Thesis Outline and Guidelines

(Note: this condensed instruction manual was prepared by the IT Department Advisers
of IT41TL & IT481L for the exclusive use of EVSU IT students only.)

I. Documentation Guidelines

1.1 Measurements and style:

a. paper size – white standard short bond paper size 8.5” x 11”
b. hard bound book cover
c. cover color motif and letter print - Maroon color with gold letter print
and 14 font size.
d. margins - left margin = 1.5”, right margin 1.0”, top margin 1.0”,
bottom 1.0”.
e. font style body text and headings – Tahoma
f. body text font size – the general font size in the main document text
is 12
g. page number – all pages except the chapter pages shall be
chronologically numbered. The number page shall be situated at
the top right corner of every page
h. no page number for chapter pages is provided
i. line (sentence) spaces – double space
j. each paragraph must contain at least four (4) but not more than
five (5) sentences only
k. indentations – single tab space must be provided before every
beginning of a paragraph

l. Main title headings should be in upper case in bold letters (e.g.

METHODOLOGY)
m. Chapter headings will be in normal format in bold letters(e.g.
Chapter V)
n. sub-title or sub headings should be written in italics (e.g. Related
Literature)
o. appendices, exhibits, annexes for the tables, data flow diagram,
systems flowchart, HIPO, graph, figures, illustrations, cost
estimates etc. shall not be included in the main body of the
manuscript. They are labeled (titles), and numbered with page
numbers and arranged as separate reference pages
p. footnotes style = journalistic technique (running footnotes)
q. reference materials = must have at least have 10 (ten) reference
materials (books or e-books (web source) unpublished/published
manuscripts, magazines etc.)

II. Manuscript Proper (Main body)

The main body of the manuscript consists of planned dissections of

the research paper. It discusses in chronology the pertinent segments of the
conduct of the research.

The following items consists the outline of the content of the respective
chapters (at least 8-11 pages):

1. Chapter I – INTRODUCTION – (one or two pages) the first page must

contain the general view of ICT as an applied science focusing
specifically on the system under study vis-à-vis the technology being
proposed.

This chapter likewise includes the following discussions:

a. Background of the Study– (two pages) the second and third pages
must include the brief history/origin of the agency identified in the study
such as the type of business organization e.g. partnership, corp., or
sole proprietorship, the nature of the business, location and a brief
general description of the system of the agency under study.

b. Statement of the Problem – (one or half page) this portion states

clearly the general problem of the study. It presents the specific
challenges broken down into detailed sub problems.

c. Objective of the Study – (one or half page) states in a single

statement the general and specific objectives of the research
proposal. It specifically asserts the advantages of the proposal
in quantifiable terms and other important features as an
expected outcome.

d. Significance of the Study – (two-three pages) identifies at least

five or more sectors/persons/organizations/institution etc. that
would benefit in the study. This portion also explains briefly why
and how would they be benefited.

e. Scope and Limitations – (two-three pages) this section

discusses in details what are the specific coverage of the study.
It also identifies and explains the limitations of the study.

2. Chapter II – METHODOLOGY – (one-three page) this section

presents the research (Innovation) techniques and procedures used in
the conduct of the study (i.e. SDLC/ V-Model/ Waterfall Model, etc.).
Define every part/phase of the model/methodology used and discuss
the activities done by the proponents on each phase.

The following items forms part of the chapter:

a. Review of Related Literature – (minimum of four pages) this section

presents discussions about the citations of the related/parallel
studies conducted and or the related literatures available that would
help enrich the understanding of the study being conducted. The
combined related studies or literary citations must not be less than
eight (8) – 4 Local and 4 International.

b. Theoretical Framework – (two-three pages) this section cites the

details of the input-process-output research model. It specifically
explains how the specific technology or software/system would
complement the processes involved in the development of the
proposed program.

c. Documentation of Current System – (one page) this section briefly

states the general operation of the current system. This segment
explains the systems flowchart of the current system.

c.1 Description of the Current System - (two pages) this

section discusses in details the mechanics of the current practice. It

explains how the current system works and is operated. This

portion explains the data flow diagram of the current system.

c.2 Personnel/Equipment used by the Current System –

(two pages) this section discusses the personnel involved related to
its number (how many people) and the specific details of their jobs
relative to the current system under study.

3. Chapter III – REQUIREMENT ANALYSIS SPECIFICATIONS-(one or

half page) this portion introduces the contents of this chapter. It is the
most critical presentation of the study. This segment presents the
general analysis of the research proposal. It explains the result of the
activities found in other chapters especially chapter II (Methodology).

This chapter provides the detailed explanation of the following (at

least 6-8 pages):

3.1.1 answers and explanation to the Statement of the Problem (one-

two pages); It shall answers the following questions: What was
the finding of the study? How was the problem solved? What
has been done?

3.1.2 answers and explanation to the Objectives of the Study (one-two

pages); How was the objective accomplished?

3.1.3 result and explanation of the data gathered and its analysis (one-
two pages);

3.1.4 over-all analysis of the proposed system (two pages). This

portion explains the data flow diagram and the system flowchart
of the proposed system.

3.2.1 System Design Specification - (one-two pages or depending

upon the HIPO) this section discusses the HIPO (Hierarchical Input
Process Output) of the proposed system.

4. Chapter IV – SYSTEM REQUIREMENT SPECIFICATION – (one or

half page) this chapter explains the physical deployment of the system.
It discusses the optimum physical environment (e.g. voltage
requirement, office space and size, tables and chairs, lightings etc.)
and the software and hardware specifications required of the proposed
system.

4.1 Hardware Requirement – (one page) this section discusses

technically the specific hardware specifications, its purposes including
the specific functions and number of items/units to be used.

4.2 Software Requirements – (one page) this portion specifies the

technical requirement of the specific software needed, including the
specific task and number of items/units to be utilized.

4.3 Human Resources Complement – (one or half page) this segment

imparts the role of the manpower requirement of the systems. It
discusses the tasks of the personnel involved and the number of
persons required. It likewise specifies the necessary details of the
training and or the needed skills vital to the proper execution of their
designated tasks.
5. Chapter V - RECOMMENDATION, CONCLUSION, JUSTIFICATION
(one pages) this chapter has two parts that should be introduced briefly
in this section.

5.1 Conclusion and Justification - (one page) this segment summarizes

the highlights and the concluding results of the study. It shall include in
the discussion the effectiveness, efficiency and economic advantages
of the proposal.

5.2 Recommendation - (one or half page) this portion cites the

compelling reasons for the deployment of the system based on the
findings of the study. This portion discusses the necessary measures
or steps to be undertaken in order to be able to make the crucial
systems deployment. The segment discusses also the capability of the
system for future upgrade.

Chapter I

INTRODUCTION

The advent of information technology has changed the face of the ever-

competing world of business. Strategic and tactical managers want more and

more information to support their inherent functions. It is more particular on

corporate decision making, planning, policy formulation, monitoring and

evaluation. Technologies, both wired and wireless are being appreciated for their

cost-effective contributions in arriving at profitable delivery of services and

products to customers.

Information has been one of the vital aspects in success or failure of a

particular endeavor, efficient, organized and accurate system will definitely assist

decisions, which in the end will propel the success of a particular business or

organization. In the absence of such facility the result most likely is the other way

around. Every establishment either public or private looks forward in having a

computerized system. Like a library system, we all know librarians consumed

much time and effort to do such work.

Inventory of books and other library procedures, having it done manually,

that’s why we choose on having this kind of system to lessen the burden of the

said establishment and employees. Likewise the booking system of the People’s

Center under the Presidential Commission on Good Government (PCGG)

operates for almost many years. Its booking officer has just been relying on the

traditional way of pen and paper recording. That’s why the management look

forward to the computerization of the current booking system used by the PCGG.

1.2 Background of the Study

Technology is the human activity involving the necessary processes that is

responsible in the desired changes the material world around us to satisfy our

needs. Today, the advancements of technology opens up new possibilities for

the development of making the things we use do in our daily lives even more

accurate and effective and convenient. The People’s Center is a sequestered

establishment owned by the Marcos Family. After the EDSA Revolution in 1986,

when the Marcos regime ended the Philippine Government specifically the

Presidential Commission on Good Government (PCGG) held the ill gotten wealth

of the Marcos Family, and one of these is the People Center in Tacloban City,

Leyte.

The building is used as a function center and a library. But the library

facility of the said establishment is not much functional because the books and

other reading materials are already old and most of it is not in good condition.

The ground floor of the People’s Center is reserved for use of various social,

civic, & political functions; like trade fairs, school activities such as graduations,

JS Proms, symposiums, and other activities as well as wedding receptions,

Christmas parties and many more. Many companies use this also as a

showroom because of its big space and likewise it is safe for users. It has

sufficient ventilation thus may accommodate more or less five thousand persons.

The People’s Center has been operating for several years; the PCGG

managing the People Center is still relying on the traditional or pen and paper

recording.
