CHAPTER 1: INTRODUCTION

My name is Mudiwa Chimbetete I go to the heritage school in Harare Zimbabwe.


I am part of the 2017 travel and tourism group consisting of 9 amazing colleagues.
As a team we all were so keen on wanting to go for a trip outside Zimbabwe and
we were all willing to go all out of our comfort zones to make sure that we went
for a trip. From my understanding of travel and tourism being the activity or
practice of touring especially for pleasure and also being an industry that provides
information; accommodations; transportation and other services to tourists, I was
very motivated to want to experience the life of being a tourist and having to
experience all the services and facilities provided by the tourism industry. We
were so keen on wanting to be exposed to the adventure tourism which mainly
involved the participation in the outdoor activities of a particular place in an
exotic unique location. We also wanted to get to experience the eco tourism in a
particular place and learn more about their environment and how they manage it.
With all these ideas and ambitions in our minds of wanting to be exposed to all
these things we did not let any obstacle that got in our way to win therefore we
strived hard in order to overcome the obstacles. More for as an individual I was
very ambitious on wanting the dreams we had as a team come true, furthermore I
did my best to contribute into making this trip work. The 9 colleagues in the team
were:

Thabisile Shanji
She is a dedicated and organized team member who always strived for things to
work out. Although occasionally she was self-centered and controlling.

Wudzai Chanakira
Very calm and outspoken. Wudzai helped with the accommodation and worked
hard for the success of the trip.

Mustapha Ahmad

Mustapha was very laid back when it came to meeting deadlines. However he was
very motivating when the team felt down and stranded on what to do next, he
was an encourager

Tinotenda Mawunganidze
Tinotenda was the clown of the group; he would lighten up the mood when
everyone was feeling tense.

Panashe Kumbula
Very strongly opinionated when it came to decision making.

Chantelle Nyamanza
She was very optimistic and would always think of a bright side to everything
even when the whole group had lost hope.

Moreblessing Shereni
She contributed greatly to the group and was involved in every activity.

Ruvimbo Matsheza
Ruvimbo was reserved and not vocal, however she was greatly involved in the
contributing sector

Lois Mandofa
Lois was a very ambitious outspoken individual. She did all she could to contribute
to the team as well as keeping people calm by creating a serene environment
within the team

Zinhle Mukwananzi
Very self-opinionated and always wanted things to go her way and this did not
really fit well with the rest of the group however Zinhle did not give up easily she
always had alternatives if one idea failed.

CHAPTER 2: BRAINSTORMING STAGE (end of February
2016)

2.1 WHY IS BRAINSTORMING IMPORTANT?


Creative team brainstorming improves your critical thinking and problem solving
skills as an individual and a team. Team members often feel more open to
bouncing ideas of one another and seeking advice on individual projects. One
major advantage of brainstorming is it requires you to think critically when it
comes to solving a certain problem or create something innovative. Secondly
brainstorming builds teams. When you practice brainstorming as a group you take
team ownership of a campaign; product or event. This means that one person
isn’t left feeling like he is carrying all the workload. Groups that practice
brainstorming together may also learn how to work together better. (Adapted from

accommodate everyone’s ideas and suggestion. By brainstorming together we
also learnt how to work together as a team and make sure everyone’s voice was
heard.

2.1.1.1DIVISION OF THESE EVENTS INTO TOURISM CATEGORIES these


presentations were done on the 4th of March 2016. (Appendix 2 for
minutes)

HOWEVER….as a team we decided to narrow our options


There are some Ideas that we eliminated and the reasons:
 Braai day, paintball and fun day – people just lacked commitment and
interest in making it as success.
 Movie day – lack of interest and enthusiasm towards the idea

2.1.1.2DEVELOPMENT OF THESE IDEAS

As a group we had ideas that we decided to pursue. By this we voted and used
those votes as our guide towards what we might end up going for. We also
looked at the advantages of some of these ideas that we wanted to further go

on with, for example for the fashion show. It seemed like a good idea because
we knew that it was going to attract the younger customers (teenagers) and
this was going to be a huge benefit to us. Therefore we ended up concluding
by opting to go for a trip and go further on with Mr. and Miss Schools.
Following on the ideas in which we all took into consideration and therefore
putting ourselves in groups for reasons such as having quick responses and
have each person set for a particular task. The ideas that we took into
consideration were the trip to Victoria Falls in Zimbabwe; the trip to Mauritius,
the trip to Thailand, the trip to South Africa and the fashion show Mr. and Miss
Schools.

CHAPTER 3: FEASIBILITY STUDY
A feasibility study is an analysis of how successful a project can be completed,
accounting for factors that affect it such as economic, technological, legal and
scheduling factors.

3.1 HOW AND WHY WAS IT IMPORTANT?


This feasibility study proved important because it showed us if the ideas we were
going to carry forward were worth the investment and time. Following on what
we all agreed to do our feasibility studies in our individual groupings for reasons
such as enabling quick responses. In our individual groups we decided to look at
the following: technical study, economical study, legal issues, time schedule and
the operational study. We told each other to look at those aspects so that we
avoid any unnecessary information and also to set target to what we want to
achieve and have the same expectations from each other.

3.2 DEFINITIONS
 Technical study
This is one of the first studies that must be conducted after a project has
been identified
 Economical study
This is to demonstrate the net benefit of a proposed project for accepting.
 Legal issues
These are laws and regulations of a specific place which need to be
followed for example passports, visas e.g.
 Time schedule
Consists of a list of times at which possible tasks, events, or actions are
intended to take place.
 Operational study
Is the measure of how well a proposed system solves the problems and
take advantage of the opportunities identified.

3.3 PROS AND CONS OF A TRIP
 The first advantage of travelling is visiting interesting places and meeting
new people. It is connected to getting to know other cultures and
traditions.
 Travelling also educates, socially, environmentally, culturally etc.It gives
impression and great memories
We also become more experienced in travelling and taking care of our
belongings and ourselves.

However on the other hand travelling has its disadvantages such as:
 Costs of travelling are often high for example travelling by plane therefore
not everyone can afford.
 Journeys often expose us to danger of diseases and presents personal
security risks.
 The fatigue that occurs whilst travelling.

3.4 MY ROLE AND WHAT I SPECIALISED IN….

Brief information on Mauritius


Mauritius consists of mountainous interior which include the black river gorges
national park; with rainforests; waterfalls; hiking and so on. Mauritius is the only
country in Africa where Hinduism is the largest religion. Some of the main
languages spoken in Mauritius are as follows: Chinese; Hindi; Marathi; Tamil;

Mauritius is a beautiful country and place to visit. As teenagers who want


adventure this deemed the best place to visit. For example the sunset catamaran
cruise which enables you to view the northern isles and the central mountain
range. Following on the warm and friendly weather all year round also attracted
us due to wanting to visit their white sandy beaches.

3.5 TECHNICAL STUDY
3.5.1 Airline

We had initially set our minds on wanting to use South African airways due to
their friendly cost and looking at our budget for the trip we wanted to cut down
costs as much as possible.

3.5.2 Accommodation
Constance Belle Mare Plage Mauritius cost $161 per room
This is a 5 star resort, set along a stunning 2km white sand beach, in a sheltered
bay on the east coast of Mauritius. All rooms are thoughtfully furnished and
decorated for your comfort.

The Westin Turtle Bay Resort and Spa cost $222


The resort is nestled in a tranquil spot in the historic Balaclava area, facing the
idyllic Turtle Bay, a protected marine park on the north west of Mauritius. Two
outdoor pools, water activities, tennis, golf, local trips as well as day trips. This
accommodation is however suitable for us as they offer adventure activities
which intrigues us as young teenagers.

Recommendation
The Westin Turtle Bay Resort and Spa is much friendlier considering the purpose
we would have travelled to Mauritius for. This spa offers most of the activities in
the same surrounding and location therefore the cost of transport is reduced.

3.6 LEGAL STUDY


Passport and visa requirement in Mauritius
Since we are Zimbabwean citizens there was a visa required for us to enter
Mauritius, however a passport is required and should be valid for at least

6months. The school would also need to go and ask for permission from the
ministry of education in order for us to go for the trip.

3.6.1 TIME SCHEDULE

The best time to visit Mauritius is from May to December when the weather is
cool, dry and sunny. However between these periods of time it is rather
impossible to travel due to school and exams therefore it would be a long shot in
order to get permission from the school.

This is how well a certain team or system is able to solve problems as well as take
advantage of opportunities identified and how it satisfies the requirements

3.7.2 Health and safety issues

All travelers should be up to date on routine vaccinations while travelling to


any destination
The government of Mauritius requires a proof of yellow fever vaccination only
if you are arriving from a country with risk of yellow fever
Need vaccines and medication for diseases such as hepatitis A and typhoid

I was tasked to research on the activities that are in Mauritius and my full findings
are in Appendix 1

3.7.4 Conclusion

After Mustapha and l sat down we decided when we presented on the 4th of
March (APPENDIX 2) that this trip to Mauritius was way above the maximum
budget we had hoped for which was $1500. As well as the response that we got
from the rest of the class was not so convincing. We then decided to eliminate
this trip to Mauritius.

3.8 TRIP TO THAILAND


Thailand is a Southeast Asian country. It’s known for tropical beaches, opulent
royal places, ancient ruins and ornate temples displaying figures of Buddha.
Bangkok is the capital city of Thailand. It would be a great experience to visit
Thailand as it also offers diverse cultures and a way of life; therefore the exposure
is needed for our own good and education.

Assumption University accommodation


This was accommodation we had been offered from the assumption
university which is in Thailand .This accommodation was one of the options
we had decided on taking into consideration as it was going to minimize the
cost for us and this was going to be an advantage to us.

SWOT analysis for the trip to Thailand

Strengths
 People loved the idea of travelling outside the country as they felt
domestic trips had been overdone by many
 Thailand is a destination that many people wouldn’t be expected to go
to
 Assumption University was willing to offer free accommodation and
subsided food.

 The trip would strengthen team bonding

 Students may not be able to afford the trip

 Get to see beaches and other resorts unavailable in Zimbabwe

Although we were all very keen on wanting to go to Thailand we all knew it was
not going to be feasible due to lack of funding considering the unstable
economy in our country Zimbabwe.

3.9 TRIP TO VICTORIA FALLS (ZIMBABWE)


Victoria falls or “mosi oa-tunya”(the smoke that thunders), is a waterfall in
southern Africa on the Zambezi river at the border between Zambia and
Zimbabwe. It is one of the Seven Wonders of the World.

3.10 TRIP TO CAPETOWN (SOUTH AFRICA)


Cape Town is a port city on South Africa’s southwest coast, on a peninsula
beneath the imposing table mountain. Slowly rotating cable cars to the
mountains flat top, from which there are sweeping views of the city, the busy
harbor and boats heading for Robben Island, the notorious prison that once held
Nelson Mandela, which is now a museum.

3.10.1 Recommendation

We really wanted to go for a trip and we decided to look at Cape Town as it was
one of our ideas in which we took into consideration. We also wanted to go for
this trip as we wanted to fulfill the requirement for our exam as well for our own
fun for adventure tourism

CONCLUSION

On the 13th of May 2016 (see appendix 4) the group met and agreed on Cape
Town therefore we all knew that we were definitely going for the adventure
tourism trip to Cape Town. Mr. and Miss School however is a good fundraiser to
subsidize for the cost of our teachers.

CHAPTER 4: BUSINESS PLAN FOR CAPETOWN

As a group we discussed the business plan and we came up with a plan we


believed was sustainable to fulfill. (APPENDIX 6)

4.1 WHAT IS A BUSINESS PLAN AND WHY IS IT IMPORTANT?

A business plan conveys the organizational structure of your business. It also acts
as a management tool that can be referred to regularly to ensure the business is
on course with meeting goals.

FOUR REASONS WHY YOU NEED A BUSINESS PLAN:

a) To map the future-a business plan is not just required to secure funding at
the startup phase.
b) To support growth and secure funding-most businesses face investment
decisions during the course of their lifetime.
c) To develop and communicate a course of action-a business plan helps
assess the future opportunities and commit to a particular course of action.
d) To help manage cash flow-careful management of cash flow is
fundamental.

How we came up with the business plan for the trip to Cape Town:
We decided to do a business plan in class together so we all knew what we
wanted to achieve and the set standard. We also wanted to complete a
well-organized trip with an agreed timescale and budget.

Young people and students usually partake in the active excursions. There
is a wide range of activities that enable the customers not to get bored
easily. Following on the price needs to be affordable in order to ensure that
the customers can be able to supply themselves throughout the trip.

Families and groups

Generally families and groups require more space than individuals. They
will also require additional services if the trip involves overnight stay. Other
facilities will also be needed for example for those with toddlers they will
need nappy changing facilities.

Couples

Couples require more space than those of individuals.

Individuals

Individuals do not require as much space as couples and groups however


they may need entertainment such as music and television as well as Wi-Fi
connection to those individuals travelling on a business trip.

Disable customers

Customers who are disabled should be treated and offered special services
in order for them to feel comfortable for example there should be easy
access ramps and toilets specifically designed for the disabled.

TIMESCALE

On the 7th of March, the group met (appendix 5) and discussed the project time
frame and the importance of meeting deadlines .As the result, we came up with
the Gantt chart.

Gantt charts were first thought up by Henry Gantt around 1910. It is a form of bar
chart that gives events some sort of schedule. Each activity is broken down and
given a time frame. The Gantt chart however provides a more broad range of
dates therefore making it possible to demonstrate the timescale of the whole

IMPORTANCE OF MEETING DEADLINES

Meeting deadlines enables the team to be kept on track therefore this


helps efficient progress to be made within the team. Following on meeting
deadlines is important as it helps to keep people optimistic towards their
set goal in which they would want to achieve. It also helps to minimize
conflict in the group as to having everyone having to meet a set deadline
therefore it maintains fairness within the group.

“Who” refers to the customers who will be taking part on the trip. The
target audience should be considered.

“Why” refers to the reason for organizing the trip. People may attend the
trip for different reasons. For example those who will be going for business
it may offer the opportunity for team building and encouraging employees
to work better together.

Where:
“Where” refers to the location of the trip. Our decision to choose Cape
Town was made due to the positive reviews we found during research.

When:
“When” refers to the period of time in which the trip will take place. We
planned for the event to take place on the 4th of April this was to ensure
that we would not miss out on lessons at school.

How:
“How” refers to the mode of transport we will use to get to the venue.

Price: the target market was going to be made up of students; this


meant that the pricing is very important. Value for money was of
upmost Importance therefore we decided to price our event at $3.

Place: we decided to use the school hall in order to reduce costs.

Promotion: in terms of advertising these posters have been designed
for the event. They were placed around the school notice boards in
order to attract the maximum amount of potential customers.

Product: our event supplies more of a service as opposed to a


product. In accompaniment with it were sashes and chocolates
provided for the winners.

 A visa was required for one of the team members (Mustapha Ahmad) due
to him not being a Zimbabwean citizen. This visa would take about two to
three weeks prior the event to be issued out to him
 Parental concern, there were letters sent out to parents and they were
supposed to sign and grant permission to their child if they were going to
travel to Cape Town.

4.4 CONTINGENCY PLAN

This is often referred to as plan b, a contingency plan helps people to be prepared


for the worst and also helps people to be optimistic as it is a plan B. for the trip to
Cape town we all had contingency money of $100 per person as we looked at the
possible problems we were to face and we came up with back up plans in order to
overcome those problems if they happened to arise. For example:

Staffing for the event will be an important consideration as within each group
there will be members with differing skills and abilities and a strong group will

being able to safely calculate information regarding income and expenditure.
They should also be able to pay attention to detail and able to keep accurate

These should hold the characteristics of being patient and caring towards the
students. They should be good communicators as well as a good listener. They
should also be kind and friendly

4.5 TEAM ROLES AND TEAM BUILDING


“A team is not a bunch of people with job titles, but a congregation of individuals,
each of whom has a role which is understood by other members. Members of a
team seek out certain roles and they perform most effectively in the ones that are
most natural to them.” DR.R.M.BELBIN: Meredith Belbin is a British professor at
Henley management college oxford shire. His work included a summary of 9 key
roles that emerge when managing a group or event. A short summary of these

After having met with the team and discussed the business plan we had our
plan on track therefore we were ready to start implementing it and going

TEAMWORK
As a team we decided to use one of the best known theories of teambuilding was
developed by Bruce Tuckman in 1965 and is known as the forming-storming-
norming-performing model. Tuchman’s theory looks at the way in which a team
tackles a task from the initial formation of the team right through to the
completion of the task.
Forming-is where teamwork is gathered together and tasks allocated. For
example during our brainstorming stage we gathered as a team and when we
were now doing our feasibility studies we decided to put ourselves into groups
Storming- this where ideas are progressed. The team begins to look at the
tasks in hand and bring different ideas and suggestions forward. For example
there was a team which was allocated to storm on Victoria fall and then we as
a team we all looked at Cape Town. This is seen in the feasibility study above.
norming- is the stage where teams become harmonious and they are able to
agree on the rules and standards on how they operate. This was during the
implementation of our business plan and our fundraising.

We divided ourselves into the following groups:

a) Entertainment-this was comprised of More blessing, Tinotenda and


Thabisile
b) Marketingand promotion-Zinhle and Mustapha
c) Catering-Mudiwa and Ruvimbo
d) Finance-Wudzai, Chantelle and Panashe

These were the people in charge of looking for the Dj who will be the host for the
night.

Marketing and promotion committee

This refers to raising customer awareness of a particular product. This is done by

The marketing group used the direct marketing way to raise awareness to the
customers. These people in the marketing group created a flier that was put up
on most of the social media such as Instagram, WhatsApp and Snap chat. They
also took half of the fliers to different schools.
The fliers they had were printed by Moreblessing Shereni and distributed by both
Moreblessing and Thabisile.
However Moreblessing and Thabisile had to chip in the marketing group in order
for the group to be under control and this just showed that the original members
of the marketing group failed to live up to their responsibilities.

Marketing Committee- Thabisile, Mustapha and Moreblessing


Their main job was to advertise and make sure the customers are aware
also they were responsible in ensuring that all promotion is effectively
carried out to attract as much custom to the event as possible. This
involved the creation of flyers and posters. All three members showed
characteristics of being a shaper as they encourage others not to miss
important working time with the team

Catering committee
The catering group was made up of I Mudiwa Chimbetete and Ruvimbo:
Ruvimbo and I came out with a plan on what we wanted to sell and serve the
participants and judges and this is what we came up with:

These were the people who were allocating money to people for things such as
going to buy the presents for the models and judges

Finance- CHANTELLE AND WUDZAI AND PANASHE

Chantelle and Wudzai were involved in the running of the finance side of the
event. They were responsible for managing all of the money that is required
from customers. However they were also responsible for collecting the money
for most of the expenses we were going to face form the event. Following on
Chantelle and Wudzai showed the potential characteristics of a specialist.

Secretary-CHANTELLE

Chantelle’s job was to be in charge of the paperwork and other administrative


duties. She was the one who would organize meetings between group members
and take minutes of every meeting that the group conducts. Chantelle showed
the characteristics of a Research investigator, showed tendency of forgetting to
file paperwork away or perform other important tasks.

Legal Issues- MUDIWA, TINOTENDA AND RUVIMBO

These two were in charge of ensuring that all team members are given specific
jobs. In addition they were also in charge of organizing risk assessments to ensure
that the event is safe in terms of legalities.

Activities

a) The clothing lines involved:

Fuzi fash- these are girls from Chisipite high school who have their own
clothing line and were responsible for the dressing of the female models
Open his closet- this were involved in the dressing of the male models mainly
smart casual

b) Selling of cupcakes..Cakes.mini pizzas e.g.

Here for the fundraising we would divide ourselves into groups going
according with the days of the week. For example on Mondays it will be
Mudiwa and Chantelle’s duties to sell and make sure things are bought. We
would order all the items needing to be sold during the course of the night and
the lady who supplied us called Rati would deliver the order before break time.
However the basic quantities we would sell as 50mini pizza priced at $1, a
large chocolate cake at $1 per slice, 25-28 cupcakes depending on the day
priced at $1 per cupcake.

On Valentine’s Day we decided to double the amount of items we would be


selling in regards to many students having some pocket money with them so
we took advantage. furthermore as we sold our items on valentine’s day we
realized that we had been overly ambitious by ordering a huge quantity of
food as many people were not buying and we had competition from the high
achievers club who went on to sell much bigger cupcakes than us and those
seemed to be much more appealing referring to what the customers said. So
with this we ended up having to cut the prices of all our items so that we just

had enough money to pay our supplier, and on this day we made such a huge
loss with barely any profit.

c) Fifa tournament fundraiser

We also went on to host a Fifa soccer tournament for the boys mainly on a
Friday afternoon; this however was a flop due to reasons such as a lack of
marketing for this event. On this event however we only managed to make
about $17 and we had originally planned and hoped for at least $100, so this
however was a loss for us and this event taught us that for future events the
marketing skills and techniques for a particular event should be marketed
thoroughly in order to gain success.

PERFORMING- is where the team members are clearly aware of the task. This was
a week or two before our event and our trip. For example:

ADJOURNING- is seen as the completion of the groups event or task. This is the
stage where the actual event took place and these are some of the things that
went on:

This was the day Mr. and Miss Schools took place
Venue- the heritage school Apollo hall (appendix 7 for pictures of this event)

Preparations that took place before the event:


During the course of the week of the 25th of May we all decided to bring
ourselves together and work as a team. By doing so we had people from
the entertainment committee who decided to chip in the catering
committee for example Thabisile Shanji went on to buy groceries such as
the chicken and the tuna for the sandwiches that were going to be given to
the models and judges as a snack, Thabisile also went on to order the
samosas and sausage rolls from pemcol bakery which is located in

On the 12th of February 2017
I Mudiwa went on to order t-shirts for each team member of the travel and
tourism group. Our supplier was called Fago and he decided to make each
t-shirt $9 due to the printing of the logo and customizing the t-shirt.

On the 18th of February 2017


I also went on to buy some of the groceries needed for the event. My
mother decided to sponsor the soft drinks which greatly helped us cut
down the costs of items needing to be bought. I also went on to buy 3
“thank you” cards which were meant for the judges as a token of
appreciation. I also bought 6 gift bags as well as 6 chocolates which were
allocated for the winners and runner ups for the Mr. and Miss Schools.

On the 23rd of May Thabisile went on to buy the groceries (chicken, tuna,
lettuce, tropical juice and ginger beer for the punch) that were needed to
make the snacks for the models and the judges as well as the performers.

On the 24th of May, this was the day before the event we went to the
venue to make sure everything was in order, the arrangement of the
modeling ramp, and the chairs for the audience e.g.

Finally the 25th of May arrived and this was the day of event.
We all had agreed the day before that most of us were going to make it to
school as early as 9:00am however most of us did not manage to meet this
brief and it was a drawback to our progress since we needed to prepare the
snacks such as the chicken mayo and make sure that the venue was up to
standard and if there was need for any alterations we would make them in
time, regardless of the lack of time consciousness we still managed to get
everything in order with time.. the models were supposed to arrive at
around 3 in order for them to be put in order for example they needed to
get their makeup done and those who had not tried out their outfits
needed to do so, however most of the models arrived late and we needed
to get more volunteer makeup artists to help us.

All the preparations for the event were done by 530pm but however the
show started late at around 1900hrs due to the clothing line whom was late
with the outfits for most of the boys as well as the first performer of the
night called Tammy Moyo also arrived late for the show. This was a major
disadvantage because most of the audience began to get irritated with the
time delay and this brought a bad image to us as the event owners.
Tammy Moyo who was the first performer arrived at 1900 and after her the
modeling contest started. In the middle of the modeling we would have
intervals were performances would take place.

The event ended at around 2200pm and the winners were as follows:
The second princess was Kimberly Mwanza
The first princess was Tapiwa Gova
Miss schools was CaseyGwanzura
The second prince was Palmer Maisiri
The first prince was Fezile
The prince was Tadiwa Dzimbanete

At the end of the event the catering team who were selling some food
stuffs during the show made about $115 and we still had things remaining
which we decided to sell during the school week for half price.

4.7 REFLECTION ON THE TEAM

Qualities of an effective team

The group dynamics are very important in all stages of planning an event. It is
important that the team roles are made explicit in order that any
misunderstandings or arguments can be ironed out in the very early stages of
the event planning and do not hinder the working relationships between all
parties.

Good Communication skills within the team are very important it cannot be
assumed that everyone possesses good communication skills at the outset.
During our meetings team would respect one another especially when
someone is speaking therefore people would listen to each other. The

general attitude from the people in our team was good due to every team
member having an optimistic attitude towards everything. During our
meetings people in the team would also show a positive body language.
Within the context of a successful team it may be useful to consider
leadership styles. Different personalities and unusual personal characteristics
may conflict and take up valuable time from the planning stages. A dynamic
team should include individuals with diverse personalities. This should make
for an interesting and exciting team and not one where there is constant
conflict which causes difficult working conditions.

THE FOLLOWING ARE WELL DOCUMENTED LEADERSHIP STYLES:

a) Autocratic Leadership

Autocratic leadership is a classical leadership style. An autocratic leader


usually likes to make as many decisions as possible, have the most authority
and control in the decision making process, retain responsibility rather than
delegate, making decisions alone with little consultation with work colleagues.
The benefits of autocratic leadership are:

 A reduction in stress as the leader has responsibility for project and


therefore control of all decision making
 A belief that the team becomes more productive, as the leader is
watching and controlling the amount of work that is produced
 Improved operations, where the leader spots any problems in
advance and all deadlines are strictly met
 Quicker decision making

The disadvantages of autocratic leadership are:

 Work colleagues do not develop as they get no opportunity to


expand their experience and lose the opportunity to gain new skills
 Autocratic leadership is seen as easy but unpopular and creates an
increased workload for the leader
 Work colleagues dislike being told what to do all of the time.

Autocratic leadership did not suite our team as we did not have an overall
leader.

b) Democratic Leadership

Democratic leadership is a style that promotes sharing of the responsibility by


giving consideration to the views of all team members. The main
characteristics include consultation with work colleagues on all major issues ,
delegation of work tasks, the leader listens and responds to feedback from
colleagues and work colleagues are encouraged to become part of the
leadership decision making and to develop themselves.

The benefits of democratic leadership are:

 There is a positive work environment


 There would be successful initiatives resulting in better decision
making
 There is a greater degree of creative thinking as ideas are allowed to
flourish
 There is better working relationship between the team

The disadvantages are:

 Lengthy consultations that hinder the decision making process


 Some colleagues feel that they are not really being listened to and
that the leader will make their own decisions in the long run.

c) Bureaucratic Leadership

This is one where workers follow rules and procedures accurately and
consistently. Leaders gain power over decision making and are ultimately
able to exert their authority over work colleagues.

The benefits of bureaucratic leadership are:

 increased professional workplace where rules are enforced


 Work quality is often meticulous as rules are followed

 There is lack of creativity
 Poor communication results when colleagues have to go through a
formal process to speak to their superiors

d) Laissez Fair Leadership

This is a type of leadership in which leaders are hands off and allow group
members to make decisions. The characteristics for laissez fair leadership
include very little guidance from leaders, complete freedom for followers to
make decisions, leaders provide the tools and resources needed, and group
members are expected to solve problems on their own

The benefits of laissez faire leadership are:

 The team members are capable of accomplishing tasks with very


little guidance
 This leadership allows team members to demonstrate their deep
knowledge and skill surrounding that particular subject
Downsides of laissez faire leadership:

 Lack of role awareness


 Poor involvement with the group
 Low accountability
 Passivity and avoidance

However referring to my team we thought democratic leadership was ideal
and the best for us. This was because we as a team decided to share
responsibilities by taking each team members views into consideration.
During our meetings there was a positive work environment as well as a
great degree of creativity as well as facing few conflicts. Following on things
were not always rosy we faced some challenges such as lengthy
consultations that made the decision making process hard as well as we
had some colleagues who thought that their voices were not being heard
and what they had to contribute was not being taken into consideration
and by this we as a team decided to solve it by having each team member
to make an effort and gesture of body language by taking our time to listen
to each other and have the leader of our team to make sure every team
member is comfortable and well accommodated to avoid any
misunderstandings.

4.8 THE TEAM PERFORMANCE CURVE


It is often not straight forward for a group of individuals to come together to try
to form a successful team. There may be confrontation and a person selected as
the original leader may become unpopular and change is enforced. Jon
Katzenbach and Douglas Smith looked at the role of teams and they asserted
that in order for a group to become a team they must pass a certain threshold.
They devised the five levels of teamwork.

The five stages of team performance are:

a) The working group – the members of the group come together. They are
simply individuals with different skills and abilities. There is no solidity with
the group having no common purpose or goals that require responsibility.
At this stage the group form roles for each member and divide the tasks
b) Pseudo team – this team is located at the bottom of the curve and is
therefore the weakest of the five levels. At this stage there is no benefit to
being within the team and members do not present a working team; they
are not interested in creating a common purpose or in achieving any final
goals. There may be group disharmony and confusion over individual roles.

The team members believe that they are a real team but they produce
inferior results
c) Potential team – this type of team shows real gain in productivity and
performance. Members work together on developing a clear purpose

discipline for working towards a common approach.
d) Real team – this consists of a small group of people who share a common
purpose, goals and approach to work. They hold themselves mutually
accountable for their results
e) High performance team –the members are profoundly committed to each
other and are mutually accountable. Team members form powerful
relationships and work well together to exceed and achieve at a very high
level.

Overall team performance

Overall our team performance was a real team as we were all working
towards a set goal and we had the same approach towards that goal, we
were all determined to achieve the set goal and by having this sort of
motivation team members became keener to strive for the end result
which was to go for a trip. However despite working fairly well as a team
we also encountered ups and downs and when we experienced this it was a
drawback as most team members would give up easily therefore getting
those team members to get back on track was not easy. Within our team
there were teams, this was when our team would divide into small cliques
and therefore there was a lot of miscommunication and conflicts between
one another and this also slowed down our progress.

4.9 MY ROLE

I was involved in the catering committee for the Mr. and Miss schools event , I
was responsible for all the food items which were going to be available for selling
during the event as well eats for the models and dedicated staff members. I was

responsible for looking for the accommodation in which we were going to stay at
whilst we were in Cape Town.

a) The role I played in Mr. and Miss Schools

I was part of the catering committee with Ruvimbo. I was responsible for all the
food items which were going to be available on the night. I went on to book the
cake and mini pizzas from the supplier. I was also responsible for making sure that
all the food items which were supposed to be available on the day were there for
example I went on to sponsor the drinks which were to be sold on the day. I also
went to collect the samosas and sausage rolls from the supplier these eats were
meant for the staffing as well as the models participating and I had to make sure
that everyone would get something to eat. On the day of the event I was by the
catering table selling different things such as lays crisps, cake and so on. By selling
the food items I was also accountable of the money we would receive and I had to
calculate the total profit as well as losses made.

b) Cape Town preparations

I was responsible for the accommodation which we were going to stay in whilst
we were in Cape Town alongside Wudzai. I researched on all the possible
accommodation sites but most of the accommodation I found was either a bit
overboard with our budget or it was fully booked. However despite having a hard
time finding accommodation Wudzai and I finally found the suitable
accommodation, I saw the pictures and I judged on whether the accommodation
was decent enough for us to stay.

PRE- EVENT PLANNING

1 week before the event – we were finalizing on everything such as making sure
that everyone had paid for the trip to Cape Town

As a group we worked fairly well when it came to the preparations for the trip
such as making the bookings. We divided ourselves into mini groups and assigned
each other on a specific task to do, by doing so this enabled efficient progress as
people were specifically focused on their own task. However when we were
making the itinerary for the activities to be done when we go to Cape town there
was conflict due to people having different interests and this slowed down
progress because before we made the final itinerary not everyone was keen with
some of the activities which had been put and so the final draft itinerary was
made without everyone being convinced with it.

CHAPTER 5: ACTUAL EVENT

CAPETOWN
On the 3rd of April 2017 we all met at the heritage school boarding house. We
were all so enthusiastic and excited to go for the trip and my colleagues and I did
not sleep due to the anxiety of the big day we were dawning towards. We were
all gathered by 2000hours and we all assembled to the rooms we were sleeping
in. I was sleeping with two of my closest colleagues which were Thabisile and
Wudzai, we had a fabulous time together as we were engaged with so much
activity such as singing, dancing and just having a really good time together.

Day one

We left the boarding house at 5:00am in order for us to get to the Harare
international airport in time for check in and other legal requirements sorted.
From the time we woke up during the early hours of the morning many people
would expect one to be grumpy from tiredness but as for us it was different we
were filled with so much excitement and anxiety at the same time and we were
all so proud of ourselves that we achieved our set goal. We then departed from
the Harare international airport at 7:20am and then we arrived in Johannesburg
at around 9am. We stayed in the Johannesburg airport for 3hours till our next
flight, during our short stay at the Johannesburg airport we were all so thrilled
with the fact that the airport was offering free WIFI and most of us were able to
contact our loved ones and update them on our journey as well as freely surf the
internet. Having WIFI being offered for free we all did not feel the 3hours stay
being long rather when it was time to board the next plane to Cape Town we
were sad due to having to leave the free WIFI zone. We arrived in Cape Town at

around 2pm, we got our luggage and we were fortunate enough we already had
people waiting for us with transport to take us to stay easy hotel. When we got to
stay easy we dropped out bags and headed straight to the canal walk mall which

was a walking distance away from the hotel. This


was the outside appearance of the canal walk mall which I found very uniquely
built and this outside appearance got me hyped up on what I was going to
experience when I entered the mall.

Above is a picture of the interior of the mall, I found the outlook of this mall so
beatutiful and when I saw the inside I was grateful that I was getting the
opportunity to experience something that does not exist in my own country
Zimbabwe.When we got to the mall we decided to put ourselves into groups of 3
as we wanted to go around the mall and familiarize ourselves with the stores that
were there. After familiarizing ourselves with the mall we all then went to buy
take out such as steers and McDonalds and then headed back to our hotel. When
we got to the hotel we all headed to our rooms and had our dinner and we
freshened up and we were so exhausted we then slept.

Day Two

We were up by 7am and we all had our breakfast for the first time at the hotel
which was comprised of a croissant, bacon, sausages e.g.

Above is a picture of the scrumptious mouth-watering breakfast we were given at


the hotel, this breakfast was well made and I enjoyed every single bit of it. After
having our breakfast our transport was already outside waiting for us and the
driver who was driving us around during our stay in Cape Town was called Mr
.Makanje. Our first place of interest was going to the South Peninsula School,
when we got to the school we were welcomed by Mr. Becker who briefly told us
the history of the school. Some of the things he told us were that South Peninsula
is quite poor comparing to other white (private) schools, as well as it finds itself in
a so called white area but none of the children in the area take their children to
South Peninsula but rather take them to private schools. It has been over 67years

since the school existed. This is a picture of
part of the south penninsula school , i found the architecture of the buildings very
unique as it was different from my school buildings. We also learnt that the school
was subjected to the apartheid policies. However South Peninsula School
continues to churn out good results. Following on we also had a discussion with
Mr. Becker and three other students from South Peninsula, during this discussion
we were educating the three students from South Peninsula about the history
and the recent happenings going on in Zimbabwe whilst they also told us about
Cape Town.

After this discussion we had lunch awaiting us,


we all had a pleasant and delicious lunch this was the lunch which we were served
, this food was professionally cooked whole heartedly , I enjoyed the chicken
mostly as it was so juicy and moist and I just could not resist going for seconds as I

was literally in food heaven. Sadly we had to say goodbye to the people at South
Peninsula School and head for our next attraction.

Before we left for our next attraction we decided to take a group photo with most

of my colleagues, This photo symbolizes the


amount of excitement we all had inside us, this excitement is shown by the smiles
on our faces and by taking this photo we were all going to keep it as memory.(

We then headed for the waterfront however the weather was rather unfriendly
but we still decided to go and view the area. During the ride to the waterfront we
would stop at particular views and take pictures. When we arrived at the
waterfront it was so cold most of us could not change into our beachwear so we
decided to just stay in the clothes we were in. Regardless of the cold weather
most of us decided to go and get the taste and feel of the ocean.

was taken because we were so excited to see the cape town beach for the first
time for me and although the weather was not friendly it failed to get into the
way of us , we still removed our shoes and went in running into the water as
sisters rather and by doing so we still greatly enjoyed the beach visit ( this was
one of the highlight of the trip). After viewing the waterfront we then headed to a
famous fish take out/restaurant which was located close to the waterfront.
Following on whilst we were heading back to our hotel we passed through camps
bay which is well known for its infrastructure. We also stopped at the camps bay
beach but some of us were too cold we decided to stay in the bus whilst most
people got out and viewed the area and took pictures. After a long cold day we
finally arrived at the hotel and we all decided to freshen up and get warm so we
left the hotel at around 730pm in order for us to go to the mall to get food for
dinner. After dinner most of us gathered in one room and watched a movie and
then headed to sleep

DAY THREE

We were all up by 6:30am and had our breakfast and then headed out to go to
Table Mountain and Robben Island which was out itinerary for the day. When we
got to Table Mountain the weather forecast was still not in our favor, it was so
windy and the mountain had an overcast therefore we were unable to go onto
the cable car up the mountain due to the wind.before we left the table mountain

station we decided to take a picture , This


picture is of my colleagues and i looing at the amazing view that had caught our
eyes and we all were so amazed by the beauty of the view from the top (from the
right the is Ruvimbo,Me,Wudzai,Thabisile ,Tinotenda and finally Panashe).
Therefore we decided to then head to the Victoria Alfred waterfront where we
were supposed to catch the ferries to go to Robben Island. We got to the
waterfront 2hours early so we decided to put ourselves into groups again and
walk around the waterfront. The group I was in was comprised of
Thabisile,Panashe, Tinotenda,Wudzai and I we all decided to go on the cape
wheel. The experience whilst on top was amazing as we got to see the view of
Cape Town as a whole. After the Cape wheel we then went to the mall and

walked around. This is a picture of me very
excited of the view of table mountain at the Victoria and Alfred waterfront, i was
in utmost awe from this view that i could not resist but get a picture taken . After
doing so we all had a meeting point where we were supposed to assemble in
order for us to go to Robben Island. Unfortunately when we got there we were
told that there were no ferries going to Robben Island due to the weather and the
strong tides. We were all disappointed however we were given our refund which
brightened most of our faces. We then went through the trouble of picking on a
place to go and see, Mr. Bryan then decided to take us to Stellenbosch vineyard.

When we got there we were


given grape juice and a bottle of wine. We all enjoyed the exposure and
experience whilst at the vineyard. We all enjoyed the serene environment which

was just so refreshing (from the left in the picture below there is Mustapha
Moreblessing and Chantelle) .After this we then went back to the hotel did the
same routine only that this time we went to buy food before we actually got into
the hotel. When we got back to the hotel we ate freshened up, watched a movie
and then went to bed.

DAY FOUR

We also woke up pretty early as we wanted to be in time for the sightseeing red
tour bus. We got to the station were we hop onto the bus and off we went for
our tour. Whilst we were on the tour we had a tour guide talking to us through
earphones informing us on the history of the sights we were seeing.

During this tour we passed through long street


which is mostly famous for its cafes, nightclubs and restaurants e.g. I was very
intrigued by the name ‘’long street’’ therefore I was surprised to actual see the
street living up to its name as well as its unique buildings were very eye catching.
We also passed through the devils peak mountain. We also learnt that Cape
Town’s weather is rather temperamental and that pine trees are not indigenous

to the cape and most of them had been cut down. We passed through the temple
commemorating Cecil John Rhodes, the Kirstenbosch botanical gardens which is
acclaimed as one of the great botanic gardens of the world, orange cliff forest is
one of the three forests left on the table mountain, we also got to see the
imizamoyethu township which was experiencing the impoverished area which
was filled with unemployed people. After we then got to hout bay and we as a
group decided to drop off and catch the next bus, when we dropped off, the place
was so windy there was a sandstorm and this was rather unpleasant for most of

us.

We also saw the seals (picture above), I was very intrigued by these seals as I had
never seen one and I realized that I got to learn that seals have an unpleasant
smell as well as very tame. Most people got to feed them after this we then
headed to bakoven bay which is mostly a place to relax and relief stress and on
our way back to where the buses are stationed.

We passed through camps bay again and this is where the playground for
peninsula starts. This view of camps bay was very fascinating as I saw that most of
the houses there were outstanding and beautiful, I was very fascinated to see this
as it was my very first getting to see such beautiful homes in an up-class suburb

this is a picture of one of the fabulous houses i
saw in camps bay however this house was not the main attraction the main
attraction was what was behind the house which was the stunning back view of
the table mountain . The view of the table mountain really caught my attention
and might as well be one of the best things i have ever seen.

After the sightseeing tour ended we went back to our hotel to freshen up and get
comfortable enough for us to go to Ratanga junction theme park which was just
on the other side of the road from where we were staying.

catching , the first day we arrived this banner was the first thing that caught my
attention, it made me so excited and have the urge to go and experience the
different activities. When we got to Ratanga we paid our entrance fee which
enabled all of us to go through most of the rides for free. Our first ride was the
cobra roller-coaster; this experience was rather scary, adrenalin building and gut
ranching. We then went to the bumper cars and then to the zip line the
experience was amazing and very adventurous.

zipline , this was such a great adrenalin rushing experience, before i went onto
the zipline i was scared and had mixed emotions of wanting to go on it and being
very anxious. Whilst i was on the zipline i was screaming with so much joy , i was
feeling anxiety free , i was having so much fun whist i was on the zipline, After this
most of us were tired so we decided to go back to the hotel and go for a swim and
relax this swim was so refreshing and fun as we had music playing and us goofing
around dancing in the pool enjoying ourselves by going for a swim we also were
compromising for the time we went to the beach and we were unable to wear
our swim wear therefore we took advantage into wanting to put on our swim
wear. After this we then freshened up wore our pajamas and went to buy food

and got back to the hotel and watched a movie then headed to bed after a long

day of absolute fun.

5.5 DAY FIVE


We all woke up at our own time just before breakfast was finished, as it was
rather a relaxed day. We decided ourselves into groups as we went shopping and
then after shopping most of us came back to the hotel took a nap and then
started packing up. In the evening we were supposed to have a dinner at the Mall
at one of the restaurants but however we were unable to due to a number of
people not up for the idea, so my colleagues and I decided to buy a bunch of
different varieties of food from KFC to Debonair pizza, we all shared this food
whist watching a movie,as this was the last night in CapeTown we decided to

wear our morning gowns as well as night wear
to the mall as we were just feeling so excited and generally having a good time. In

5.6 DAY SIX
This was on a Sunday and was the day we were travelling back to Zimbabwe. We
had a pleasant flight with South African airways and arrived safely in Zimbabwe at
4pm.

Cape Town was one of the best experiences I have ever had, it suited my
expectations and I don’t regret the time that we spent there. I got exposed to a
different style of living and life as well as some of the greatest attractions in the
world.

CHAPTER 6: EVALUATION

The group overly performed fairly well and the group behavior was optimistic
however there were times we would fall back and give up but there was always
that one or two people who would motivate the rest of the group to get back up.
By this event we all learnt the essence of working as a team, this helped us to
know that as a team we achieve more and when one person lays back another
person is there to cover up and help you get back up.

6.1 EVALUATION OF MY PERSONAL CONTRIBUTION AND ROLE PLAYED


I performed well as I would always meet the deadlines as I took full responsibility
of the task I would be given. I did not give up easily when the going got tough, I
would keep pressing o and have an optimistic mind that things were going to
work out for the best. I also made sure that I had things well organized and I
would push some of my other team members to keep being positive. The
challenges I faced were that of not attending school on a daily basis therefore
when I would go to school it was hard for me to catch up on most of the things
which would have been done whilst I was away for example I would have to go
with the decision everyone would have made even if I did not favor the decision.
This greatly affected me as I would lose motivation due to not favoring some of
the decision that would have been made therefore I overcame this obstacle by
just instilling a positive attitude towards everything and this enabled progress to
continue. I also had challenges of not having the same idea as everyone else
therefore I was left without choice but to do what the majority wanted and it was
very difficult for me not having my idea considered and this slowed my progress
down. This hindrance was overcome when I learnt to understand that it’s not

every time that my idea would be taken into consideration as well as understand
that when working as a team the best idea is taken into consideration and usually
majority rules. I also fully involved myself by providing the information about the
accommodation in Cape Town. I was the implementer for the group as I provided
the drinks for the event which were going to be sold during the fashion show. I
was very level headed as I also helped the team to work peacefully with resolving
the tension that was within the team. I also helped by catering for most of the
eats and selling them during the event. I also went on to order the t-shirts for the
team as well as collect them. I took full responsibility of the task which was given
to me in order for thon most of things to move faster within the team.

6.2 MARKETING REPRESENTATIVE


(Thabisile, Moreblessing and Mustapha) – These people had to sell our ideas and
make sure that people are aware of our event they also had good organization
and planning skills. These three people worked fairly hard in order to fulfill the
goal. However in some scenarios they got overwhelmed by the responsibilities
they had and this was a huge disadvantage as the team would progress slowly.
Thabisile in specific would crumble when under pressure.

 Catering: Myself and Ruvimbo– we had the job to ensure that each
customer was provided with an efficient range of food. I worked well and
Ruvimbo also worked well although she was very reserved and did not
communicate much ad this was a disadvantage
 Logistics: Moreblessing was supposed to ensure that all the customers
arrive safely at the event. Moreblessing worked well she did her duty as she
was assigned to do and she made sure that everything was in order and
would not let any circumstance overwhelm her.
 Sound system: Tinotenda worked excellently as he had all the things
required for the sound system in order, he also made sure that if anything
was missing he had a backup plan into making everything for the sound
work

 Teachers(staff members)
– Responsible for keeping everything order and making sure that nothing
happens during the event the staff worked well in different sectors and
made sure that things were organized and supervised well.

 Finance representatives (Chantelle and Wudzai) – these two were


responsible for keeping accurate records. And they were able to safely
calculate information regarding income and expenditure as well as working
with the figures of the event. These two kept to their certain job assigned
to them and they worked well.
 Health and safety and security representatives:
(Security guards) – They were responsible for keeping everything and
everyone in order and also worked carefully within the given situation.
They were also supposed to work through information and assess risks. The
security guards worked well and enabled things to be under control.

6.3 TEAM ROLES EVALUATION (15th of May 2017- APPENDIX 8)


Plans: Mustapha and Tinotenda
Mustapha: he wasn’t really good plant as he did not live up to the
responsibilities he was given. He would also not meet deadlines and he was
not physically involved rather he was dependent on other people to do all the
work.
Tinotenda: Tino was a good plant as he was a very good motivator, when every
other team member had lost hope Tino would come in and bring everybody
back up. Tino would also go the extra mile of selling more. However his
weaknesses were that of being very disruptive.
Coordinator: Thabisile
Thabisile was a hard worker as she led the team well and involved herself fully
for example at the fashion show night. Although Thabisile led the team well,
she did not work well under pressure and this would affect the team as a
whole. She was also very secretive when it came to the distribution of
information.
Monitor Evaluator: Moreblessing

Moreblessing did a good job with this responsibility as she was also very
outspoken and this benefited the team as most ideas would be suggested by
her. However despite all the positive outcomes towards Moreblessing
responsibility she did not consider other people feelings and this was a
drawback towards the team as most people were very fragile and would easily
feel demotivated.
Resource investigator: Zinhle
Zinhle was good at provided the necessary knowledge of information required
however Zinhle left in the middle of the course.
Implementers: Mudiwa and Ruvimbo
Mudiwa: she fully committed herself to her responsibility as she also went the
extra mile of donating money and drinks that were going to be sold on the
night of the fashion show. She was also level headed
Ruvimbo: she also committed herself to sponsoring the prices that were going
to be given to the winners for example perfumes
Team worker: Wudzai
Wudzai was a problem solver as she made the atmosphere within the team
sober and tried as much to bring people back into having the drive to continue
working. She was also very outspoken for as she wanted something to happen
she would make sure that it does happen. Although Wudzai kept the team in
one piece when it was falling apart, she would also be dependent on others
and sit on her ideas as well as she would give up easily when the going got
tough.
Specialist: Chantelle
Chantelle was very open minded and was not involved in any click therefore
she communicated with everybody and she was also very specialized on
finance.
Shaper: Panashe
Panashe was rather very aggressive in order to get things done and this was a
positive as it would push people into getting things done. He was also the tram
player as well as the muscle for the team. However Panashe had a low
concentration span

6.4 GROUPS PERFORMANCE AS WELL AS THE GROUPS BEHAVIOR
AND LEARNING
Overly the team worked well despite all the challenges faced we managed to all
endure and succumb these challenges together and by doing so we achieved the
goal of us making the trip feasible. However the teams behavior was not
satisfactory as we would have unnecessary misunderstandings and this would pull
us back, although they were some members of team who were optimistic and did
not give up easily for example Zinhle when we all were thinking pessimistically of
the Thailand trip and as we all started to give up and doubt that this trip was
going to occur Zinhle suggested the idea of going for a trip on Cape Town rather ,
many people were not so keen about this idea but as time moved on this idea was
recommended and we started planning towards it.

After this whole experience of working as a team we all got a positive outcome
even from the negatives. We all learnt that to achieve something it’s more
realistic to work as a team because things would be achieved at a faster rate. We
also learnt that working as a team there is a variety of ideas that arise and when
you put those ideas together most things fall into place. We also learnt that the
point of good communication is very ideal in a team because if the
communication is poor things move at a much slower rate. We also learnt that
negative criticism is not to harm any of us but rather to mold us into better
people and this encourages working better as a team.

6.5 TEACHER’S ASSESSMENT ROLE IN THE PLANNING OF THE EVENT


Our teacher gave us direction when it came to planning the event. She was there
to also guide us through each step we took to make the event work. Therefore
her role was very vital as she was also there to push us and make sure we do
things correctly as well as do things on time. However she did not do everything
for us but would assist when it came to the booking of the hotels as well as being
the main supervisor during our Mr. and Miss Schools event. Following on she was
also not perfect, she had one obstacle that would overcome her and that obstacle
was her favoring certain students and this was a major drawback for the team,
but overall she played a very vital role in getting us to reach our set goal.

6.6 THE RELATIONSHIPS BETWEEN OBJECTIVES AND THE ACTUAL
OUTCOME
This was not satisfactory because the objectives in which the group had desired to
achieve did not come into life. For example when we made the itinerary for the
trip to Cape Town most of our original plans had to be changed or postponed due
to obstacles such as bad weather which might have been out of our control but
the objectives were not met fully. We also aimed not to get sick during the trip
but most people did fall sick and this was not the outcome we were expecting.
We also had the objective of wanting to have a maximum of $800 approximately
from the fashion show but this was not achieved due to poor marketing strategies
as well as communication with the potential customers. Despite all the objectives
we had which were not satisfied fully there was one objective which had an actual
positive outcome which achieved 100% satisfaction during the trip in Cape Town.

6.7 EFFECTIVENESS OF PLANNING


Planning helps to identify the possible risks and challenges as well as enable to
put in migratory measures to deal with this. It also helps to identify activities and
assigned responsibilities for effective implementation. Also enables people to
estimate cost and plan for the provision of resources accordingly.

6.8 RECOMMENDATIONS FOR FUTURE EVENTS


 To communicate more : this will allow things to move at a much
faster rate and will avoid misunderstandings between each other
 To avoid having clicks within a team as it slows down progress and
creates unnecessary tension
 Everyone should be treated fairly to avoid anyone feeling left out and
will lead to most members of the team feeling demotivated
 Consider everyone’s ideas and input in order for things to have a
good standard and avoid making anyone feeling inadequate.
 Everyone should put in an equal amount of effort and not have
people dependent on other people to do their work

Chapter 7: What has been learnt throughout the
whole event?

I have learnt that as a team who work together things are achieved at a greater
extent. I also learnt that planning an event with a set goal ahead of us motivates
people into wanting to achieve that goal. My team and I also learnt that good
communication is key to avoid misunderstandings as well as conflicts as
everything will be clear once the communication is good. When working as a
team enables the sharing of different ideas which guarantees a good end
outcome.

7.1 OVERALL CONCLUSION


Challenges in which we faced as a group was the issue of miscommunication
which may have led to misunderstandings within the group and this slowed down
the progress due many people being confused on what to do however we
managed to sort this issue out by letting each and every one of us to speak and
have people paying to the one person who would be talking so that there are no
misunderstandings. We also faced the issue of tem divisions, many people would
go into separate cliques with their friends and this also slowed down progress
despite this challenge we managed to sit down together as a team and address
each other into working in one team and not divide ourselves. There was also the
issue of favoritism in the class, other individuals were favored more than the
other and this caused many people to feel left out and discriminated and this led
to slowed down progress due to many people feeling demotivated. This issue
however was sorted out by confronting the teacher as well each other so that
people are treated equally and fairly. We also faced the challenge of other team
members being dependant on another member do to everything for them and
this had conflict arise and this was sorted out when we would confront each other

to work together and all put equal effort towards the set goal. As an individual I
was challenged by the issue of not attending school often and missing out on the
discussions and decisions the team would have made and I overcame this by
putting extra time to ask someone of what they would have done and make an
effort to catch up with the other team members.

7.2 RECOMMENDATION
For any future group which is to pursue the same thing I would advise them on
specific things such as:

 To communicate well with each other in order to progress faster and


avoid misunderstandings
 To not rely on one person to do everything rather work equally and
the end result would be much brighter
 To avoid favoritism and treat everyone equally and fairly so that no
one is de-motivated
 To also work as one team and avoid dividing themselves into smaller
groups.

Furthermore regardless of the challenges we faced in the process

of wanting to make the trip work we succeeded and reached the

goal we had set. All the hard work we all put in as individuals and

as a team it was worth it.

However after Mustapha and I sat down and did all the research we
decided to present the information we had on the 4th of March 2016 but
because the budget was above the maximum budget the class disagreed on
the idea

I Mudiwa was the one coordinating the meeting. Mustapha was the one leading
the Mauritius presentation. After providing the brief information about Mauritius,
Mustapha recommended accommodation as well as transport. After the
presentation the total cost for the trip to Mauritius was about $1500 above our
maximum budget.

After the presentation, the class had to make a decision of which place they had
favoured most. However Thailand and Mauritius were taken out of the equation
due to being expensive and considering the crisis of the shortage of money in
Zimbabwe it was not going to be feasible. The next option was Victoria falls and
9/11 were not for the idea therefore majority ruled and this decision was made
due to many people having had visited Victoria falls before, the road blocks and
People still felt the need of wanting to have a foreign trip. Cape Town trip was

Conclusion

The class agreed on having the fashion show, for reasons such as wanting the
costs covered by selling tickets as well as fundraising and people felt the need of
wanting the trip to take place as well as it being successful.

Trip

 Moreblessing gave a brief overview of the general activities


 Panashe suggested a cultural act
 Wudzai , Tinotenda and Mudiwa were in charge of suggesting the
possible accommodation
 Ruvimbo suggested that South Africa Airways would be less costly and
convenient , her idea was backed up by Chantelle

At the end after a quick budget, risk assessment and SWOT analysis the budget
ended up at $1350

The class felt strongly about the trip to Cape Town was going to take place.

They also agreed that the fashion show was going to be the source of a fundraiser
for the Cape Town trip.

Firstly we talked about how we worked at as a team?

Generally we worked well as a team although we faced many challenges we were


able to pick up for each other and make sure everything goes well for example
when someone was absent we all managed to cover for each other despite
everything.

Overly we faced many obstacles in the process of trying to make the trip occur,
nevertheless at the end of it all we did well due to great determination.

Whilst we were in the process of planning, there was an issue of some of the
people in the group dividing themselves into clicks and this was a challenge to us
as it slowed the progress down.

Communication

 We were unable to talk to the agent directly therefore we had the


teacher doing it for us.
 We had problems with getting permission from the headmaster (Mr.
Allot) for example: when we had suggested a civic day where people
come with their pajamas and we make each of them pay $1 so that it
helps us in the issue of fundraising however Mr. Allot rejected this idea
and so we were unable to fundraise.
 There was also a lot of favoritism in the class and this was a drawback
for everyone as some people felt de-motivated and lost the drive into
putting effort into making things work

Aims and objectives of the trip

 100% enjoyed the trip although they were aiming to get 90% customer
satisfaction which meant that their expectations for the trip were
exceeded.
 To meet the requirements of the budget which was $1500, although the
budget was excess as they was a remaining $150 which was an
advantage to us
 To ensure 100% health and security however this requirement was not
satisfactory due to some people falling sick although it was manageable.
 To experience a diverse culture, this requirement was not met but we
managed to get some information by interaction with some of the
students from south peninsula high school. Therefore the experience
was not as direct as we had hoped it would be.

Overly the objectives were fairly met.

 The planning took longer than expected due to the change of teachers
therefore the feasibility study took longer than expected
 Deadlines for payments were poorly met because the economic crisis
contributed towards the delay in payment making

Nevertheless despite all the obstacles we faced we still managed to go for the trip
and made the best out of the opportunity that we had.

Resources available

 For the staffing that was going to be with us during the course of the
trip, as a class we had picked a particular teacher that we were in favor
with however our decision was not taken into consideration and the
school decided to give us five other options in which we weren’t really
pleased with the choice of staff in which we were given to choose from.
 We also had a few obstacles that stood in our way when it came to
taking money out

Marketing

 The major challenge we faced was poor team coordination, by this some
people laid back with bearing in mind that someone else in the team
would do their work therefore this led to conflicts arising as some
people had assigned less work for themselves and others were doing a
lot more work than others.
 Poor marketing was another challenge as this meant that we weren’t
able to raise sufficient funds, as poor team work also contributed to this
challenge. Not many customers were aware of the event because the
advertising was not up to par therefore we made a loss and this affected
us.

Security

 Some people almost lost their luggage, some bags came back in a torn
state, and Mustapha misplaced his bags.

EVALUATION OF THE TRIP

The itinerary.

Day 1

We were supposed to arrive in Cape Town and watch a movie. However this did
not succeed because we did not think that the mall was about walking distance
from the place of accommodation therefore instead people decided to familiarize
themselves with the mall.

Day 2 and 3

We were supposed to go day sightseeing bus tour as well as visit the table
mountain and Robben Island, but due to bad weather conditions these activities
were not feasible enough to occur. Therefore we ended up visiting the south
peninsula school as well as visited the vineyard which was located in Stellenbosch.

Day 4

The intended activities which were meant to take place were shopping in the
morning, beach visit and evening formal dinner. However all these activities did
not occur due to having not gone for sightseeing on day 2 and three we had to
compromise the original plans of day 4 aside so that we were able to go
sightseeing. The formal dinner did not occur due to one of our staffing members
falling sick therefore we decided not to go for dinner. We also went to the theme
park this was not on our original plan for day 4 .the theme park visit was a success

therefore we really did not end up thinking about the original plans that we had
for the day.

Day 5

This day was originally dedicated for shopping, therefore this plan was successful.

Day 6

Was the day we were meant to travel back to Zimbabwe therefore the travelling
occurred and it was a successful.
