INTRODUCTION
Agendus toolbar
quotes of the day. New in version 4 you can look up addresses for businesses and indi-
viduals and view historical facts.
Web-Style Hyperlinks: Click on web addresses, email addresses, and phone numbers
to open a browser, new email message, or phone dialer.
Voice Recording and Sketching: Quickly add voice memos and drawings to meet-
ings, tasks, and memos.
Agendus Toolbars in Outlook Dialogs: If you prefer to use native Outlook-style
dialogs, version 4, adds toolbars to the native calendar, task, and contact edit dialogs to
give you easier access to Agendus features. (You still have the option to use Agendus
dialogs using preferences.)
Real-Time Contact History: A new contact history section at the bottom of most
views is constantly updated with events related to the primary contact associated with
the currently selected item.
Additional Memo Functionality: We have added an expanded Memo view and
enabled setting alarms for memos.
Usability Improvements and Refinements: We have also made many improvements
to the interface and existing features, making Agendus easier to use than ever before.
For example, the New button is now context sensitive: clicking it in calendar views
opens a new meeting while clicking it in Contact views creates a new contact. (Click
the down arrow next to the New button to choose what type of item to create.)

INSTALLING AGENDUS
System Requirements
Before installing Agendus for Windows, Outlook edition, make sure your system meets
or exceeds the following system requirements:
• A PC running Windows 2000 or later, including Windows XP, Windows XP
Media Center Edition, and Windows Server 2003.
• An installed version of Microsoft Outlook, version 2000 or later.
• 20 MB of available hard disk space for installation.
Internet services, including weather services, mapping, and quotes of the day, require
an Internet connection and an installed Internet browser.
1. Exit all Windows programs, including Outlook, Palm Desktop, and earlier
versions of Agendus for Windows.
2. Using Windows Explorer, navigate to the folder where you downloaded the
Agendus installation file (for the English-language version, the file is
AgendusWinOuEdSetup.exe).

1. Start Outlook.
2. From the Help menu, select About Agendus to open the About Agendus box.
Agendus appears as a
folder within Outlook
Agendus uses the same data as Outlook, so all of the data you have already entered in
Outlook is automatically available in Agendus. Agendus can even use the same data
entry dialog boxes as Outlook. However, you may find some of the Agendus features
are more accessible and easier to use if you select to use the Agendus dialogs. While
you are in Agendus, these boxes can replace the standard Outlook boxes.
To choose between using Outlook or Agendus date entry and editing dialogs, you will
need to start Outlook and then set the Agendus preferences (see page 65).
Note: If you switch to the native Outlook calendar, task, or contact list, Outlook will use
its own boxes.
Note: Photos assigned in Outlook dialogs will not be available in Agendus, and photos
assigned in Agendus dialogs will not be available in Outlook’s contact or calendar
views. Several default meeting icons, including rollover, birthday, anniversary, and
photo, and multiple attendees will not be displayed for items created using Outlook
dialogs. Several memo features, including assigning icons and contacts to memos,
are only available when using Agendus dialogs.
Starting Agendus
Agendus runs as an add-on to Outlook. Start Agendus by starting Outlook, and then
click on the Agendus folder in Outlook’s mail section.
Agendus adds its own toolbar to Outlook. You can open Agendus by clicking on one
of the buttons in the toolbar, or you can click on the Agendus folder listed under
Outlook’s mail folders.
Once you are in Agendus, most of the common features can be reached within a few
clicks using the toolbar and main screen.

Agendus Views
One of the key benefits of Agendus is the ability to choose how you want your infor-
mation displayed. There are five main views—Today, Calendar, Contacts, Tasks, and
Memos—and each view can be tailored to your needs. Switch between views using the
Agendus toolbar or clicking on the Agendus folders.
Within each view you can change the view mode (for example, change between week
or month mode in the calendar view), show or hide details, group information, and set
display options.
In every view, Agendus uses icons to give more information about the items shown.
You can change key elements of listed items without changing to a different view. For
example, edit an item by double-clicking on it, mark an item as complete by clicking
on its checkbox, or edit an item’s attached note by double-clicking its note icon.
Right-click shortcuts, available in most views, allow you to work more efficiently. For
example, from the contact list add a selected contact to a new meeting or from a
calendar view schedule a follow up for a selected meeting. To open a shortcut menu,
move your mouse cursor over an item and click the right mouse button.

Today View
In the Today view, Agendus displays the events you need to know about for today,
including the day’s meetings and pending or overdue calls and tasks. (Completed tasks
and calls will not be displayed in the Today view.)
Additionally, if you have an Internet connection, the Today view can retrieve quotes,
show a weather forecast, and display recent unread email information.
To select the Today view, click on the Today button in the Agendus toolbar.

Meetings, Tasks, and Calls: Today’s meetings, tasks, and calls are displayed at the top
of the Today view. Past-due tasks and calls are also included. You can also use Prefer-
ences to gain up to 7 days advance notice on meetings and tasks (see page 67).
Quote of the Day: Quotes can be drawn up from iambic if you have an Internet connec-
tion or from a specially formatted memo. Use Preferences to turn on this option and to
select the data source (see page 67).
Day in History: Historical facts from the current date in previous years. This feature
requires an Internet connection.
Weather: A weather forecast for the set location. Change the location using Prefer-
ences. Notice that there is an icon at the top of this view that shows the current weather
forecast. There will also be weather icons in calendar views so you can see predicted
weather conditions at a glance. This feature requires an Internet connection.
Recent Messages: Use Preferences to choose how far back to preview emails and
whether or not to include emails that you have already read.

Grouping
Use grouping to bunch contacts together by any of the contact fields. For example,
group by company to easily see all contacts at a specific company. When contacts are
grouped, you can easily show or hide any grouping.

Mapping
From the Contact view, easily call up a browser window with a map of a contact’s
address or directions between two contact addresses.
• For a map, right-click on the contact and select Map Address from the pop-up
shortcut menu.
• For driving directions, click on a contact name and then hold down the
Control key and click on a second contact name. Then right-click on one of
the contacts and select Driving Directions from the shortcut menu.
Set which Internet mapping service you want to use by setting the contact preferences
(see page 70).

Dialing
It is easy to use your computer’s dialer to quickly dial a contact. In most views, phone
numbers act like web-style hyperlinks, where clicking on the phone number will start
your computer’s dialer. Additionally, in the Contact view’s List mode, you can right-
click on a contact to open a shortcut menu with an option to dial the contact and from
within the Edit Contact screen, you can click the dial button to open the dialer.
Note: Wait until you hear the other line ringing before you picking up your handset.
Agendus uses the Windows system dialer: see your Windows documentation for infor-
mation on using the dialer and adjusting the dialer volume.

Contact History
Contact histories are built from the scheduled calls, tasks, meetings, and memos where
your contacts are assigned as primary contacts. (For repeating meetings only the last
instance of the meeting will be shown.)
Most Agendus views support a contact history pane at the bottom of the window; show
or hide this pane by clicking the Contact History button in the upper right of the
Outlook window. To show the history for a contact in this pane, you must click on an
item where the contact is assigned as the primary contact.
To open a separate window with the contact history, you can view a contact history by
clicking on an item to select it, then right-click and select Contact History from the
shortcut menu. If you are in the Edit Contact screen, you can click the Contact History
button.

Of course there are appropriate tasks to fit in every quadrant, but the goal should be to
have most items in quadrant B and as few items as possible in quadrants A, C, and D.
• Recording important items before they get urgent (quadrant B) gives you
better perspective and allows you to have better control over your time, and
limits the number of crises you have to face.
• Too many tasks in quadrant A leads to stress and burnout from crisis manage-
ment and running around putting out fires.
• Too many tasks in quadrant C leads to chronic short-term focus and loss of
control.
• If you have too many tasks in quadrant D, then you can see that your time is
being taken up by too many unimportant items.
To change a matrix setting for an item, double-click on the item to open the schedule
slip for the item. (See page 44.)

Memo Views
Agendus adds to the power of Outlook’s notes by adding a memo pad within Outlook.
The Memo pad allows you to write simple text memos or notes to yourself, and to
assign contacts, photos, categories, and icons to these memos.
Agendus supports two Memo view modes:
• List: Lists the first line of each memo.
• Expanded List: Lists up to four lines of each memo.
Switch to the Memo view by clicking the Memos button in the Agendus toolbar;
change modes by selecting the new mode from the list in the upper right of the Memo
view. Sort the memo list by contact name, first lines of memos, or other fields by
clicking on column headings.
For more information on creating or editing memos, see page 57.
Note: To assign contacts, photos, or icons to your memos, you need to use the Agen-
dus data entry box. See page 65.

3. Turn the quote of the day on or off using the check box.
4. If you choose to display the quote of the day, you can choose between pulling
up quotes from a specially formatted memo, downloading them from the iam-
bic quote server, or downloading them from another server.
Note: Using a server option requires an Internet connection.

1. In the Agendus toolbar, click on the New button and select New Memo.
2. Format the memo as follows:
• The first line should say AgendusQuotes
• Each following line should have a quote number, followed by a space,
followed by the quotation, followed by a space, followed by the author.
The quotation and the author must be in quotes.
• Each quote should start on a new line.
3. Click Ok.
Note: To view the quotes, Quote of the Day must be enabled in the Today View
options. See page 29.

Note: If you switch to the native Outlook calendar, task, or contact list, Outlook will use
its own boxes.
1. In the Agendus Toolbar, click the down arrow next to the New button and
select one of the following from the pop-up menu:
• Select New Meeting from the pop-up to open a meeting schedule slip.
• Select New Annual Event to create a meeting that repeats yearly.
• Select New Weekly Meeting to create a meeting that repeats every week.
2. Enter the date, time, primary contact, meeting description, and other attributes
into the schedule slip. (See “Editing Meetings” on page 33.)
Tip: As you start typing the name for the primary contact, Agendus will
attempt to match the name to a saved contact.
3. Once you have entered all the information for the meeting, including setting
any alarms or adding a note, click OK to save the meeting and return to the
previous view.
Editing Meetings
Add or edit meetings using the Agendus meeting schedule slip. The schedule slip for
meetings is similar to the schedule slip for tasks and calls, but has some differences
specific to meetings.
In the meeting schedule slip, there are five tabbed pages: General, Repeat, Note, Voice,
and Sketch. Click a tab to switch between the pages. Within the General tab there are
four sections: Details, Options, Attendees, and Photos. Click a heading to view these
different sections.
Date and Time Enter the date and time at the top of the schedule slip. You can click on
the date button box to open the date picker or click the Today button to
enter today’s date. If there is no specific time for the meeting, select
All Day Event. You can also use the time bar to enter a time.
Time Bar The time bar graphically displays the time and duration of the meeting.
Click and drag on the time bar to set the meeting time.
Primary Contact In the contact box, enter a primary contact. As you start typing letters,
Agendus will try to match your entry with your contact list. Keep
entering letters until the correct contact is displayed, or click the drop-
down button on the right side of the contact box to view matching
entries. (Agendus will match the letters you type against whatever
field is set to display first in contact preferences, either first name, last
name, or company name. The order of these fields is shown to the left
of the contact box.)
You can also select a primary contact by clicking the Contact List but-
ton.
For new contacts, finish entering the name and then click the Edit Con-
tact button: you will be prompted to add the new name to your contact
list.
Enter other contacts for the meeting on the Attendees page.
Set Alarm Enable or disable a meeting alarm, set the amount of time before the
meeting starts to sound the alarm, and set the sound effect for the
alarm.
You must enable the alarm to view the alarm settings.
Category Click on the category box at the bottom of the schedule slip to select a
category or categories for the meeting. You will also be able to edit
categories and add new ones.
You can use categories as a filter, so that only records in a specific cat-
egory are displayed, or set preferences to have Agendus automatically
assign colors or icons based on categories.
Private Private meetings can be masked or hidden from the Agendus views
using the security settings in your palm device.
Effect Apply effects to the text of the meeting. You can apply an underline,
strike through, or double strikethrough. This effect will apply to the
primary contact and meeting description in the calendar views.
Add Attendees Click this button to view the Select Contact window. select a contact
from this window and click Select to add the contact to the list of
attendees.
Details Select a contact from the list and click Details to view or edit the con-
tact’s details.
Remove Select a contact from the list and click Remove Attendee to remove the
Attendee contact from the list.
Select Photo Click Select Photo to open a photo browser where you can search your
computer to select a JPEG or BMP image to attach to this meeting.
To use part of the selected picture, click Crop. This will open another
window where you can click and drag over the portion of the picture
you want to use.
Remove Photo If you have attached a photo to a meeting, click this button to remove
this attachment. This will not delete the photo from your computer.
Note Open a page where you can write a memo attached to this meeting. In
the calendar views, meetings with notes will appear with a note icon.
Play the saved voice memo. This button is only available when there is

Make a freehand drawing. Hold down the left mouse button to use the

paint color and the right mouse button for the background color.
Left click on a color in the sketch to make it the paint color; right click
Eyedropper
to make it the background color.
Fill an area with the paint or background color (left or right click).

Lines & Shapes Click and drag to draw a straight line, oval, or rectangle.
Pencil Select a thickness for the pencil, line, and shape tools.
Colors Select paint and background colors. The background color will also be
used as a fill color for shapes.
Undo/Redo Undo up to the last nine actions. Redo works only after using undo.
Cut, Copy, Paste Cut or copy the selection to the clipboard, or paste a selection from the
clipboard into the sketch.
1. In the Agendus Toolbar, click the down arrow next to the New button and
select one of the following from the pop-up menu:
• Select New Call to create a task to call or email someone.
• Select New Task to create a new task.
• Select New Call from Template to create a new call based on a call
template you have previously saved.
• Select New Task from Template to create a new task based on a call
template you have previously saved.

attributes of the meeting.

2. Enter the date, time, primary contact, task description, and other attributes
into the schedule slip. (See “Editing Tasks and Calls” on page 44.)
Tip: As you start typing a name onto the contact line, Agendus will try to fill in
the correct name. Opening the contact box at this point will show all names
that match the letters you have entered so far.
3. After entering the information for the meeting, including setting any alarms or
adding a note, click OK in the schedule slip to save the task.
Matrix Click on the matrix box to select the importance and urgency of this
task. See page 27 for more on using matrix settings.
Agendus can assign a default setting (page 72).
Date Click on the date box to open the date picker and assign a due date.
Agendus can assign a default due date or change this to the completion
date when you mark off a task as completed (page 72).
Phone Numbers If you are creating or editing a call, and you have assigned a primary
(Calls Only) contact, you can click the Phone Number button to insert one of the
contact’s saved phone numbers into the description area.
This button is not displayed for tasks.
Advance Set how many days prior to the task date you want the task to appear in
the Day views.
To set a default advance period for new tasks, see page 72.
Repeat Click the repeat tab to set up a task as either a repeat or a redo.
Repeat: Tasks can repeat every set number of days, weeks, months, or
years, through a specified end date. For example, you could have the
task repeat on the 15th of every month or on the same date every year.
Redo: Set a task as a redo if you only want it to repeat after it has been
completed. For example, you may want to set a task for oil changes to
“redo” every 90 days.
Using Templates
Using templates is an easy way to quickly create new meetings, tasks, or calls that are
similar to others you have created.
To Create a Template:
1. In the Agendus toolbar, click the down arrow next to the New button and
select one of the New from Template options to open the Template list.
2. Click the New button to open a schedule slip for the selected item type.
3. Fill out the schedule slip with all the items you want included in the template.
When you use a template to create a new item, the date in the new item will
change to a new date.
4. Click OK to open the template name box.
5. Type a name for the template and click OK to return to the template list.
6. Click Create Item in the template list to create a new meeting, task, or call
based on the selected template, or click Close to close the templates window.

2. Select the template name from the list and click Create Item.
3. All of the attributes from the template will be copied into a new record except
for the original’s date.
To Delete a Template
1. In the Agendus toolbar, click the down arrow next to the New button and
select one of the New from Template options to open the template list.
2. Select the template name from the list.
3. Click the Delete button and click OK to delete the template and return to the
template list.
4. Click Close to close the template list.

Scheduling Follow-Ups
Quickly schedule a follow up to any meeting, call, or task as long as it has a primary
contact assigned.
1. Right-click on the selected item and select Schedule Follow Up from the pop-
up menu.
1. Right-click on the item you wish to convert and select Convert To from the
pop-up menu.
Note: Depending on the view you are in, you may need to click on the item to
select it before right clicking.

1. In the Agendus Toolbar, click on the down arrow next to the New button and
select New Contact from the pop-up menu to open a blank Contact entry.
Note: The New button is context sensitive, so clicking it while in the contact
views will start a new contact.
Contact Networking
Agendus for Windows, version 4, includes a new feature called contact networking.
With contact networking, you can specify relationships between your saved contacts.
1. When creating or editing contact information, click the Linked Contacts tab at
the top of the Contact dialog.

on the item and then click Edit.

3. Select the type of relationship and the related contact. If you don’t see a suit-
able relationship, click Edit Relationships.
4. In the Edit Relationships box, click New to add a relationship to the list or
click on an existing relationship and click Edit to open the Edit Relationship
box.
5. Type a name for the relationship and select if you want to designate it as a
directional relationship.
Note: Relationships can be directional or non-directional. “Assistant” is an
example of a directional relationship, since one person in the relationship is
assisting and the other person is being assisted. Agendus will indicate direc-
tional relationships by adding “of” in the other person’s relationship list. For
example, if you add Jeremy as Albert’s assistant, then in Jeremy’s contact
details it will say that Jeremy is the “Assistant of: Albert.”
Address Lookup
If you have an Internet connection, you can use Agendus to look up or verify addresses
for individuals or businesses.
1. In the Agendus toolbar, click the Agendus button and select Address Lookup
or, from the Contact slip, click the Address Lookup button .

name or company name in the search criteria. If you opened the Address
Lookup dialog from the Contact slip, this information will be filled in from
that contact.

4. Select one of the results and click Add to either create a new contact with the
found address or to use the found address in the contact slip you were just
editing. You can also dial the found number using the Windows dialer or map
the found address in a new browser window.

1. In the Agendus Toolbar, click the New button and select New Memo from the
pop-up menu to open a blank memo.
Free-Time Finder
Agendus makes it easy to search for an available block of time with the free-time
finder.
2. Enter your search criteria, including how large an open block of time you
need and what days of the week to search. To exclude a certain time of day or
set other options, check Advanced.
3. Click Find to view the search results.
4. Click on one of the marked days to show a list of matching times on that day
and select one of those times to open a new meeting schedule slip for that day.
Click Cancel in the search results to return to the free-time finder to set new
criteria.

Vivid Agenda
Use Vivid Agenda to assign text colors and icons to meetings, tasks, and memos
based on keywords used in their descriptions.
1. To set up or view the current Vivid Agenda rules, click on the Agendus button
in the Agendus toolbar and select Vivid Agenda.
2. Click New to create a new rule or click on a rule and then click Edit to change
an existing rule.
3. Enter the key words or phrases you want to use. The rule is not case sensitive,
so it does not matter if you enter the words in upper- or lower-case letters.
4. If you want this rule to apply only to new entries you create, click Ok; If you
want this rule applied to new and existing entries, click Apply.
5. In the Vivid Agenda Rules list, click Done to return to Agendus, or click
Apply to apply all Vivid Agenda rules to existing and future entries.

Capture to Agendus
The Capture to Agendus feature allows you to quickly use text from a note or email to
create a new meeting, task, memo, or contact.
Tip: If the text you want to capture is not already in Outlook, you can copy and
paste it into a memo in Outlook, and then capture it.
3. In the capture text box, select the type of new record you want to create. You
can also edit the text you captured.
4. Click Ok to open a new schedule, contact, or memo slip.
5. Finish entering the details for the new item and click Ok.

Tip: You can assign default icons by category using Agendus preferences.

Editing Icons
To view the installed icons, in the Agendus toolbar click the Agendus button and select
Icon Editor, or from a schedule slip, click on the icon list and select More Icons.
Once you have clicked on an icon, it will appear in the editor on the left side of the
window.
Tip: If you see an icon similar to what you want, you can select that icon, duplicate it,
and then edit the duplicate. (Duplicates will appear at the bottom of the icon list.)

General Preferences
The general Agendus preferences allow you to choose between using standard Outlook
dialogs or using specialized Agendus dialogs (page 31). Using Agendus dialogs will
make some Agendus features more accessible and easier to use. This option will only
affect data entry dialogs while you are using Agendus; it does not affect any other
sections of Outlook.
This is also where you can select to use additional icon sets that you may have installed
on a Palm OS handheld device.
In the Agendus toolbar, click the Preferences button and click the General tab.
Note: Photos assigned in Outlook dialogs will not be available in Agendus, and photos
assigned in Agendus dialogs will not be available in Outlook’s contact or calendar
views. Several default meeting icons, including rollover, birthday, anniversary, and
photo, and multiple attendees will not be displayed for items created using Outlook
dialogs. Several memo features, including assigning icons and contacts to memos,
are only available when using Agendus dialogs.

Quote of the day displays different quotes each day. Agendus can retrieve these quotes
over the Internet from iambic’s quote server or another server, or it can pull up quoted
from a specially formatted memo (see page 29).
The weather forecast is displayed in the Today view and also displays forecast icons in
some of the other calendar views. For cities in the United States, enter either a city and
state or a ZIP code; for other locations, enter a city and country.
Turning on the email summary will show your unread message headings. Agendus
shows the unread messages for the email client selected under the Internet Options in
the Windows Control Panel (see your Windows documentation for more information).
1. To open the wallpaper preferences, go to the Agendus toolbar and click Pref-
erences, then click the appropriate tab: Day View, Week View, Month View,
Year View, or List View.

Edit button to open the Wallpaper Settings dialog.

Contact Preferences
Contact preferences in Agendus include setting the display order of your contact list
(by first name, last name, or company name) and setting text labels for the custom
contact fields.
This is also where you can set an Internet mapping service for mapping contact
addresses.
To open the contact preferences, in the Agendus toolbar click Preferences and then
click the Contact View tab.

Meeting Preferences
Set the default values for new meetings and choose the scale for the time slider on the
meeting schedule slip. Changing these settings will not affect any meetings already
created.
To open the meeting preferences, go to the Agendus toolbar, click Preferences, and
then click the Meetings tab.

Task Defaults
Set the default values for new tasks and calls. Changing these settings will not affect
any Tasks or calls already created.
To set defaults for new tasks and calls, in the Agendus toolbar click Preferences and
then click the Task Defaults tab.

Note: If an item is in more than one category, it will use the highlight color for the first
category in this list.
Editing Themes
To edit a theme, go to the Agendus toolbar, click Preferences and click the Themes
and Colors tab. Then click the Edit Themes button.
When you are creating a new meeting or task, Agendus supports Quick Fill
when assigning a primary contact. In the schedule slip for the new meeting or
task, start typing the contact’s name into the contact box; Agendus will try to
fill in the name for you. Keep writing or typing the name until the correct name
is shown.
Note: Quick Fill will only search for names that match the first display field
(first name, last name, or company name). Change the order these fields are
displayed by changing the contact preferences. (See page 70.)
6. How do I set the color for meetings shown in the week block mode?
The color shown for each meeting in this view is the color for the category that
was assigned to that meeting. Set category colors in the Themes/Colors tab of
the Agendus preferences.
