Documentum Lifecycles Job Aid

  Overview

You can manually attach a Documentum lifecycle to content or folders


in order to track that content’s/folder’s status. Once a lifecycle has
been added, you can easily promote, demote or remove the lifecycle
from the content.

1 Add Lifecycle Columns to


the Content Pane

To view the lifecycle or lifecycle state of an asset/folder in the Documentum


Content pane, you must add the Lifecycle and Lifecycle State columns to the
Content pane (if they do not already display).

1 T o add the Lifecycle and Lifecycle State columns to the Content pane, click
the Column Preferences icon.

2 The Preferences screen appears.


a At the Select attributes to display menu, scroll down and then select
the Lifecycle attrribute.
b Click the Add button to move the attribute to the Selected attributes
to display as column menu.
c Repeat steps a and b to add the Lifecycle State attribute.
d Click the button.

NOTES
• To remove an attribute from the Selected attributes to display
as column menu, select the attribute and then click the
Remove button.
• To move an attribute up or down in the Selected attributes to
display as column menu, select it and then click the Move the
item up button or Move the item down button.

2 Apply a Lifecycle

1 To apply a lifecycle: Quick Tip


Select the file(s) and
a Navigate to and then select the asset(s)/folder(s). then press L on your
keyboard.
b Click the TOOLS menu, click Lifecycle, and then select Apply.

2 The Apply Lifecycle screen appears:


a At the Name column, select the appropriate lifecycle. For instance, if
the asset is an InDesign file, select a lifecycle appropriate for images,
such as image_lifecycle.
b Select an initial state from the drop-down menu.
c Click the button.

3 In the Content pane:


a Confirm that the appropriate Lifecycle and Lifecycle State appear.
b The Lifecycle successfully applied confirmation message displays.

3 Alter a Lifecycle

Once you have applied a lifecycle to content or a folder, you can promote the
lifecycle to the next state, demote the lifecycle to the previous state, or remove
the lifecycle from the content.

1 To alter a lifecycle:

a Navigate to and select the asset(s)/folder(s). • PressR on your
keyboard to Promote
b Click the TOOLS menu, and then click Lifecycle. a Lifecycle.
c Select Promote to promote the lifecycle to the next state, or • PressD on your
keyboard to Demote
d Select Demote to demote the lifecycle to the previous state, or a Lifecycle.

e Select Detach to remove the lifecycle from the content.

e Although Suspend and
Resume appear as
Lifecycle menu options,
you cannot suspend or
resume a suspended
lifecycle at this time.
Selecting either option
will result in an error
message.

NOTES
• If the lifecycle cannot be promoted any further, the Object can not be
promoted error message appears.
• If a document cannot be demoted any further, the Object can not be
demoted error message appears.
