Introduction

This document will guide you through the activation procedure of the Universal Print service (UP
service) on the MPS Monitor portal.

The Beta version of the UP Service will allow you to enable Universal Print functionalities on your
Microsoft 365 subscription, using the specific features that MPS Monitor provides.
This will allow you to print from the Microsoft 365 Cloud service and to manage users and print
jobs in the MPS Monitor Portal.

The Beta version is intended not for production usage, but more to ensure that the Service
provides the expected functions and works in a correct way. We thank you for the time and effort
that you will dedicate to testing and using the Beta version.
We also encourage you to provide extensive feedback to us on the usage of this Beta version. It
will be extremely useful for us to be able to release a production version of Universal Print in MPS
Monitor in the shortest time possible.

For any need or issue you should have during the Beta phase, please write an email to
help@mpsmonitor.com indicating in the subject: “Universal Print Beta”, so that the message
goes directly routed to the development team.

Steps to activate the UP Service

To activate the UP service, you will need the following prerequisites:


1. A DPU user account on the MPS Monitor portal with the Universal Print permissions enabled.
2. A Customer under the dealer with active printers that are currently monitored by MPS
Monitor.
3. A PC, connected to the same network where the printers are, on which you will install the
Universal Print Connector
4. A Microsoft 365 subscription which includes the Universal Print service.
5. Azure Active Directory domain administrator account credentials for the M365
subscription
6. One or more PCs where users can log in with their Azure AD accounts to print through UP

The steps to perform for the activation are the following:


1. Check Microsoft Azure requirements
2. Check MPS Monitor requirements
3. Activate the service in a customer in the MPS Monitor Portal
4. Access the Universal Print page in the customer
5. Download the Universal Print Connector from the Universal Print page in MPS Monitor Portal,
and install it on a PC that has Internet access and that is located on the same network where
your printers are
6. Log in to the connector using your DPU user and the Azure AD Printer Administrator user
7. Select the customer where you wish to register the printer, and register the Connector in UP
8. Register each of the printers where you wish to print by selecting them in the connector
configuration
9. On the Universal Print page in MPS Monitor, create a share for each printer
10. Configure the shared printers in the PCs where you wish to print
11. Start printing
12. Execute Reports on printers and jobs

Check Microsoft 365 / Azure AD requirements

The UP service requires a Microsoft 365 / Azure Active Directory (Azure AD) subscription with one
of the licenses listed below. It also requires a domain admin account for the initial configuration.

Microsoft 365 / Azure AD subscription licenses required

The UP service is available for the following Azure subscriptions:

Customers who do not have Azure subscriptions that include the Universal Print service can obtain
standalone licenses. These licenses require an Azure AD Premium P1 domain or higher.

Administrative user for first access


The connection between MPS Monitor and Azure AD is made via 3 applications. These applications
require permission to access the customer’s Azure subscription.
To allow the use of these applications it is necessary that, at the first use, a domain administrator of
the Azure AD subscription grants access to them.
In the chapter “Granting access to Azure AD to the 3 applications” you will find how to grant the
permission to access to these applications. Please check that you have a user with administrative
rights on the Azure AD domain, in order to use it to perform the granting. After the granting, you will
not need the domain administrator access anymore, as you will be able to manage all the Universal
Print functions through a Printer Administrator user with a specific set of permissions in Azure AD.

How to get the Tenant ID of your Azure Active Directory subscription

You need to know the "Tenant ID" of the Azure AD you want to use.
Follow the steps below to recover your Tenand ID on the Azure portal:
1. Connect to https://portal.azure.com portal with the AD domain admin credentials
2. On the home page, select "Azure Active Directory", or if there is no "More services" and in
the search box enter "Azure Active Directory"

3. Copy the Tenant ID from the "Overview" page of the Azure Active Directory

Printer administrator users in Azure AD


The "Printer administrator" is the Azure AD role that allows you to install and configure printers in
the Universal Print service.

The AD domain admin user needed for the first access has all the permissions, therefore also those
of the role "Printer administrator" and it is therefore possible to use it in all the following configuration
procedures.
We strongly suggest NOT to use the AD domain admin user for the normal use of the service.
To avoid that, you can assign the role "Printer administrator" to another user of Azure AD by
assigning the user roles in the Azure portal.

Users connected to the PCs where to print


Users who want to send a print through the UP service must be connected to their PC using their
Azure AD credentials, so that the AD domain resources are visible in the PC, and therefore also the
printers shared by the UP service can be configured.
Please make sure that your users are connected to their PC using their Azure AD domain accounts.
Users who need only to print on UP shared printers, but do not need to access the UP dashboard in
MPS Monitor, do not need any specific role or capability in the Azure AD domain.

MPS Monitor requirements

The UP service can be used on the MPS Monitor portal only by those users who have assigned the
"Customers_universalprint" permission.
In this phase of Beta testing, the permission will be activated to users who request it. If you don’t
have a user with these permissions, please write an email to help@mpsmonitor.com to require the
permission for your user.
At the end of Beta testing phase, the service will be assigned to the role "Dealer Power User" (DPU)
so that it can be used and assigned independently by everyone.
Once the permission has been granted, the user must login again.
To verify the correct allocation of the permission, simply select the customer you want to configure
the service and verify the presence of the "Universal Print" item in the menu:

Service activation process on the MPS Monitor portal

The activation process in the MPS Monitor portal is performed through the following steps:
1. Access to the customer’s Universal Print page in the MPS Monitor portal
2. Entering the Tenant ID of the MS Azure subscription
3. Granting access to Azure AD to the 3 applications

Access to the customer’s Universal Print page in the MPS Monitor portal
Once connected to the MPS Monitor portal through a user who has been given permission to access
the UP service, select the customer on which you want to activate UP and select the menu "Universal
Print":

Entering the Tenant ID of the MS Azure subscription of the customer
Enter the Tenant ID of the Microsoft 365 / Azure AD subscription that you wish to use for the UP
service on this customer.
The Tenant ID is specific for each Microsoft 365 / Azure AD Tenant, and each Azure AD Tenant
belongs to a specific customer. For this reason, there is a check on the Tenant ID to ensure that it
is unique within the MPS Monitor portal, and it cannot be used with other customers.

Granting access to Azure AD to the 3 applications

Select in sequence the 3 buttons to allow the use of the MS UP service to the 3 applications.
Each button will open a new login page to Azure AD and must be entered the credentials of an
administrative user of the Azure subscription.
Validate the credentials, the portal will ask for consent for the use of the corresponding application.
The process will be identical for all 3 buttons.
At the end of the authorization process it will be possible to access the dashboard page of the
Universal Print service.

Monitor.

Access the Universal Print page in a customer

You can now access the Universal Print service dashboard page in the Customer section of MPS
Monitor.
If you are requested again to log in with an Azure AD account, at this point you can also use an
Azure AD user with only "Printer Administrator" permissions, instead of the Azure AD domain
administrator.
Using a Printer Administrator account ensures that the access to the UP features is performed with
the minimum security level required, thus increasing the security of this feature.

Connector download and installation

To enable printing using Universal Print on your printers, you need to install the Universal Print
Connector provided by MPS Monitor.

The Universal Print Connector needs to be installed on a PC which is on the same network where
your printers are.

From the UP dashboard in the MPS Monitor Portal, click on Download Connector:

Download the connector from the Universal Print page in MPS Monitor Portal, and execute the Setup
procedure on your PC.

We suggest that, after downloading the Connector, you close your browser, to avoid problems
with the Connector’s authentication process.

Please note that you need to download and install the connector on a PC that is connected to the
same network where the printers are present.

Log in to the connector

The Connector, once installed, will require you to Authenticate to MPS Monitor and to Azure AD.
First, you need to insert your MPS Monitor DPU Username and Password,
This is the same set of credentials that you use when you log in to the MPS Monitor Portal:

Then you will need to insert your Azure AD Printer Administrator credentials:

Select the customer with the printers, and register the
Connector in UP

Configure and register the Connector by selecting the customer where the printers are located.
Please note that only printers that are present in MPS Monitor can be registered.

Select the dealer and the customer from this window:

Once you select the customer, the Connector will suggest to choose a Connector name. You can
choose the one proposed, and click on Register:

Wait a few seconds until the registration completes.

Register your printer in Universal Print

The Connector performs the registration of your printers in Universal Print. You need only to choose
them and confirm the registration.
Please note that only printers that are present in MPS Monitor can be registered.
Choose from the right pane the printers which you wish to register.
Remember that the printers need to be switched on and connected to the same network where
the Connector is installed.

The printers’ registration phase may take a while. At the end, you will see a confirmation message
in a pop up, and the printers you registered will appear in the left pane:

What to do if the device registration fails

If you get a message from the Connector which says that the printer could not be registered,
please follow these two steps:
1. Click on Send Report in the same screen; this will send the logs to our support team
2. Send an email to help@mpsmonitor.com with the subject Universal Print Beta, and
describe what happened, including the printer serial number.

Share the printer

You can now configure and share the registered printers.


Be aware that only shared printers can be used to print from UP.
Go to the MPS Monitor Portal, into the same customer, and select again Universal Print from the
menu.
Log in again to Azure AD with Printer Administration user credentials.
You will now see your registered printers in the Universal Print page; open the menu and select
Share, then confirm with the button:

Give a name to the shared printer and press Share

The printers list now shows the printer and its sharing information:

By clicking on the menu in the Share table you can edit the sharing setting and the allowed users
that can see printers in their Windows PCs:

If you want to share the printer to everyone activate the switch "Allow access to everyone".

Otherwise choose an Azure AD User in the dropdown list and click "Add".

Press "Save" to confirm the changes.

Connecting the shared printer to the PC

To print from a PC to a Universal Print printer in the Azure AD domain, you need to add the printer
to those configured in the PC. Once authenticated on your PC with an Azure AD user you can add
shared printers in the domain.
Select "Settings" -> "Devices" -> "Printers & Scanners" -> "Add a printer or scanner"
Windows will also search for shared printers in Azure AD. The printers found in Azure AD will be
displayed with a cloud in the background, like this:

Pressing "Add device" will add the printer to the system.

Printing through Universal Print

The printer is viewed by the system as a classic printer so you can run a print test rather than print
a document from any program installed on your PC.

Reporting on printers and jobs

This page displays the daily and monthly use of the express service in Job number.

Troubleshooting

Applications enablement verification


To check whether applications have been granted access to the Azure AD successfully, you can
connect to the Azure portal, select "All services" and enter in the search box "Enterprise applications"

The following applications shall be included in the list:

If one of them is not present, it is necessary to check the authorization for that application.
In this case, you may need to complete the step “Granting access to Azure AD to the 3 applications”.
In case of problems, please write an email to help@mpsmonitor.com describing the problem.
