Sub: Notification regarding nomination/appointment of Secretaries for Gymkhana sub-committees for smooth
conduction of TSG activities and other related issues at various levels.

Due to the CoViD-19 Pandemic, students are not in the campus, therefore (Proper Democratic Process)
elections cannot be held due to certain limitations. It has been observed, discussed and decided by the competent
authority that for smooth conduction of activities related to Technology Students’ Gymkhana, an Ad-hoc Officiating
Students’ Council is needed to be formed till the election is being conducted for Permanent Students’ Council.

The first phase of the process has been completed and an Ad-hoc Officiating Students Council has been formed
after approval from the competent authority. The council needs to nominate/appoint Secretaries for Gymkhana sub-
committees for smooth conduction of TSG activities related to all four major disciplines (Sports & Games,
Technology, Social Cultural & Students Welfare)

Interested eligible students of 2nd Year and above can apply for the position of Secretaries in the prescribed
format as mentioned in the attachment.

GENERAL INFORMATION AND INSTRUCTIONS TO THE STUDENTS:

1. As per the Rule and Regulations mentioned in TSG Constitution, TSG Invites applications from all eligible students of IIT Kharagpur for Secretary of Subcommittees.
2. One Application from one student will be considered (Please add duly signed separate A4 Size paper is the allotted space is not sufficient.
3. The Students must download the Application form and fill the same with CAPITAL LETTERS / UPPER CASE,
4. After careful examination and filling of the form, the student must put signature(s) at designated place(es) on the Application Form, without which the application will
not be considered.
5. The Signed Application form and certificates of all Credentials as mentioned in Section B of the Application Form must be scanned to a Single PDF File and to be
sent through email to mail ids mentioned in page 1 of this document before 11:59 PM of 25th December 2020.
6. The forms received after 11:59 PM of 25th December 2020 or Application forms sent without scan copy of certificates or Application forms sent to any other email ID will
not be considered in any case.
7. For any queries related to filling up of Application Form, Evaluation Criteria, Process and evaluation or any other, please contact Vice President, TSG
8. In case of any discrepancy (If any) and at any stage, the decision of the President, TSG will be considered as final.
