Network Documentation Procedures

PREFACE

This Self-Learning Kit (SLK) gives a clear understanding regarding the effective
and applicable preparation of reports in network documentation procedure, its policy,
operation, topology, and list of hardware components. It focuses mainly on the groundwork
for operating a small office-home office (SOHO) network setup by producing a cost analysis
system. This kit is intended for grade 9 to 12 students who need a remediation program to
learn in a self-paced mode.

There is going to be a considerable knowledge and skills with the preparation of


reports of network documentation procedures right after these tasks have been attained:
develop a wide and deep understanding after reading all the necessary topics to be
learned; answer the guide questions and activities comprehensively; and conduct a self –
assessment using rubrics or charts. These tasks aim the learners to achieve least 80% level of
proficiency at the end of the session.

This material must be kept in good condition all the time and it is expected that there
are no unnecessary words or notes written on the pages of the book. Separate paper
must be used as answer sheet in every activity. Instructions must be read and followed
accordingly.

WHAT DO YOU KNOW?

Network administrators are well-known for sharing a common set of traits: they never
read the documentation for anything; they doesn’t like to plan out anything on paper; and
they resist documenting anything. However, when managing an entire network, you must
overcome these tendencies and do things the right way.

WHAT YOU NEED TO KNOW?

Being a technical wizard is only part of the skill set you’ll need to be a network
administrator. You also need to have excellent management skills. Specifically, you need to
be able to organize and document the physical and logical network in your organization.

A common mistake made by network administrators is thinking that they can keep
their network organized “in their heads.” When the network is small, this might be possible.

However, as the network grows, this organizational technique fails as the complexity
of the network quickly exceeds their ability to organize it all.

For example, you can implement an inventory management policy that dictates
how equipment will be purchased and how long it will stay in service. You should also use
baselining to track the performance of your key systems, and take initial baseline when your
systems are in pristine “out of the box” condition. Then, you take your subsequent baselines
as time passes and compare them to the original baseline. By doing this, you can identify
conditions that are impacting performance. Another task we have to do is to create and
update our network documentation. Whenever a new network is designed and created it
should be documented. The more challenging part is to keep it up-to-date in the future.

There are a number of items that you should find in any network documentation:

• Physical topology diagram: This should show all the network devices and
how they are physically connected to each other.

• Logical topology diagram: This should show how everything is connected to


each other, protocols that are used, VLAN information etc.

• Interconnections: It’s useful to have a diagram that shows which interfaces


of one network device are connected to the interface of another network
device.

• Inventory: You should have an inventory of all network equipment, vendor lists,
product numbers, software versions, software license information and each
network device should have an organization tag assess number.

• IP Addresses: You should have a diagram that covers all the IP addresses in use
on the network and on which interfaces they are configured.

• Configuration management: Before changing a configuration we should save the


current running-configuration so it’s easy to restore to a previous version. It’s even
better to keep an archive of older configurations for future use.

• Design documents: Documents that were created during the original design of
the network should be kept so you can always check why certain design decisions
were made.

Network Documentation Checklist

Documenting the network correctly ensures that the person who takes your place

someday will have the information he or she needs to manage the system effectively. In

addition to documenting the physical and logical network, you need to be able to etablish

policies for how your network will be managed. It provides service with a valuable insight in

documenting your organization’s network and can make the troubleshooting process more

efficient when problems arise. It spots network hardware that may need to be upgraded

and helps visualize your network topology both logically and physically.

In making a network documentation checklist, here are the steps that you need to
follow:

a. Create a network documentation policy – it details the different aspect of network


that needs to be documented and communicates exactly what is expected regarding the
documentation process. Below is an example of network documentation policy.

b. Create a network topology diagram – map the network’s topology to include


each network bridge connecting to various networking hardware (hub, switches, router,
access point, etc.) and cabling plan. Below is an example of network topology diagram.


c. Document hardware components – list all the hardware used in the network: switches,
routers, access point, etc. It is very useful to have a table of asset tracking information
that reflects manufacturer’s names, models, and serial numbers. You may want to include
support contact numbers for technical assistance. Below is an example of network hardware

d. Label everything – to avoid identical equipment, you may want to put a label (in
sticker form) to differentiate each network devices and segregate network cables. Below is

REMEMBER

Starting a good documentation procedure might bring a lot of work, time and effort
but definitely without proper documentation procedure could cause your organization a
hassle and costly problems. Make documentation a routine for your organization’s regular
operation.

doesn’t start at sitting on his/her office chair and staring on the computer’s monitor.
Your role requires persistence in documenting your network operations, and
dedication for preparing the inventories of all the hardware connected on the
network as part of your organization’s policy procedures.

He graduated with the degree of Bachelor in Elementary Education major in General
Education at Bataan Peninsula State University – Orani Campus. Holder of Google

Suite for Education program. While continuing his passion in teaching, he is managing
