St johns high school Chikwaka Dinning inventory system


This is a preview of the current dinning inventory system were we are looking to modify into
a computer based system with central intelligence to run without user control for some
operations . The current paper based system which was implemented at St johns high
school Chikwaka in Mashonaland east in Goromonzi district five kilometres from juru
growth point is now been running for an estimated twenty years without any modification.
The system carries an estimated users of three different levels without any security of data
this has subdued to problems .

Brief knowledge of the system

The system is all about food samples and hardware machinery used for providing meals for
the students and staff members of the school also including visiting guests. Hence forth food
quantity should be bought to accommodate this people at the school. So to reduce traveling
expenses the food is bought in bulk to be delivered at the school. The food is then stored
but to reduce theft the quantity that has been stored must be recorded down ,when used
must subtracted from the record and when new stock come must be added to the data. The
costs in which the stock has been bought for must be recorded to keep balanced account
records at the school.

 Account sheets will be stored in the baser’s office

 Repayment sheets are stored in the deputy head office

Challenges of the current system

I. Major challenge is that it doubles the costs of stationery to be bought in the school
hence all its inputs , process ,outputs and storage are paper based components
II. Lack of security hence anyone can view the data this will lead to sharing of sensitive
information to unwanted people of the school.
III. Theft of money due to unsafe or comprisable data ,in which money is just added to
cost of goods without goods bought.
IV. Loss of important data due to long year storage without use, when the books are not
in use they end up getting torn eventually a thrown away as garbage.
V. Timing of the system is very long in which stock has to be written down
then ,calculate how much is left or more then record new amounts then move them
to be stored .
