INTRODUCTION

Agendus for Windows Overview


Agendus for Windows, Outlook Edition, is a plug-in for Microsoft Outlook that works
with the existing contact and schedule data you have in Outlook and provides a more
integrated means of entering data and viewing your personal information in the way
you choose.
Agendus adds easy access to hundreds of powerful, custom features for organizing
your schedule, contacts, and life. Freely customize your calendar interface with color
themes and icons, filter and sort your contacts, and even edit and create icons for
linking to calendar events, meetings, calls, notes, or tasks. With Agendus you'll enjoy
the familiar user interface of Microsoft Outlook with added intuitive features that for
one-click actions that run circles around the mundane Outlook experience. Agendus is
so easy to use you'll be up to speed in minutes, using our straightforward shortcuts to
turbo-charge Microsoft Outlook information input.
In addition to the power Agendus for Windows adds to Outlook, it is also a great
companion program for users of Agendus for Palm OS. If you like the features on your
desktop, you’ll love them on your Palm-powered device.
Whether you use it professionally, for school, or just to manage your spare time, we
hope you find Agendus to be the ideal tool.

Take Control of Your Schedule


You can now easily view more of your schedule at once. All of your scheduled phone
calls, meetings and tasks are shown together in the different calendar views—change
between day, week, month, quarter and list views with a single click. Make the infor-
mation easier to read at a glance by having Agendus add colors and icons to specific
items, whole categories, or to items that use specified key words.
Agendus also allows you to link your contacts, meetings, tasks, and memos. Assign a
contact to a meeting, or check the contact history to see other appointments you have
made with a selected contact.

• Works within Outlook: Agendus uses the same data and many of the same
dialogs as Outlook, so there is no need to transfer data.

different views to review all of your important commitments.
• Customize the way Outlook displays data: Agendus offers additional views
so you can display your calendar, tasks, contacts, and notes the way you want.

more out of Agendus. Automatically view weather forecasts in the calendar
views or open maps to contacts’ addresses in a new browser window.
• Work more efficiently with templates: Use templates to quickly create new
meetings or tasks without retyping repetitive information.

What’s New in Version 4


If you are upgrading from an earlier version of Agendus for Windows, you will see that
we have made many changes in version 4 to make it more closely match the features in
our handheld software.
Here are some of the key new features in version 4:
Vivid Agenda: Automatically assign icons and colors to meetings, tasks, and memos
based on keywords contained in the item
Contact Networking: Indicate how contacts are related to one another and allow easy
switching between related contacts.
Capture to Agendus: A new copy and paste feature that lets you quickly capture text
in a memo or email and transform it into a new appointment, task, call, or email.
Internet Services: With a network-enabled PC, you can register Agendus, get weather
forecasts for your location or a contact’s, get maps to contact addresses, and download

quotes of the day. New in version 4 you can look up addresses for businesses and indi-
viduals and view historical facts.
Web-Style Hyperlinks: Click on web addresses, email addresses, and phone numbers
to open a browser, new email message, or phone dialer.
Voice Recording and Sketching: Quickly add voice memos and drawings to meet-
ings, tasks, and memos.
Agendus Toolbars in Outlook Dialogs: If you prefer to use native Outlook-style
dialogs, version 4, adds toolbars to the native calendar, task, and contact edit dialogs to
give you easier access to Agendus features. (You still have the option to use Agendus
dialogs using preferences.)
Real-Time Contact History: A new contact history section at the bottom of most
views is constantly updated with events related to the primary contact associated with
the currently selected item.
Additional Memo Functionality: We have added an expanded Memo view and
enabled setting alarms for memos.
Usability Improvements and Refinements: We have also made many improvements
to the interface and existing features, making Agendus easier to use than ever before.
For example, the New button is now context sensitive: clicking it in calendar views
opens a new meeting while clicking it in Contact views creates a new contact. (Click
the down arrow next to the New button to choose what type of item to create.)

INSTALLING AGENDUS

System Requirements
Before installing Agendus for Windows, Outlook edition, make sure your system meets
or exceeds the following system requirements:
• A PC running Windows 2000 or later, including Windows XP, Windows XP
Media Center Edition, and Windows Server 2003.
• An installed version of Microsoft Outlook, version 2000 or later.
• 20 MB of available hard disk space for installation.
Internet services, including weather services, mapping, and quotes of the day, require
an Internet connection and an installed Internet browser.

Upgrading from Earlier Versions of Agendus


Agendus for Windows, Outlook edition, is available at a discounted price for owners
of earlier versions of Agendus for Windows. Please visit www.iambic.com/upgrade/
for complete information and upgrade options.
When you upgrade to version 4, you do not need to uninstall your previous version.
However, you may wish to uninstall earlier versions to free up space on your hard drive.
Uninstalling will not remove any data from your system.

Installing Agendus for Windows


Follow these steps to install Agendus for Windows, Outlook Edition.
Note: Agendus for Windows, Outlook Edition, requires Microsoft Outlook 2000 or
later. If Outlook is not already installed, follow the directions included with Outlook to
install that software. Outlook must be installed before installing Agendus for Windows,
Outlook Edition.

1. Exit all Windows programs, including Outlook, Palm Desktop, and earlier
versions of Agendus for Windows.
2. Using Windows Explorer, navigate to the folder where you downloaded the
Agendus installation file (for the English-language version, the file is
AgendusWinOuEdSetup.exe).

3. Double click on the file to start the Agendus installer.

4. Follow the on-screen instructions to finish installing Agendus for Windows.


Note: When you first install Agendus, you will be able to run it for three days without a
demo or activation code. See below for information on obtaining and entering these
codes.

Entering Demo and Activation Codes


When you first install Agendus, you will be able to run it for three days before you will
need to enter a demo or activation code. A demo code extends the trial period and an
activation code permanently unlocks Agendus on your PC.
If you downloaded a trial version from iambic, a demo code should have been included
in the email with the download instructions. If you can’t find your demo code, please
visit www.iambic.com/support/codefinder.asp.
If you do not have a demo code, please visit www.iambic.com and go to the page for
Agendus for Windows. On that page click the Free Trial button and follow the on-
screen instructions. Then follow the steps below to enter the code.
If you have purchased directly from iambic, PalmGear, Handango or another online
partner, you should have received a certificate code to activate the software. If you
can’t find your code, please visit www.iambic.com/support/codefinder.asp.
If you have not yet purchased Agendus for Windows and you have an Internet connec-
tion, you can purchase online by opening the Help menu and selecting About Agendus
and clicking the Purchase button.
To enter a demo code or activate Agendus:

1. Start Outlook.
2. From the Help menu, select About Agendus to open the About Agendus box.

3. Click the Purchase button to open the Agendus - Purchasing box.


4. Click the Enter certificate/demo code button to open the Agendus Registra-
tion box.

GETTING STARTED WITH AGENDUS

Before You Begin


Agendus runs as an add-on to Outlook. When you run Outlook you will see that there
is an Agendus toolbar and, in Outlook’s mail folders, an additional folder labeled
Agendus. Click on a toolbar button or on a folder to use Agendus.

Agendus uses the same data as Outlook, so all of the data you have already entered in
Outlook is automatically available in Agendus. Agendus can even use the same data
entry dialog boxes as Outlook. However, you may find some of the Agendus features
are more accessible and easier to use if you select to use the Agendus dialogs. While
you are in Agendus, these boxes can replace the standard Outlook boxes.

To choose between using Outlook or Agendus date entry and editing dialogs, you will
need to start Outlook and then set the Agendus preferences (see page 65).
Note: If you switch to the native Outlook calendar, task, or contact list, Outlook will use
its own boxes.

Note: Photos assigned in Outlook dialogs will not be available in Agendus, and photos
assigned in Agendus dialogs will not be available in Outlook’s contact or calendar
views. Several default meeting icons, including rollover, birthday, anniversary, and
photo, and multiple attendees will not be displayed for items created using Outlook
dialogs. Several memo features, including assigning icons and contacts to memos,
are only available when using Agendus dialogs.

Starting Agendus
Agendus runs as an add-on to Outlook. Start Agendus by starting Outlook, and then
click on the Agendus folder in Outlook’s mail section.
Agendus adds its own toolbar to Outlook. You can open Agendus by clicking on one
of the buttons in the toolbar, or you can click on the Agendus folder listed under
Outlook’s mail folders.
Once you are in Agendus, most of the common features can be reached within a few
clicks using the toolbar and main screen.

Agendus has many features to make common tasks even easier:


• Right-click shortcut menus: In most views you can move the mouse cursor
over a meeting, task, memo, or contact and click the right mouse button to get

• Templates: Save common meeting settings (times, attendees, locations) as


templates so you won’t have to enter them every time you create a new
meeting (page 50).
• Default colors and icons by category: Set default highlight colors for
different categories of meetings, tasks, contacts, and memos (page 76); set
default icons for meeting, task, and memo categories (page 75).
• Default colors and icons by keyword: Use Vivid Agenda to set default text
colors and icons for meetings, tasks, and calls that contain keywords that you
specify (page 60).

Agendus Views
One of the key benefits of Agendus is the ability to choose how you want your infor-
mation displayed. There are five main views—Today, Calendar, Contacts, Tasks, and
Memos—and each view can be tailored to your needs. Switch between views using the
Agendus toolbar or clicking on the Agendus folders.

or month mode in the calendar view), show or hide details, group information, and set
display options.
In every view, Agendus uses icons to give more information about the items shown.

You can change key elements of listed items without changing to a different view. For
example, edit an item by double-clicking on it, mark an item as complete by clicking
on its checkbox, or edit an item’s attached note by double-clicking its note icon.
Right-click shortcuts, available in most views, allow you to work more efficiently. For
example, from the contact list add a selected contact to a new meeting or from a
calendar view schedule a follow up for a selected meeting. To open a shortcut menu,
move your mouse cursor over an item and click the right mouse button.

Today View
In the Today view, Agendus displays the events you need to know about for today,
including the day’s meetings and pending or overdue calls and tasks. (Completed tasks
and calls will not be displayed in the Today view.)
Additionally, if you have an Internet connection, the Today view can retrieve quotes,
show a weather forecast, and display recent unread email information.
To select the Today view, click on the Today button in the Agendus toolbar.

Refresh the data

Meetings, Tasks, and Calls: Today’s meetings, tasks, and calls are displayed at the top
of the Today view. Past-due tasks and calls are also included. You can also use Prefer-
ences to gain up to 7 days advance notice on meetings and tasks (see page 67).
Quote of the Day: Quotes can be drawn up from iambic if you have an Internet connec-
tion or from a specially formatted memo. Use Preferences to turn on this option and to
select the data source (see page 67).
Day in History: Historical facts from the current date in previous years. This feature
requires an Internet connection.
Weather: A weather forecast for the set location. Change the location using Prefer-
ences. Notice that there is an icon at the top of this view that shows the current weather
forecast. There will also be weather icons in calendar views so you can see predicted
weather conditions at a glance. This feature requires an Internet connection.
Recent Messages: Use Preferences to choose how far back to preview emails and
whether or not to include emails that you have already read.

Calendar: Day View


In the Day view, Agendus shows a time line listing all of the meetings for the selected
day. A second pane shows the month for the displayed day; click on a date in the month
to show details for that day. A third pane can switch between showing tasks or contacts.
Using preferences you can display due tasks in the time line. You can also filter any of
the lists in this window to show only entries in a particular category.
To select the Day view, click on the Calendar button in the Agendus toolbar and then
click on the button.

Calendar: Week Views: List, Grid and Block


Agendus supports four modes for the Week view:
• List: Single-column list beginning with past-due To-Dos and calls followed
by meetings, tasks, and calls for each day of the selected week. Calls and tasks
are listed under their due dates. Only days with commitments are included in
the list.
• Grid 7 and Grid 14: Grid views showing all meetings, tasks, and calls over a
period of 7 days or 14 days.
• Block: Each day of the selected week is a separate column in this display.
Rest your mouse cursor over an entry to view the item’s description.
Tip: Use preferences to set if weeks begin on Sundays or Mondays.

Note: In the Week List view, past-due tasks (tasks and calls) appear in a Past Due
section at the top of the list. In the Grid modes, past-due tasks appear on today’s date.
If you have checked the weather forecast in the Agenda Today view, a weather icon
will show up next to the dates for the next five days in the Grid modes.

Calendar: Month Views: Standard and Clocks


Agendus supports two modes for the Month view:
• Standard: Displays the first few entries for each day of the month. The
number of entries depends on your screen size and resolution and the size of
the Agendus window. Click on a day to view the full schedule for the day in
the details area on the right side of the screen.
• Clocks: Shows two clocks for each day with a dated meeting or task. The first
clock represents the morning and the second clock represents the afternoon.
Darkened segments of the clocks indicate scheduled meetings. Rest your
mouse cursor over a clock to view details.
To select the Month view, click on the Calendar button and then click the button.

Calendar: Year View


In the Year view, see condensed month views for the entire year. You will see markers
on dates with scheduled events. Click on a date to view the day’s details.

Calendar: List View


In the List mode, see a list of items for the next week, month, or date range you specify.
condensed month views for the entire year. You can also list things such as past due,
future due, and annual events.

Contact Views: List, Business Card, and Photo


Agendus supports three modes for the Contact view:
• List: Lists one contact per line. Click on a contact to view contact details on
the right side of the window. Change which fields are displayed by right-
clicking on a column heading and selecting Show Column.
• Business Card: Displays each contact in a business-card layout.
• Photo: Displays thumbnails of all the contact photos.
To select the Contact view, click on the Contact button. To change between modes,
click the mode menu in the upper-right of the window.

Grouping
Use grouping to bunch contacts together by any of the contact fields. For example,
group by company to easily see all contacts at a specific company. When contacts are
grouped, you can easily show or hide any grouping.

Mapping
From the Contact view, easily call up a browser window with a map of a contact’s
address or directions between two contact addresses.
• For a map, right-click on the contact and select Map Address from the pop-up
shortcut menu.
• For driving directions, click on a contact name and then hold down the

Dialing
It is easy to use your computer’s dialer to quickly dial a contact. In most views, phone
numbers act like web-style hyperlinks, where clicking on the phone number will start
your computer’s dialer. Additionally, in the Contact view’s List mode, you can right-
click on a contact to open a shortcut menu with an option to dial the contact and from
within the Edit Contact screen, you can click the dial button to open the dialer.
Note: Wait until you hear the other line ringing before you picking up your handset.
Agendus uses the Windows system dialer: see your Windows documentation for infor-
mation on using the dialer and adjusting the dialer volume.

Contact History
Contact histories are built from the scheduled calls, tasks, meetings, and memos where
your contacts are assigned as primary contacts. (For repeating meetings only the last
instance of the meeting will be shown.)
Most Agendus views support a contact history pane at the bottom of the window; show
or hide this pane by clicking the Contact History button in the upper right of the
Outlook window. To show the history for a contact in this pane, you must click on an
item where the contact is assigned as the primary contact.
To open a separate window with the contact history, you can view a contact history by
clicking on an item to select it, then right-click and select Contact History from the
shortcut menu. If you are in the Edit Contact screen, you can click the Contact History
button.

Task Views: List, Expanded List, Hierarchy, and Matrix


The Task views show only your tasks and calls. Agendus supports four modes of Task
views:
• List and Expanded List: Lists all tasks and calls in the selected time period.
In List mode each item takes only one line; in expanded list mode, each item
takes up to two lines. Change the order the tasks are listed by clicking on a
column heading.
• Hierarchy: The Hierarchy mode allows you to “nest” tasks, so you can define
one or more tasks as being parts of a larger task.
• Matrix: The Matrix mode allows you to view your tasks in a 2 x 2 grid based
on the assigned importance and urgency of each item.
To select a Task view, click on the Tasks button in the Agendus toolbar. To change
between modes, click the mode menu in the upper-right of the window.

Task Hierarchy Mode


The Hierarchy mode of the Task view allows you to “nest” tasks and calls, so you can
define one or more items as parts of a larger task. This is similar to the expanding
folders used in MS Windows Explorer.
To select the Task Hierarchy mode, click on the Tasks button and then select Hierarchy
from the mode menu in the upper-right of the window.

Task Matrix Mode


The Matrix mode of the Task view allows you to view your tasks and calls based on
their assigned urgency and importance. This scheme follows an efficiency scheme
advocated by FranklinCovey. These matrix settings can be used instead of or in combi-
nation with priorities to help organize tasks.
To select the Task Matrix view, click on the Tasks button and then select Matrix from
the mode menu in the upper-right of the window.

Of course there are appropriate tasks to fit in every quadrant, but the goal should be to
have most items in quadrant B and as few items as possible in quadrants A, C, and D.
• Recording important items before they get urgent (quadrant B) gives you
better perspective and allows you to have better control over your time, and
limits the number of crises you have to face.
• Too many tasks in quadrant A leads to stress and burnout from crisis manage-
ment and running around putting out fires.
• Too many tasks in quadrant C leads to chronic short-term focus and loss of
control.
• If you have too many tasks in quadrant D, then you can see that your time is
being taken up by too many unimportant items.
To change a matrix setting for an item, double-click on the item to open the schedule
slip for the item. (See page 44.)

Memo Views
Agendus adds to the power of Outlook’s notes by adding a memo pad within Outlook.
The Memo pad allows you to write simple text memos or notes to yourself, and to
assign contacts, photos, categories, and icons to these memos.
Agendus supports two Memo view modes:
• List: Lists the first line of each memo.
• Expanded List: Lists up to four lines of each memo.
Switch to the Memo view by clicking the Memos button in the Agendus toolbar;
change modes by selecting the new mode from the list in the upper right of the Memo
view. Sort the memo list by contact name, first lines of memos, or other fields by
clicking on column headings.

Setting Up Quote of the Day


In the Today view, you can select to view the “quote of the day.” These quotes can be
pulled up from a specially formatted memo or, with Agendus Pro, retrieved from the
iambic quote server using Internet services.
To display or hide quote of the day:

1. In the Agendus toolbar, click on the Preferences button.


2. Click on the Today View tab.

4. If you choose to display the quote of the day, you can choose between pulling
up quotes from a specially formatted memo, downloading them from the iam-
bic quote server, or downloading them from another server.

6. In the Today view, you may need to click on the quote area to retrieve the first
quote. If you are using the Memo pad as a source, you will need to set up an
AgendusQuotes memo before you can view any quotes.

The Quote of the Day feature can be set to pull quotes from a special memo in the
memo pad.
Note: If you have installed Agendus for Palm OS on your handheld device, you may
have a sample file, AgendusQuotes.txt, on your PC in the folder c:\Program Files\iam-
bic Software\Agendus for Palm OS\. We recommend opening this file, copying its con-
tents, and then pasting the text into a new memo in Agendus for Windows.

To set up the Quote of the Day memo from scratch:

1. In the Agendus toolbar, click on the New button and select New Memo.
2. Format the memo as follows:
• The first line should say AgendusQuotes
• Each following line should have a quote number, followed by a space,
followed by the quotation, followed by a space, followed by the author.
The quotation and the author must be in quotes.
• Each quote should start on a new line.

WORKING WITH AGENDUS

Using Agendus or Outlook-Style Data Entry


With Agendus for Windows, you can use standard Outlook data entry and editing
dialogs or you can use Agendus dialogs (see page 10). Using Agendus dialogs makes
some Agendus-specific tasks more accessible and easier to use than in the Outlook
dialogs. For example, setting icons for meetings and assigning matrix settings to tasks
is easier using the Agendus dialog boxes.
The following sections describe using the Agendus dialogs and schedule slips. If you
need information on using Outlook dialogs, please consult your Outlook documenta-
tion.
To choose between using Agendus or Outlook dialogs, please see page 65.
Note: Whichever method you use, most data will continue to be available in both
Agendus and in the other modules of Outlook. Photos assigned in Outlook dialogs will
not be available in Agendus, and photos assigned in Agendus will not be available in
Outlook’s contact or calendar views. Several default meeting icons, including rollover,
birthday, anniversary, and photo, and multiple attendees will not be displayed for items
created using Outlook dialogs. Several memo features, including assigning icons and
contacts to memos, are only available when using Agendus dialogs.

Note: If you switch to the native Outlook calendar, task, or contact list, Outlook will use
its own boxes.

Creating New Meetings and Annual Events


Meetings, events, tasks, and calls are all created through Agendus using the schedule
slip. The type of record you create will affect some of the options in the schedule slip.
Meetings are typically date-specific appointments to get together or do a certain thing
on a particular day. Although meetings usually have an associated start time and dura-
tion, they can also be set with no time; for example you may add a holiday by setting it
up as a meeting with no set time.

1. In the Agendus Toolbar, click the down arrow next to the New button and
select one of the following from the pop-up menu:
• Select New Meeting from the pop-up to open a meeting schedule slip.
• Select New Annual Event to create a meeting that repeats yearly.
• Select New Weekly Meeting to create a meeting that repeats every week.

• Select New Meeting from Template if you previously saved a meeting as


a template and want to base the new meeting on that template (see
page 50.)
Tip: An easy shortcut in the calendar views is right-clicking on a day to create
a new meeting already set to that date.

2. Enter the date, time, primary contact, meeting description, and other attributes
into the schedule slip. (See “Editing Meetings” on page 33.)

3. Once you have entered all the information for the meeting, including setting
any alarms or adding a note, click OK to save the meeting and return to the
previous view.

Editing Meetings
Add or edit meetings using the Agendus meeting schedule slip. The schedule slip for
meetings is similar to the schedule slip for tasks and calls, but has some differences
specific to meetings.
In the meeting schedule slip, there are five tabbed pages: General, Repeat, Note, Voice,
and Sketch. Click a tab to switch between the pages. Within the General tab there are
four sections: Details, Options, Attendees, and Photos. Click a heading to view these
different sections.

Date and Time Enter the date and time at the top of the schedule slip. You can click on
the date button box to open the date picker or click the Today button to
enter today’s date. If there is no specific time for the meeting, select

Time Bar The time bar graphically displays the time and duration of the meeting.

Click and drag on the time bar to set the meeting time.

Primary Contact In the contact box, enter a primary contact. As you start typing letters,
Agendus will try to match your entry with your contact list. Keep
entering letters until the correct contact is displayed, or click the drop-
down button on the right side of the contact box to view matching
entries. (Agendus will match the letters you type against whatever
field is set to display first in contact preferences, either first name, last
name, or company name. The order of these fields is shown to the left
of the contact box.)
You can also select a primary contact by clicking the Contact List but-
ton.

If you have installed more than one icon set, select More Icons to view
icons from one of the other installed sets. (Icon sets must be installed
on your handheld before they will be available in Agendus for Win-
dows.)
Icons are used in several of the Agendus views to help you visually
identify records.
Icons can be automatically assigned by category using Agendus pref-
erences.
If you have installed icon sets on a Palm OS handheld device, you can
use these icons in Agendus for Windows. See page 65.

Set Alarm Enable or disable a meeting alarm, set the amount of time before the
meeting starts to sound the alarm, and set the sound effect for the
alarm.
You must enable the alarm to view the alarm settings.

Category Click on the category box at the bottom of the schedule slip to select a
category or categories for the meeting. You will also be able to edit
categories and add new ones.
You can use categories as a filter, so that only records in a specific cat-
egory are displayed, or set preferences to have Agendus automatically
assign colors or icons based on categories.

Location Enter a location for the meeting.

Private Private meetings can be masked or hidden from the Agendus views
using the security settings in your palm device.

Color Apply a text color to the meeting description.

Roll-Over Set a meeting to “roll over” to have Agendus automatically keep


rescheduling a meeting for the same time on the next day. This allows
the meeting to stay on the calendar in case it gets postponed. When the
meeting occurs, open the meeting’s schedule slip and turn off this
option.
When this option is enabled, you can set the roll over to continue
indefinitely or set an end date.

Effect Apply effects to the text of the meeting. You can apply an underline,
strike through, or double strikethrough. This effect will apply to the
primary contact and meeting description in the calendar views.

Tasks and calls are tasks that need to get done. They may have deadlines or dates you
want to see them completed, but they usually don’t need to be done at a specific time.
Calls are a special category of task, so you can’t assign a category to a call.
Creating new tasks and calls is very similar to creating a new meeting. They just use a
slightly different version of the schedule slip.

1. In the Agendus Toolbar, click the down arrow next to the New button and
select one of the following from the pop-up menu:
• Select New Call to create a task to call or email someone.
• Select New Task to create a new task.
• Select New Call from Template to create a new call based on a call
template you have previously saved.
• Select New Task from Template to create a new task based on a call
template you have previously saved.

Add or edit tasks and calls using the Agendus task schedule slip. The schedule slip for
tasks is similar to the schedule slip for meetings.
To view the schedule slip for a saved task, right click on the task and select Edit from
the menu that pops up.
In the task schedule slip, there are three tabbed pages: General, Repeat, and Note. In
the General tab, there are three sections: Details, Options, and Photos. Click a tab to
switch between the pages.

Using Templates
Using templates is an easy way to quickly create new meetings, tasks, or calls that are
similar to others you have created.

To Create a Template:
1. In the Agendus toolbar, click the down arrow next to the New button and
select one of the New from Template options to open the Template list.

2. Click the New button to open a schedule slip for the selected item type.
3. Fill out the schedule slip with all the items you want included in the template.
When you use a template to create a new item, the date in the new item will
change to a new date.
4. Click OK to open the template name box.

5. Type a name for the template and click OK to return to the template list.
6. Click Create Item in the template list to create a new meeting, task, or call
based on the selected template, or click Close to close the templates window.

To Create a New Record from a Template


1. In the Agendus toolbar, click the down arrow next to the New button and
select one of the New from Template options to open the template list.

3. Click the Delete button and click OK to delete the template and return to the
template list.

Scheduling Follow-Ups
Quickly schedule a follow up to any meeting, call, or task as long as it has a primary
contact assigned.

1. Right-click on the selected item and select Schedule Follow Up from the pop-
up menu.

2. In the Schedule Follow-Up box, select to schedule the follow-up as a meeting,


call, or task and click OK. This will open up a new schedule slip for the
selected type with the primary contact and a description already entered.
3. Finish filling out the new schedule slip and click OK.

Converting Tasks, Calls, and Meetings


It is easy to change the type of a meeting or task, although you will lose any information
that is not supported in the new type. For example, if you change a meeting to a task,
you will keep the date and primary contact, but lose the time and attendee list, since
those items aren’t supported by tasks.

1. Right-click on the item you wish to convert and select Convert To from the
pop-up menu.
Note: Depending on the view you are in, you may need to click on the item to
select it before right clicking.

Agendus integrates directly with the native Outlook contact list. You will see all the
names you have already entered in Outlook also in the Agendus Contact list, and
contacts you create in Agendus will also be available in Outlook’s contact list.

example of a directional relationship, since one person in the relationship is
assisting and the other person is being assisted. Agendus will indicate direc-
tional relationships by adding “of” in the other person’s relationship list. For
example, if you add Jeremy as Albert’s assistant, then in Jeremy’s contact
details it will say that Jeremy is the “Assistant of: Albert.”

6. Click Ok to save the relationship.


7. Click Done to close the Edit Relationships list.
8. In the Edit Link box, make sure the correct relationship and contact name are
selected and click Ok. The new relationship will now be listed in the Linked
Contacts tab and in the views where contact details are listed.

Address Lookup
If you have an Internet connection, you can use Agendus to look up or verify addresses
for individuals or businesses.

1. In the Agendus toolbar, click the Agendus button and select Address Lookup
or, from the Contact slip, click the Address Lookup button .

Creating New Memos


Agendus integrates directly with Outlook’s notes feature. All of your existing notes
will be available through the Memo view, and you can add new memos. Agendus
expands the functionality of memos by allowing you to assign contacts, photos, high-
light colors, and icons to your memos.

Free-Time Finder
Agendus makes it easy to search for an available block of time with the free-time
finder.

Vivid Agenda
Use Vivid Agenda to assign text colors and icons to meetings, tasks, and memos
based on keywords used in their descriptions.
1. To set up or view the current Vivid Agenda rules, click on the Agendus button
in the Agendus toolbar and select Vivid Agenda.

The Capture to Agendus feature allows you to quickly use text from a note or email to
create a new meeting, task, memo, or contact.

One icon set is installed with Agendus. If you have a Palm OS handheld device, icon
sets that you have for your handheld will also be available in Agendus for Windows.
Additional icon sets are available for sale from www.iambic.com and other vendors.
Agendus also includes a built-in icon editor, so you can edit existing icons or create
your own personalized icons.
To add an icon to a meeting, task, or memo, open the schedule slip and click on the icon
menu; if you have installed additional icon sets, select More Icons from this menu.

General Preferences
The general Agendus preferences allow you to choose between using standard Outlook
dialogs or using specialized Agendus dialogs (page 31). Using Agendus dialogs will
make some Agendus features more accessible and easier to use. This option will only
affect data entry dialogs while you are using Agendus; it does not affect any other
sections of Outlook.
This is also where you can select to use additional icon sets that you may have installed
on a Palm OS handheld device.
In the Agendus toolbar, click the Preferences button and click the General tab.

some of the other calendar views. For cities in the United States, enter either a city and
state or a ZIP code; for other locations, enter a city and country.
Turning on the email summary will show your unread message headings. Agendus
shows the unread messages for the email client selected under the Internet Options in
the Windows Control Panel (see your Windows documentation for more information).

these views, you can set the font and, except for the day views, a background color or
wallpaper image.

1. How do I access the other views?
Click on one of the buttons in the Agendus toolbar to change between today,
calendar, contact, task, and memo views. From within the calendar, you can
select between day, week, month, and year views by clicking the view buttons
at the top-left of the calendar. For views with multiple modes, select the mode
(such as list or grid) from the drop-down menu at the top-right of the calendar.

2. What is ADVANCE on tasks for?


This sets how far in advance of task due dates you want to be able to see tasks
in the Today view.
You can set a default value for this that will be applied on all new tasks by
going to the default task preferences (page 73).

3. How can I quickly find a contact or task?


In Contact views and Task views, use the Filter box to quickly find an entry.
Type the first few letters of the entry and Agendus will only display matching
records. Delete the letters to turn off the filter.
Note: In the Contact views, the filter will search for matches in the name and
company fields. In the Task views, the filter will only search for matches in the
Description field.

When you are creating a new meeting or task, Agendus supports Quick Fill
when assigning a primary contact. In the schedule slip for the new meeting or
task, start typing the contact’s name into the contact box; Agendus will try to
fill in the name for you. Keep writing or typing the name until the correct name
is shown.
Note: Quick Fill will only search for names that match the first display field
(first name, last name, or company name). Change the order these fields are
displayed by changing the contact preferences. (See page 70.)

completed tasks will have a strikethrough to show it has been completed.

6. How do I set the color for meetings shown in the week block mode?
The color shown for each meeting in this view is the color for the category that
was assigned to that meeting. Set category colors in the Themes/Colors tab of
the Agendus preferences.

7. How can I find out what version of Agendus I am using?


In Agendus, go to the Help menu and select About Agendus.
