Buying a School Management Software
When an organization decides to purchase school management software, one bold question is which
software? Perhaps because the term is used too loosely to describe applications that do little more
than record data or perhaps it is because so many applications out t here promise to do the same
things.

Once the Software is purchased, the hard part is not yet over. What happens after the purchase is just
as important as the steps involved in selecting a vendor. Remember that when implementing new
technology, your employee base must be comfortable enough to use it or what happens generally is
buy, try and dump.

A computer s/w succeeds when it

-meets the needs of the people who use it

-performs flawlessly over a long period of time


-is easy to modify and even easier to use
-can and does change things for the betterment of the school.

Different schools have varied needs and applications. It may be possible for a chain of schools to
design and develop own software. Of course, as with any software, there are differences betwee n
even the most widely used software applications. Some features can prove to be very useful in
certain circumstances, while others are cosmetic at best. To avoid such sufferings some points which
must be kept in mind.

The key points which must be taken care of while purchasing a school management s/w.-

1. The payment should be spread over one year so that school has control over post sale service and
maintenance.
2. The s/w must not be the first version because in such cases the s/w is not tested up to all levels.
Therefore avoid trying a new company unless you are fully convinced about the service.
3. The s/w must be developed by a well known IT industry or an ISO certified company.
4. The school management software must be functional. It must not have so many syst em
constraints like platform specific, language dependency etc,

5. The database and the s/w must be secure.
6. The interface must be user friendly.
7. Do not leave it up to your IT department to train users; techies and non-techies do not speak the
same language and that could be a recipe for disaster. The best trainer for a new technology
implementation is a user. He or she will speak the language of your users and will understand
what they need out of the system.. In order to get the full benefit of all available features,
software personnel must be fluent in the organization and integration of the software as it pertains
to their overall structure.
8. Be sure that you have purchased a support package along with your School Management
software. Even if you have a fully capable IT department, the School Management software
vendor's support staff will be a valuable asset, particularly in the first year. Reputed vendors also
provide upgrades for free to customers with support contracts.
9. The s/w must come with documentation or help files associated with it.
10. It must not reduce the system's performance.
11. Compare the cost and functionalities of various existing school management software with the
help of internet or s/w professionals.
12. Ask for the demo CD before purchasing the s/w.
13. Ask for the list of schools where they have installed the software. Take the contact numbers of
their clients and verify the reality.
14. Their must not be any hidden costs for AMC/Training/Support at least in the first year. In
subsequent years too, the AMC terms must be clearly defined because once you buy a software, it
becomes binding to depend on the vendor for upgradation and maintenance.
15. The s/w must be flexible / customizable according to user needs.
16. Training of the staff must be provided by the s/w company until every user is comfortable with it.
It will be reasonable to ask for 10 free trainings and more on demand but paid ones.
17. The s/w must be multi user and compatible with all kind of networks.
18. During service process, ensure through your reliable staff that the person doesn ’t get away with
school data.

Developing a School Website
Key Points

 Website is imperative for every school in modern context.


 Start with a dynamic site with basic information and expand gradually.
 Update information daily/periodically.
 Keep your site as simple as possible but make it hack proof.
 You may invite advertisements to meet maintenance cost.
 Parents/students should be given login password to have access to key information.
 Change looks once a year.

With the rapid expansion of internet applications and whole system gradually maturing to e -
Administration including banks, universities, hospitals, police, courts and ministries, it has become
imperative for schools to be virtually available on the net.

Now the question arises what type of website will suit a particular school ? People out there in
the market offer website from Rs 2K to Rs 50K. It is advisable not to be lured by low cost only.
Websites on the lower side are static, just like a showcase. If we are thinking of an inter active web
portal displaying all necessary information including admission procedures, daily notifications,
homework, cumulative report card and even online fee collection and book shop; then it requires
sufficient planning and investment.

It would be ideal to start with low cost dynamic website and expand it up t o growing needs and
applications. This will be lighter on the pocket in the beginning and staff will have sufficient practice
time to maintain a new feature.

First we need to buy a domain name (they come for free also) and web hosting service. This will
incur nominal cost annually. We will need to buy additional space with the increase of pages and
features so that speed of the portal remains good. A user gets irritated when the website takes too
long to open.

Before you can get your website developed, prepare a plan. Note down how you want your
information to be listed and showcased. Think about the checkout process, and write notes about
how you want it to work. You should be able to guide the person who develops your website to
follow through

 Determine the chief purpose of your website
Try to determine the purpose of your website before starting the web design project. Otherwise the
design and content of your site may look irrelevant and may fail to serve the promotional purpose.
Residential schools which want to attract students from everywhere would need a professional angle
as compared to day schools who don't have to market themselves to get students.

 Content
A school website should certainly be dynamic but avoid animation on the home page. There are areas
where the internet is still slow. Unnecessary delay in opening will frustrate the user. There may be
options for user login or content uploading / downloading.

 Decide who will design your website


If you have qualified staff, you can design your institution's website without taking the help of
others. Otherwise, you can also select a reputed website development company for this project. But
always make sure that you have given that project responsibility to the efficient web developers. An
inexperienced developer may be a source of enough trouble to sink the joy of going online.

 Maintaining proper navigability of the web pages


Designers should be concerned for navigability and functionality before artistic excellence. Your site
with great artistic look is of no use if users are not comfortable with its functionality and are
confused about navigation.

 Making the site search engine friendly


If your site is not search engine friendly, you cannot expect that your website will get good ranking
in the SERP (search engine result page). And if this happens, it's quite obvious that less people will
visit your site. In order to make your website search engine friendly you need to give apt Meta tags
to all your web pages.
 Proper Maintenance of the site
Only creating a website is not the end of your job, you need to keep it updated. This is because; no
one likes to go through stale and ill-maintained sites. Delete irrelevant information regularly and
make changes in the outlook once a year.
No doubt, a picture is equivalent to thousand words and they enhance the look of a page. But it is not
sensible to overload your page with images. If an image is taking more than 5 second to open up,
then the surfer will most probably click away elsewhere. So, it's better to use appropriate number of
images with aggregate page size less than 30k so that the page loads in time.

Subject: Factual errors in school textbooks

I write this letter to draw your kind attention to the problem of factual errors in the school textbooks
which put teachers and students in a serious fix.

The problem has become SERIOUS in the recent years when private publishing of textbooks has
become a lucrative business. These publishers hire cheap, incompetent authors who have made
authenticity a last priority.

In order to make the book a success, publishers manage to buy some big names like retired
principals, NCERT & CBSE officers and university professors. I wish the Govt. to take serious steps
to stop corrupting the printed knowledge without delay.

Even renowned publishers are not free from confusing contradictions. For instance two examples are
cited here.

Geography of India [ NCERT. class X textbook] paqe 11 ( para 1) states:

"But more interesting is the fact that three major rivers of the subcontinent- the Indus, the Satluj, and
the Brahmputra originate beyond the Himalayas Moreover, it can be inferred that these rivers existed
before the formation of the Himalayas."

It is a great shock for us to hear about the sudden demise of my own dear pupil_______________
like an abrupt end of blossoming spring to open doors for a very hard time for all of us.

He was in my custody during his schooling from Nursery to 10 th We saw him growing day by day for
years. He was intellectually and spiritually mature for his age. He was a disciple who made his

The obituary of an industrialist, Mr. Mehta who also had an acumen for writing and
compassion for the unprivileged
Persons like Mehta never die. They live through the indelible imprints of their contribution for the
mankind. He would be counted among mortals who left the world better than they found it.
His writings showcase the concurrent conflicts of an artist and the visionary industrialist.

Out of breakneck corporate race blues, he would steal few moments to talk to himself-Mehta the
human being- listened to his heart's voice and penned it down in dots, cuts and curves.

His characters depict conflict of two generations. The one embedded in values and traditions always
content with little and the other; lost in material joys with the least care for the less fortunate. His
women are bold and beautiful, delicate and decisive who live life on their own terms, come what
may.

As an industrialist he was ahead of his time who never gave in to the callous bureaucracy or ever
demanding political bosses. He fought back, sometimes lost the battle but won the war in the end.

A sensitive writer or a successful businessman, what was better of him, the question remains
unanswered.

60 Tips For Effective School Leaders
1. There will be three types of teachers in your team; those who are like minded, those who may not
subscribe to your ideas but will follow you for the sake of duty and third ones who are critical. Be
caring to all categories irrespective of differences. The third category is vital for your professional
growth
2. Create a beautiful ambience of the school so that everyone loves to be there.
3. Don't hesitate to ask for help from staff, parents, students and friends when it is necessary to realize
your goals.
4. Don't make staff meetings boring by telling your own story.
5. To speak in the assembly, go prepared and be brief.
6. Obtain written permission of the management in case of financial matters even if you have been
given a free hand.
7. Involve two teachers while finalizing purchase orders and obtain their signatures on the bills. This
will get them a sense of importance and you a transparent image.
8. For discipline, use authority very sparingly. Apply your interpersonal skills to make your team work
for you without fear.
9. Do not threat. It reduces individual's performance rather than enhancing it.
10. Admire in public, criticize in private.
11. Spend 1% of the budget in the professional growth of the staff. This includes trainings, software,
hardware and purchase of books.
12. Be physically seen in every part of the school.
13. Take part in social gatherings. Sometimes you will get vital clues about your organization and
contain any rumours or misconceptions about you.
14. Process papers rapidly. A parent shouldn't have to burn fuel twice to get a paper signed by you.
15. There will be some colleagues who can do a job better than you. Leverage their competence to
enhance system performance.
16. Admire at least one teacher for her/his contribution in every staff meeting. Cover every teacher over a
period.
17. Keep a list of birthdays of your staff and ask your assistant to remind you one day in adva nce. Be first
to say Happy Birthday. It costs nothing but will fire up the colleague with enthusiasm.
18. However great and noble your intentions may be, you will need support from community and
colleagues for success. It is necessary for a leader to initiate awareness and persuasion process. Still
you may find few people critical, cynic and skeptical. Convince only those who count and let the
critics alone.
19. Be a leader and not an automaton or a despot. Your success in this role is to be judged by your ability
to stimulate and inspire others rather than drive them.
20. Visit other better organized institutions. It could be valuable and stimulating.
21. Do not accept gifts from the staff. Gifts magnetize professional relationships. Once people com:' to
know you accept gifts from the staff and parents, they tend to fall in competition to influence you to
their advantage. It may be hard to contain the persuasion to accept gifts but once this message is
spread over, people stop approaching.
22. Save 10% of your income regardless of your financial obligations. A critical saving amount is equal
to 12 months of your income. This will give you immunity from sudden crises and strengt hs to take
risks.
23. Have an alternative source of income which is not in conflict with your official position. This may be
writing assignments on the internet, offering consultancy, having own website or selling you talent to
those who need it.

24. Send weekly briefing report to the management about your actions and decisions through ema or
other source. It is also good to have a weekly meeting and apprise your seniors verbally. Any one
who has entrusted an estate to you deserves to know what is happening and why ?
25. In the beginning of the session, sit with your staff to define objectives of the school, evaluate
achievements of the past year, accept and analyze failings, review the academic programme and
make changes wherever necessary.
26. If your school is not too big to prevent you from taking classes, it is good to take regular periods and
set example for colleagues. Teachers often resent the advice of a Head who doesn't face the class
himself.
27. Do not shut yourself in the ivory tower. It is good to frequently meet teachers and students and seek
their views about policies you want to implement. This will give teachers time to think and reflect
before you implement it. We are living in the age of participatory management and time of blind and
implicit obedience is a practice of the past.
28. Believe that every misfortune that befalls a man, every scoundrel that crosses his path, every failure
that dogs his footsteps, has some good in it. The word 'crisis' in Chinese language is said to be made
up of two phonemes; the first is a symbol of evil and the second implies opportunity.
29. Everybody's life is a cycle of happiness, miseries, misfortunes, mishaps, celebrations, growth and
falls which are a result of our own choices in the past and circumstances. Change what you can and
accept what you can't. There is little point in lamenting. When we have bad time we are only
exhausting out share of misfortune only to get closer to good times.
30. Some Heads use spies to gather information about what is happening around. Remember that other
people are also intelligent and will find ways to fool such leaders to their advantage. Secondly, the
person who will pass on the information to you will not be able to create the whole situation under
which something was said or done. Such practice creates disbelief and unfounded doubts.
31. To win and hold the respect of the staff and community, be head and shoulders above in scholarship.
Your real power should flow from your persona and not the chair you occupy.
32. Study education journals and latest books and treat your intellect with at least one professional course
every two years. Whatever good you learn and retain is likely to pass on to the pupils under your
care.
33. Generally, all changes and reforms should be implemented with the consent of the staff and the
pupils. We cannot have a democratic set up of the society if our school systems are based on
autocracy.
34. Some leaders sport a stone face, a grave demeanour, stiff-necked attitude in order to mobilize
obedience and exercise authority over the subordinates. Such people earn office nicknames and
covert hatred. Have sense of humour and do not take the position too seriously.
35. Over 60,000 different thoughts and ideas fly past our mind every day. You don't know which idea
might change your life for good. So develop a habit of noting down creative ideas as and when they
occur to you.
36. Even if you have a plan which is mature enough to be implemented, take time and ask teacher to give
inputs. This, then becomes everybody's idea and they work hard to make it a success.
37. Always write down your plans on paper and ask others to do so. If you can't write down an ide a in
black and white, probably you are not clear about it.
38. Don't do anything in the office which must be kept a secret. Everything we do secretively is revealed
to or felt by others at some point of time.
39. Send small notes of appreciation and thanks to students, parents and teachers. It will make you
everybody's dear and people will give their best to make your plans a success.
40. Send letters of condolence promptly to the families of the deceased among teachers, parents. friends
and public figures. Don't limit yourself to the fortress of office. Your letter is likely to be read out in
condolence meeting or by the relatives of the family, projecting you as a sensitive and empathetic
member of the community.

41. In the event of some unfortunate casualty or crisis, try to stay cool and act your best. Don't be too
sensitive to public anger or media reaction. Time takes care of biggest misfortunes

43. Dress up smartly and stand/sit straight when on duty. Greet people with warmth and shake hand with
firm grip.
44. If, when in the classroom or a conference with the faculty or the parents and your face does not glow

45. When a teacher comes up with a suggestion during staff meeting or in personal conference, don't be
impatient to cut it short and blow off. The person is likely to withdraw and refrain from suggesting
anything in future. Listen to everyone and act your mind.

your true followers away from you.

60. For both physical and mental health, it is very desirable to get away from habitual environment. A
person who lives in the same place, among the same people, following same routine all the year

among new people and gain new experiences. It is also necessary to get away from the family, for

Handling Indiscipline In the School
School indiscipline has been, over time, an issue of concern for educators worldwide. lt has become
huge concern among educators, policy-makers and the public opinion in general, owing to the
outbreak of aggressiveness among students.
Discipline as a noun is defined as "readiness or ability to respect authority and observe conventional
on established laws of society or any other organization" (Adesina, 1980). Longman Dictionary
Contemporary English (1980) defines discipline as "training of the mind and body to produc e
obedience and self-control". Discipline can therefore be seen as means whereby individuals are
trained to be law abiding, orderly and ensure peaceful coexistence within a community. It is a
training which when it becomes part and parcel of a person's life it becomes his way of life, as such,
person with that way of life are usually described as being disciplined.

Two types of discipline are identified. These are - self-discipline and imposed or external discipline.
External discipline is regimental and much feared. It has all implications of order, punishment, laws,
regulations, fear and intimidation. Individuals who are under its influence usually feel deep loss of
freedom.

Self-discipline or internal discipline, on the other hand, accords its owner respect, self -control and
self-restraint. A self-disciplined child or individual is refined, cautious, considerate and systematic in
his approach to achieve goals.

Strategy for preventing indiscipline
Keeping in mind the above factors, following practical steps will be effective in narrowing down
incidents of indiscipline.

1. Disciplinary Committee
Set up a discipline committee in the beginning of the session comprising Vice Principal, two senior
teachers and two physical education teachers. The committee ensures that children in school are law
abiding, orderly and peaceful in the pursuant of educational objectives/goals in the school
community. The need for discipline in school necessitates the setting up of disciplinary committee.
The fact that indiscipline has become the order of the day in many communities also make the
establishment of a disciplinary committee in school imperative.

Suggested Functions of Disciplinary Committee


The following among others are suggested functions of Disciplinary Committee.

 To serve as model in terms of character training and behavior for students


 To assist the students in conforming with school rules and regulations
 To help students develop self-discipline & internal discipline
 To administer punishment commensurate with offence committed by any student.
 To liaise with the school and law enforcement agents in case of difficult student
 To set up some school rules and regulations for the students to obey
 To promote and encourage good behaviours among the teachers and students.
 To ensure peaceful coexistence among and between teachers and pupils respectively thereby
creating a conducive school environment.
The rules of discipline should by clearly and loudly announced to the students in t he assembly in the
beginning of the session and will also be reinforced by the teachers from time to time.
The committee will also define remedial steps/punishment for the incidents of indiscipline outlined
above and announce it to the students and parents.

2. Parents' awareness
Have at least 3 parents' orientation programmes in the school for the parents of various wings and
create awareness among parents about the disciplinary provisions. Educate parents about the causes
and effects of undesirable behaviour which might originate from the family atmosphere such as
excessive TV watching, strained relationships among family members, comparison of siblings,
physical health, pupil's friends etc.

3. Identification of problem children


Identify and enlist class wise students who should be kept under observation. An incident form may
be devised to keep record of incidents of indiscipline having date, place, circumstances, description
of the incident and action taken. Suppose you have listed 100 students to keep under observation and
have started working on them, strike off the name if there is a positive change in child's behavior and
records the tool which has worked.

Secondly, if this has happened due to efforts of a teacher, both the student and teacher should be
appreciated in the assembly and student may be given a thank you note or positive behavior aware
certificate.

You need to congratulate yourself when you have transformed the 100 th student. Why not ? You
have arrived at zero indiscipline !
4. Problem teacher
If complaints of indiscipline are related to the class of a particular teacher, it is possible that the
teacher is more responsible for the indiscipline than the students. It may be lack of subject
knowledge, favouritism, revengeful attitude towards students, compelling students for tuition etc. In
such case teacher needs to reminded of the cause and be advised to correct.

5. Creative engagement of students


Young children are sources of brimming energy and if this can be channelised into creative work, the
problem of indiscipline will automatically limit itself. If the school has adequate sports grounds,
engage them in some daily activity. If they sweat out and exhaust physically, there will be little
scope for indiscipline. Other students can be grouped into project work, inter class competitions,
dance practice PT, yoga, gardening, library, lab etc. so that every student has something to do other
than studies. This a well tried panacea for student unrest.
