Introduction

It can be seen that start-up is a very strong development trend in Vietnam, increase
in both quantity and quality, but the success still depends on the efforts of each
individual and the team. This is a job that requires ideas, creativity and passion for the
work. Realizing that I am a person who is passionate about creativity and working in a
dynamic, non-restrictive environment, I choose start-up as a major that I pursue.

Fashion is not a new but very complex field related to many issues such as people,
culture, customs, technology, ... so fashion development is always prioritized in the
current economic development trend.. current economic development. However, to
develop a business with fashion, it is extremely important to have a deep
understanding of the process to create a product as well as the operating methods of a
fashion company. And Thu Hoai Garment Factory is one of the businesses that fit the
aspects that I want to learn more deeply for my startup project.

As a student majoring in Start-up of Thuong Mai University, being trained in


theoretical foundations, provided with basic to complex knowledge about business
administration in general and start-up in particular has helped I improve my level of
understanding. However, the application of knowledge is still limited. Therefore, the
graduation internship period will help our students get used to reality and integrate into
the corporate environment more. From there, you can apply the knowledge you have
learned in the working process and improve your skills.

After 3 months of training at Thu Hoai Garment Factory, I was given the opportunity
to directly observe and participate in some company's work, thereby drawing a lot of
experience for myself and contributing a part of the effort. into the development of the
company. The report consists of four main parts:

1. PRESENTATION OF THE COMPANY

1.1 General information

- Company name: Thu Hoai Garment Factory.

- Address : No3 - Lane 84 - Hamlet Hau Dinh - Dai Tu Village - Kim Chung
Commune - Hoai Duc District - Hanoi City.

- Legal status: Family private company.

- Date of creation: 8/2016

- Activities– range of products and services:

+ Bulk production of children's clothing, school uniforms, class uniforms, company


uniforms.

+ Outsourcing service of clothing products at the request of customers in wholesale


quantities.

- Number of employees: Since its establishment, the garment factory has had about 15
employees, including 2 laundry staffs, 2-3 packaging staffs depending on time, 2
cutting fabric staffs, 1 manager, 6-8 sewing staffs. But from 2 years ago, all garment
workers were transferred to work in another area about 2km from the address of Thu
Hoai garment factory, managed by another person but still under the control and
operation of the company. Currently working directly at the factory, there are about 6
employees including 1 laundry staff, 2-3 packaging staffs depending on time, 2 cutting
fabric staffs, 1 manager.

- Revenue, profit: The starting capital of the business is about 2 billion VND
(equivalent to 87,000 USD). Revenue is about 8 hundred million - 1 billion
VND/month, Profit is 15-20% depending on the product. The revenue of the months of
the year is also not fixed, but fluctuates with each season, for example, before each

summer, autumn, and winter crop, traders want to produce large quantities before each
season, so the revenue will be about 40% higher than the remaining months.

1.2 Organisation chart 

- The first is about the product ordering process:

 Step 1: Receive customer information. Customers can contact directly by phone


number 0358953434 (Mrs Thu Hoai) or contact via email:
dinhthithuhoai74dt@gmail.com to exchange information, the need to order
sewing products with specific quantity and other specials requirements.
 Step 2: Thu Hoai Garment Factory will make demo samples of products to send
to customers with a quote according to the number of products that customers
are expected to order.
 Step 3 : Customers browse demo samples. If there is any unsatisfactory details,
the customer can request the Thu Hoai garment factory to fix it immediately
and there will be a new demo version within the same day, while the customer
has approved the sample, it will go to step 4.
 Step 4: Closing prices, signing contracts and deposits. Customers finalize
orders, Thu Hoai garment factory closes prices according to the number of
customers ordered, designs 2 contracts for customers and Thu Hoai garment
factory to sign together. Deposit level can be negotiated by customers and Thu
Hoai garment factory in the best way for both parties, usually new customers
with a minimum deposit of 50% of the order value. For old customers, the
deposit can be negotiated with 30% of the order value.
 Step 5: Choose raw materials. Customers can choose the fabric sample
according to the available goods in the warehouse of Thu Hoai garment factory
or the customer can provide the fabric and Thu Hoai sewing factory only
undertakes the design and processing of finished products.
 Step 6: Outsourcing at the factory. The fabric will be cut and sample divided
according to the size table available directly at the workshop, then synthesize
the sample and transfer to the industrial printing factory about 500m away.

After the shipment is carefully printed and inspected, it will be sent back to the
processing workshop for finished products.
 Step 7: Quality inspection and assessment, product packaging. All finished
products will go through a final inspection for printing defects, seams, product
size, excess thread ... before packing products for customers. The product can
be packed in plain plastic bags for each product at the workshop or packed into
a large sack depending on the customer's choice.
 Step 8: Delivery and contract payment. For customers within a radius of 2-5km,
the shipment after completion can be delivered directly to customers within the
same day by the transportation team of Thu Hoai garment factory, for
customers who are far away or in other provinces products will be deliver via
postal shipping company time is about 1-2 days and the whole shipping cost is

- Processing methods at Thu Hoai garment factory:

+ FOB ( Free on board ). This is one of the most popular forms of sewing order today.
Accordingly, it possesses the following basic characteristics:

 Outsourcing workshop will accept orders from customers.


 Customers can send pictures or preliminary design ideas to Thu Hoai garment
factory.
 After that, the rest of the workshop was to come up with the design concept.
 Create detailed drawings, send customers to view and browse.
 After the client approved the design plan, the workshop began to process.
 All fabrics, machines, equipment, human resources ... to complete the sample
are taken care of by the factory.

+ CMT ( Cut, Make, Trim ) In the fashion outsourcing industry, this term has the
following meanings:

 First, Cut: Immediately cut fabric according to the customer's available design.
 Second, Make: ie Sewing, stitching, patching to create a finished product.
 Third, Trim: ie cut the thread and clean the thread from the garment after
stitching. At the same time, the workshop also applies labels to increase brand
awareness for your unit. At the same time, all stages of product inspection and
packaging are fully covered by the workshop.
 In this form of processing, customers will provide the factory: Production
materials, cost of transporting raw materials for production, cost of transporting
finished goods, design samples and other specific requirements, some
equipment with technology tailored to the order (if any)

+ CMPT ( Cut, Make, Package, Thread). This is one of the form of ordering tailoring
suitable for those who have designs. At the same time, customers can also choose
fabrics for their products. Therefore, the workshop will quickly process the application

according to customer requirements. Customers need to provide: information, requests
to the sewing workshop, provide ready-made designs, provide fabrics for each sample,
provide all the necessary accessories to complete the product as expected. Upon
receipt of the items listed above, the factory will immediately:

 Receive purchase order.


 Cut pattern 1 and sew pattern 1 for client approval.
 After reviewing the final pattern and latching, we proceed to mass-cut and sew.
 KCS team checks and packages products.
 Delivery to partners as negotiated.

2. MY MISSIONS

2.1 Objective of my missions

- The tasks in the internship will help me gain more practical work experience in the
field that I am aiming for, more specifically the fashion field. The internship will
provide real-world experience that will allow me to put everything I've learned into the
real business in the future. This not only gave me an edge over other candidates when
applying for a job, but it also helped me prepare for real challenges, the mission of my
field, and boosted the confidence in my future business.

- I was able to learn how to grasp the right methods of working with customers, how to
negotiate with different groups of customers. Understanding the psychology and
behavior of each customer group, thereby building a standard, professional and more
confident communication system when communicating with other customers in the
future.

- The purpose of an internship is also to help me make useful connections. The person
who manage me during my internship may become mentors, who can provide helpful
information and who can help guide me during my career. I can use them as references
for future jobs, because they have seen me in action and they know my competencies.

- Having an internship benefits me in the working environment, and it also builds my


professional network. Research shows that there is 1 in 16 chance of securing a job by
connecting with people, so networking is critical. Internships provide a great
environment to meet professionals in the career field I want to pursue, as well as other
interns who have similar interests.

- Missions in the internship can provide me with the soft skills needed in the
workplace and in leadership positions. Skills, such as communication, leadership,
problem-solving, and teamwork can all be learned through an internship and utilized
beyond that experience. For my Startup major the future goal is to be able to build and

run a business of my own so building soft skills like communication, management or
teamwork is essential, it is the foundation to help build a successful company and
develop and operate according to the proposed plan.

- I also can learn how a professional workplace operates through missions I will do. I
have read about how organizations thrive and function in textbooks, hear from guest
speakers who talk about organizational structures, or dive into case studies about
workplace culture, but nothing compares to living the actual experience. Internships
can help me to learn all about workplace culture, employee relations, and leadership
structure, which should help me onboard in my first professional job with more ease
because I haven’t had professional experience.

- This internship will build my resume. Most organizations and jobs that I apply to
following graduation want employees to have some sort of professional experience,
even for entry-level jobs. In the event that I am finalist for a position and haven’t had
an internship experience but the other finalist has, I may lose out on a job opportunity.
Having internship information on my resume could serve as an advantage over other
competitors when I'm applying for a job at a company.

- This internship also helped me to realize whether the project and the job I chose was
really suitable and made me feel excited. If it really gets me excited and motivated, I
might get started on my project right away. But if the internship helps me find myself
not suitable, then I will need to review and rebuild my project in a more appropriate
direction.

- Forging professionalism at work including such virtues career passion, honesty,


integrity, sense of responsibility, reliability, respect for others, confidence and
dynamism. Perfect the ability to think positively, creatively and flexibly adapt with
professional working environment.

- Develop the ability to work independently and work with others, inside and outside
the team function, applying professional knowledge and skills.

- Understand practical information about professional activities (state regulations, the
rules of professional associations, professional ethics standards etc.)

2.1 Tasks and timing I did

- Warehouse management & arangement (1/3 - 28/5) :

+ Arrange the goods in stock: Products after being finished and packaged are often
gathered in piles. First, I will divide products according to each available model
provided by the business, then for each product sample will be divided into each size
and color separately. The products after being divided according to the model, size and
color will be tied into series of about 10 products and arranged on the shelves to store.
For tentative producs with seasonal production (for example, mid-summer production
will begin to produce for the autumn-winter season products or customers who order
in bulk with a production period of up to several months), these products will be
arranged in inside, for products manufactured with short term, will priority be placed
on the outside to facilitate finding goods as well as quickly packing into large sacks
and transporting to customers. The requirement of the business with this stage is that
the product is arranged in a coherent and scientific way so that when you need to
sample any product, just look at the arrangement chart to easily get a immediately.
Through this, I learned how to arrange goods according to the professional standards
of a business

+ Implementation of goods import and export procedures: At this stage, when the
customer receives the goods, he / she will have to ask to confirm the actual quantity
received, the customer will be asked to inventory the quantity at the factory before
signing for confirmation of receipt of the goods. On the sewing factory side, when I
deliver the goods to the customer, I have to sign for confirmation in the delivery book
how much quantity has been delivered, to which customer. The requirement for this
stage is to make careful inventory of the quantity of goods exported to customers
backup in case of missing or defective goods. I have learned the delivery and receipt
procedures for customers

+ Inventory of the quantity of goods delivered to the customer: After the company
gives me the quantity of goods and the sample the customer will take, I will go to the
warehouse to count and take the correct quantity as the customer ordered and arrange
them in a big sack stick the name and phone number of the customer placing the order
on the outside of the sack. Through this, I learned the meticulousness in inventory

+ Invoicing necessary documents for customers to get the goods: After having been
fully inventoryed products that customer ordered in terms of models, quantity ... will
finalize the final list and I will write down the products together with the quantity of
each sample on the company's delivery invoice, this invoice is signed by both me and
the consignee and is made into two copies. My company keeps one copy and the
customer keeps one copy. I have learned how to make invoices according to the
correct form of the business

+ Receipt and inventory of raw materials import: Every month, there will be few times
of importing new materials to the warehouse. When the shipping company came, I will
inventory and count the quantity of raw materials to be stocked. Some shipping
companies offer the service of arranging the stock (included in the shipping price) but
for the shipping companies that do not offer cargo arrangement service (shipping cost
will be lower), I will have transport those materials to the warehouse by the company's
specialized transportation vehicle and arrange the materials into the material
warehouse in accordance with the scientific order, classifying samples, colors,
materials ... If I am the person to directly receive the materials at the delivery of the
shipping company, I will also have to sign the delivery invoice provided by the
carrier's side and bring a copy of the invoice to the accountant or manager of company.
Through this, I learned how to receive and list materials before entering the warehouse

+ Inventory Tracking: At the end of each workweek, I have to take inventory of the
remaining stock in both the stock and raw material stockpiles and compare it with the
quantities recorded in the log company warehouse.

Synthesis report

- Shipping, delivery products to customers (1/3 – 28/5):

+ Delivery to customers: When I am assigned to deliver the goods to the customer, the
invoicing will be done at the house or workshop where the customer receives the
goods, inventorying the quantity of goods delivered with the customer right there to
ensure that the customer receives the correct sample, the correct quantity as required.
As for the delivery of goods to distant customers, I will bring the goods directly to the
delivery company to do the delivery procedures and entrust the delivery to the
shipping unit. Through this, I know the steps to create orders with delivery companies

- Product consulting to customers (1/5 – 28/5) :

+ Customers do not come directly to the factory, contact by phone / email / message: I
will support sending product samples by image, processing price list, raw material
price list for customers, consulting customers on matters related to order creation,
choosing the right processing type to meet the requirements of each customer from
designs, designs, price segments, processing forms, modes of transportation,

incentives. Through this, I have gained experience in consulting customers through
technology tools such as email, electronic messages...

+ Customers come directly to the factory: In the factory, there will be a manager who
will consult more deeply about the issues of orders with customers, I only assist in
recording the information requested by customers, providing necessary information
about the orders already provided. I have learned the ability to listen and take notes
opinions of customers

- Support for some simple production and packaging stage (1/3 – 28/5):

+ Production: Since my first year of university, I had the opportunity to work as a trial
worker for about a year at this workshop, I was trained in how to map the fabric on the
cutting table and to divide the fabric according to the supplier's diagram. This stitch is
relatively simple, it is prepared for the professional cutter to cut the fabric according to
the design scheme on the fabric, at this stage doesn’t require long working experience,
it requiresendurance and toughness of workers for this stitch because each worker have
to stand and work full time (usually 3-5 hours / shift) and require high precision.
Through this, I learned more about a few stages in the production of a product.

+ Packaging: I need to fold the product in accordance with the specified form and
short stacks into the package. This stage does not require many years of experience, so
just about 2 days of training, I was able to do this stage relatively well, I can pack from
50-100 products / hour.

- Market survey (1/5-28/5): During the working process, I also along with
management while going to the material warehouse of the intermediary supplier
company to see the recently updated samples of fabrics and materials, to survey the
market in some areas of Hanoi mainly go to shops to research their outsourcing needs
to have a specific and better strategy in the coming time. Through this, I learned how
to start researching the business market that I am aiming for

3. CONTRIBUTION TO MY OWN BUSINESS PROJECT

3.1 Lessons and experience learned from the internship

- Experiences learned from the practice of proactivity: Actively get acquainted with
people, proactively learn about work in practice, proactively propose and work with
everyone. All of them help me quickly adapt to the new environment. When I go to the
internship agency, each person has a different job, not everyone has time to closely
follow me, wholeheartedly just give me. So being proactive in everything will help me
seize the opportunity and learn many practical things.

- Gain practical experience through invaluable practical lessons: An internship is the


time when I understand better what is the future work we must do. Being able to work
practically, give the opportunity to apply the knowledge in the school that we call
theory. From there, it will help me quickly see my own holes and fix them in time. At
the same time, with the guidance of experienced predecessors, it is a precious
opportunity to step by step plan for your own future.

- Making new friends and relationships: making new friends, relationship, and great
friends in the profession. It is those relationships that sometimes help me in my career
and future development which is a value that money hardly to buy.

- Equipped with new skills and new opportunities: Soft skills, which is something that
every student wants to equip when they graduate to be confident and start their new
and first jobs when they leave school. The soft skills equipped in schools are the basic
soft skills that the working environments need and require. However, in specific work
environments, in addition to the basic soft skills, we need other soft skills to serve the
job with work practice. Delicate skills are easily demonstrated through
communication, listening, teamwork and presentations, how to handle problems,
thinking to make quick and effective decisions, ... Through communication activities,
behavior, presentations, ... I will gradually improve, practice and perfect my soft skills.
Soft skills will be an equally important factor to help me have a job and development
opportunity in the future.

- Improve communication skills, negotiate with others: One of the skills I find myself
relatively weak is communication skills, but thanks to this internship, I have to go into
an environment that requires a lot of communication with clients so that I have
gradually developed myself, my communication. Now I feel more confident with my
communication skills, I can look the other person in the eye without feeling shy
anymore.

- This internship helped me see my skills are weak so I can continue to improve those.
I find that my communication skills are still limited in terms of vocabulary as well as
expressions that have not really attracted the opposite person. The meticulousness in
the production stages also requires a lot of practice.

3.2 Contribution to the my own project

- Helping me integrate into the real business environment: Through working directly
with customers, I have partly understood the stages of creating orders with customers,
methods and ways of communicating with customers. This is very useful for my future
start-up project which operates in the field of providing fashion products and services.

- Developing the ability to work with outsourcing companies, suppliers: In my future


project, my side is a unit that focuses mainly on the sales and marketing of fashion
products. For outsourcing products or importing raw materials for products, my
company will hire intermediaries, outsourcing companies to do these stages to greatly
reduce the costs of building factories and buying machines. Through this internship,
thanks to the task of working directly with the customers at the sewing factory, I had
an overview of the operating process of a garment processing company, from the
receipt of orders, to the production and packaging of each product.

- Learn how to communicate with different groups and customers: In business,


communication with customers is almost the most important stage, it not only helps
customers understand more about the product, about the company, it also helps to
show enthusiasm, professionalism as well as reputation of the businessthrough direct
conversations with customers. During the internship, I had the opportunity to
communicate with many different clients from all over the Vietnam , but there are

customers who have worked with the garment factory before and are very
professional, so consulting and closing the application for these customers is relatively
easy and convenient, but there are also customers who are relatively meticulous or can
say fastidious in each stage. Therefore, it requires me to have an appropriate rotation in
communication for each different group of customers so that they still meet the needs
of closing orders for the business while still creating a sense of comfort and trust for
customers.

- Warehouse data management: During my internship, thanks to being assigned the


task stacking goods in stock and managing warehouse data, I learned how to manage
an actual warehouse. The warehouse management here not only includes arranging
goods into the warehouse, but also must arrange them in the correct order and most
scientifically to make the export of goods more convenient in the future. For my future
business in the operation of warehouse data management is also very important, it
helps to fully update data on products in stock, out of stock products, and manage
product data in terms of size, color, design ... make it easy and standard for product
consultation for customers.

- Get access to a wide variety of materials and learn deeply about their structure. For
the fashion industry, the most important material is of course fabric, if the image part
is considered the appearance of a fashion product, the fabric is the soul of the product
itself, fabric quality is the key factor that determines the price range of that product.
When working with fabric suppliers, I have had the opportunity to directly contact and
consult all the prices of fabrics ranging from affordable 2-way stretches, cottongs to 4-
way stretchy high quality fabric. This is very beneficial for my future business when
working in the fashion industry, I can identify and choose the most suitable fabric
material for my target group. From the experience I learned during the internship, I
realized that the 2-way stretch fabric, the cotton fabric in terms of material will not be
equal to the 4-way stretch fabric, but the quality of the prints on these two fabrics will
have durability and sharpness sharper than 4-dimensional stretch fabric. In contrast,
the 4-dimensional stretch fabric is extremely good with high sweat absorption, good
elasticity, but the printed image on this fabric is also more prone to cracking.

Therefore, the 2-way stretch fabric and cottongs are suitable for shirts that need a lot of
prints, while the 4-way stretch fabric focuses on quality for products with little or no
print on it, for example, plain T-shirts, gym T-shirts ...

- Understand the steps in the shipping company order process. When delivering goods
to customers who are far away, they will be required to deliver through an

this internship, I have had experience in order creation using the mobile app of the
delivery company, for orders <20kg, there will be a shipper of the delivery company to
pick up, for orders heavier than I will have to bring directly to the headquarters of the
delivery company for handover. My job is just to pack the order firmly before handing
it over to the shipping company

- Understand the steps an outsourcing company takes to make the product. While
working in the internship period being observed all the stages in creating a product I
had the best view of how to make a finished product by an outsourcing company, it
must go through a lot. many stages as I mentioned in section II. Once I understand the
process of creating products of the outsourcing company, I will develop the right
strategy for my future business to optimize both the price as well as the operating
method and working method with outsourcing company.

- Learn some finished product packaging skills, skills to work on a cloth cutting table
in the fabrication of fabrics, drawing diagrams. In the future, when my business
operates, understanding the basic production stages of production, I can easily control
the quality of the work of the employees and make the most suitable adjustments if a
certain step fails.

- See the weak points in my project so I can improve and develop more

3.3 Areas/issues that need further studies to complete the business project

- I feel that I need to do more research in the field of e-commerce sales because this is
a trend favored by many customers in the current era of digital transformation 4.0.
Moreover, my future business will also be oriented in the form of strong sales through

knowledge base in the field of e-commerce will be extremely important and useful for
me as well as my future business.

browsers, social networks will be something I need to research more about for my
business. Currently, there are many forms of advertising and marketing on digital
platforms such as advertising with videos, images, display advertisments on other
websites...

adheres to the rules of browsers, I will need to study more deeply in the field of SEO,

4. CONCLUSION

- Through this internship, I realize that I have accumulated a lot of practical


experience, not only in the industry that I want to aim for, but also in real business
experiences to help me get the job done. a broader view of what I will do in the future

A-How do you justify choosing an internship with a company whose business is so


far from your project?

- The business that I want to target in the future is a retail business, mainly providing
products and services in the youth fashion industry. The choice of an internship in a
company that specializes in bulk product manufacturing although not match and fully
adapts to my future business,but it still gives me many benefits and experiences as
follows. The company I am doing internship is a mass-producing company, although it
doesn't have a retail business model like I expected for my future company but it also
works in the fashion field, specifically here is specialized in processing and mass
production of children's clothing, school uniforms, company uniforms ...

- An internship at a company like this is not too far from my future business because in
the future my business will focus on retailing products and services but will still have
to work a lot with fashion outsourcing companies. An internship at Thu Hoai Garment
Factory gives me more experience when working with a fashion outsourcing company
such as what are the steps in the manufacturing process of a fashion product, the
ordering process, how to process goods with the processing company, shipping
method ... An internship at this company also gives me more specialized experience
required in the fashion field such as how to distinguish different fabrics, how to choose

B - What areas do you think you will not be able to study during your internship
that are important to your project?

- Marketing skills, retail skills. My future business will be a retail business so product
marketing skills on social networking sites, websites, browsers are extremely
important as well as the skills to retail products to online, offline customers. I did not
learn directly in the internship process because at the internship unit I was assigned to
the main tasks of warehouse management, shipping, customer consultation and some
production stages.

- Skills for managing and operating website, SEO, SEM.

- Effective ways of selling on e-commerce stores such as Shopee, Lazada,... On current


online sales channels in order for a store to be trusted and purchased by many people,
it is necessary to do a lot of work from building image, brand, increase traffic to run
ads so this is also an aspect I need to spend a lot of time researching in the future for
my project.

- Team management skills, division of work for each person, each department in the
company in the most reasonable way so that each member of the company can
maximize their capacity and strengths..
