Organization vs Organizing

Organizing has great effect on developing structures of an organization. The

success of many organizations totally depend on the organizing skills of people
inside the organization.

Organization- is collection of people working together under a division of labor and

a hierarchy of authority to achieve a common goal.

Organizing- refers to put constant relationships between different jobs, that foster
cooperation between individuals and groups inside the organization in order to
achieve the common goals and objectives of the organization.

Manager’s Role

Most organizations designate certain types of employees as managers. This is

an important part of their identity, something that differentiates them from mere
foremen, supervisors, clerks or workers. Yet, the example suggests that managing is
not something that only designated managers do. Everyone involved in a collective
project is involved in managing – managing budgets, managing information,
managing time-tables and so forth. Managing his boss’s diary can be a consuming
activity for a personal assistant, someone not designated as a manager. The personal
assistant may also have to manage his boss’s moods, his public appearances and
even his family crises.

LESSON 1: Nature of An Organization

Differentiation in an organizations involves division of labor and specialization

(Bateman and Snell,2008). These necessarily result from the organizations
composition-many different units with different kinds of tasks, using different skills
and work activities coordinating with one another for a common end .

Division of Labor –involves assigning different tasks to different people in the

organization’s different work units.

Specialization- is the process in which different individuals and units perform

different tasks.

An organization overall work is complex and would be too much for any
individual, therefore the bigger the organization, the more work units or work visions
and specializations are to be expected.

12
Integration of Work Units

Integration is another process in the organization’s internal environm

Source:caminao’s ways

Integration is another process in the organization’s internal environment

which involves the collaboration and coordination of its different work units or work
divisions.

Coordination refers to the procedures that connect the work activities of the
different work divisions/units of the firm in order to achieve its overall goal.

Nice one! You are just started to know the concepts of an organization. Let’s
try this short activity of what you got in the first lesson.

Activity 3. Exercise

Instruction: Read the statement carefully. Write your answer in the space
provided for.

1.Construct an organization chart of a business organization in your purok/

barangay or your school’s department.

13
2.From the chart organization you have drawn above ,list down its system in terms
of division labor, specialization, integration and coordination of its internal
environment. (You may use an extra sheet if necessary)

organizations. You were given an opportunity to apply what have you
learned to several organizations you see around you. The next topic will
immerse you to different types of organization. Let’s proceed….

14
LESSON 2: Type of An Organization

An organization structure is a system made up of tasks to be accomplished,

work movements from one work level to other work levels in the system. There are
three types of organizational structure. These are;

a. Vertical Structure
b. Horizontal Structure
c. Network Structure

A.Vertical Structure

Orgcharting.com

Bateman and Snell(2008), a vertical structure clears out issues related

to authority rights, responsibilities, and reporting relationships Authority
rights refer to the legitimate rights of individuals, appointed in positions like
president, vice president, manager, and the like to give orders to their
subordinates, who in turn, report to them what they have done.

B.Horizontal Structure

Source: Orgcharting.com

15
Horizontal structure- refers to the departmentalization of an organization into
smaller work units as tasks become increasingly varied and numerous.

Types of Department

Line departments – deal directly with the firm;s primary goods and services
responsible for manufacturing, selling and providing services to clients.

Staff departments- support the activities of the line departments by doing research,
attending to legal matters, performaing public relations duties, etc.

Functional approach – where the subdivisions are formed based on management

and, and human resources management.

Divisional approach – where departments are formed based on management of

their products, customers, or geographic covered.

Matrix approach – Is a hybrid form of departmentalization where managers and

staff personnel report to the superiors, the functional manager, and the divisional
manager.

C.Network Structure

Source:slideshare.net

Network Structure is a collection of independent, usually single function

organizations/companies that work together in order to produce a product or
service.

Fantastic! You are two way ahead farther. I am sure you have fun
learning the different organizational structures. The second lesson helped

16
you identify the different structures that an organization has. They are not
the same, right? Let’s see how you do it. You answer activity 5 and do the
thinking exercise.

Activity 4: Thinking Exercise

Instruction: Read an article about the life of a CEO. Follow this link:
https://www.bizjournals.com/bizjournals/how-to/human-
resources/2018/11/a-day-in-the-life-of-a-ceo.html. Answer the questions
below;

1.What are the advantages and disadvantages of being CEO?

phone or zoom) . Discuss his/her perspectives on role, authority,
responsibilities, and accountability to superiors.

___________________________________________________________________________

___________________________________________________________________________

___________________________________________________________________________

___________________________________________________________________________

___________________________________________________________________________

Terrific! It would easy for you now to look on some businesses how
their organization work and to determine the kind of structure they have. Do
you know that the system adapted by each organization is also an influence
based on theories and principles founded by our great business philosophers?
To give you a better understanding of what I am emphasizing about, let’s
start with our next lesson.

17
LESSON 3. Organization Theories and Applications

There are two main classification of theories regarding organizational

design according to Robbins and Coulier(2009) These are: traditional and
modern

Traditional – pertains to the usual old fashioned ways.

Modern- refers to contemporary or new design theories.

TRADITIONAL THEORIES
There are several kinds of traditional theories applied in an organization.

1.Simple Theory

It has few departments, wide span of control or a big number of

subordinates directly reporting to a manager; it has a centralized authority
figure and has very little formalization of work. Usually used by companies
that start out as entrepreneurial ventures.

2. Functional Theory

This design groups together similar or related specialties. Generally,

functional departmentalization is utilized and put into practice in an entire
organization.

18
Example: A marketing firm that markets cars and related products
like tires, car batteries and accessories.

3.Divisional Theory

This design is made up of separate business divisions or units, where

the parent corporation acts as overseer to coordinate and control the
different divisions and provide financial and legal support services.

Example: SM, PLDT, San Miguel Corporation.

19
MODERN THEORIES

1.Team Design

In team design, the entire organization is made up of work groups or

teams. Its advantages include empowerment of team members and reduced
barriers among functional areas. It also has disadvantages, including a clear
chain of command and great pressure on teams to perform.

Example: BPO’s, Avon, Google, Facebook, Inc., etc..

Source: organimi.com

2.Matrix Project Design

It refers to an organization design where specialist from different

departments work on projects that are supervised by a project manager.

Example: Starbucks, Telco projects, Infrastructural govt projects…

Source: taalyfy.com

20
3.Boundary-Less Design

Another modern organizational design where the design is not defined

or limited by vertical, horizontal, and external boundaries. In other words,
there a re no hierarchical level that separate employees, no
departmentalization, and no boundaries that separate organization from
customers, suppliers, and other stakeholders. Virtual organization designs
are often used in this design.

Example: Global manufacturing companies such as mobile phones

(Samsung, Nokia, Vivo etc), automobile companies(Ford, Toyota, Chevrolet
etc..)

Source:
Prezi.com

Splendid! It is never enough to know more. I am sure you are very

excited to identify the theories being applied to some businesses in the city
, aren’t you? Below is an exercise that will extract your grit.

21
Activity 5. Let’s Do It!

Look around in General Santos City. Choose 5(five) businesses that you like.
Describe its internal organization and identify what organizational theory they
belong. How they apply that theory in their organization?

Name of Classification Kind of Describe the

Business (Modern or Organizational application of
Traditional) Design theory in their
operation.

22
Amazing! You deserve a treat. The three lessons you have went through
provide a clearer view of your understanding about organization and
management. You did activity on each lesson to test your comprehension by
applying those concepts in real life. The last topic is an essential function in
an organization to keep an organization on the run. Let’s proceed.

LESSON 4. Delegation

Delegation

-it refers to assigning a new or additional task to a subordinate; it may also

refer to getting work done through others by giving them the right to make
decisions and take action.

Steps in delegation include;

1.Defining the goal clearly.

-Managers must explain the task objective and the work or duties
someone else is expected to do.

2.Selecting the person who will be given task.

-The selected subordinate must be competent and must have the
manager’s task objectives.

3.Assigning of responsibility.
- managers must explain that the responsibility assigned to the
selected subordinate is an expectation for him or her to perform the assigned
tasks as well.

4.Asking the person assigned about his or her planned approaches to

accomplish the task objectives.
It is expected that the person chosen to do the task already has a
tentative plan of action that may be presented to the manager, to assure him
or her that the person assigned could achieve the task objective.

5.Granting the assigned person the authority to act.

If the manager is satisfied with the tentative plan of action presented,
granting of the authority to act immediately follows.

Bravo! You have still one more before you complete this module. As a
practice, answer this activity first.

23
Activity 6. Practice

Instruction: Open this link https://hbr.org/2017/10/to-be-a-great-leader-

you-have-to-learn-how-to-delegate-well and read the article written herein.
Through writing, discuss your opinion regarding his thoughts on the
effectiveness of delegation in the article. Here are your guide questions:

Guide Questions:

1.What was the article all about?

2.What are the important points mentioned by the author in making CEO a
great leader in an organization? Do you believe that perspective of him? Why?
3. Cite examples you have experienced in the classroom where you believe
delegation is effective.

You have stocked up few concepts of an organization already. You understood
better to learn systems common to see among organizations. Coming up is a
lesson about distinguishing what is formal and informal group. To learn more,
keep going to the next lesson.

24
LESSON 5. Formal and Informal Organizations

Whether an organization is formal or informal is determined by the

kind of relationships that prevail in each organizational type.

Formal Organizations- are characterized by hierarchical and reporting

relationships among groups or members.

Example: Church, Business Companies etc..

Informal Organization – consists of informal groups born out of the need of

social affiliation.

Example: Member of Sports Club and other social organizations.

Difference Between Formal and Informal Organizations

What are the difference between formal and informal group?

Excellent! Your hard earned efforts in accomplishing this module paid

off. Does this endeavor bring realizations in you? But before that, do some practice
on lesson 5.
