L-Universita ta’ Malta Faculty of Medicine & Surgery 6 August 2021 Attention: M.D. Students Years 1 to 4 Instructions applicable to M.D. on site exams These instructions are in addition to those indicated on the website of and any communication issued by the Registrar's Office. You are therefore expected to be familiar with the FAQs which are prepared by the Registrar’s Office and are available on the following link: /www.um.edu.mt/registrar/exams/assessments/studentfags The M.D. examination timetables shall be issued on the Faculty website later today. Staff, students and invigilators must wear their mask at all times. You are required to attend for the exam 30 minutes before its commencement time. If you are not familiar with the location of the venue, please think ahead. Before entering the examination room you will be requi In accordance with the GDPR regulations, itis no longer possible for the Faculty to communicate any seating numbers via the VLE. The Faculty will provide you with information that would direct you to your examination venue using your surname, ex: those whose surname starts with A—CA will be in venue x, those whose surname starts with Cl~G will be in venue y etc etc. Printed seating numbers will be available inside your examination venue on the day of the examination You are NOT ALLOWED to congregate before or after the exams, with a view to contain the spread of infection. In large examination rooms you will be asked to leave the examination venue in a staggered manner. You are required to bring your own stationery (a minimum of 2 pens, 2 HB pencils, sharpener and rubber). Stationery will not be provided by the Faculty for exams which consist/contain Multiple Choice Questions (MCQs).. It is important that you will have your Identity Card or Passport on the desk, in the examination venue, as the invigilators will need to do the identity check without touching this means of identification. You are required to go through all the paper and if you identify any typos, or require any clarifications by the Board of Examiners you are required to inform the administrative staff immediately. If there are any changes, these will be communicated at once, to all students in all venues, when all students are still present. INTERNATIONAL STUDENTS SITTING FOR MDS3010 INTEGRATED CLINICAL SKILLS EXAM. The University is doing every effort to ensure that students sitting for clinical exams and who are travelling from a country listed as dark red will be given priority to travel and sit for the clinical and any other exams on site. SCENARIOS WHEN STUDENTS MAY SIT FOR THE EXAM REMOTELY VIA AN ENCRYPTED PAPER PROCTORED VIA ZOOM International students who are prevented from travelling from a country listed as dark red and who are listed in the official list provided by the International Office of the University will be allowed to sit for the exam remotely via an encrypted paper and proctored via zoom. Local and International students who will be in mandatory quarantine on the day(s) of a scheduled examination(s) must immediately send the official mandatory quarantine letter to the Faculty on umms@um.edu.mt, In such circumstances, the Faculty will allow you to sit for the examination remotely and will provide you with the encrypted paper, zoom link etc as detailed below. ‘THE PROCEDURE: REMOTE EXAM VIA ENCRYPTED EXAM PAPER A dummy encrypted file for testing purposes has also been uploaded on the VLE, together with instructions how to extract the encrypted file. Further instructions will be sent to the student{s) in such circumstances together with the examination material. The encrypted examination paper, the answersheet and the guidelines are sent a day before the exam by the departmental secretary. The answersheet and guidelines will not be password protected and should be printed a day before the exam. Make sure that you have enough paper and ink for your printer. Such students will be proctored via zoom with the device's front camera. The examination paper will not be corrected if the camera is not switched on at all times, before during and after the meeting. The password for the encrypted exam paper will be given on zoom chat 5-10mins before the exam starts and the students will print the exam paper just before the exam starts. Those students who do not have a scanner may use apps on smartphones as indicated on the following link so that the examination paper will be saved in one document: https://www.um.edu.mt/registrar/exams/assessments/studentfags Alternately students may take photos of the essays and/or MCQ answersheet. Such students will not be allowed to leave the zoom meeting before the Departmental Secretary confirms receipt of the examination paper and/or MCQ answersheet and before confirming that the images are fine. Original papers must be sent immediately after the examination to Doris Mangion, Faculty of Medicine and Surgery, Mater Dei Hospital by registered mail SICKNESS If for any reason you feel unwell (have booked a swab test, had the vaccine or you exhibit any other symptoms of sickness) you will be considered as sick and you will not be allowed to sit for the exam. Requests to sit for the exam remotely will be turned down. Page 20f3 19. 20. May we remind you that if you are sick you are required to inform the Faculty within one hour of the start of the examination on umms@um.edu.mt and present a medical report in the first instance within 24 hours of the commencement time of the examination. If a scanned copy is initially provided the original copy must subsequently be presented, so that this will be referred to Senate. Every effort has been made to make these exams safe for everyone and the Faculty is adhering to the mitigating measures stipulated by the Health Authorities.
