SCANTRON FAQs

Administrators and Teachers:

Below are Frequently Asked Questions and common Performance Series functions to assist
you in administering the Scantron online assessment and accessing test results.

For further assistance call 3-EXCL (3-3925) and choose the Scantron assessment option.

1.A How can I enroll in a Scantron Performance Series training course?


To enroll in a Scantron training course, via CPSU use the following steps:

1. Log on to cps@work at https://cpsatworkprod.cps.k12.il.us.


2. Sign in with your standard CPS User ID and Password.
3. Click on the CPS University tab near the top of the page
4. Click on the CPS University link located in the menu (left side of the screen)
5. Click the Self Service link in the menu (left side of the screen).
6. Click on the Learning link under Self Service (left side of the screen).
7. Click on the Search Catalog link under Learning (left side of the screen).
8. Click on the Catalog Items link within Search Catalog page. Search "Scantron" for learning with
Scantron present in the title or the description of the activity. Click the Search Catalog Items button.
9. You have now found the desired learning for which you would like to enroll. Click on the Catalog Item
title that includes "TEACHER" or “LOCATION CONTROLLER” in the title.

10. Review the Activity Code and Start Date information to verify the location and date of the Scantron
training for which you would like to enroll. When you have found your desired activity, click View
Details link to verify address of location and time of session.
11. Click on the Schedule link on the Activity Details page for the selected Scantron activity. Chicago

12. Identify the Date, Start Time and End Time of the scheduled session. Click on the Chicago, IL link to
be directed to the Facility, Room Number and Address information for the scheduled session. Click on
the Return to Previous Page link to return to Activity Details page.
13. Scroll down to the bottom of the page to click on the Enroll button.
14. The final required step is to click on Submit Enrollment button on the Enroll In Activity page.

NOTE: You will receive an enrollment confirmation from CPS University subsequent to submitting your
enrollment request in the application.

1.B What if I am enrolled in a different course than the one I attended?


Please verify your session time and location prior to your arrival. If extenuating circumstances cause you
to attend a session other than the one for which you registered, please speak to the trainer, and he/she
will work with CPSU to ensure you receive credit.

2.A Where can I get a copy of my CPDU for the training session?
All certificates are available online, on the CPSU website. You may print your certificate from there. NOTE:
You must complete ALL session requirements to receive a certificate of completion (including:
assessment, evaluation, and attendance).

2.B What should I do if I arrive more than 30 minutes late to the session?
As a CPS policy, if a participant arrives more than 30 minutes after the start time of the session, they may
enter the session, but will not receive credit for course. As an alternative, they can register for another
course via CPSU. This memo will be sent to registered participants, via CPSU, prior to the session.

NOTE: The trainer will also post a sign on the door of the session, noting the start time.

3.A What Phase is my school in?


The Phases were selected by Areas/schools with available technology* for the 2009-2010 school year.
PHASE 1: Areas 3, 13, 14, 17
PHASE 2: Areas 1, 18, 10
PHASE 3: Areas 4, 6, 7, 9, 11, 15, 16, 27
PHASE 4: High Schools

*NOTE: Scantron’s Performance Series requires the use of computers with an Internet connection, in
classroom testing and planning. Therefore, CPS has taken the necessary steps to ensure all schools have
access to a functional level of technology. Within the few months leading to your school’s Scantron
testing window*, you will receive notification of the results of the technology audit findings. If your school
qualifies to receive additional computer technology, we will contact your school to schedule a delivery
date.

CPS is dedicated to providing our students with the technical tools required to be successful in their future
endeavors. We thank you for your commitment to improving and increasing the technology available to
your students at CPS, and appreciate your cooperation and support of this initiative.

3.B When are the testing windows?


CPS has three set testing windows for the 2009-2010 school year.
PHASE 1: October 19 – November 6, 2009
PHASE 2: February 1 – 19, 2010
PHASE 3: May 10 – 28, 2010

3.C What and where are the test proctor scripts?


The Performance Series proctoring scripts can be found in the Documents section within
www.performanceseries.com (also attached). The proctoring scripts allow for the teacher to inform
students how the test is designed for them to get some questions correct and some incorrect. Students
should be encouraged to try their best and to remember that this test is to help their teacher better help
them in the classroom. To make the test most accessible for all students, sections on addressing
accommodations and what to do before and during the test day are noted within the document.

3.D Why is my student being logged out of the test after only a few questions?
This is partially due to your Computer's Internet Browser's Cache being full. You can fix this by:
1. Going to the school home page (or an Internet site that is NOT Performance Series)
2. With an XP operating system and using Internet Explorer as your browser, Have someone with
administrative rights to the machine click on Tools > Internet Options > Settings > View Files >
Edit > Select All > File > Delete > OK > OK
3. Once the cache and cookies have been deleted (following the above steps) have the student
navigate to www.performanceseries.com, log into the appropriate test and begin testing. This
should resolve the issue with this computer.

Another reason may be due to testing irregularities. If the student is answering questions too quickly, or
in a pattern, the computer will spoil the assessment and guide the student to see the test proctor. The
test proctor should review testing tips (see Proctoring Performance Series Tests Best Practices) with the
student, and re-administer the test.

3.E Can my students use calculators and scratch paper while taking the test?
Students in Grades 4-8 may use calculators. Students outside of that grade range may not.

3.F What accommodations can I use to test my Special Ed. and/or ELL students?

Teachers can use the same testing accommodations with Performance Series, as they would on any other
assessment, as designated on the student’s IEP, section 10C, (i.e. read questions aloud to the student,
etc.). Any specific accommodations questions should be directed to:

Below, you will find a number of accommodations inherent to Performance Series benefit all students as
they test. Accommodations for individual needs can greatly enhance the Performance Series’ accuracy in
defining a student’s instructional level. NOTE: IAA students and Braille readers are exempt from taking
the Performance Series test. However, all students should participate in on-going formative assessments
to monitor progress.

Attractive Format and Design


The attractive format and design is a motivator for the reluctant reader or test taker and those
experiencing attention and/or concentration problems. Quite often, younger students will become
so engrossed in the content of the test that they will actually stand to get closer to the screen. This
behavior should not be discouraged, as it is most likely an indication that the child is engaged in the
testing activity and will more than likely be motivated to provide their best answers.
Oral Readers
Students who need to read orally for auditory as well as visual input can do so without affecting test
results. However, oral readers may need to be placed at stations away from other students, have
the test administered individually rather than in a group setting, or be provided a “talk back” system
(specially designed headsets). As with any computer equipment, please test the device to see
whether it will work with the testing computer and browser before beginning the actual
assessment.
Assistive Devices
Assistive devices that replace the mouse for input may be used if compatible with the hardware and
browser software. Again, you should test such devices thoroughly before beginning the assessment.
If the assistive device is not compatible or if additional assistance is needed, someone else may
record a student’s answers.
Work at an Individual Rate
Students can work at their own rate. If shorter test sessions are necessary, the proctor may stop and
restart the test at times predetermined by the teacher. This decision should, of course, be made
prior to beginning the test—especially if the proctor is someone other than the students’ teacher.
Test Question Format
The multiple-choice format is an effective accommodation for many students as it allows students to
use recognition skills rather than recall. Additionally, students are allowed to view the reading
passages as they answer questions in the Reading test.
Point and Click and Fine Motor Skills
Students need only to point to any part of an answer and click for their response to be recorded.
This eliminates the need for students who experience difficulty with fine motor skills to darken a
circle completely, or even to point to a circle to show their response.
Color Diagrams
Color diagrams in the math test and pictures accompanying the reading passages also help motivate
students.
Keyboard
If a student has difficulty using the mouse, they can use the keyboard to answer questions and scroll
up or down, or use the letter keys “A”, “B”, “C”, “D”.

3.G Are 7th and 8th graders required to take both the Scantron and Benchmark
assessments?
No school that selected Scantron needs to administer the Benchmark assessments to any student.

However, the Chief Education Office is still requiring that 7 and 8 graders complete the writing prompt
that is included in the Benchmark assessment materials. These writing prompts help teachers assess
student progress in writing and also provide practice for the district writing assessment which is part of

the 8 grade promotion criteria. This writing prompt is scored locally at the school, so there will be no
need to return materials.

3.H Can I use Performance Series with my second graders?


If you are interested in using Performance Series with your second graders, you will need to upload those
students manually (by the LC). NOTE: If you choose to test your second grade students, they must be able
to read independently to complete the assessment.

3.I Can we set parameters (dates), for Scantron testing three times a year? Will Scantron
over-ride them if we are able to set them?
You can assess whenever you want, set the dates at will, and run gains reports whenever necessary, and
set your own parameters to do so.

4.A What is my Staff Login?


Every CPS school staff member was sent an email with their login information, in the beginning of the
2009-2010 school year. This email was sent from the CPS Office of Performance Project Manager, Van
Bates.
In order for a staff member to log in, they will need:
Staff ID (see Note below)
Password (The password is CPS####, where #### is the last four digits of the employee ID.)
SITE ID (This number is specific to your school.)
1. Open a browser and go to: www.performanceseries.com.
2. Select Staff Login
3. Enter Site ID (keeping the dashes), Staff ID, and password
NOTE: Depending on your viewing access level, you will use the following combination for the STAFF
ID:
o Location Controllers: LC + CPS user ID (i.e. LCSAMorem)
o Administrators: AD + CPS user ID (i.e. ADSAMorem)
o Teachers: CPS user ID (i.e. SAMorem)
* Staff IDs will not exceed 16 characters in length (including LC or AD).

4.B What is my SITE ID?


Please contact Chicago@scantron.com to obtain your SITE ID, if you did not receive an email with the
login information.

4.C What are my viewing rights, within Performance Series?


Location Controller
can perform all tasks at a location. For your security, keep the number of location controllers at your
location to a minimum.

Administrator
has full viewing/reporting and item/test creation capabilities at a location, but cannot create/edit
students or staff.

Teacher w/o Student Edit


can view only the students and classes they have been assigned to. If a teacher needs more access, a
second identity should be created for the staff member using a different position and unique Staff ID.
Only teachers can be assigned to classes.

4.D How can I add another Location Controller at my school?


To add another LC, the principal must send an email to the CPS Project Manager, Van Bates
<vebates@cps.k12.il.us>, requesting LC access. *NOTE: Only 1-3 LCs are allowed per site, as designated
on the CPS Assessment Option Form.

5.A Performance Series eLearning Course


The eLearning course is available to any CPS staff member. The course includes Interactive modules
explaining the basics of Performance Series and how to create Targeted Instruction.

To access the eLearning course:


1. Login to www.performanceseries.com
2. Click Documents
3. Click Performance Series eLearning Course
4. Select the module of your choice

5.B Placement Indicators by Scaled Score Quartiles (attached)


The Placement Indicators use the Scaled Score as a measure to determine a quartile range for individual
students by grade level and subject area.

The Scaled Score measures a student's ability against the content of a single subject: reading, science, or
mathematics. This score is based on student ability levels, independent of his enrolled grade level. Scaled
Scores range from 1300 (2nd-grade level) to 3700 (high school level) in Performance Series. Because this
vertical scale is consistent across all of the grade levels Performance Series assesses, a student's Scaled
Score may be tracked over time to show progress within and across school years, across all assessment
administrations.

5.C Observed Mean (Average) Gains (attached)


The gains report uses the Scaled Score to compare growth between two testing periods. View the
Observed Mean Gains (see attached) to find specific growth information, determined by grade level,
quartile, and subject area.

5.D Quick Guide (Classroom) (attached)


This document will guide the teacher in viewing Class Profiles of individual classrooms. Review these
profiles with your teachers and encourage them to discuss in grade level teams.

5.E Quick Guide (Gains) (attached)


The document will guide the teacher in viewing gains by grade, class and individual student. Performance
Series gains are determined by an increase or decrease in the student’s Scaled Score.

I. To add a staff member:


*You must have "Location controller" access to Performance Series in order to perform this task.
1. Go to Site Admin
2. Under the Staff heading, click "Create"
3. Enter the username (the portion of the staff CPS e-mail before the @ symbol), the staff member's
first and last name, and a unique password that is at least 6 digits and alpha-numeric
4. Select the viewing rights for the staff member
5. Click on Save in the lower right hand corner

II. To have a student take a Performance Series test:


1. Open a browser and go to: www.performanceseries.com.
2. Select Student Login
3. Select a subject area
4. Enter Site ID (specific to your school, keeping the dashes)
5. Enter student username and confirm identity
o NOTE: The test will start at a grade level below the student's actual grade level and
increase or decrease difficulty depending on the student’s answers.

III. To log in as a staff member:


In order for a staff member to log in, they will need:
Staff ID (see Note below)
Password (The password is CPS####, where #### is the last four digits of the employee ID.)
SITE ID (This number is specific to your school.)
4. Open a browser and go to: www.performanceseries.com.
5. Select Staff Login
6. Enter Site ID (keeping the dashes), Staff ID, and password

IV. To get a Student Profile Report: This report displays both current and longitudinal data.
After logging in as a staff member (see III)
1. Click Site Admin
2. Click on “Search Students”, under the heading Students
3. Enter a Student ID, or first or last name, and click Search
4. Click on the student’s underlined name
5. Click on the Performance Testing tab
6. Click the subject area on the left side of the screen

V. To get a Suggested Learning Objectives Report: This report provides the framework for an individualized
learning plan.
After accessing a Student Profile (see III)
1. Click Suggested Learning Objectives on the left side.
2. Select Subject Area boxes, and click Next.
3. From the drop down menus, select 1-10 objectives for each portion of the report, and click Next

VI. To get a Class Profile: This provides both individual scores and class comparisons to different objectives in
that Unit.
After logging in as a staff member (see III)
1. Click on Classroom
2. From the drop down box, select a class
3. Click on the subject, on the left
4. Then select a subject unit, in the center

VII. To get an All Subjects Summary Report: This report gives grade by grade comparisons for the school.
After logging in as a staff member (see III)
1. Click on District Reports
2. Click on a subject area in the Summary column (1st column) in the first row.

VIII. To get a Gains Report: This report gives grade by grade growth comparisons for the school.
After logging in as a staff member (see III)
1. Click on District Reports
2. Click on a subject in the Gains column (2nd column) in the second row.

IX. To Adjust the Testing Periods for the Gains Report


After accessing the Gains report (see VIII)
1. Go to Site Admin
2. Select "Change Location" on the left
3. Click "List" under Location
4. Click on the "school years" tab
5. Click "Edit" on the right hand side
6. Now you can use the dropdown boxes to edit the dates for each testing period
X. To Change Your Password: Although default passwords were set, any new password must be alpha-numeric
(contain both letters and numbers.)
1. Click on Site Admin
2. Click on “Your Password”
3. Type your new password in twice

XI. To Adjust the Appearance of Site Admin Pages


1. Click on Site Admin
2. There are three tabs near the top right of the page titled: “preferences”, “documents”, and “help.” Click the
preferences tab.
3. Once you have clicked the preferences tab, there will be a gray box on the left side. Click “edit appearance”
in that box.
4. The very first item to show up under appearance is “List Items Per Page” the default for this selection is ’20.’
Select the drop-down box to change it from ’20’ to ‘unlimited.’
5. Once you have made the change, click OK at the top of the page to go back.
6. Close your preferences
7. Now when you look at lists (student lists, or staff lists), you will be able to see everything on one page.

XII. To change the viewing rights of a staff member:


1. Login and Click on "Site Admin"
2. Under the Staff heading, click "List"
3. Click on the name of the staff member whose rights you want to change.
4. On the left hand side, click "Edit staff member"
5. Scroll down and you will see the different rights you can grant staff
members: Location controller, Administrator, Teacher with or without the
ability to edit student data. You can find a description of these roles in the FAQ section of this document.
6. To change rights, click the radio button next to their name.
7. If you choose to make someone a location controller, they require that you input an email address as well.
8. Click "Ok" at the top or bottom of the page.
9. Your staff member's rights are now changed. You can click "Close" on the
staff member profile to return to the Site Admin Page.

XIII. To Create a New Class


*You must have "Location controller" access to Performance Series in order to perform this task.
1. Go to Site Admin. Under the Classes heading, click "Create"
2. Select “School Requested Course” and click "Next".
3. Fill out the required information. You will have to title the class generally from the choices in the drop down
box. You can then title the class to your liking, where it asks for “Section Number”.
4. Then, you will assign a teacher to the class. You can assign one primary teacher using the “primary” column
and you can assign other teachers that might see the class using the "assign" column.
5. Next you will select the students who are in the class. Check the box by each appropriate student’s name.
When you are done, click "next".
6. It will ask you to review what you’ve done. Click "Save".
7. Your class is now created and you will be able to see it in the class list. You can make any changes to the class
by finding the name in the class list, clicking on the class name and then editing any of the class tabs.

XIV. To Include Students in a group


*You must have "Location controller" access to Performance Series in order to perform this task.
1. Go To Site Admin. Under the Groups heading, click "List"
2. These groups are requested by Schools to Scantron
3. Scantron seeks approval from the BOE for the creation of a group, and then loads it into the site is list at the
city wide level.
4. One group already approved is "Inquiry Team". Click this group.
5. It will bring you to the group, and there will be two tabs at the top; Click the "Enrollment" Tab
6. Click "Edit Enrollment"
7. Enroll the appropriate students by clicking the selection box to the left of their name.
8. when finished, click "Ok" at the top or bottom of the student list
9. The students selected are now part of The Inquiry Team Group.

XV. To Add a Teacher to Teaching a class


*You must have "Location controller" access to Performance Series
1. Go to site admin and click on class list.
2. Find the class that you want to add a teacher to and click the name.
3. the class record will appear with three tabs on the left “class”, “students” and “staff”
4. select the staff tab
5. On the left side, will be the option to either ‘edit’ or ‘assign’ staff. Click that option.
6. A list of all the teachers in the school appears. There are two designations: "Primary" teacher is for
homeroom teachers. "Assign" is for other teachers such as AIS or push-in/pull-out
7. Select the teacher you would like to add to this class by checking the appropriate circle or box next to their
name. (To remove a current teacher, uncheck their name)
8. Click ok at the top or bottom and close the class record. You’re done.

XVI. To Add a Student to a class


*You must have "Location controller" access to Performance Series
1. Go to site admin and click on class list.
2. Find the class that you want to add a student to and click the name.
3. the class record will appear with three tabs on the left “class”, “students” and “staff”
4. select the students tab
5. On the left side, will be the option to ‘edit enrollment'. Click that option.
6. A list of all the students in the grade range for the class appears.
7. Select the student you would like to add to this class by checking the appropriate circle or box next to their
name. (To remove a current student, uncheck their name)
8. Click "OK" at the top or bottom and close the class record. You’re done.

Accessing an Individual Student Report

Encourage your teachers to review Individual Student results and share


these results with students and parents. Develop instructional strategies to
address individual student needs.

1. Once in the Class Profile report, select the name of a student

4. Select the subject area units to work on with the student,


click “Next”

2. View individual student score information


5. Select the number of objectives to view per unit, click “Next”

6. Save or email Suggested Learning Objectives as a PDF

of the two testing areas to be reviewed. The last column on the right
shows the Gains made between the two test dates. Click on the SS
Accessing Gains Reports
Difference and this will resort the list from the lowest to highest
performances.
Review Gains Reports by grade, class and individual student. Performance
Series gains are determined by an increase or decrease in the student’s
Scaled Score.

1. Login at www.performanceseries.com

Red numbers indicate that the student decreased in Scaled Score


between testing periods.

Green numbers indicate that the student increased in Scaled Score


between testing periods.

2. Click District Reports An asterisk (*) after the score, signifies the number to be not
statistically significant (i.e., is less than the Standard Error of
Measurement).

5. Use the report filtering option, at the bottom of the page to:
view specific demographics or groups of students
change viewing dates of the Report
3. Find the Gains column and click on selected content area, i.e., - (NOTE: You must be on the Gains by Student screen to
Mathematics perform this task).

NOTE: Gains Reports are available by district, area, school, grade level,
course, staff members, groups, and individual students.

If a student tested outside of the CPS testing window, a yellow


diamond ( ) appears.
Also view individual student gains by accessing the graph within the
Individual Student Profile.

6. From the Gains report, click on a student name.

7. Click the Performance Testing tab, then choose a content area (i.e.,
Mathematics)

Green line represents student growth

Blue dotted line represents District average Scaled Scores

Click on a subject area (left) to view a different subject

NOTE: To view and/or print this report for multiple students simultaneously:
Go to SITE ADMIN > Under the heading Students click Profile Reports >
Select your preferences > Save the reports to your computer > Print
