Quick Reference Guide: Maintain Supervisory Organization Structure (includes Create


Subordinate & Divide Organization)
Keep in mind Information Needed

• Do not create a new org if there are other empty orgs • Proposed superior organization
you could move and/or rename instead. • Proposed organization name
• Orgs cannot be deleted, only inactivated. • Org code (your department- BSD, ITS, etc.)
• Availability date
• Primary location (if desired)
• Roles for the proposed org (manager, HR Partner,
etc.)

Create Subordinate Steps:

1. From the Supervisory Org, click on the Related Actions Icon to display the menu of Available Actions. Hover over
Reorganization and click on Create Subordinate.

2. Confirm the Effective Date and click OK. The effective date should be the earliest date that transactions will be completed in
the organization. For example, if you intend to hire someone in to the organization effective July 1, the effective date should
not be any later than July 1. If unsure, chose the 01/01/1900 effective date.

3. On the Create Subordinate screen, update the following:


• Availability Date – will pre-populate; update if necessary.
• Organization Name – update field with name of new
subordinate supervisory organization.
• Organization Code – the three-to-six letter code assigned
to your division or department. Refer to an existing
organization in your division or department for this code.
• Organization Sub-Type – select Supervisory Organization
• Primary Location – select location of the new supervisory
organization (optional)

Do not check the boxes next to Include Organization ID in Name or Include Manager in Name.
Always check the box next to Include Organization Code in Name.

4. Click on the Submit Icon to submit this task.

5. You will see that this task is routed to the Organization Administrator for approval.

Once the approval step is complete, the process will continue on until
completion.

Divide Organization Steps:

1. From the Supervisory Org, click on the Related Actions Icon to display the menu of Available Actions. Hover over

4. Select either Move All to New Organization (to move all subordinate supervisory organizations to this newly created org)
OR click the checkbox under Current Subordinates to make individual selections.

5. Click on the Submit Icon to submit this task.

6. You will see that this task is routed to the Organization Administrator for approval.

Once the approval step is complete, the process will continue on until
completion.
