BANKING TRANSACTIONS CONFIG

INCOMING PAYMENT - FF68

1. Create and Assign Business Transactions: T-CODE OT53

In this step you store transaction indicators for check deposit and allocate these indicators to a
posting rule.

The basic idea behind this is that, you may want to post individual transactions to an account
different from the one, which had been assigned to the house bank.

Symbols
In this activity, you have to create Account Symbols and assign them to G/L codes. For example, in the
below screen, “Bank Charges” is the account symbol, which is created for Videocon and thereafter it is
assigned to G/L. Code (See next picture)

In the above screen, the account symbol “Bank Charges”, has been assigned G/L. account +++++++++
+1. This field is called Account Determination field, which makes possible modification to the Main
Bank Account and after due modifications, it transfers to the modified account. If main G/L account of
Bank is 162210, then this account determination will make it as 162211 and the posting will be done in
the modified account instead of main account (i.e. 162211 and not 162210).

You can also put any hard core G/L Account. For example, in the above screen, Interest Exp. is assigned
to the hard core G/L. 470004. Same way Interest Income, L/C Clearing.

Define Posting Rules (The most Important Screen)

This is the most important screen of Banking Transactions. This screen is common for Check Deposit
(i.e. FF68) as well as for Manual Bank Statement (i.e. FF67), where you define posting rules (Both
screens are mentioned above).You can understand this screen in two portions as Debit side and Credit
Side. One Posting Rule The detailed explanations about the all fields in this screen are as below: -

1. Posting Rule: “Posting Rule” is the Key, which you defined in the just previous screen. This is
just a key of “Posting Rule”, which you are going to define in this screen.

2. Posting Area: There are two options in Posting Area. 1 is for Bank Accounting and 2 is for Sub
ledger Accounting. 1 should be used, if posting transaction affects only G/L Account and does
not affect Sub ledger Accounts like Customer or Vendor Accounts

For example, the cheque cleared(incoming) & cheque cleared(outgoing). In these two examples,
the transactions are related with bank G/L accounts only. Because earlier in FF68, you have
debited 2 number bank G/L account, and now at the time of FF67, you have to clear that 2
number G/L account with main bank account. So G/L accounts are only in this transaction and
there no sub ledger account.

Posting Area 2 should be used, if the posting transaction is going to affect the G/L account as
well as Sub ledger accounts like customer or vendor account.

For example, Cheque Returned(With customer) & Cheque Realisation(With Customer). In these
two examples, Customer account is going to be debited. So instead of Posting Area 1, posting
area 2 should be used.

3. Posting Key: To define posting rule you have to define posting key for both Debit & Credit. If
posting rule is being created in such a way that only a G/L Account will be debited, then you
should assign 40 Posting Key. Same way if it is fixed that a G/L account only has be credited,
then 50 Posting should be assigned.

Other scenario may be there, where the posting key has to be 15, as you may want to debit
directly to the account of Customer and Debit to Main Account. In that case, ZV04, Debit will be
Main Bank by posting key 40 and Credit will be done through 15 Posting key.

(Note: No G/L account is mentioned in case of ZV04, as it is not fixed which customer will be
credited and Posting Area is taken as 2, because G/L and Sub ledger both account are taking
place in this posting rule).

One more thing can be seen here in this screen that in so many places, no posting key is
mentioned. In case of Posting Type 4, 5 & 7 this is the case.

4. Account(Debit): This is the field of Account Symbols. Here you have to specify, which G/L
account you want to specify for debit or credit. One should note here that at one side of the
posting rule there has to be Bank Main account and other side of the posting rule shall be
defined according to the posting rules you are making.

Whenever there is no confirmation, as to which G/L account or sub ledger account has to be put
in this field, then this field should be kept blank. For example in ZV05 & ZV04 (i.e. “Check
Return / Bounce (with customer)” and “Check Realisation (with customer)”), you need to
mention customer account number, so you better leave it blank. But in case of ZV09 (Bank
Charges), you can define Account symbol “Bank Charges”, which is fixed.

5. Document Type: You have to specify document type for the transaction, which has to take
place from FF67 (i.e. reconciliation)

6. Posting Type: There is a system default list of Porting Type. (1 to 9). This is the most crucial
part of configuration, which need to understand very well. The list of Posting Type is as follows:

1. Posting Type “1” should be used, when the second effect in the posting rule will take
place as a G/L account Post. E.g. in ZV14 & ZV15, “Interest Income” & “Interest Exp”.
(First effect always has to be Main Bank Account).

2. Posting Type “2” should be used, when the second effect in the posting rule will take
place as a subledger account debit post. E.g. in ZV03 & ZV05, “Cheque Reverse” &
Cheque Return”, the subledger account has to be debited. (In case of CMS banks, it may
so happen that even thought the cheque is not actually collected by bank, but still credit is
given by bank. So, account gets cleared, when the credit is given by bank. But later on,
the cheque may get bounced, so now, there is no clearing account in picture, as it has
already been cleared, so directly customer will be debited and Main Bank will be
credited.)

3. Posting Type “3” should be used, when the second effect in the posting rule will take
place as a subledger account credit post. E.g. in ZV04, “Cheque Realisation (with
customer)”. There may be a case, when there is a posting in bank statement, as cheque
realisation of any customer, but not there in the bank book of compayn, in that case,
directly customer will be credited and Main Bank will be debited.
4. Posting Type “4” should be used, when the second effect in the posting rule will take
place as clear G/L account and debit it. E.g. in ZV01 & ZV09, “Cheque Cleared
incoming” & “Bank Charges Debit”. In this case, you will debit these G/L accounts.

5. Posting Type”5” should be used, when the second effect in the posting rule will take
place as clear G/L account and credit it. E.g. inZV02 & ZV10, “Cheque cleared
outgoing” & Bank Charges Credit”. In this case, you will credit these G/L accounts.

6. Posting Type “7” should be used, when the second effect in the posting rule will take
place as cleaer subledger account and credit it. E.g. in

Posting rules are defined for both the transactions of FF68 & FF67 in the above same screen. You need
to create the Business transactions separately from the below path:

Below is the Business Transactions created, so that they will appear while doing FF67.
