Viewing, Editing, and Completing Tasks


Users who are responsible for tasks can view and complete those tasks in different places: in the Tasks app, the
Manage Tasks app, the SAP Integrated Business Planning, add-in for Microsoft Excel (SAP IBP, add-in for
Microsoft Excel), and the collaboration tool. This allows users to quickly access their tasks from wherever they
are working.

Tasks App
The Tasks app provides a list of all open tasks for all open processes in which you’re the task owner. For each
task, the priority and due date are shown underneath the task name. You can mark tasks as completed by
clicking the radio button next to the relevant task. A strikethrough on the task name indicates that the task is
done.

Note

This app is deprecated, and we plan to remove it in 2208. We recommend that you familiarize yourself with the
successor app Manage Tasks by the upgrade to 2208 at the latest.

Manage Tasks App


The Manage Tasks app provides a list of all open process-related and standalone tasks that have been assigned to
you in an active or a completed process. For each task, all the necessary details are displayed once you click the
item. You can mark tasks as Not Started, In Progress, or Completed by clicking one of the status change buttons
in the details view. If you set the task status to Completed, tasks you have completed automatically disappear
from the list after you refresh the screen. Until you refresh the screen, these are still displayed in the list in case
you change your mind and want to continue working on the tasks.

Note

Open process-related tasks with a closed related process are not displayed in the Manage Tasks application.

You can also view and complete your tasks in the Processes and Tasks dialog that is available in the SAP IBP,
add-in for Microsoft Excel. This saves you from having to navigate to the collaboration tool, the Tasks, or the
Manage Tasks app

Collaboration Tool
You can view and complete your open tasks in the collaboration tool using the Collaboration app. Additionally,
the collaboration tool provides features for editing tasks if anything changes during the process. For example,
you can change the priority or description of a task. You can also add additional information to the task, attach
documents, and continue collaborating on the task. For more information, see the user guide for the
collaboration tool that your organization uses (SAP Jam or SAP Work Zone) on the SAP Help Portal.

Reminders

You may receive a reminder for your open collaboration task when the end date of the process step is
approaching. This reminder is shown in the Notifications area on the SAP Fiori launchpad and provides
information about the task and its due date, as well as about the process step and the process it belongs to. It is
renewed every day until you close it. Because the reminder is not automatically closed when you complete the
task, you need to close it manually in the Notifications area.
Note

Reminders you receive in the Notifications area are not related to the reminders for tasks that you can set in SAP
Jam.

You can set general preferences for the notifications you receive on the SAP Fiori launchpad, for example,
which notifications you want to receive, and how and where they are displayed on the launchpad. For more

Influence of Completing Tasks on Process Automation


If you have automated process steps within your process and all tasks for a step need to be completed before the
step can end automatically, the place where the last task is completed may have an influence on the start of the
subsequent step and its assigned application jobs. For more information, see Timing in Process Automation.
