Subject Implementation of Online processing of Claims & Reimbursement of

Executives throuEh OILEP

We are glad to inform that henceforth all Claims & Reimbursements of executives which are
presently available in OIL EP under 'Claims & Reimbursements" will be processed through online
system only.

2.0 An executive can create and submit the claim through OIL EP and the same would get first
approved in the system by Administration department and subsequently by F&A department for final
release of payment. However, while putting up claims, the following important points need to be taken
care of:
(i) The executive will require to upload Invoice/Bills along with proof of cashless transaction of
payment merged into one PDF of Max 2 MB size.
(ii) The system shall accept the Invoices which are within the period of last 3 (three) months from
the date of claim. Any claims which could not be submitted within this stipulated time line will be
considered for manual entry in the system only in cas€ of emergency medical grounds and
to be approved by the Competent Authority.
(iii) Hard copies of documents are not required to be sent for the claim. However, executives are
requested to keep the hard copies in safe custody to enable them to provide the same to
Administration / F&A Department for any kind of clarification, if required,

3.0 Once the claims are submitted in the system, the same would go to Administration Depadment
for verification and subsequently to Finance Department for payment. All Executives are hereby
requested not to submit Hard Copies of the claims w,e,f. 01,05,2021,

4.0 All Heads of Departments are requested to kindly bring the above to the notice of all
in the depaftments.
