 The communication must be complete

2. CONCIESNESS
 It means wordiness- communicating what
you want to convey in least possible words.

 Highlight the main message
 Avoid using excessive and needless words
 Message becomes appealing and
comprehensible to the audience
 Message is non- repetitive in nature
ELIMINATE WORDY EXPRESSIONS
 Use single words in place of phrases.
 Even Winston Churchill made extensive use
of simple , one syllable words.

3. CONSIDERATION
Implies “Stepping into the shoes of others”
 Take note of audience's view points ,
background, mind-set, education level
 Envisage your audience their requirement,
emotions and problems
 Do not hurt self respect and emotions of
audience
 Modify your words to suit the audience's
needs

 Emphasize on “You” approach show
optimism towards your audience
 Empathize and exhibit interests in
audience to stimuli in positive reactions
4. CONCRETNESS
 Be particular and clear rather than fuzzy
and general
 It strengthens the confidence
 Concrete messages are not misinterpreted

the reputation

Clarity emphasize a good specific message
or goal at time, rather than trying to achieve
too much at once.

6. COURTESY
 Shows sender’s expression and respect to
the receiver

7. CORRECTNESS
Implies there are no grammatical errors in
communication

Communication should be very clear in his
mind about what he wants to say. He should
know the objective of his message and
thereafter he should arrange his thoughts in
proper order.
 COMMUNICATE ACCORDING TO THE NEED
OF THE RECIVER
The sender of the communication should
prepare the structure of the message not
according to his own level or ability but he
should keep in mind the level understanding
or the environment of the receiver.
 CONSULT BEFORE COMMUNICATION
At the time of planning the communication
suggestions should be invited from all the
person concerned.
Its main advantage will be that all those people
who are consulted at the time of preparing the
communication plan will contribute to the
success of the communication system.
 BE AWARE OF LANGUAGE, TIME AND
CONTENT OF MESSAGE
The sender should take care of the fact that the
message should be framed in clear and
beautiful language. The tone of the message
should not ignore the feeling of the receiver.
 CONVEY THINGS OF HELP AND VALUE TO
THE LISTENER
The subject matter of the message should be
helpful to the receiver. The need and interact
of the receiver should specially be kept in
mind.
 EASY PROPER FEEDBACK
The purpose of feedback is to find out whether
the receiver has properly understand the
meaning of the information received.
 CONSISTENCY OF MESSAGE
It should be in accordance with the objectives,
policies, programs and techniques of the
organization. When a new message has to be
sent in place of the old one, it should always
make a mention of the change otherwise it can
create some doubts.
 BE A GOOD LISTENER

It is the essence of communication that


both the sender and receiver should be
good listener. Both should listen to the
each others point of view with attention,
patience and positive attitudes.
