This assignment is one of the academic requirements for

completing the project management subject for Doctor of Management

students. The university's goal is to develop and improve students' ability

to conceptualize, create, implement, and evaluate projects. Despite the

hurdles that the project manager/author faced in bringing her project to

fruition in light of the world's current predicament, she persevered in

completing and delivering what she set out to do.

The project was completed after proofreading and criticizing by the

campus research committee, which aided the project manager/author in

presenting a well-created project. I am happy of this output as part of

the campus vision, and I strongly encourage continuing this type of

activity that strengthens students' ability to develop a project and make

this type of project.

Chapter 1: The Project Cycle

Define, Describe, and Explain the following concepts and Illustrate how

it was applied to your Project.

1. THE PROJECT

a. The Project Process

The project process corresponds to the project

implementation that is divided into sub-processes. The structure

and process are defined in the project organization considering the

attainment of the corporate objectives and therefore project

objectives. The components of the project process are project start,

project preparation, project planning, project implementation, and

project completion. The two last components should contain also

the project decision. The process is a success due to the following

methods as personnel, resources, financial resources,

establishments, techniques and methods, and present results.

Doing a project should involve a process in order to

determine what steps to be done first, next and final. It will guide

you on the steps to do while doing your project.

b. The Importance of Project Management Process

Project management is important because it brings leadership

and direction to projects. It ensures if there is a proper plan for

executing strategic goals. It ensures proper expectations are set

around on what can be delivered, by when, and for how much. It

ensures risks are properly managed and mitigated to avoid

becoming issues. It also ensures the right people do the right

things, at the right time. Finally, it ensures proper project

management process is followed throughout the project life cycle.

These methods assist me in properly completing all of the

tasks required for the implementation of my project. I was given

advice on what to prioritize and what steps to follow in order to meet

my project's objectives.

C.Project Definition

A project is a temporary undertaking performed to

produce a unique product, service, or result. A project cannot be

called a project unless it has these components; the scope, the

schedule, and the required resources.

When working on a project, you must have a clear idea of

the kind of projects you intend to construct or complete. Take into

account the schedule, or the time span in which your project will

begin and end. Finally, in order to avoid project delays, the

availability of essential resources should be evaluated.

When it came to the availability of resources, I had various

difficulties while working on my project. Because the personnel or

resources required are not available, I must revise my plans and the

entire project. As a result, it's critical to think about these factors

when planning a project so that you can complete it on time.

D.Project Management Definition

Project management is the process of guiding a project from

start to finish, from execution to completion. The starting process,

planning process, executing process, monitoring and regulating

process, and closing process are among the five sets of processes.

Project management is beneficial to me as I work on my

project. It instructs me on the procedures to be followed in order to

carry out my plans. You can't finish a project until you manage it

properly.

2. INITIATION

a. Project Criticality

Every endeavor begins with a concept. You must come up

with a specific task or goal to complete. This is the most important

stage of a project since you must select tasks to do and there are

numerous factors to consider. The commencement step of every

project is the most difficult portion of the process.

In my case, deciding on a specific project to work on or

complete is quite difficult. The things to do, the theme or concept, the

resources available, and the audience that will play a role in my

project will all be evaluated at this point. It took me a long time to

figure out what kind of project I wanted to work on.

b. Project Type (Complexity)

One of the factors to consider when completing a project is the

project type. A project classification is determined during

implementation and determines how the project's expenditures are

processed. One of the things to consider during the introductory period

is this. Choosing the type of project you need to accomplish or construct

is a difficult task. When deciding on a project to work on, a lot of thought

goes into it.

Based on my experience with my project, deciding what type of

project I want to pursue is extremely difficult for me. To come up with the

finest project idea, I have to put a lot of thought and consideration into it.

c. Scope Statement

A project scope statement provides a precise explanation of the

tasks that must be completed. It outlines the tasks that must be

completed within a particular time frame and budget. This section

contained the project's overall goals as well as individual objectives.

d. SMART Objectives

Specific criteria for creating goals and project objectives

are referred to as SMART. The project's goal should be Specific,

Measurable, Achievable, Realistic, and Time-bound. For ease of

implementation, a project should have SMART objectives. It will

also be carried out effectively and efficiently.

e. Project Charter

A Project Charter is a document that, while describing the

purpose of a project and its scope, legally authorizes the beginning

of the project. Any business nowadays, before initiating a new

project requires a signed project charter. In creating a project

charter you need to consider the following: identify the Project

Vision, identify the Stakeholders and the Customers, create an

Organizational Chart, define Project Milestones, create a Resource

Plan, set the Budget for the Project, list Down the Dependencies,

Constraints, and Risks, and lay Out the Implementation Plan.

As I'm working on my project, I'm thinking about the vision I

want to achieve and the purpose I want to serve while working on

it. I also evaluate my resources, such as stakeholders who may be

able to assist me with this project and, of course, the customers of

the participants, who are critical to the project's success.

F.Sponsors

A project sponsor is someone who provides resources for the

project to enable its success. He also helps the project manager by

providing guidance and knowledge. This project sponsor will help

you build your project efficiently and in a definite time. Sometimes

through sponsors, you were able to build projects with minimal

costs.

In my instance, when I implement my project, I am really

fortunate in that it was effectively carried out at no expense to me

because the speaker did not request payment since she is a

missionary by passion. As a result, it felt as if the speaker herself

was sponsoring the event.

G.Stakeholders

Stakeholders in a project are the project manager, the

customer, team members within the performing organization, and

the project sponsor. They are someone who has any interest in or is

affected by your project. Stakeholders are also those people who are

involved in the implementation of your project.

I am grateful to Bukidnon State University-Medina Campus

for allowing me to organize such a program for our students. My

project would not be possible without their approval.

H.Requirements

Project requirements are the basic resources and things that must

be secured in order to do the project. They are the project start date,

scope, boundaries of the work, constraints in resources and people,

project environment, deliverables, and budget. In doing a project, the

project manager must consider all these things to effectively implement

the plans.

In my instance, I make certain that all of the requirements are met

in order for me to carry out my assignment. Failure of my project would

result if certain requirements were not met.

3. PROJECT PLANNING

a.Project Planning Checklist

A project checklist is used to make sure that none of the

items that you have included on the project-planning checklist are

forgotten or left without action. It serves as a reminder of what

needs to be done and assurance of what has been done once the

items are checked off the list. It also serves as your monitoring

guide to accomplish all that has been needed in the

implementation of the project.

In the implementation of my project I always see to it that it

was being properly monitored and checked through my checklist. It

is very helpful to me to have some checklist to see to it that I am on

the right track and that nothing has been missed.

B.Kick-Off Meeting

A project kick-off meeting is the first meeting with the project

team and the client of the project where applicable. This meeting is the

time to establish common goals and the purpose of the project. Starting

a project without a kick-off meeting is like setting off on a trip without

any concrete plan. It is important to conduct a kick-off meeting in order

for your team to consider all things that are needed in the

implementation. Also, for you to be prepared before the implementation.

C.Work-Breakdown Structure

Work-Breakdown Structure is a hierarchical and incremental

decomposition of the project into phases, deliverables, and work

packages. It is a tree structure, which shows a subdivision of effort

required to achieve an objective; for example a program, project, and

contract. Work breakdown structure will help you determine tasks that

need to be subdivided with your team. WBS is needed in order to divide

the tasks that are needed to do or accomplish. With WBS, it will help

your team lessen the time needed, mitigate the risks and meet the

desired deadlines of the project.

Upon doing my project, I see to it that every tasks has been divided

so that it will be easy for me to trace my accomplishments.

D.Network Diagram

Network diagrams are used to show how a large project or task can be

broken down into a logical series of subtasks. They provide another way

to analyze company projects. It entails here three elements that need to

be considered: these are the milestone, the activities, and the duration

of your project. A network diagram will help you determine how you can

save time in the implementation of your project.

This network diagram is really useful in helping me manage my project's

time and budget. It assists me in determining how I may reduce the

amount of time and money I spend on my project.

E.Gantt Chart

A Gantt Chart is a timeline that is used as a project management tool to

illustrate how the project will run. You can view individual tasks, their

durations, and the sequencing of these tasks. View the overall timeline

of the project and the expected completion date. It is important that upon

doing your project you need to prepare a Gantt chart for you to monitor

activities to be done on a specific period. It will help you track the

progress of your project.

f.Managing Risks

Managing project risk refers to the steps you take to identify,

analyze and deal with problems or issues that might arise during

the project. The reason why project risk management is important

is that risks can throw a project off course. It is important for the

project team to know how to manage risks to avoid delays in your

project.

g.Teams

The project team is the group of people responsible for executing

the tasks and producing deliverables outlined in the project plan

and schedule, as directed by the project manager, at whatever level

of effort or participation is defined for them.

4.EXECUTION

a.Conflicts

A conflict is a situation when the interests, needs, goals, or values

of the project stakeholders interfere with one another. Project

managers should see conflicts as opportunities to grow and as

opportunities to move the project forward towards delivery.

B.Managing Changes in Projects

Managing change is when you proactively make the most of

changes to benefit your organization. This section aims to provide

the very best in change management strategies, tips, and

frameworks to help you do this. In the implementation of your

project, it cannot be avoided that there are some changes to make,

especially if some of the resources are not available. What is more

important is that the team knows how to manage such changes.

Because the resources were unavailable in my instance, I had to

make various alterations to my project. To effectively launch my

project, I need to update both my project and my resources; else, I

will be stuck where I started.

c.Resistance to Change

Resistance to change is the unwillingness to adapt to altered

circumstances. It can be covert or overt, organized, or individual.

If the project is resistant to change there is a possibility of a delay

of the project.

In my case, I did not resist changes since I know that if I will not

make any changes to my plans, my project will not be successfully

implemented. It is vital for me to adapt to changes in order for me to

continue my project.

d. How to Influence Others?

In leading the team, the project manager cannot rely on authority

alone. Influencing skills will be required with individual team

members and also with their line managers in the case of

conflicting demands. It is essential to know how to influence others

particularly on accomplishing a project. Influencing others will

help you achieve your goals in due time.

5. CONTROL AND REPORT

a.Communication

Communication is key in project management. For a successful

project execution, effective communication to all stakeholders is

essential. Many projects fail because of a lack of communication

or an ineffective one. Communication is best defined as the

exchange of information and the expression of ideas, thoughts and

feelings by using words and other methods. In the project

management context this means the exchange of knowledge, skills

and experience. Constant communication is vital in the

implementation of the project.

b.Listening

Being a better listener leads to higher productivity and improves

the potential for influencing and persuading others as well as

negotiating effectively, all of which lead to better project

management.

c.Reporting

Project status reporting is a regular, formalized report on project

progress against the project plan. Its purpose is to effectively and

efficiently communicate project status at regular intervals to

project stakeholders.

d.Managing Delays

In a project management, it is important to manage delays on the

implementation of the project. Delays means additional burden,

costs, time and effort to be exerted. To manage delays, you need to

set realistic goals and expectations, conduct frequent meetings

with the team to identify problems, optimize gathering of

resources, and constantly measure progress. With these things

implemented, it can help you manage delays of your projects.

e.Escalation

Escalation in project management is an anticipated rise in

uncommitted costs of resources (labor, material, equipment) over

time, due to reduced purchasing power of money.

f.Negotiating Rational Delays

No matter how well planned your project schedule may be, there

is always the possibility for delay. Negotiating rational delays is

one of the few factors that needs to consider in project

management. This is to ensure that despite delays you were able

to accomplish things as expected.

g. Team Meetings

In order to track the progress of the project conducting team

meetings frequently is essential. It is one way of mitigating the

risks of delays and other circumstances. In doing a project, you

need to do this with your team to generate ideas, to follow up

progress and to monitor the activities that need to be done on time.

6. PROJECT OR PHASE CLOSE

When it comes to project management, closing out a project isn’t

just a matter of executing deliverables. Though the process may

seem tedious or overly administrative, a formal closure phase

ensures all loose ends are tied up, documentation is signed and

approved, contractors are paid, and everyone is on the same page.

The closing phase also gives you the opportunity to review and

evaluate the project’s success (or failure), which is crucial for

planning and executing successful projects in the future.

V. RATIONALE
Digital devices and similar tools can enhance students’ experience
during their educational journey. However, the use of smart devices in
classrooms and on school premises can have negative consequences.
While most teachers are concerned about students being distracted by
phones and laptops, few think about data privacy. Students are exposed
to common security risks each time they log into school computers or
use the school’s public WiFi. If the computers and networks at school
are not secured, they can put students’ data in danger. On top of that,
using digital devices is not the only way students’ data can be exposed
to the education process. Schools often require different types of
personal details. Usually, they are asked to provide home addresses or
other sensitive information about their household. All data revealed to
the educational facility can be put to risk if the schools don’t have
adequate security protocols and procedures.

In line with the mission of the institution to become the premier


institution for innovation and produce leaders for sustainable
development, the webinar on Data Privacy Act aims to make the
students aware of keeping private data and sensitive information safe.

VI. OBJECTIVES:
The objectives of this project are:
a. To inform students about Data Privacy Act.
b. To be aware of students ‘ keeping their private data and sensitive
information safe.
c. To promote awareness of the importance of data privacy.

VII. EXPECTED OUTPUT
At the end of the project period, the following results are expected to
achieve:
a. Open the minds of the participants on how important to learn about
data privacy.
b. Students will be informed on the dos and don’ts of social media
and other online transactions.

said webinar for them to be informed and equipped on maintaining

X. Recommendation:

Data security has always been a priority. It's why individuals secure their filing

cabinets with locks and rent safe deposit boxes at their institutions. Data privacy

is becoming more important as more of our data is digital and we share more

information online. Students nowadays are prone to using social media, YouTube,

and other forms of internet access without having a good understanding of data

privacy.

Students will be informed, aware, and educated about the importance of data

privacy as a result of this initiative. As a result, adopting Project IDP with the

support of BukSU Medina faculty and staff is highly suggested.

6. Lessons Learned

In the formulation of such a project, the following lessons, as a form

of evaluation, can be noted:

1. There shall a continuous communication between the Project

Implementers and concerned individuals who play a big role in

the project.

1.1. Due to the current pandemic situation, the speakers,

attendees, and facilitators of the project must exercise the

health protocol, thus, communication via written

documents is less likely to be accommodated. Another

avenue should be used to inform the respective individuals

about the matter.

1.2. Any changes or improvements must be communicated as

soon as possible to avoid delays.

2. Always have backup plans for your project.

and relevant to our present situation.

Project proposals honed us to think outside the comfort of our

knowledge in order to provide a creative outlet to our prospective

clients.

There may be limitations and control with interactions, I

believe that in time, this project can be a good basis for the future

proposal that will help the fellow citizens towards growth and

prosperity.
