Creating an Ad Hoc, Process-Related Task with the


Manage Tasks App
If you want to add an extra task to a process, you can create an ad hoc, process-related task in the Manage Tasks
app.

Prerequisites
You are the process owner or a step owner of a process that has not started or is in progress. Process
owners can create tasks for all the steps in their process, but the step owners in that process may create
tasks only for their own steps.

If the process status is Not Started, only the task definition is created.

Tasks are generated from the task definition when the step status is set to In Progress.

Tasks can be created, providing the steps are not completed yet.

Context
In process management, you can use the Manage Tasks app to create ad hoc, process-related tasks for activities
that are beyond the planned scope of a process. These tasks can be created for one or more users. The due date is
the end date of the step to which the task is assigned. When you save an ad hoc, process-related task, it is also
created in the collaboration tool, and assigned to users who need to complete it. If needed, these tasks can be
included in the overall progress of the process to which they were assigned. An ad hoc, process-related task is
assigned to the ongoing process for which it was created, but it is not added to the related process template.
Note

If you close a process that contains tasks that are open or in progress, these tasks are not displayed in the
Manage Tasks app.

Although you can’t edit the start or end date of process-related tasks in SAP IBP, you can do so in some
collaboration tools. However, these changes are not synced back to SAP IBP. After the next sync from
SAP IBP, the changes are overwritten in the collaboration tool.

Procedure
1. Launch the Manage Tasks app by clicking the corresponding tile on the launchpad.
2. Click the Create Task button then choose Create Process-Related Task.
3. In the dialog, enter the task details.
4. Click Create.

Results
The task is now displayed in the task list area for the users assigned to the task.

The tasks created with this procedure are generated in the collaboration tool if the collaboration is enabled in
SAP Integrated Business Planning for Supply Chain (SAP IBP). An email notification for the collaboration task
is sent out to the process step participants who need to complete the task. When you select a task of this type in
the Manage Tasks app and click the task to view its details, you can navigate to the collaboration tool with the
collaboration group link. You can also view and monitor these tasks in the Manage Processes app and in SAP
Integrated Business Planning, add-in for Microsoft Excel.
