Preface
This document describes setup and use of the Oracle Hospitality Materials Control Food
and Beverage Export Service for Simphony (CAPS and FE) and RES 3700. This export
service allows for stock depletion in Materials Control based on sales and wastage in the
POS.
This export service supersedes the previous Oracle Hospitality Materials Control
Simphony CAPS Export utility.

Audience
This document is intended for system administrators and IT/product specialists who
want to use the Oracle Hospitality Materials Control Food and Beverage Export Service
utility to export sales data out of Simphony or RES into Materials Control.

Both components are installed using


Setup_Materials_Control_Export_x.x.x.exe.

Architecture Overview

The MC Sales Export service uses the Materials Control POS Web service to transfer sales
data from the POS to Materials Control. Materials Control uses the Definitions Export
Service (Simphony only) to read the Sales Master Data and import/link them in Materials
Control.

Requirements
For Simphony Check and Posting:
• Simphony Check and Posting Workstation
• Database is MS SQL

Architecture 7
• Simphony Version 2.9 or higher (Simphony on-premises, Simphony Premium
Cloud Service, and Simphony Standard Cloud Service)
• .NET Framework 3.5 Service Pack 1
• System Administrator credentials
• The port used by the Simphony MC Definition Export service must be reachable
from the MC application, and the MC POS Web service must be reachable from
the Simphony MC Sales Export. Refer to the Communications Setting Check
section in Appendix A for more information about testing connections.

For Simphony FE:


• Database is MS SQL
• Simphony FE Version 1.4 MR5 or higher
• .NET Framework 3.5 Service Pack 1
• System Administrator and MF_EAME credentials
• The port used by the Simphony MC Definition Export service must be reachable
from the MC application, and the MC POS Web service must be reachable from
the Simphony MC Sales Export. Refer to the Communications Setting Check
section in Appendix A for more information about testing connections.
• The MC POSwebservice must be reachable from the Simphony FE MC Sales
Export.

For RES 3700:


• RES 3700 Version 5.4 or higher
• .NET Framework 3.5 Service Pack 1

Restrictions
• Start of Day override at Revenue Center level not supported (Simphony)
• Shared Revenue Centers not supported (Simphony)
• Re-open closed checks not supported
• Open checks are not part of the totals posting
• Automatic discounts are not supported
• Multiple tax rates are not supported

2 Setup
1. Execute Setup_Materials_Control_Export_x.x.x.exe on the Simphony
Check and Posting workstation, Simphony FE workstation, or on the RES 3700
server.
Simphony FE: You must uninstall any older export utility before the new setup can
be executed.

NOTE:
• If no previous configuration files are available, setup will prompt for the
required configuration settings related to property/store and export file.

2. Enter the relevant Property Number or Store ID. In Simphony, the Property Number
can be found on the EMC under EMC | Properties. In RES 3700, the Store ID is
available under the POS Configurator | System | Restaurant.

3. Select File as the Export Type required, and then click Next.
4. Select the destination folder. If required, set the password for the exported archive
files. A folder named “Exported” will be created under the chosen file path.

5. Click Browse to specify the file path.

6. If required, set the password for the exported archive files, and then click Next.
Setup creates a folder named Exported in the specified location.
7. Select Export only Gross Totals (Totals before Discounts) if you want to deduct the
discount totals from the menu item totals.

8. Click Next.

The setup application copies all relevant files to the destination directory, which is read
from the registry. If the registry key is not recognized, a dialog appears that prompts you
to specify the location.

9. Specify the subfolders for the Sales Export Service (Custom\MCPOSExport) and the
Definitions Service (Custom\DefinitionExport), and then click Next.

The setup application creates the subfolder for the Sales Export Service
(Custom\MCPOSExport) for Simphony and RES 3700 and the subfolder for the
Definitions Service (Custom\DefinitionExport) for Simphony only.
If the existing Materials Control Export installation was not named “Materials Control
Sales Export” and “Materials Control Definitions Export” (Simphony and Simphony FE),
the services will be removed from the workstation prior to installing the new services.
Otherwise, the installer will overwrite the services.

Simphony FE: You must uninstall any older export utility before the new setup can be
executed.
Before starting with the installation of the file, the setup application will prompt you to
confirm the installed F&B product. Confirm the installation type RES 3700, Simphony, or
Simphony FE to continue with the setup.

10. Complete the Enter Credentials form, and then click OK. These credentials are very
important. If entered incorrectly, export operations will not function properly.
a. Select a Database Type of MSSQL.
b. Enter a valid Server name, e.g. EXAMPLE-DE\SQLEXPRESS. The host name is filled
in automatically. Verify that the SQL server is reachable and accessible using the
required credentials before continuing with the setup application. Refer to Appendix
B: Testing the Simphony Connection for more information.
c. Enter the SA Password and the Export User Password.
The installation process creates the new database HFD_DB and a new login for the user
User Export named HFD. This user has select privileges to the database CheckPostingDB
and is the owner of the HFD_DB database.
Simphony FE Database Connectivity
11. On the Simphony FE platform, you must enter the database user credentials in the
following form. If entered incorrectly, export operations will not function properly.

12. Click OK to accept the default Web service listening port of 8088 and to process a
Web service call to initialize the Definitions Web service.
Three new services are now available on the Check and Posting workstation, as
shown below.

For the Simphony Check and Posting and Simphony FE workstations:

• Oracle Hospitality - Materials Control Definitions Export

For the RES 3700 System:


• Oracle Hospitality - Materials Control Sales Export

13. Click Finish to complete the installation.

Edit User Export Credentials


To edit user credentials for database access, you must perform a manual update.

Simphony MC Definitions Export


The MFSiEx.Db.config.xml configuration file is normally located under
\Micros\Custom\DefinitionsExport\services\config. This file contains the encrypted
database access credentials.
To modify these credentials, see the sample file below:

To make the changes available, restart the Simphony MC Definitions Export service and
do a test call using the provided definition test client available in the DefinitionsExport
folder with the name MFSiExClient.35.exe.

Simphony MC Sales Export
The DbSettingsService.xml configuration file is located under
C:\Micros\Custom\MCPOSExport\Conf. This file contains the database access
credentials and the encrypted password in the element “epw”.
To change the password, replace the text “<pwd />” with “<pwd>*******</pwd>” (replace
the asterisks with the real password).
Save the file and restart the Simphony MC Sales Export service to apply the changes.

When the configuration is complete you must load the configuration file in Internet
Explorer to ensure the XML format is compliant. If your XML is not compliant you will
receive an “XML parsing error:” error message. If compliant, you will see the entire
configuration file.
Restart the Simphony MC Sales Export service to apply the changes.

The MFSiEx.Db.config.xml configuration file is located under
\DefinitionsExport\services\config.

Definitions Service Listening Port


By default, the Definitions Service listens on port 8088 for the Simphony Check and
Posting service. To change the port of the Definitions Web service:
1. Change the endpoint address in the file
MFSiEx.Definitions.Implementation.dll.config.
The MFSiEx.Definitions.Implementation.dll.config file can be found under the
folder \DefinitionsExport\services.

Logfiles
Simphony MC Definitions Export (Simphony CAPS/FE)
The logfile.xml logfile configuration file is located in
C:\Micros\Custom\DefinitionsExport\Config.
By default the log level is INFO (Only errors display) and the logfile is located under:
\Micros\Custom\DefinitionsExport\Logs named MFServiceHost.log.

Simphony MC Definitions Export


The logConfig.xml logfile configuration file is located in
\Micros\Custom\MCPOSExport.
By default the log level is INFO and the logfile is located under:
\Micros\Custom\MCPOSExport named MC_Export_log.txt.

Data Purging
The data available in the following two database tables is purged after 40 days:
• HFD_MC_TRANSACTION_EXPORT
• HFD_MC_TRANSACTION_PARAMETER table 0
Example Log file entries:
• Entries purged in HFD_MC_TRANSACTION_EXPORT table 0
• Entries purged in HFD_MC_TRANSACTION_PARAMETER table 0

Communication Settings Check


Before performing Materials Control export operations, verify your communications
settings are properly configured.
Example 1
On a system where the MC Web service is listening using the IP and PORT http://
123.45.67.89/poswebservice/pos.asmx:
1. Open the browser on the Simphony machine and paste the URL (http://
123.45.67.89/poswebservice/pos.asmx) and verify the MC Web service page appears.
If the MC Web service page does not appear, check if there are proxies configured.
2. If there are proxies configured, change the configuration to communicate to the URL.
3. If there are no proxies configured, verify the Web service on Materials Control is
running correctly and that the ports are opened and routed correctly. Be aware that
by default the datacenter closes all ports that are not required.

Example 2
Verify the Definition Service host is running:
1. Paste the service URL (for example, “http://localhost:8088/MFSimphonyExport”) into
Internet Explorer. If an HTTP 400 Bad Request error appears, the Web service is
listening but the browser request is incorrect.

NOTE:
• If required, you can verify the Simphony Database can be reached by
running the Simphony Test Client described in Appendix B: Testing the
Simphony Connection.

Data Export
Totals
Open the Microsoft SQL Server Management Studio, connect to the database HFD_DB,
and then select the values from the table HFD_MC_TRANSACTION_EXPORT. Check if
the export data for the needed property is available.
Definitions
Open the Microsoft SQL Server Management Studio and connect to the database
HFD_DB. Select the view HFD_V_MENUITEMDEFINITION for the definitions and
verify the expected values are available.
You can also use the provided definitions test client (MFSiExClient.35.exe) located
in \Micros\Custom\DefinitionsExport\ to validate the Definitions Web service.

Repost Totals
If an error occurs during the export process, it may be necessary to do the following, as
directed by support:
The Export stores the posted checks into the table
“HFD_DB”.“HFD_MC_TRANSACTION_PARAMETER” to repost checks it is required
to delete all the checks to be reposted from the table above and from the table
“HFD_DB”. “HFD_MC_TRANSACTION_EXPORT” using the checked to combine both
tables.

Force Retransmission of Totals to Materials Control


If an error occurs during the export process, it may be necessary to do the following, as
directed by support:

To force the retransmission of available totals in the table
HFD_MC_TRANSACTION_EXPORT, you must change the EXPORTSTATUS column
to 0 (ZERO) and the column EXPORTMSG to NULL.
The Simphony MC Sales Export service will resend those rows to Materials Control the
next time it runs.

Drop/Clear of the Check Posting Database


The CheckPostingDB database is constantly synchronized with the HFD database tables.
If the CheckPostingDB database is dropped or the totals have been cleared, it is necessary
to clear all of the information in the tables
HFD_DB.dbo.HFD_MC_TRANSACTION_EXPORT and
HFD_DB.dbo.HFD_MC_TRANSACTION_PARAMETER.
Both databases must be in sync to allow export of consistent sales totals.

Database Command Execution Timeout


The file DBCommandTimeout.ini contains the database command execution timeout in
seconds. The timeout is set to 500 seconds by default.
If you experience timeout issues while exporting data, you can increase the database
execution timeout by changing the value in the DBCommandTimeout.ini file.

SQLExpress Upgrades
If the Client Application Loader upgrades the SQLExpress version, the HFD_DB will be
detached from the previous data location and will not be reattached automatically. You
must attach the HDF_DB to the newly installed SQLExpress version manually using SQL
Server Management Studio or a SQLCMD query. Refer to the command below.
• It is not recommended to create an empty database, as this approach may cause
double postings.
• Replace the password and the path of the DB and DB Log file accordingly.

Connection
Using the Simphony Test Client
1. From the installation folder, run MFSiExClient.35.exe.
2. Enter the URL, RVC Number, and Property Number, and then click GO.
If you do not know the Property Number or RVC Number, enter only the URL, and
then click GO. All properties and RVCs will be listed.

Command Line Version
1. In the installation folder, edit the MFSiExClient.35.exe.config file.
2. Replace the address shown in the <Endpoint address...> tag with the actual
URL used by the Simphony installation.

Command Line Syntax Help


To call the test client, use the following syntax:

MFSiExClient.35.exe PROP=10 RVC=11


Calls all data for property 10 and RVC 11.

Because Materials Control calls all RVCs sequentially, the test client also allows the
following:

MFSiExClient.35.exe PROP=10 RVC=-1


This calls all RVCs within property 10.
• Call: All RVCs
• MI Master of Property
• MI Definitions for all RVCs of Property 10

The output can be spooled into a file:


MFSiExClient.35.exe PROP=10 RVC=-1 >outout.txt
