Dear Rauf,
Proposal to place conditions on your enrolment due to unsatisfactory academic progress
Deakin University is committed to supporting students with their studies. At the end of each study period, each
student’s progress is assessed as satisfactory or unsatisfactory, depending on how many credit points they have
passed or failed and how long they’re taking to progress through their course. If a Faculty is concerned about a
student’s progress, they will take action to increase the student’s chances of successfully completing their course.
The Faculty Academic Progress Committee considered your academic progress at the end of the last study period,
following the process set out in Deakin’s Academic Progress Policy. The Committee is concerned that your progress
does not meet the University’s standards and that you have made unsatisfactory academic progress, as:
• you have failed compulsory unit(s) /placement(s) {MAA703, MAA716} 1 time/s
• you have failed more than 50% of your enrolled credit points in each of your last two active study periods
It is important that you read this letter carefully and follow all instructions. Do not ignore this letter.
Conditions on your enrolment
To help you to improve your academic performance, the Committee proposes to place the following conditions on
your enrolment:
In your next active trimester commencing T3 2019:
- if you are enrolled in 4 credit points you must pass at least 3;
- if you are enrolled in 3 credit points you must pass at least 2;
- if you are enrolled in 2 or 1 credit points you must pass all.

What you need to do


You have two choices.
Option 1: Accept the proposed conditions
Option 2: Apply for an Academic Progress Review to propose other options for supporting your progress
You need to tell us your choice, by completing and returning the Reply Form by 5 pm on Wednesday 27 November
2019, and you must follow the instructions below.

OPTION 1: ACCEPT THE CONDITIONS ON YOUR ENROLMENT
Tick the box next to OPTION 1 on the Reply Form to indicate that you accept the proposed conditions and that
you understand that:
• you must formally withdraw from any credit points that don’t comply with the conditions, before the census
date for this study period, through StudentConnect
• your academic progress will be reviewed at the end of your next active study period. If you have failed to
meet the conditions, you may be excluded from your course
• you should meet with a Student Adviser to review your course plan and discuss how you can improve your
progress. In addition, the attached ‘Supporting your academic progress’ flyer provides information about the
various free services at Deakin that can assist you. If you are having any difficulties at all, you are encouraged
to use the support that is available to you.
The Faculty will send you a letter confirming the conditions that have been placed on your enrolment.

IMPORTANT INFORMATION FOR INTERNATIONAL STUDENTS


Placing conditions on your enrolment may affect your student visa. For example, you may need to apply to
extend your Electronic Confirmation of Enrolment (eCOE) and your student visa expiry date. We
recommend that you make an appointment with Deakin International Compliance for advice on possible
consequences of the conditions on your enrolment for your current and future student visas.

OPTION 2: APPLY FOR AN ACADEMIC PROGRESS REVIEW


Tick the box next to OPTION 2 on the Reply Form to ask the Faculty to arrange a meeting with you to review your
academic progress and the proposed conditions.

Return your application with the following supporting documents:


• your written submission that explains:
o the reasons for your unsatisfactory academic progress
o what you have done, or plan to do, to address those problems
o why you think that the proposed conditions are not appropriate
o the actions you believe would be more appropriate for your circumstances. Possible actions are
listed in Schedule A of the Academic Progress policy.
• relevant documents that support your explanation (for example medical certificates, death notices, police
reports, documents that show what you have done to improve your academic progress).

The Faculty Academic Progress Committee will hold review meetings from 09/12/2019 to 17/12/2019. You will be
informed of the date and time of your review meeting after the schedule has been finalised. You can attend the
meeting in person or by phone, Skype for Business or other communication option (and you can bring a support
person who is not a practising lawyer) or you can ask the Committee to consider your written submission and
make a decision in your absence. You need to indicate your preferences on the Reply Form.

The Committee will inform you of its decision and reasons for that decision. Please check your Deakin email
regularly, and make sure that your contact details are correct on StudentConnect.

What if I do not respond to this letter?


If you do not reply by the due date, the Committee will assume that you have accepted the conditions on your
enrolment and confirm this in writing. Late requests for a review meeting will be accepted only in exceptional
situations where circumstances beyond your control prevented you from responding by the due date.

It is important that you speak to someone if you are feeling upset or stressed by this letter. You can access free and
confidential Counselling at Deakin, or speak to a trusted friend or family member.

Deakin University Student Association (DUSA) employs experienced and professional Advocates to support students
through these sorts of processes. This service is free for all students, confidential and completely independent from

the University. You do not need to be a DUSA member to access the service. If you would like help responding to this
letter or want an Advocate to attend your Academic Progress Review meeting with you, please contact DUSA.

progress’ flyer provides information about the various free services at Deakin that can assist you. If you are having any
difficulties at all, you are strongly encouraged to use the support that is available to you.

Academic supports
• Visit the Study support website
• If you have just started university or are returning after a long
break, visit the New students website for resources to prepare
you for study
• Visit the Academic skills website for resources to support you with your
studies, including study strategies, organisation, academic writing and exams
• Deakin guide to referencing for information on referencing, summarizing,
paraphrasing and using digital sources
• Find out what Academic integrity means and what you need to do to act
with academic integrity.
• Get in touch with Ask Study Support at all campuses and online for
personalised advice on writing, referencing and other study skills.
• Visit HDR for a range of services, resources and programs to support you
at all stages of your research.
• Talk to a Student Adviser about planning your course so you have
the best chance of success.
• Visit the Academic Progress website for more information about
these processes. If you receive a letter from the Faculty
regarding your academic progress you should read the letter
carefully and follow all instructions. Do not ignore the letter.
• Consider enrolling in and attending study skills workshops
on exam preparation; essay writing; time
management and organisation.

International students
• Remember that unsatisfactory academic progress may have
implications for your visa and future enrolment.
• If you require a CoE extension, a request can be submitted
online as you are not able to apply for an extension in
person. If approved, you should receive your new CoE within
10 working days of submission.
• If you have questions or concerns regarding your student visa,
wish to discuss an intermission (break of study), or a release,
contact a member of our Deakin International Quality and
Compliance team.
• If you have questions about further non‐academic support, we
encourage you to contact an International Student Adviser (ISA).
• If you require enrolment and course advice, contact a Student Adviser.

Health and wellbeing


• Visit the Health and Wellbeing website. Deakin offer a range of services to
help students to stay healthy and safe – physically, mentally and spiritually.
• Register with the Disability Resource Centre if a disability, health or mental
health condition is affecting your study or participation in university life
• Safer Community is a Deakin wide service which aims to keep all
campuses safe. If you feel threatened or unsafe, are worried about
someone harming themselves or someone else or something doesn’t
feel right, contact Safer Community.

Financial and personal supports


• If you have other financial or personal concerns, we might be able
to help. Visit the Financial Assistance or Counselling websites.
• Visit the Students Helping Students Hub to connect with
experienced Deakin students who are trained to help,
whether you want academic, practical
