 ABSTRACT

School’s old method tends to execute file manually by pen paper works.

Thus, it consumes series of files bundled up and kept in every corner of their

offices. In comparison at Holy Trinity School’s old system method, they have

usually done gatherings and keeping data by manual typing. Holy Trinity

School’s current system consumes more time and costly. That old method inside

school departments must provide student’s number uniquely just to find them in

a bunch of particular files that corresponds student’s name. It also causes

hassles about looking into files one by one for them to assure there’s no missing

place. Our Web-based School Management System with Cloud Technology

project secures storing of data through cloud server. It manages properly the

sorts of files without giving student’s number and makes searching organized

and easy facilitate. Web-based School Management System with Cloud

Technology gives school a hassle-free service that manage student’s report,

results, and exams in one click. Benefits also each student who need their

personal details with easy access; they can also look back at their attendance

records in whole month. Obviously, it saves time and effort for each school’s
department with the use of user-friendly accounts. Cloud server as a platform-

independent way of linking across the internet.

 CHAPTER I

PROJECT AND IT’S BACKGROUND

1. Project Context

This proposal has the idea for eliminating hassles upon checking the

background of each students and/or faculty staffs. Developed to modernize the

technology at Holy Trinity School of Obando, INC; can prevent losing of files.

Also ideal for covid-19 pandemic’s situations where some of employees are

work-from-home.

 What are the advantages of web-based system with cloud technology?

Web-based school management system will be familiar to many

legacy users of school management software or tools. With the advent of the

internet, cloud technology will store data. This system became popular

because of the easy connectivity provided via the internet. The Web-Based

School Management System with Cloud Technology can be accessible

anywhere by the student specially when they are at home.

  What are the disadvantages of not using School Management System?

Processes are present in every organization in order to ensure its

smooth and steady functioning. They might or might not be defined,

however, without them any organization – even an educational institution like

a school or college – would fall apart.

Manual processing of data might consume more time. Files might also

be misplaced when it is manually recorded upon updating. It may lead to

more mess for the faculty staffs to find student’s records specially when they

need it the most. Most of the time, in manuals, teachers or admins choose to

duplicate every file they have either students or faculty members. Also,

manuals consume more papers to fill-in such as forms and school records.

A good example of manual processes is when students file claims for

updating their course.

2. Purpose and Description

This project aimed to store school files including students and faculty

staffs’ information. They can log-in and log-out their accounts and see their
data’s so they can have the knowledge about their grades and attendance. It

requires user’s picture to display after signing in.

Cloud technology relies on data stored to operate. It also has the

unlimited capacity to store information accessible through internet connection.

This technology is also more responsive to user interactions and has faster

processing time since the information must merely be retrieved from the cloud.

3. Objectives of the Study

Mainly, the benefits are all about the school’s system technology. This

may improve or lessen school’s hassle about filing and finding records.

 To easily monitor student’s attendance and grades that is only be edited

by admins such as faculty staffs.

 To allow students see their school records easily even they are at home;

productively useful in today’s situation due to covid-19.

 To improve school’s systematic technology under cloud supervision –

less manuals upon recording and adding files.

 To give student’s guardian their own account to monitor their attendance

– only guardians are allowed to see student’s fee.

 To add new accounts of incoming students – admins require teachers to

pass student’s information and admins/faculty staffs are responsible for

adding and/or updating records.

 Cloud technology helps data information secure and facilitate.

 To display monthly salary of faculty members at their respective

accounts.

4. Significance of the Study

This may be helpful for school individual about decreasing their workload.

a) School – the main beneficiary of this project was always the school. It

conceptualized their need to ease their difficulties about sorting of files;

also, this Web-based School Management System with Cloud

Technology will give them quick access at member’s records.

b) Faculty Members – at school, teachers are the ones that has a multiple

record of their student’s report grades. They always choose to carry all of

those stuffs and usually they have several student’s file on their own.

Teachers provide lots of papers about written/printed list of everything.

 Fortunately, our system will give teachers no hassle about carrying

records; there is no need for them to express and print every

announcement and rules regarding school. Our system allows teachers to

announce every outgoing and ongoing event and/or meeting that

students may see in their respective accounts. As teachers’ corporates as

faculty members, they always rely at admin member’s decision making.

Some of them have this large amount of workload, it can be difficult for

them to find something that teachers are looking for when it was manually

recorded. Thus, our study’s obviously main target are those

admins/faculty staffs.

c) Students – this system will give students a free access so that they shall

no longer attend school just to ask a request of their own records and

files. Report cards must be displayed for each respective student;

therefore, we finally conclude that it could lessen physical contacts at

school.

d) Guardian – in a very quick understanding, this project might be also for

the guardians. In the case of today’s issue, the authorities want to

explain to the people on what's the importance of social distancing are.

 This system can also benefit in our today’s world, when we want to

eliminate social gatherings even at school and lessen the numbers of

commuters.

e) Researcher – this study will be effective tool to serve as a reference to

the future researcher and they can also use study to widen and enlighten

them for the research.

5. Scope and Delimitations

The main scope of our study is to create hassle-free internet service

provided system for students and school’s staffs. Faculty Members might no

longer invite students at school especially when they only requesting about their

records. Thus, schools also might determine the number of students enrolled at

them – can also be easy for them to evaluate whose students are actively

attending their class. Ideally, our studies might decrease physical contacts that

our society needs. Our scopes are to add, delete, and update employees and

student’s record, displays grades and monitor existence at school.

The main delimitations of this system does not support any collecting and

distributio of personal record since the system cannot import any of these
documents/requirements such as birth certificate or any other important

documents. In regard to employee’s salary, the system only displays monthly

total salary payable of each Employees. Students are not authorized to edit

his/her account information. Only active students are the systems target to

operate. The limitations of our project will help future researchers to enhance,

develop our system.
