Online Alumni Management System helps institutes


strategically build and maintain their alumni network, by facilitating
engagement, community-building, networking, communications and many
other methods. And thus a secondary array of positive marketing takes
place. With Alumni Management System, the Alumni data can be
centralized and combined to use it in any future endeavors.

Alumni System is a online application system which can act as a


interactive medium between the old student and the College, University or
institution. An Online Alumni System is a web based application which
helps the institutions to track old students and to track them for future
endeavors. At the same time it helps the alumni to communicate with the
institution, may be a college or a university and with the old batch
matches.Our Online Alumni Application is helpful for the alumni to get
updated with latest information and news from the institution.

1.2 PURPOSE

This system can be used as an application for the Alumni


Information Database to manage the college information and student’s
information. The system is an online application that can be accessed
throughout the organization and outside customers as well with proper
login provided, which will give better service to the customers.

The Communication between graduates and the institution can be very
beneficial in many situations. For instance, the institution may be
interested in extending an invitation for a guest lecture to one of its
alumni who is a very successful entrepreneur now. But without having
proper contact, the institution will have to spend time tracing the contact.
Thus, maintaining consistent data goes hand-in-hand with establishing
proper communication.

1.3 SCOPE OF THE PROJECT

This system can be used as the Office of Alumni and College


Relations seeks to protect the privacy of its alumni and friends, and thus,
endeavors to safeguard the use of information in its custody. To that end,
the Office of Alumni and College Relations provides constituent
information to requestors only under the conditions.

Background and Motivation
Each year many students graduated from their respective
universities or colleges. It’s is very hard for the colleges and universities
to maintain their comprehensive data and result in lack of communication
between alumni and their alma mater. Even if we have to invite any
alumni for meeting or events it will be very difficult for colleges or
universities to contact them. Many of alumni will start their venture after
graduation, for colleges to make sure that this alumnus takes best of mind
from their college it is necessary to have a relationship with those alumni.

1.4 OVERVIEW

Overall description consists of background of the entire specific


requirement. It also gives explanation about actor and function which is
used. It gives explanation about architecture diagram and it also gives
what we are assumed and dependencies. It also support specific
requirement and also it support functional requirement, supplementary
requirement other than actor which is used. It also gives index and
appendices. It also gives explanation about any doubt and queries. Once a
student graduates from the institute, his/her professional life or career
begins, with higher education playing an important role in establishing
himself/herself in the profession. In respect of College, it has been our
experience that from the very beginning, the alumni have maintained
personal contacts with one another, rather than use the channel of Alumni
Association.

1.5 ORGANISATION OF THE PROJECT

The project includes the detailed information about the method of


grievance support system for students by the advanced technologies. The
process is explained in detail.

 Chapter 1- describes about the objective and problem identification
of project.
 Chapter 2 gives a detailed case study on the existing technology
through literature survey.
 Chapter 3 proposes the idea that is to be implemented in existing
technology.
 Chapter 4 deals with the software implementation and also the
specification of each that is being used.
 Chapter 5 shows the functioning of the project through software.
 Chapter 6 provides a detailed explanation of the result and the
discussions of the existing project.
 Chapter 7 gives the final conclusion of the project.

1.6 SUMMARY

In the next chapter, the various existing systems, and their


drawbacks are being discussed. Also the attention is being brought in
towards the feasibility study.

CHAPTER -2

LITERATURE REVIEW

2.1 INTRODUCTION

In this chapter the literature of the existing system is explained. In recent


trends alumni tracking system is adopted. The following describe the online
alumni tracking system for alumni.

2.2 LITERATURE SURVEY

1. Alumni Tracking Using Google Map API and Social Media based on
GPS and LBS.

This work was carried out in 2017 by NikitaMithapelli, SnehalChavan,


JyotiKumari. Development of mobile internet technology and wide usage
of Smart Phones is increasing rapidly, so more focus has been given to
network access techniques and interactive applications through mobile
phones Android, an open source platform has become popular in smart
phone and used more by people. Aim of our project is to develop an
android application which will be useful to track all the alumni by their
social media account information using web API's. All this information
will be stored in the database or server and it will be visible to the admin or
professor in charge. We will be tracking the location of alumni by GPS
(Global Positioning System), if internet is not available the LBS Location
Based Services will be used and the location will be plotted on Google
Maps. Alumni to alumni messaging facility (chatting module) is provided
through GCM(Google Cloud Messaging) technology.

2. Gathering Alumni Information from a Web Social Network

It was carried in 2018 Gabriel ResendeGonc¸alves; Anderson A.


Ferreira; Guilherme Tavares. In this paper we study An undergraduate

program must prepare its students for the major needs of the labor market.
One of the main ways to identify what are the demands to be met is
creating a manner to manage information of its alumni. This consists of
gathering data from program’s alumni and finding out what are their main
areas of employment on the labor market or which are their main fields of
research in the academy. Usually, this data is obtained through available
forms on the Web or forwarded by mail or email; however, these methods,
in addition to being laborious, do not present good feedback from the
alumni.

Thus, this work proposes a novel method to help teaching staffs of


undergraduate programs to gather information on the desired population of
alumni, semi automatically, on the Web. Overall, by using a few alumni
pages as an initial set of sample pages, the proposed method was capable of
gathering information concerning a number of alumni twice as bigger
than]adopted conventional methods.

3. A Chat bot-based Interactive Question Answering System

This work is carried in 2019 by Silvia Quarteroni and Suresh


Manandhar. Interactive question answering (QA) systems, where a
dialogue interface enables follow up and clarification questions, are a
recent field of research. We report our experience on the design,
implementation and evaluation of a chat bot-based dialogue interface for
our open-domain QA system, showing that chat bots can be effective in
supporting interactive.

4. ALUMNI SATISFACTION

One of the literature reviews (Ali Kara and Oscar W. Deshields, Jr.,
2004) is the study on the relationship between business student
satisfaction and their intentions to stay in a college or university. The
study use empirical data and a conceptual model, the result indicates

that experience of the students affected their satisfaction positively.
The other effect of this study is that the educational institutions that
have a consumer-oriented foundation may have a chance to satisfy
their students' needs and wants effectively. The researchers purposed
the factors and variables to study.

5.ALUMNI ENGAGEMENT

Declining resources are forcing alumni organizations to thinking


differently about alumni engagement (RJ Valentino, 2011). The trends
of social network site help being effective tools to connect alumni and
expand their network (Coughlan, Jamal, Macredie, 2012). In general,
business to business marketing is often concerned with the way in
which companies manage strategically important relationships with
their counterparts (Stephan C. Henneberg, Catherine Pardo, Stefanos
Mouzas, Peter Naude, 2005). The conclusion of one of the studies on
social network site described four main benefits that Alumni have to
acquire.

2.3 SUMMARY

This chapter presents brief concept of the many surveillance


methodologies that are used in different fields to provide more secure ways.
Here certain systems make use of methods such as Complaint box, creating a
web portal only at institute level using which the proposed system can be made
possible by referring the above papers.

CHAPTER 3

EXISTING SYSTEM

3.1 INTRODUCTION

 An alumni tracking is any discontent or dissatisfaction, whether expressed


or not, whether valid or not, arising out of anything that is directly connected to
the institute. The project primarily aims to replace current tracking procedure of
college graduates and providing alumni data to college faculties. It aims at
developing a mobile application and web portal which will be useful for the
college to monitor the alumni's and for the alumni to update their current status
and get notified about the college activities.

The Existing system is a computerized system but which is maintained at


individual databases i.e. in excels sheets, it’s a time delay process. And
maintaining all the records in Excel sheets is difficult. If they want any record
they have to search all the records. It doesn’t provide multiple user accessibility
and also doesn’t have different user privileges. So the system is not accessible
for all the employees of the organization. Data inaccessible from anywhere
because data are not stored in the server.

3.2 LIMITATIONS IN EXISTING SYSTEM

The current system is not completely complete computerized and manual


system in entering students and staff data and handling it. There is no
centralized database maintenance. There is no easy access to the particular
students’ record. The student cannot easily navigate through the database.Also
existing system have a login problem.alumni are access the administration.

CHAPTER-4

PROPOSED SYSTEM

4.1 INTRODUCTION

The Proposed system is a computerized system but which is maintained at


Centralized databases i.e. in automated forms it’s a very fast process. And
maintaining all the records in online systems database which makes it very easy
to access and retrieve data from the database. If they want any record they can
easily search all the records. It provides multiple user accessibility and also has
different user privileges. So the system is accessible for all the employees of the
organization. The proposed system will be web-based applications so it can be
accessed by alumni and students with the help of Internet. It enables quick and
easy communications. Each user will be responsible for updating their own
information’s. Admin will be able to organize meetings and find out about job
opportunities using this system. This concept is implemented as a web
application so that it targets a wide range of users where the user can access the
system from anywhere and at any time through internet. The implementation is
done in such a way that it reduces load on the administrator’s side in maintaining
the updates made by the users. It had many features which includes data
analytics, networking, database management and manipulation. The admin can
communicate with the alumni as well and be notified of any update made by the
users to their profile through weekly reports. Apart from communication and
admin report, the system also allows users to create events. The upcoming events
would be displayed in the home page; thus, the user would be reminded of the
events to be happening so that they would not miss out any important event. The
proposed system also provides job opportunities. The alumni who have job
vacancies in his company can post the job on the portal. This job details will be
visible to both existing students and ex-students.

4.2 ADVANTAGES OVER EXISTING SYSTEM
 It is completely automated system in handling the college database

 The user can update their details anytime. We will design the database
system through which a smooth function of data will happen among each
other.
 An admin can publish an event and news and even delete and all this
happen because of database system.
 An admin can verify user and this also happen because of database system.
 This system provides centralized database maintenance

 This system provides easy access to the particular students account or his
complete details

 This system provides student to easily navigate through the application


for more information in a most secure manner.

 Admin can change user type it also happens because of database system
below is the ER diagram through which we can understand all the key
things.

4.3. SOFTWARE DESCRIPTION

4.3.1 WINDOWS

Windows is a series of operating systems developed by Microsoft. Each


version of Windows includes a graphical user interface, with a desktop that allows
users to view files and folders in windows. For the past two decades, Windows
has been the most widely used operating system for personal computers PCs.
Microsoft Windows is designed for both home computing and professional
purposes. Windows is designed to run on standard x86 hardware, such as Intel and
AMD processors. Therefore, it can be installed on multiple brands of hardware,
such as Dell, HP, and Sony computers, as well as home-built PCs.

4.3.2 HTML

The Hyper Text Markup Language, or HTML(Hyper Text Markup
Language) is the standard markup language for documents designed to be
displayed in a web browser. It can be assisted by technologies such as Cascading
Style Sheets (CSS) and scripting languages such as JavaScript.

Web browsers receive HTML documents from a web server or from local
storage and render the documents into multimedia web pages. HTML describes
the structure of a web page semantically and originally included cues for the
appearance of the document. HTML can embed programs written in a scripting
language such as JavaScript, which affects the behavior and content of web pages.

4.3.3 CSS

Cascading Style Sheets (CSS) is a style sheet language used for describing
the presentation of a document written in a markup language such as HTML. CSS
is a cornerstone technology of the World Wide Web, alongside HTML and
JavaScript.

CSS is designed to enable the separation of presentation and content,


including layout, colors, and fonts.[3] This separation can improve content
accessibility, provide more flexibility and control in the specification of
presentation characteristics, enable multiple web pages to share formatting by
specifying the relevant CSS in a separate .css file which reduces complexity and
repetition in the structural content as well as enabling the .css file to be cached to
improve the page load speed between the pages that share the file and its
formatting.

4.3.4 JAVASCRIPT

JavaScript often abbreviated as JS, is a programming language that


conforms to the ECMA Script specification. JavaScript is high-level, often just-in-
time compiled, and multi-paradigm. It has curly-bracket syntax, dynamic typing,
prototype-based object-orientation, and first-class functions.

Alongside HTML and CSS, JavaScript is one of the core technologies of
the World Wide Web. JavaScript enables interactive web pages and is an essential
part of web applications. The vast majority of websites use it for client-side page
behavior, and all major web browsers have a dedicated JavaScript engine to
execute it. JavaScript engines were originally used only in web browsers, but they
are now core components of other runtime systems, such as Node.js and Deno.
These systems are used to build servers and are also integrated into frameworks,
such as Electron and Cordova, for creating a variety of applications.

4.3.5 PHP

PHP (PHP: Hypertext Preprocessor) is a scripting language that helps


people make web pages more interactive by allowing them to do more intelligent,
complex things. PHP code is run on the web server.

PHP code is usually processed on a web server by a PHP interpreter


implemented as a module, a daemon or as a Common Gateway Interface (CGI)
executable. On a web server, the result of the interpreted and executed PHP code –
which may be any type of data, such as generated HTML or binary image data –
would form the whole or part of an HTTP response. Various web template
systems, web content management systems, and web frameworks exist which can
be employed to orchestrate or facilitate the generation of that response.
Additionally, PHP can be used for many programming tasks outside of the web
context, such as standalone graphical applications and robotic drone control.
Arbitrary PHP code can also be interpreted and executed via command-line
interface (CLI).

4.3.6 MYSQL

MySQL is an open-source relational database management system
(RDBMS). Its name is a combination of “My”, the name of co-founders Michael
Widenius's daughter, and "SQL", the abbreviation for Structured Query Language.
A relational database organizes data into one or more data tables in which data
types may be related to each other; these relations help structure the data. SQL is a
language programmers use to create, modify and extract data from the relational
database, as well as control user access to the database. In addition to relational
databases and SQL, an RDBMS like MySQL works with an operating system to
implement a relational database in a computer's storage system, manages users,
allows for network access and facilitates testing database integrity and creation of
backups.

 In this module admin register the new user, the content is id, name,
address, contact no, email id, password. Admin looks after all the changes
and development in the application. This module is dedicated to the
administrator of the system.

 Alumni registration is the first sub module of this module. It includes
various.
 attributes such as user name, registration number, id, password, dob,
address, email id, company name. after filling all the details there is a
button of submission, if everything is correct, it shows the registration
successfully done otherwise it shows the error message.
 In the alumni list, there is a grid view that displays the list of alumni.
 Next menu is an enquiry which is used to send any notification news about
the college to the alumni student. Admin sends information about the
college to the alumni from time to time.
 In the news module, shows the query which is sent by the alumni, these
query display in a grid view.
 And logout is the finale sub module which is used by the admin to get
logged out.

The alumni module is used by the alumni. This module is only for those
alumni or student which is registered by admin. The alumni module

In the alumni home module, alumni may view the news uploaded by the
admin.
The grid view is linked to the database.

In the profile module, alumni can change his/her profile picture, can view
his/her profile. There are two buttons for edit and update in the module.
 In the enquiry module, alumni can send the message to the admin to get
information about the university and the students.
 The final menu is logout, this menu redirects to the alumni on the home
page.
 Has restricted access. i.e., Normal users have access to some of the
modules only i.e. user can search the list of all their friends.
 They cannot send messages to their batch mates

UPDATE STUDENT DETAILS:


In this module admin can update the details of the student like student
name, password, address, contact number, mail id, register number, department
name. These details stored in database. In this module admin can also update the
details of the alumni like student name, password, address, contact number, mail
id, register number, year of passing, designation. These details stored in
database.

SEARCH USER DETAILS:


In this module can search the details of the students and alumni. It displays
student name, address, contact no, email-id and password. It also displays alumni

VIEW USER DETAILS:


In this sub module we can view the entire details of the students or alumni
are registered.

MAINTAIN USER DETAILS:


In this module admin can maintain student and alumni details regularly.

STUDENT MODULE:
This module helps us to register and after registration it helps us to search
different information regarding the college.

SUB MODULES:

UPDATE USER DETAILS:


In this sub module we can update the details of the user like student name,
gender, address, contact no, mail id. And we store these details in database.

4.7 METHODOLOGY
 As this is a complete online website, there are two technics –
Frontend & Backend.
 Frontend means the design of the website or the designing interface
of the web application.
 Programing languages coming under Frontend: – HTML, CSS &
Java Script.
 Backend means server side programming; it communicates the
client interface with the database and the logic control. Programing
languages coming under Backend: – Php, JavaScript, etc.

4.8 ALGORITHM ( VECTOR MACHINE ALGORITHM )

 This division comprises of four sub-divisions. First, section


describes about the overall flow of alumni management system.

 Second, describes about usage of random number, which type of


cryptography algorithm used to generate random number.

 Third, in this section describes about, Supervised Machine learning


algorithm.

CONCLUSION AND FUTURE ENHANCEMENT

7.1 CONCLUSION

The Alumni Information Database is mainly used to share the views


between the users of the application which is very useful to upgrade the
knowledge of everyone. The application is also serve as a useful site to know
what is going on in our in our college and can also know about the various
opportunities of the outer world. The application can be further expanded by
following the future Enhancements mentioned above.

7.2 FUTURE ENHANCEMENTS

It is not possible to develop a system that makes all the requirements of


the user. User requirements keep changing as the system is being used.
Some of the future enhancements that can be done to this system are:

 As the technology emerges, it is possible to upgrade the system and


can be adaptable to desired environment.
 Because it is based on object-oriented design, any further changes
can be easily adaptable.
 Based on the future security issues, security can be improved using
emerging technologies.
 Attendance module can be added
