be done to increase success based on the process groups.

PMBOK Process Groups

PMBOK process groups can be listed as follows:

1. Initiating (IN)
2. Planning (PL)
3. Executing (Ex)
4. Monitoring and Controlling (MC)
5. Closing (CL)

Importance of Initiating (IN) on Success

Initiating includes processes performed to define a new project or a new phase of an existing
project by obtaining authorization to start the project or phase. Main elements include
authorizing the project, committing to a project or phase, setting up the overall direction of a
project, defining the top-level objectives of the project, securing the necessary resources and
approvals, identifying the stakeholders, and assigning project manager. A project has a good start
if it sets clear phases for work to be completed, initializes teams, and has the budget in place
before work begins. And the process of initiating helps to set the vision of what is to be
accomplished. Thus, initiating is crucial for creating a successful project.

Importance of Planning (PL) on Success

The planning process group comprises of processes required to establish the scope of the project,
refine the objectives, and define the course of action required to attain the objectives of the
project. This process group also addresses a more narrow clarification of all project goals and
expectations and puts in place the project infrastructure necessary to achieve those goals
according to the timeline and budgetary constraints. Main elements are defining the scope of the
project, refining the objectives of the project, defining all of the required deliverables, creating a
framework for the project schedule, defining and sequencing all of the required activities,
estimating the work effort and identifying all the skills and resources required, and setting up a
communication plan. As processes within this group deals with the setting up of the plans and
resources required for that schedule, planning is very important for success of a project.

Importance of Executing (EX) on Success

Executing process group involves processes performed to complete the work defined in the
project management plan to satisfy the project specifications. Main elements of executing
process group are coordinating the team development as well as the resources at disposal,
identifying and approaching subcontractors if needed and distributing the information required
for the project. This phase is where the project’s technical work takes place. The project team is
assembled and put to work, and the production of the project deliverables are put into motion.
Furthermore, the executing process group involves managing teams effectively while
orchestrating timeline expectations and reaching benchmark goals. Successful execution will
lead to a successful project.

Importance of Monitoring and Controlling (MC) on Success

Monitoring and controlling consist of processes required to track, review, and regulate the
progress and performance of the project; identify any areas in which changes to the plan are
required; and initiate the corresponding changes. While the other process groups occur
sequentially, monitoring and controlling hover over the whole project and thus, happen
throughout the project. Main elements include: managing your team and any subcontractors, as
well as the stakeholders, measuring the progress that is being made and monitoring team’s
performance, resolving any issues that might arise and taking corrective actions where needed
performance reports on the project, as well as communicating with all relative parties. This
process group deals with measuring and monitoring all processes within the project to ensure the
project objectives stay on track. Hence, monitoring and controlling are essential for the success
of a project.

Importance of Closing (CL) on Success


Closing process group contains processes performed to finalize all activities across all process
groups to formally close the project or phase. Main elements of closing includes finalizing all
activities, gathering, distributing and archive the information needed to formalize the project
completion, appraising the performance of the participants, evaluating the project overall and
documenting the lessons that were learned, resolving all open items on the contract, as well as
completing the final formal acceptance. Closing is the last set of processes that deals with
ensuring that all the objectives of the project has been met, and that the project is successfully
brought to an ordered end. Therefore, closing is very important for success of every project.

Why Project Fails even using the PMBOK

PMBOK process groups are essential for creating a successful project. Although all these process
groups are used, a project may fail. If initial scope is not fitting in changing environment and
cannot be changed to adopt with it, a successful project cannot be achieved.

In practical situations, there are so many constraints such as human, time, and money. These
constraints may interrupt or delay planning and executions. If those cannot be monitored and
modified in an effective way, a project will definitely fail.

There are a lot of tasks in project closing process group. Although it is the last part of the project,
it is as important as other process groups. However, project manager sometimes ignore this fact
and fails to make a successful close. Even if other four process groups are done successfully, a
poor close will make a project fail.

How to Increase Success Based on the Process Groups

PMBOK process groups can increase the success of a project if these can easily adopt to
constantly changing world. And there should be alternative plans and ways to achieve defined
objectives of the project because a project may face some constraints such as time, money, and
human.

Like initiation, project closing is equally important. Thus, project manager needs to emphasize
on closing all aspects of the process and submitting necessary paperwork on time. Good closure
brings great reviews and can increase future word of mouth referrals.
