CHAPTER 1

1.0 OVERVIEW THE CURRENT STATE OF TECHNOLOGY/BACKGROUND

OF THE STUDY

The researchers created this Online Shopping System to improve the present
enrollment process. It has been observed that requires long processing time due to manual
encoding manner of records. This leads to inaccuracy and inefficiency throughout the
process such as data processing, profiles monitoring and organizing files.

With the help of technology, our lives become more convenient and doing things
can be done so fast. Most people nowadays use technology for the faster and easier way
of living. With the intentions of improving the enrollment process, the researchers
proposed an Online Enrollment System for the institution to create a better way of
providing a more reliable tool in registering and enrolling students in the school. The
proposed system speeds up the process of enrollment while, reducing the possibility of
committing a human error to users. The program assured students records and easily
generate an accurate data. The users will consume less time through computerized system
rather than working manually.

In the case that uses manual manner, the Online Enrollment System will be
effective in improving the enrollment. The administration is currently using manual
manner of recording student information through pens and columnar sheets. Creating
Online Enrollment System during enrollment and in compiling all the records of their
students without storing bunch of papers in file. The new system would also help the
applicants of the institution to experience an efficient and hassle-free enrollment. Thus,

Online Enrollment System is a good start to lessen the workload of employees as its
accurate information needed by the requester. As a result, it will benefit not only the
student but the administration as a whole.

1.2 Project Objectives

1.2.1 General Objective

To propose an alternative solution for the slow enrollment process .This study aims
create an Online Enrollment System that may help to have a better, more reliable and
resilient interaction system; and to make the manual process in general, faster and more
systematic. The objective of the study is to develop Online Enrollment System for School
that would provide fast, accurate, and easy to use enrollment and record keeping system.

1.2.2 Specific Objectives

The specific objectives of the researchers in conducting this study are the following:

1. To minimize the effort of the teacher-in-charge or the enrolling officer in updating

student’s record.

2. To speed up the enrollment process in all year levels.

3. To provide a database for student’s files so that the enrolling officers would easily
search, locate, and update records.

1.3 Scope and Limitations of the Project

The study focuses on the solutions to make the enrollment process easier and be
more convenient. But the research is limited in presenting how the actual system runs and
to be created. To achieve better results, the researchers conducted a survey and
interviewed knowledge-able persons that can con-tribute ideas that will improve the
research.

This project will be limited only on the online enrollment system and record
keeping of the school. The researchers will be focused in gathering relevant data such as
data of students, computation of necessary fees, handling of student grades, preparing
reports, and generate student’s credentials.

The database maintenance feature of the proposed system will focus on adding, and
editing students’ records, students’ grades, maintaining and managing table entries of
users and user’s log; and monitoring of the changes done by authorized users in the
system.

1.4 Significance of the Project

The main purpose of this project is to develop a computer-based enrollment system

that is fast, accurate, reliable, and easy to use. The proposed project entitled “Online
Enrollment System” will be designed and developed by the researchers for the
administrators, faculty, staff, and students of School.

The proposed project will replace the manual process of the school’s existing
manual enrollment system and will use computer-based software that enables authorized
users to speed up the enrollment process, provide an updated, secured and easy to access
student records, and generate accurate reports.

To the Registrar and Accounting Office

The use of Online Enrollment System will minimize duplication of student records.
Thus will help the office to release requested files faster compared to manual recording of
data.

To the Students

The system will minimize the time and effort taken during student enrollment.

To the Parents

For them to easily monitor their child’s class schedule/sessions.

To the Future Researchers

For this will serve as guide or reference for future studies related to this.

1.5 Definitions of terms

A system designed to perform the process involved in registration, advising,

assessments, and payments of students as well as scheduling of classes.

1. Long queues on enrollment.

2. Slow and redundant processes in Enrollment.

Since the student are manually filling-out the official documents of the school,
that maybe a possibility to obtain redundant data that can cause further
complexity in the enrollment process.

3. Time Consuming Enrollment Process

It is the most common problem of the school, students and staff were consuming a
lot of time in doing such things. Manually filling-out of the school’s officials’
documents take so much work to student records need a confirmation or be
updated. The assigned personnel need to go back just to get tithe record needed.

4. Inaccurate information and duplication of data

Manual recording of student information is highly prone to human error. Thus, the
duplication of data and/or files may exist and might lead to confusion to the
records personnel especially during peak season of records request. Otherwise,
input of data is critical in securing information and avoiding file lost.

2.1 Introduction

Nowadays, computer serves as an important role in our society, most especially in

school premise. Most school uses computer to help their students deal in the modern

technology. Enrollment is the process of entering and verifying data of students to

register on a particular school.

Online Enrollment System on one hand sounds simple as a straightforward

procedure and on the other hand, but is a complicated workflow that is based on strict

public school and university when it comes to enrollment rules. The study focuses on the

solutions to make the enrollment process easier and be more convenient. But the research

is limited in presenting how the actual system runs and to be created.

2.2 Research and Literature /Problem Statement

This chapter presents the review of the related literature and studies and the

technical background of which will discuss the technicality of the project, details of the

technologies to be used and the relevance of the project.

According to Studymode.com (2012) online enrollment system tends to replace

what we called “Paper Less” transaction and also it will make any transaction easier and

faster. Also, it tends to lessen manpower and human efforts in terms of processing any

transaction in regards with enrollment transaction.

makes the transaction faster and easier.

improved the process in enrollment item in searching, retrieved and subject schedule.

such system is extremely useful in the way that it gives an ease on working on enrollment

application to support a standard browser feature is the ability to perform as specified,

regardless, of the operating system stalled by the given client. A web-based enrollment

system has featured that meet most of academic institution system needs and

requirements. This includes standardized modules for student, registration, enrollment,

grade management, and other modules that are deemed necessary to operate a school.

country in terms of population. And with a large population comes multiple problems in

enrollment, student records and related data. Wanting a lasting solution to the problem,

FEU asked consultants for recommendations. The result was a decision to automate

FEU’s enrollment system. FEU decided to automate the enrollment system in to phases:

(1), the development of a system for enrollment and student records for Phase 1, and (2)

the integration of the student’s financial records for. They worked closely with

SQL*Wizard to pilot E*Wizard, an integrated system for student enrollment that contains

modules with extensive inquiry and reporting capabilities.

plays a very serious role in every school premise. It is very important in every and it acts

as their foundation. Each school has their own system in handling their enrollment. And

for them to accommodate many students, they need to computerize their enrollment

system, for them to make their work easier and easy to manage.

the people that normally has to do all the manually work.

process is the way the school can find an easier and better way to implement an

enrollment system. The automation of the said system will be implemented through the

use of equipments like computers and printers.

According to Harley Quinnie of Quezon City (2012), A study to develop a

comprehensive information system for the students of Informatics College of Caloocan.

For first time enolleesthey are required to register using the the school computers in order

to process their application for enrollment at Informatics College of Caloocan and they’re

records will be stored into the school server, records such as name, address, guardian/s,

course, subjects, and schedules

Problem Statement

• Slow enrollment process including admission and evaluation.

• The given enrollment schedule for each college is not followed.

wait in a long queue.

2.3 Related Studies

2.3.1Foreign Studies

According to Harvard College Students registr for them using an electronic

registration tool. The electronic tool is easy to use and should take only a few minutes to

complete. During the registration process, students need to verify their name and their

physical return to campus. Additionally, they are provided with informational documents

such as Harvard College’s Alcohol and Drug Policy, Substance Abuse Laws, and Voter

Registration Forms. Students are also required to review and update their directory

information. Students are given the option to register for Message Me, Harvard

University’s emergency notification system.

Students will be able to access the Registration tool by selecting the “Campus

Resources” tab of the my.harvard.edu portal. Within this screen, they will see a block

called “Online Registration Tool”. There should be a Status line with a link to ‘Register

Online’. Once this link is selected, they will need to authenticate themselves using their

HUID and PIN and will be presented ith a welcome message for the online registration

tool. The student receives final confirmation upon completing the registration process and

an email confirmation. Lastly, the Status Line on the my.harvard.edu Online Registration

Tool will indicate ‘You are currently registered’ when this process is complete.

applications will be accepted in grade levels K-7. Subsequent grades will be added each

has gone live with a Cognos-Based faculty and student scheduling management system

that was designed by Irvine, CA-base professional services firm e2e Analytics. Prior to

installing the new system. LBCC, which has two main campuses and multiple satellites

that support nine schools and 34 departments. The school’s scheduling management

system budgeting and planning up to three months to compile, consolidate, and

implement. Updating and checking of faculty and students information was inspired by

the advancement of modern technology. The researchers gathered data necessary in the

scheduling system for the success of the study providing benefit of the employees and

students so they can have access and have access and have the ability to manage

information directly and conveniently. (Koft, 2007).

It is a combination of different function areas such as databases, searching, retrieval, and

update of student records, checking of student’s schedule, computation of fees.

schedules.

concerns are affecting the efficient enrollment system of students. Security of the

students records were found to be at high risk. The current system may fail to protect

some important documents. It has also untimely inefficient report generation. A

computerize system for DCNHS shall resolt to a significant increase in the number of

Harvent School in Dagupan City, composed of Elementary and High School Level. The

school puts premium to its registration. The enrollment process is the initial stage in

gathering bon fide and accurate student information necessary to establish student

permanent records. A resgistration and billing system is needed by the institution to

address the stated situation. The study has been made to help Harvent School gather fast

and deliver accurate information.

According to Pascual and Riceo, (2008), Based on the researcher, a Web-Base

Enrollment System for Ven’tas Parochial School (VPS) in Manila was developed to help

its students enroll in a more efficient way without the hassels of waiting long hours in

filling out forms, which sometings become redundant, or to stand in line and pay at the

cashier. It is with the Web-Based Enrollment system for VPS that this new style of the

enrollment may be achieved. This new type of system offers its students new options for

enrolling at VPS. By logging on to VPS website, one can register and enroll subjects for a

school year. With these, all the students are required to fill out certain forms that do not

take more than a few minutes to accomplish. The system stores its records in the school

database for future references.

According to Charlene G. Bulao (2000), In their undergraduate feasibility study

entitled “A Proposed Computerized Enrollment System For Pamantasan ng Lungsod ng

consuming, redundant student record, and has a slow retrieval of student record.

Record Keeping

According to Chifwepa (2009) records have a dual function. Not only do they

enable a school to have a clear picture of what is available and what is required, but they

also provide justification of certain needs. Furthermore, they serve to extend the memory

by which persons and/or organizations can pass their cultures and achievements on to

future generations. Record keeping is vital to an education system’s information cycle as

a whole, because of its fundamental role in the process of efficient information

production and collection. Since some of the most crucial information is produced at the

school level, the importance of creating a systematic record-keeping culture at that level

cannot be stressed enough.

Importance of Record Keeping

In the study conducted by Adebowale and Osuji (2008) it investigated the record

keeping practices of primary school teachers in selected local government areas in Ondo

state of Nigeria. Data were collected with a questionnaire titled “Questionnaire on Record

Keeping Practices of Primary School Teachers” and data were analyzed using descriptive

statistics. The findings showed that although the teachers were familiar with some

principles of record keeping they were not proficient in most of the operational

procedures and did not demonstrate the knowledge of using record keeping to further the

development of teaching and learning activities. Equipments that could be used for safe

keeping of records were not available. Recognizing the importance of record keeping

towards the successful implementation of the country’s Universal Basic Education

programme, the researchers recommend that teachers should be given regular in-service

training in record keeping and retrieval. Development of record keeping skills should also

be included in teacher preparation programmes.

Student Information System

(SIS) manages student records and information. A SIS may handle course management,

scheduling, personnel records, grades/comments, room/resource management and more.

They can be used to run complex enrollment reports, admissions, course schedules,

grades and more. A SIS helps schools manage various operations including student data,

administrative, and fundraising operations. A SIS allows for the quick and accessible

flow of information. By implementing a SIS to manage daily school needs, teachers and

administrators can save time and have immediate access to a variety of student data.

These systems are needed for all parties involved in education – parents, children,

teachers, administrators, alumni, etc.

2.4 Concise Summaries of Literatures

The abovementioned concepts on the online enrollment system and record keeping

is relevant to the present project because these serve as foundation in the development of

an enrollment system for the School that will minimize the time consumed and effort

exerted by the staff in updating student records and record keeping. The concepts also

point to the features of the present study such as the users’ module and database

maintenance that will be integrated by the developers in the proposed system.

The concept on record keeping, importance of record keeping, and its fundamental

role in the process of efficient information production and collection is used as basis by

the researchers in the formulation of the general objectives and important factors to be

considered in designing the features that should be included in the development of the

proposed online enrollment system.

2.5 Quantitative and Qualitative Studies

The general framework of analysis is a quantitative study. This does not mean that

characteristics of schools only traditionally described numerically are included. As

Creswell (2014) pointed out, quantitative analysis and qualitative analysis are rigidly

different. Instead, Creswell stated that quantitative analysis should be used “as an

approach for testing objective theories by examining the relationship among variables”.

The literature review for this study established several ideas for which quantitative

analysis is an appropriate tool. First, the literature established small private schools are a

valuable component of higher education. Within this area of higher education, it is

established that consumers (students) are demanding more job-specific training, non-

selective schools are dependent on tuition revenue, and finally the literature revealed

consumers focus on value over consumptive amenities during a time of poor economic

performance.

The percent of students admitted variable was included as a way to control for the

dependence on tuition that a school may have. As the literature showed, schools with

high levels of prestige may not have issues during a recession as they are able to maintain

enrollment due to the high demand for their specific product. For this same reason

endowment assets were included in the analyses as well.

This technological innovation is aimed to provide the students ease and better
service every start of the semester. It is communicated /disseminated to students who
enrolled in the university starting from school year 2021-2022.
