2. Time Summary

User can click My Time icon to enter the my time module


2.1 Time

When user enter the ‘My Time’ module, then user can check all dockets which are submitted
in recent days.
If you click the item in the list, you can see the detail of the docket which has been
submitted.
There are three tab views. They are Time, Details and Other.

More details data is shown in Details view.


Docket number, Activity type and other information are shown in other view.

2.2 Time Sheet


When user enter the ‘My Time’ module, click ‘Time Sheet’, then user can check and submit
all work time sheet they have done.

VFM Timesheet Entry doesn’t allow to choose employee, the default is current user. System
shows current year and week by default, click on the dropdown list to change the default
values. Tick status checkboxes, then click search.
Tick all to view all 7 days.
Click on the day, timesheets details will be shown.

Click one docket to check the time summary.


Click ‘ ’ icon to check and edit the details.

User can add more lines of time or swipe to delete the line.
Click ‘Save All’ or ‘Save’, the timesheet’s top box color will change to yellow, it means the
state has been changed then you can submit now.

Click ‘Submit’ it will remind you if the working time is less than 8 hours, click ‘OK’ to finish
this.
When you submit today’s timesheet, the timesheet’s top box color will change to green. It
will show the Timesheet# and change to Submitted status.
Then you just have to wait your manager to approve your timesheet or rejected your
timesheet on VIEW system.

If your submitted timesheet is rejected, you need to fix the time then submit it again on
VFM.
If your submitted timesheet is approved, that is done on VFM, prove your day's work and get
paid.

2.3 Time Sheet Stage2

2.3.1 Switch of time sheet project stage2 in View

Path: Service Database > System Data > Service Configuration > Choose a category > Module
Permissions Manage > edit > General Settings > Allow timesheet collide function in VFM/VIEW.

Turn on the switches on VIEW side to enable this feature.


Timesheet stage2 function used in VFM part (Callouts, Maintenance, Quoted Repair, Non Billable
Repair, SD & FU ASSA). Once switch turn on, VFM part will have an “Activity owner” box in every
activity and recent page will have a Sync box.
2.3.2 Start one activity (for example maintenance)

1. When in Arrival page, the arrival time will be constant with the current time of the device and will
vary with the time of the device. Once jump from the Arrival page to the next step, Arrival Time is
fixed and cannot be modified.
2. When in Feedback page, there will have an “Activity Owner” box and On Hold button. But “Activity
owner” will useful while one activity contain more than one technician.
3. By pressing the On Hold button for a long time, you can pause the current activity and jump out of
the current activity.
4. If one activity was on hold before, then the activity will be marked on hold.
5. Once Join in again, will alert a message to remind technician restore this activity or not, if restore,
user can do this activity again.
6. If an activity was paused and restored before, the time will be split by pause time. Pause time will
not show at time list. Once jump to staff signature page, the pause button and activity owner will be
hide, technician couldn’t pause again.
Main Activity.
1. If an Activity is initiated on Device A, then on Device A, this activity belongs to Main activity.
2. The “Activity Owner” check box will only be displayed on the main activity.
3. If one activity contains more than one technician and technician did not select Activity owner when
click “OnHold” button to on hold, will just on hold the main technician (Device owner), the other
technician’s statue is still on going and the activity will not jump out.
4, If one activity contains more than one technician and technician select activity owner when click
“OnHold” button to on hold, there will jump out a dialog, technician can select “OnHold” which
technician.
5. If one activity contains more than one technician and technician select activity owner and selected
all technicians to when click “OnHold” button to on hold, all the technician will be on hold and jump
out current activity.
Mirror Activity:
1. Technician A has a device A, technician B has a device B, technician A initiated an activity at device
A, and added technician B in this activity, once the activity started (Jump from arrival page to next
step), this activity will sync to device B, in this way, the activity in device A is a main activity, the
activity in device B is a mirror activity.
Mirror activity can only saw at recent module.
2. If one activity is a mirror activity, there will no “Activity owner” check box, technician also couldn’t
edit this activity, only can use On Hold button and Restore button to pause or restore themselves
(device owner) time.

2.3.3 Recent

1. Recent module can show All the started but not finished Activity.
2. Mirror activity can just saw at recent module.
3. When click Recent button to jump into Recent page, there will call a Sync API to sync data.

4. When Timesheet Stage2 switch turn on, there will have an in recent module, user can click this
icon to sync data.
5. VFM also has an automatic synchronization mechanism, which sync data in turn in every two
minutes.
2.3.4 Timesheet check logic

The main function of Timesheet Stage2 is to prohibit the same technician from performing multiple
activity at the same time, in order to avoid time conflict. So when start an activity, will check this
technician contain other ongoing activity or not. If contain other ongoing activity, will alert message
to remind technician and didn’t allow to start a new one.
1. Check time conflict or not when technician added.
When added other technician in one activity, will check this technician contain ongoing activity or
not, if contain, will alert message.
2. Check time conflict or not when restore one activity.
If one activity is in OnHold, when click this activity, will check contain ongoing activity or not, if
contain, alert message to remind technician.
3. Recent module checking.
When join in one activity from recent module, there are also contain check logic.
4. Travel Time checking.
When edit Travel Start time, will check Travel time conflict with other activity or not. If conflict, will
alert to remind technician.
2.3.5 Time splitting

When in Staff Signature page, user can click button to splitting time. Time splitting needs to
follow the rule that “Time Out” is later than “Time In” at least one minute.
If technician want to go back to the time before splitting, you can click the refresh time button.
