GUIDELINES FOR CONDUCT OF EXTERNAL PRACTICALS’ Jan-2022


For Members of Viva Panels

1. The Final Practical examination shall be conducted in online mode (Blackboard) on respective Portal
where classes have been conducted for the current session.
2. For any Special circumstances the practical exam may be conducted in physical mode but the details should
be sent to the office of undersigned on or before 12th Jan 2022 (Documentation and guidelines for the
physical mode will be different hence different set of guidelines to be sought after submission of details).
3. Viva-Voce will be conducted for those students only who have no pendency in fees.
4. Students should appear for Viva- Voce in Full University Uniform only (in exceptional cases formal dress
can be allowed by HOD).
5. Viva panel should also be in Formals while conducting the Viva-Voce.
6. The viva panel should consist of at least two examiners one subject teacher (Internal Examiner) and
one any other teacher (External Examiner decided by HoD) of thedepartment.
7. The department should share the schedule / datesheet of practicals along with the details of internal and
external examiner with the examination branch as per the format asked by them. The concerned internal
examiner should post the schedule on Blackboard too as a message for the students in the respective
practical course.
8. The practical should be allotted individually to every student (And Not to group) by the internal examiner.
9. The video of the students appearing and internal, external examiners for the VIVA should be kept in ON
Mode.
10. For Blackboard, the student groups appearing for the Viva have to be shifted to the
Main Room from the Break Out Group by the internal examiner so that recording
can be done for the student appearing for the viva. Other students should continue
with the break out groups. During the viva only, the concerned student/group
should be shifted to the main room.
11. The recording of the complete session should be kept ON and this needs to be
ensured by the concerned Internal Examiner.
12. The internal examiner is required to create one test named as Final Worksheet in the practical
course where the students should submit the completed worksheet within the stipulated time of the
practical exam.
13. The worksheet can be handwritten/typed/program based and should be uploaded by the students inside
the Lab Course in the Test created by the internal examiner. The internal examiner can also assist
the External Examiner to evaluate the submitted worksheets of the students.
14. Every internal examiner should maintain the hard copy of the distribution of the marks with them and
should upload the total marks out of 40 on CUIMS.
15. At least one member of the panel shall have had previous experience of conducting a viva-voce.
16. Flying squad as deputed by COE may attend the Viva-Voce as recorder wherever applicable so the
meeting details to be shared with COE well in advance.
17. Viva Panel should ask a student the following points
 Description of Experiment conducted by the student in laboratory
 Objective of the Experiment
 Application/ usage of the Experiment
 Procedure of conduct and learning outcomes of the experiment
18. The viva panel should decide in advance what areas of the student's work will be discussed, and why this
area has been selected. The focus should be on specific assessments and should not be too general or wide
ranging in nature.
19. The detention status shall be visible in the award lists ONLY to the respective internal
examiner on CUIMS. Please make sure NOT to entertain any student who is detained for the
examination.
20. The panel should discuss and decide on the line of questioning before the viva. The following is considered
good practice:
 The use of open rather than closed questions, to give candidates the opportunity to demonstrate ideas,
knowledge and ability.
 The use of simple and complex consisting of several parts.
 The avoidance of leading or hypothetical questions, which can be unproductive.
 The use of questions covering a range of issues, rather than those limited to a single topic, but which
should be strictly relevant to the purpose of the viva.

The Conduct of the Viva


1. The Panel should greet candidates, confirm their identity against their ID cards, ensure they are comfortable
and attempt to create a relaxed atmosphere, especially where a candidate appears nervous.
2. Topics should be introduced and questions asked without long preambles to questions - ideally examiners
should talk as little as possible, should listen to and should not interrupt the candidate without good reason,
under no circumstance viva of a student should be less than 5 minutes.
3. The Viva-Voce of single student should not exceed 15 minutes in any case.
4. Take student attendance by noting down UID and name of student.
5. Take and save VIVA-VOCE recording, including click the photograph of each student present and save with
UID for easy and more clarity of presence.
6. The Panel should ask questions from all the practical’s conducted during regular classes to evaluate the
quality performance of the student.
7. The following is considered good practice:

 Whilst identical questions to each candidate may not be appropriate, each candidate should be asked
questions of a similar nature.
 Assumptions on matters of race, gender etc should be avoided when asking questions or making comments.
 Patronizing language or inappropriate body language should be avoided.
 Panel members should maintain eye contact with the candidate whilst communicating (this is especially
important in cases of candidates with speech difficulties such as stammer).

8. Disagreements between members of the panel must not be discussed in the presence of the candidate.
9. The candidate must not be given any indication, directly or indirectly, of the likely outcome of the viva.
Value judgement words (e.g. excellent, good) after a candidate's response should be avoided, as these could
be misinterpreted by the candidate to indicate a favorable outcome.
10. The candidate should be advised when the last question is being asked, and the viva should be ended
formally.
11. For a period of one hour Viva- Voce slot, the number of students should be equal to or less than 10.
12. Concise written records of viva’s should be maintained, including the date, time and length of the viva, and
marks awarded to each student.
13. Record of bifurcation to be maintained by the panel and should be mailed to Concerned HOD on the same
day.
14. Final total marks are to be uploaded on UIMS within 24 hours of the conduct of viva and the last date to
upload on UIMS 17th Jan-2022.

The breakage of the marks for conducting the final practical examination shall be followed as under:

 Performance/Conduct by the student: 10 marks


 Viva-Voce: 15 marks
 Written Worksheet: 15 marks

The detailed marks report shall be sent by the HOD in a compiled Zip folder along with final marks uploaded on UIMS.
