1 INTRODUCTION

Dear Student

October/November exam for this module is a closed book examination. IRIS invigilation will be
used to monitor you during the examination, and IRIS will be used to detect any form of
cheating. Students flagged for cheating will be required to attend disciplinary hearing. Every
student’s IRIS file will be reviewed by the Examination department. The university has zero
tolerance on cheating.

2 PURPOSE OF TUTORIAL LETTER

The purpose of this tutorial letter is to provide you with the format of the exam and the rules of
the exam. The exam is closed book and will be invigilated by IRIS.

3 FORMAT OF THE EXAM FOR SEMESTER 1

Due to the COVID-19 pandemic, the examination will now be conducted online as follows:
1. The examination will be conducted as a take home examination based on an
examination question paper.
2. The examination will be managed on the myUnisa platform. Instruction for downloading
and uploading the exam where provided to you by the university in the document: Student
Guide: myExams File Upload Examination, check on your examination timetable.
3. The examination question paper will consist of structured questions (no MCQ questions).
The questions are similar to those of Assignment 02. Read all the prescribed reading.
4. Check for exam dates and time on your Examination Timetable on myUnisa.
5. The duration of the examination will be 2 hours. You will have extra 15 minutes
to download the examination question paper and 60 minutes to upload the
completed examination answer sheet on myUnisa.

4 WHERE TO FIND THE EXAMINATION PAPER


The examination question paper will be posted on myUnisa at the start of the session on the day
of the examination. A new examination question paper download tool will be available on the
myUnisa front page. Login with your student number and myUnisa password. Claim your
myUnisa password before the start of the examination if you have not done so already.

Steps to follow to access the examination paper were provided to students in the

myUnisa, on your examination timetable.

5 HOW TO OPEN THE DOWNLOADED EXAMINATION PAPER

1. You need to ensure that you have a PDF reader installed on your computer in order to
open the examination paper.
2. You can download the newest version of Adobe Acrobat Reader from
https://acrobat.adobe.com/za/en/acrobat/pdf-reader.html
3. Double click the examination document you downloaded to open it in Adobe Acrobat
Reader.

6 HOW TO ANSWER THE EXAMINATION PAPER


Create a word document on your computer, save it and answer the questions. When finished,
convert the document to PDF and submit. Only PDF documents should be submitted. Remember
this is a timed exam, you have to write it within the allocated time (2 hours). See the Student
Guide: myExams File Upload Examination. For, handwritten answers, you need to scan
your documents and upload them on myUnisa. Instructions are provided in the Student
guide: myExams File Upload Examination.

7 HOW TO UPLOAD YOU ANSWER SHEET (SCRIPT)

See the Student Guide: myExams File Upload Examination. In summary, after writing the
exam, you should upload your answer sheet (script) on myUnisa. Verify that you entered your
correct details when submitting the file. After submitting the file, capture the Assessment
Submission report by printing it or saving to your computer. This is the proof that you wrote the
exam.

Rules:
For file upload/take-home examinations:
1. Students must upload their answer scripts in a single PDF file (answer scripts must not be
password protected or uploaded as “read only” files).
2. NO e-mailed scripts will be accepted.
3. Students are advised to preview submissions (answer scripts) to ensure legibility and that
the correct answer script file has been uploaded.
4. Students are permitted to resubmit their answer scripts should their initial submission be
unsatisfactory.
5. Incorrect file format and uncollated answer scripts will not be considered.

6. Incorrect answer scripts and/or submissions made on unofficial examinations platforms
(including the invigilator cellphone application) will not be marked and no opportunity will be
granted for resubmission.
7. A mark awarded for an incomplete submission will be the student’s final mark. No
opportunity for resubmission will be granted.
8. A mark awarded for illegible scanned submission will be the student’s final mark. No
opportunity for resubmission will be granted.
9. Submissions will only be accepted from registered student accounts.
10. Students who have not utilised IRIS invigilation or proctoring tools will be subjected
to disciplinary processes.
11. Students suspected of dishonest conduct during the examinations will be subjected
to disciplinary processes. Unisa has a zero tolerance for plagiarism and/or any other
forms of academic dishonesty.
12. Students are provided one hour to submit their answer scripts after the official examination
time.
13. Submissions made after the official examination time will be rejected by the examination
regulations and will not be marked.
14. Students experiencing network or load shedding challenges are advised to apply for an
aegrotat and submit supporting evidence within three days of the examination session.
15. Students experiencing technical challenges should contact the SCSC on 080 000 1870 or
via email Examenquiries@unisa.ac.za or refer to the Get-Help resource for the list of
additional contact numbers.
16. Communication received from your myLife account will be considered.

8 IRIS INVIGILATION
Student are required to have a computer or laptop with a camera (webcam) as well as a microphone
and must install the IRIS app before they write the examination. It is also the responsibility of the
students to ensure that IRIS is working properly. A reliable internet connection throughout the
examination is needed. If IRIS is correctly installed, it will start operating automatically when the
student starts writing the examination. The student needs to do some initial activities including
providing an ID document for IRIS to capture, after which IRIS will start recording. After the
examination is finished, IRIS will automatically upload the recordings.

Detecting irregularities using IRIS reports and recordings


• No IRIS recordings: Students may have written the examination without a complete IRIS
recording of the session (for instance, because IRIS was not installed, or IRIS did not start or
did run for the full duration of the examination, or because recordings were not uploaded).

• Identification verification: IRIS attempts automatic face matching of the student against the
given ID document. If this is not successful, one can do manual verification.
• Flagging: IRIS uses AI to flag those students who might have been looking aside rather than
straight at the camera.
• Summary recording – Summary reports of students can be glanced through quickly, to pick
up if there is any possibility of cheating. On the left had side the report lists times when audio
was heard and tab changed (opening of a new window). On the right hand side you will find
short clips of when there was substantial head movements. It will also list if any other
applications were opened on the bottom right hand corner of the screen. The following will need
to be considered when looking at the summary report:
o Voices heard recordings that are too long (more than 10 sec). The system picks up all
noises and many of the sounds are background noises.
o Too many tab changes (more than 3) mean that a student could possibly be going to
another website

9 CONTINGENCY LINK
Students will be provided with a contingency link to submit exams. This is an emergency link
which students can only use if they have failed to submit on the myExams platform. Students must
use the link to submit within the exam time. When the exam is finished, the link will be closed. A
tinyUrl link will be provided to students.

You should only submit via the link if you are unable to submit on the myExams platform. Please
take a screen shot of the error message that you are experiencing when trying to submit on the
myExams platform. If you submit via the myExams platform and the link, your last submission on
the myExams platform will be marked.

1. You must access the tinyurl link using your myUnisa credentials – not your personal login
details nor the credentials of another student.
2. Your exam file must be submitted under the correct module code. Exam files that are
submitted under the incorrect module code will not be marked.
3. Read the instructions carefully and save the file in the required format
(StudentNumber_ModuleCode, e.g 12345678_MOD0000.pdf).
4. The file must be saved as a PDF document before it can be submitted.
5. You can only submit one exam answer file. Please do not submit individual pages.
6. Ensure the answer file submitted is correct and readable.

7. Your submission on the contingency link will be marked if it is submitted on time. Any
submission made on the link after this examination’s submission period has expired will not
be marked.
8. You can only submit once on the link.
9. Please take a screenshot of your successful submission.
10. Please remember to tick the "tick box" if you want to receive an email confirming your
submission. If you had done so, you should receive such an email after 5 hours.
11. Please do not contact the lecturers or the college administrators requesting confirmation of
your submission. Unfortunately, we are unable to do so.
