Here’s a quick guide of how you can engage yourself in
chapter meetings
APPOINTMENT HOLDERS

Toastmaster of the Evening


(TME)
You will be the emcee of the night! Here’s how you can nail this role:

Follow the Programme agenda


You have to introduce all appointment holders in the following three segments:
While introducing Prepared Speeches →
Introduce the speaker and his/her speech title
Ask Evaluator to speak the relevant project objectives
Ask timer for timing sequence
Finally give stage to speaker

Remember the POETTS sequence


Project Objective ask Evaluator, Timing sequence ask Timer, then give stage to Speaker!

While introducing Table Topics →


Timing sequence - ask Timer
Table Topics - give stage to the Table Topics Master!

While introducing Evaluators →


Timing sequence - ask Timer
Evaluation - give stage to Evaluator!

Before the meeting, you can ask appointment holders


how they would like to be introduced during the
meeting.
To be a great emcee, you can spark a little comment
before/after each speech and make us excited for the
next one!
Humour is your biggest plus point!

APPOINTMENT HOLDERS

Sergeant-at-Arms (SAA)
You will be breaking the ice before the meeting officially starts! Think of cool ways to
engage the audience while we wait for everyone to arrive!

Start a debate
eg. Is Pineapple an appropriate topping on pizzas?

Ask a fun question


eg. When was the first time you went to the cinema?

Go around the room and randomly pick someone to speak up about something
eg. What is the first word that comes to your mind when I say ‘summer’ ?

Talk about the theme of the meeting itself eg. Today’s theme is Fruits! You know
what’s my favourite fruit? Any guesses? ….

Play a short game


eg. Name-Place-Animal-Thing, ATLAS, etc.

If there are guests in the meeting, use this opportunity to have an introduction
session!
eg. "Let's have a round of introduction with our guests!"

Timer
You need to ensure everyone completes speeches on time!

You will be asked to reveal the timing sequence at the beginning of each segment
(Speech/TableTopics/Evaluation). For each speaker, you need to flash three colours to guide
them. You also need to record their timings and reveal them in the end. Remember to check
the programme agenda and plan your timing sequences accordingly. Download timer
backgrounds and timer script.

Prepared Speeches: 5-7 mins


5 mins :Green background
6 mins :Yellow background
7 mins :Red background
7.5 mins :Ring the bell

Prepared Speeches: 10-15 mins


10 mins :Green background
12.5 mins :Yellow background
15 mins :Red background
15.5 mins :Ring the bell

Prepared Speeches: 15-20 mins


15 mins :Green background
17.5 mins :Yellow background
20 mins :Red background
20.5 mins :Ring the bell

Table Topics Speeches: 1-2 mins


1 min :Green background
1.5 mins :Yellow background
2 mins :Red background
2.5 mins :Ring the bell

Evaluation Speeches: 2-3 mins


2 mins :Green background
2.5 mins :Yellow background
3 mins :Red background
3.5 mins :Ring the bell

APPOINTMENT HOLDERS

Table Topics Master


You will prepare and deliver short impromptu questions to engage the audience during the
Table Topics segment!

Select a theme you like (eg. sports, food, holidays, festival, etc.), inform VPE,
and prepare 6-7 questions.
Design a main slide with 6-7 'numbers' or 'graphics' to show number of questions.
Make a question slide for each question
During the table topics segment, call out volunteers and engage everyone!

APPOINTMENT HOLDERS

Evaluator
Feedback is important! You have to evaluate another person’s speech.

Before your speaker’s speech, you will be asked to read the speaker’s project
objectives from the Project Evaluation Form (remember the speaker to send
you the form before the meeting).

When your turn arrives, evaluate his/her speech for 2-3 minutes!
Tip: Start with the good points → then areas of improvement → end with
‘challenge yourself’ points.
