Quiz No. 1 CE175-3C/A26

1. Executing the project process is challenging since many documents and information must be
collected. Project Information Management System (PMIS) is used to organize and control the
data used in a project through a software program that utilizes technology and human
resources. Gantt chart helps simplify complex projects as it can assist in the planning and
scheduling of projects of all sizes. The tool illustrates the project’s start and finishes dates,
where the timelines are presented in a horizontal bar, including the deadlines and completion of
all phases. Through this, the project manager can check progress in the team’s workload,
mapping a visual display of the whole project, timelines, deadlines of all tasks, relationships and
dependencies between the various activities, and project phases which are done sequentially.
To map out the chart, the individual functions should be identified and estimate the time and
days it would take to complete.
Another PMIS is the PERT chart or Program evaluation and review technique used for
scheduling, organizing, and mapping out tasks in a project similar to Gantt, yet the structures
are different. The duties are visually connected that can help accomplish various project
planning activities. Same in the Gantt chart, the tasks should be identified. Then define the task
dependencies and relate them to each one. After that, estimate the project’s time frame where
the PERT formula can be used to calculate the expected duration to complete the project. Lastly,
manage task progress.

2. Implementing PMIS in an organization is a challenging task. One of its challenges is flexibility

since the system only has a coded and saved pattern demanding a knowledgeable operator.
Using the software develops over time, requiring a new set of skills and custom coding—utilizing
a PMIS force a team to manage the construction project in a specific way that is difficult to
adapt as people, groups, and companies do things differently. The system should improve the
work and have a compatible framework and patterns with the user. To prevent this impediment,
the company should develop or use software that will fit the needs and strategy of the user.

The lack of training and skills is also a challenge in implementing the PMIS in the industry. In a
project, various tasks are divided among each individual within a team. Proper training is given
to each entity to complete the tasks successfully. Nevertheless, using the software requires skills
that the professionals in the country lack since some aspects are completely new. Mitigating this
will involve proper training to obtain knowledge that will be useful in handling the challenge.
The organization should delegate the tasks to the members who have accomplished training in
multiple disciplines.
