1.Introduction: A standard operating procedure (SOP), also known as a standing operating

procedure, is a set of written directions or instructions for completing a routine operation that is
intended to improve performance, efficiency, and quality by ensuring systemic homogenization.
The word was coined in the mid-twentieth century. SOPs are used by a wide range of
organizations, including those in business, education, government, health care, industry, and the
military, among others. Although categorical differences are unavoidable, all SOPs have the goal
of systematizing the individual processes involved in the execution of a repeatable operation in
order to produce a quality system. SOPs begin by identifying and summarizing a task, describing
its purpose, and specifying when and by whom it should be completed, while also clarifying
unusual or specialist terms and addressing potential problems such as required equipment or
supplies, health and safety precautions, and so on. They next go over the sequential procedures to
be followed, typically with activity checklists and graphic aids (charts, tables, pictures, diagrams,
and so on) to ensure that the operations are carried out correctly and in order. SOPs can also have
a number of other advantages, such as reducing the risk of miscommunication, allowing for
comparability, and assuring regulatory compliance. They must, however, be evaluated and
adjusted on a regular basis to stay current, allowing them to boost final results even more.
Excessive paperwork and a loss of workplace personality are two downsides of SOPs.

5. Problems and recommendation:

Lack of proper maintenance of SOPs: procedures evolve over time and with experience. Many
companies, on the other hand, neglect to document the procedural changes in the current edition
of their SOPs.

 Failure to implement procedural changes is one of the most typical maintenance

concerns.
 Failure to include a modification history - it's critical to correctly annotate the SOP with
the version number, effective dates, and category.
 There is no summary of previous to current changes.
 Inadequate formatting, pagination, headers, and footers on all pages, among other things.
 In a written document, there are no clear definitions for amending SOPs. Documenting
practices for modifying existing SOPs, generating new ones, and educating, retraining,
and approving workers in all processes is critical.
 Inadequate access to SOPs by relevant staff anytime they need to refer to them.
 Inadequate control and access to SOPs - Only authorized individuals should have access
to SOPs.

Lack of extensive SOP training:

It doesn't matter how well-written your SOPs are if your employees aren't properly trained. All
affected workers must read and understand the SOPs for which they are responsible, according to
management. Key training records pique the interest of the majority of auditors. They also test
the employee's comprehension of the processes by asking them to explain what's in the SOP and
demonstrate how the task was completed. Employee conformance to SOPs can be assessed in a
variety of ways, including:
• administering quizzes
• assigning mentors
• conducting performance reviews and documenting them
• using checklists and other forms to monitor tasks and ensure compliance
• signing any documentation associated with SOPs with the date.

Recommendation:

 Establish a procedure for determining which procedures or processes should be

documented.
 Understand the compliance requirements thoroughly and be well-versed in the activity
 Understand the internal structure of the company.
 Be a subject-matter expert who does the task or uses the process on a regular basis.
 Follow a team approach, especially for multi-tasking activities that require the input of
multiple people.
 One or more personnel with sufficient training and experience with the process should
review and validate the SOPs.
 Before finalizing SOPs, have them tested by someone other than the original writer.
 Have the SOPs approved in accordance with the company's quality management plan.
 SOPs should be reviewed on a regular basis.
 Update and re-approve SOPs if a process changes.
 Keep a master list of SOPs that includes the SOP number, version number, date of
issuance, title, author, status, organizational division, branch, and section, as well as any
historical information about previous versions.

mechanisms, or implementation conventions, may be included in these agreements. An

adequate business ties. In this paper, we discuss the current state of e-commerce in Bangladesh,
as well as SOPs with difficulties and effective remedies.
