20I. CALL TO ORDER, DECLARATION OF QUORUM & OPENING PRAYER

22The meeting was called to order by the Presiding Officer. After the determination of quorum, an
23opening prayer was led by Fr. Garces.

25II. READING AND CORRECTION OF THE MINUTES OF THE PREVIOUS MEETING

27The reading of the minutes of the previous meeting was done in silence. Corrections were as

34Fr. Garces moved for the approval of the minutes of the previous meeting as submitted. Ms.
35Lucero seconded the motion.

37III. BUSINESS ARISING FROM THE MINUTES OF THE PREVIOUS MEETING

41IV. AGENDA PROPER: Reports and Updates

43A. Office of the Registrar

45 1. Mme. Saradpon updated the body regarding the checking of school forms in
46 compliance with DepEd Memorandum No. 14 s. 2021 dated March 26, 2021 which
47 states that for this school year, the annual checking of school forms shall only
48 transpire at the school level only with the School Checking Committee, Principal as
49 Chairman, LIS Administrator as Vice Chairman, and Teachers as Members.

51 2. She also reported about the ESC and SHS voucher program. For Grade 7, a follow-up
52 has been made for parents who have yet to claim the ESC forms and those who have
53 not yet returned the accomplished forms. There were 5 parents from Grade 7 –

54 Angels of Peace (AOP), to be exact, who failed the former and there were some
55 parents from Grade 7 – Saint Jhudiel who failed the latter.

57 3. Finally, she relayed to the plenum that there are 274 students enrolled as of
58 September 14, 2021.

60 4. Fr. Garces added that the school registrar in ACSCS Carmen informed him to prepare
61 the board resolution and the secretary certificate for the new set of signatories. He has
62 already made a referral of Ms. Saradpon to Mme. Rivera to properly coordinate with
63 the matter at hand.

65B. Office of the Guidance Services Provider

67 1. Mr. Montejo has already administered all the surveys for the Guidance Office in
68 Genyo. These include standardized psychological tests which measure levels of
69 depression, anxiety, aggression, self-esteem, and etc.

71 2. He has also ratified the school guidance system in compliance with DepEd
72 Memorandum DM-OUCI-2021-055 from the Office of Undersecretary for
73 Curriculum and Instruction, dated March 3, 2021, institutionalizing the Guidelines on
74 the Counselling and Referral System of Learners.

76 3. Moreover, he informed the council of the responsibility of the teacher adviser to
77 cascade the homeroom guidance instruction every Friday, first period in the morning.

79 4. Lastly, he espoused on the indispensability of confidentiality which serves as the
80 major rationale of the referral system revamp.

82C. Office of the Prefect of Discipline

84 1. Mr. Datanagan mentioned Mr. Joromi R. Geagonia who failed to submit the
85 infraction sheet and attendance from week 1-4.

87 2. He has already made a referral of Luke Vincent G. Danieles, a Grade 9 – Saint
88 Barachiel student, for counselling due to severe absenteeism.

90 3. Fr. Garces instructed Mr. Datanagan to also inform the Academic Moderator
91 regarding the aforementioned case to aid in any academic concern.

93D. Personnel Organization

95 1. Ms. Sabado announced that the school’s internet connection has been gradually fixed
96 and maintained most particularly the Genyo and ASMA internet servers.

98 2. In addition, she said that the two malfunctioning printers and computer units in the
99 faculty room have been checked and replaced.

101 3. There was also a change in the physical arrangement of the faculty room to allow for
102 more space.

104 4. Class advisers have already transferred to their respective classroom to reinforce
105 adherence to minimum health protocols.

107 5. The substitute teacher for Mme. Olivar, Ms. Sonsona, has been provided a PC for a
108 reason that she does not have her own laptop.

110 6. Ms. Sabado queried with regards to malfunctioning classroom light bulbs and electric
111 fans.

113 7. Fr. Toring made an instruction to remove some light bulbs and/or any appliance since
114 there are no students who will utilize.

116 8. To address issues regarding internet instability, both Frs. Oriesga and Garces
117 suggested in using different office or room for the conduct of classes to obtain a more
118 stable internet connection.

120 9. Mr. Datanagan opened up about the unanimous suggestion from the Genyo technician
121 and the one hired by Fr. Toring to merge the ASMA and Genyo internet servers for
122 an equal distribution of internet connection and for its overall improvement.

124 10. Fr. Oriesga suggested about asking permission from Ms. Branzuela to try to exhaust
125 all possibilities to lighten the burden of all the stakeholders regarding the above-
126 mentioned concern.

128 11. Fr. Toring considered about disabling the internet usage of teachers who are not
129 having synchronous classes.

131 12. Ms. Sabado tried to make a request for a generator to prevent disruption of classes in
132 cases of brownouts or blackouts.

134 13. She also requested for a tripod for use during online institutional activities as some of
135 the them were just borrowed. A new flag was also requested.

137 14. Fr. Garces concluded that suggestions of procurement shall be addressed to the Office
138 of the Principal.

140 E. Office of the Academic Moderator

142 1. Ms. Lucero announced that there are only 9 teaching personnel who submitted the
143 learning modules on time. Reminders have already been given.

145 2. She also expressed her particularity with personnel absenteeism and tardiness and
146 leniency with such only if there is proper notice and explanation. Fr. Oriesga
147 suggested to consult the ACSCS Manual for the sanctions with regards to the
148 pertinent issues.

150 3. Ms. Lucero presented the Work from Home Template. Fr. Oriesga requested that
151 such may better be adapted by the other ACSCS schools.

153 4. Deadline of submission of child protection reports will be on September 24, 2021
154 pursuant to DepEd Memorandum No. 360 s.2021.

156 5. Class observation schedule will be on September 16-October 21, 2021. Fr. Garces
157 added that there shall be one announced class observation per teacher and per school
158 year. He also said that the assessment to be utilized is the one provided by PEAC.

165 1. Fr. Toring reported that 10 ASMA Personnel have already received their first vaccine
166 dose.

168 2. He also told the quorum regarding the minor configuration to install air-conditioner
169 frame in the Principal’s Office.

171 3. Genyo internet connection has already been restored and updated to fiber.

173 4. Refunded ESC subsidies to some students who transferred out.

175 5. Purchased disinfection machines for the use in classrooms and offices. Fr. Toring
176 instructed the body to procure it from Ms. Macas and ask assistance from Mr.
177 Mondido.

179 6. Initiatives/Strategies to mitigate financial loss for the present school year have been
180 exercised. Cash advances and salary loan benefits are suspended until further notice.

182 7. The new School Registrar is the only newly-hired employee. Internal recruitment has
183 been conducted for Mr. Datanagan to assume the Office of the Prefect of Discipline
184 and for Ms. Lucero for the Office of the Academic Moderator.

186 8. Strict implementation of austerity measures shall actualize. Fr. Toring asked for the
187 assistance from Mr. Datanagan to rove around the classrooms to check on the
188 appliances.

190 9. Conscious monitoring of expenditures and prioritization of spending shall pursue.
191 Expenses are limited to the allotted budget only.

195 1. Fr. Garces extended his gratitude to Fr. Toring for facilitating his smooth transfer in
196 settling down in ASMA.

198 2. He also extended his condolences to Ms. Lucero for the loss of her grandmother.

200 3. Fr. Garces urged Mme. Saradpon to coordinate with the School Registrar in ACSCS
201 Carmen to make a kind assistance for her duties and responsibilities.

214 6. He mulled over the possibility of appointing an assistant Academic Moderator.

216 7. He likewise ruminated about the appointment of Data Privacy Officer as required by
217 the DepEd Memorandum issued last year and ICT In-charge who will coordinate all
218 digital posts through ASMA Facebook page and livestreaming activities.

222 1. Fr. Oriesga deliberated that the Council’s Meeting shall fall on every second Tuesday
223 of the month.

225 2. He encouraged the office of the school principal and treasurer to always coordinate.
226 The appointing authority of curriculum shall be Fr. Garces and the recommending
227 authority shall be Ms. Lucero and Fr. Toring.

234 4. Mr. Datanagan asked if there is any special case where it is possible for a cash
235 advance to be granted. In response, Fr. Oriesga explained that it will be performance-
