4.2.3. Maintenance of Data

Supplier controlled traceability data shall be accessible by the purchaser for a minimum of 5 years.
Data shall be backed up and stored in two, geographically isolated locations, so that it will not be
lost in the event of an accident or natural disaster.

4.2.4. First In First Out (FIFO)

Regardless of the specified traceability level, suppliers shall maintain a materials handling system
so that incoming parts and sub-assemblies are used in the order of their arrival, i.e.: FIFO or “First
In-First Out”. The exception to this requirement is match-fit sub-assemblies. See Section 4.2.4.1.
FIFO for Matched Sub-assemblies on page 8. If materials are consumed in any other order, there
shall be a controlled system for tracing and retrieving material internally. This internal traceability
system shall be documented in the suppliers’ control plan and other process documentation.

4.2.4.1. FIFO for Matched Sub-assemblies

In the case of matched assemblies, i.e. assemblies in which two parts are assembled to have a
prescribed clearance relative to one another, serialization of the manufacturing assembly shall take
place immediately after the matching operation. Further processing and/or assembly of the
matched manufacturing assembly shall be in a first-in, first-out manner.

4.2.5. Part Identification

The part identification method establishes the precision with which the manufacturing and service
history of a part can be backtracked. Parts identified by serial number have the highest degree of
traceability precision, followed by those identified by lot code. Parts with no permanent marking
are traceable only through supplier inventory control records.
4.2.5.1. Serial Number

The serial number shall be a unique alphanumeric code assigned to each part which represents the
sequential order in which it completed all manufacturing processes. Each supplier shall develop a
proprietary serialization code. This code shall include embedded production year and month
information. Information/instructions for decoding the serial number shall be made available to the
purchaser. Refer to CES 18287 for Cummins Syntax, the order of information and examples for
serial number format.
