How to configure SSL/TLS for Scan to Email

Typically, an SMTP connection over SSL/TLS is required when sending a scan to Gmail, Hotmail, Live Mail, or Microsoft Office 365-based email accounts from an MFP. The
connection configurations will be different for each service, so this FAQ will describe the configurations of SMTP over SSL/TLS on the equipment side.

How to configure SMTP over SSL/TLS

The settings to enable SMTP over SSL/TLS can be accessed from the operation panel on the device or Web Image Monitor.

Setting on the operation panel:

The following is an example of how to configure SSL on the operation panel.

System Settings > File Transfer > SMTP Server

Set "(SSL) Use Secure Connection" to "On". When this setting is set to "On", the port number automatically changes to "465".

Setting on Web Image Monitor:

Device Management > Configuration > Device Settings > E-mail > SMTP
Configure the "Encryption Strength Setting" or "SSL/TLS Version" in Web Image Monitor.

Device Management > Configuration > Security > SSL/TLS

A site certificate will be required when certifying the mail server.

Device Management > Configuration > Site Certificate

When configuring SSL/TLS, refer to the following tables:

Description of the SMTP port number

SMTP Port Number Method of Encrypting Data Description
465 SMTP over SSL Encrypted SMTP communications over SSL method.
587 SMTP over TLS(STARTTLS) SMTP over TLS (STARTTLS) by using the submission port method.
Except 465 and 587 SMTP over SSL or SMTP over SSL or TLS.
(including 25) TLS(STARTTLS) Encrypted communication that is set by the SMTP server is used.
