NOTIFICATION

ONE-TIME RELAXATION IN THE PRE-REQUISITE CRITERIA FOR PRE-SUBMISSION SEMINAR


TO PH.D. SCHOLARS ADMITTED IN THE YEARS 2013, 2014, 2015 AND 2016

It has been decided to provide an opportunity to all such scholars admitted in the years 2013, 2014, 2015 and 2016
who fulfilled all the academic requirements but were not allowed for Pre-Submission Seminar due to the
implementation of the amended pre-requisite criteria with effect from 2019-20 Winter Semester. This opportunity
is being provided as a one-time exception and only to the Ph.D. scholars admitted in the above mentioned years.

This one-time opportunity will provide relaxation in the pre-requisite criteria for Pre-Submission Seminar and
subsequent submission of thesis within an extended period, subject to fulfilment of the terms and conditions as
cited below:

Duration of the extension period to be provided:

 For 2013 and 2014 batches: Extension for submission of thesis will be given up to 31 December 2021.
 For 2015 batch: Extension for submission of thesis will be given up to 31 March 2022.
 For 2016 batch: Extension for submission of thesis will be given up to 30 June 2022.

Terms and Conditions to be fulfilled:

1. Course Work: DSC recommended course work should have been completed within the prescribed duration
with specified grade(s).

2. Pre-requisite of Pre-Submission Seminar: At least one research paper is published in SCI/SCIE/SSCI/


AHCI listed journals. However, for the following five departments, two publications in Scopus indexed
journals will be considered as equivalent to one publication in SCI/SCIE/SSCI/AHCI listed journals:

(a) Fuel, Minerals and Metallurgical Engineering (Formerly known as Fuel and Mineral Engineering)
(b) Management Studies (c) Mining Machinery Engineering
(d) Mining Engineering (e) Humanities and Social Sciences

3. Period of research paper published/accepted: All research papers should have been published/accepted
within the maximum duration or before the last date of approved extended period.

4. Submission of Undertaking Form: An UNDERTAKING, in the prescribed format attached with this
notification, duly endorsed by the Supervisor(s), along with the receipts of the Fee paid by the scholar
during the entire period of the academic program (excluding the termination period), are required to be
submitted in hard copy by the supervisor to the Academic Section on or before Friday, 23 July 2021.

5. Incomplete Undertaking Form: Submission of the Undertaking Form, complete in all respects along with
all the fee receipts, will be the joint responsibility of the scholar and her/his supervisor(s). Incomplete forms
or the ones received after 23 July 2021 will not be processed.

6. Academic Registration: Enclosing all the fee receipts of annual / semester registration, as applicable, of the
entire period of academic program (excluding the termination period) is mandatory. Otherwise, undertaking
will not be accepted.

7. Reinstatement of Academic Program: If the academic program has already been terminated due to
exceeding the maximum duration and/or not completing the registration process in any semester before 2021-
22 Monsoon Semester, then the academic performance of the scholar may be considered for reinstatement
only after receiving the Undertaking Form.

8. Requirement of Permission for Pre-submission: If the scholars are allowed for submission of thesis, then
all the required formalities need to be completed for getting the permission of Pre-Submission Seminar.

9. For all 2013 and 2014 batch Ph.D. scholars: No further extension will be given after 31 December 2021
for completion of their academic program. If the thesis is not submitted within the specified duration of
extension (31 December 2021), academic program of the scholar will be terminated automatically. Neither
any excuse will be entertained thereafter nor will any appeal be accepted on the matter.

10. For all 2015 and 2016 batch of Ph.D. scholars: The scholars who fail to avail this one-time opportunity of
relaxation, and do not submit their thesis within the specified duration (31 March 2022 for 2015 batch and
30 June 2022 for 2016 batch), the existing publication criteria (at least one publication in Q1/Q2 journal)
will become applicable beyond the above mentioned specified duration and up to the date of maximum
duration prescribed for completion of the Ph.D. program, as applicable in each case.

11. Faculty members of IIT(ISM): This notification will not be applicable for the faculty members of this
Institute who are pursuing Ph.D. program at the Institute.

This is issued with the approval of the Competent Authority.
