“Retention” means the length of time for which records are to be kept.
“Disposal” means the action or process of throwing away or getting rid of something.

Documents storage is an important part of both preserving and protecting the


documents that you are going to need at some point in the future. Whether your documents
ate family photo you don’t want to get rid of, or important business and personal
documentation you need to keep on file for quick access. Documents from a certain
department offices which contains important and sensitive information, thus in keeping the
documents it is necessary that only authorized personnel can access the storage area or the
files itself. It is also important to determine how long different kind of documents must stay
for storage.
Records/Documents can be paper files and electronic documents, and medical file ( including
x-ray plates and lab results) that is submitted to the clinic office.

After storing the documents it will go for retention phase. The length of time for keeping
records varies greatly depending on the record type. A document retention policy is an
important step. It is also helps establish a uniform rule across the department offices as to
how long something should be retained. It is not only assist the department offices with
which records to retain, it also serves as guide for when certain records can be destroyed.

Destroying or disposing of documents in accordance with a reasonable record retention policy


can help protect the department offices from legal risks. Therefore you should always consider
how unique and important the information in a documents is before you consider destroying it.
Generally, much of the information that may be dispose that contain important and personal
data, must be dispose without anyone can recover it by means of shredding.

Therefore having this policy will help the department to be organize and systematize.
